Wedding FAQ’s How do I secure a wedding date? In order to hold space on a definite basis, a signed contract, credit card for guarantee and deposit are required. The initial deposit is $500, and is non-refundable. Three months prior to your event date $1500.00 is due. Pre-payment, based on the estimated cost is required for all wedding receptions to be paid in full 7 days prior to your event.

What are the service charge and sales tax amounts? There is a 20% service charge and applicable New York State sales tax attached to all Wedding Packages.

How many people does your space comfortably hold? Our Ballroom is the recommended space for wedding receptions and rehearsal dinners. We can comfortably accommodate 150 people at round tables. Typically, we can seat 8-10 people at a round table. We are able to accommodate a tent on our patio allowing additional seating for guests. Inquire with Sales Manager for additional information.

When should we discuss our menu selections? A complimentary tasting can be scheduled up to six months prior to the event date. Tasting menus can be selected from either of our wedding menus or customized menus can be created with your Sales Manager and Executive Chef. If a plated meal is selected for your event, we encourage you to select your menu before ordering your invitations, as you are required to give our Sales Manager a head count per meal selected. Menus and details should be finalized with your Sales Manager no later than one month prior to your event. A final headcount is due 7 days in advance of the event.

Can I meet with the Hilton Garden Inn Sales Manager prior to my event to go over final details? Absolutely! That is what your Sales Manager is here for! Making your special day perfect is what we strive for. Your Sales Manager does ask that you provide the name of someone in your bridal party that our staff can go to with any questions that may arise during your event. It’s your day to enjoy. Congratulations!

Can the Hilton Garden Inn provide my wedding cake? The Hilton Garden Inn does not have a pastry chef on property so you are welcome to bring your wedding cake from an outside source. It should be delivered no sooner than the day before the reception. Cake cutting is included in your package price.

Does the Hilton Garden Inn provide a bar? Yes, a 4 hour open bar is included in your package price.

Wedding FAQ’s When should we notify the hotel of our guaranteed guest attendance? Final guarantees are due by noon 7 business days prior to your function.

Is it necessary to have seating arrangements or should I let the guests sit where they want? It is your day so you may do whatever you see fit for your group. However, the Hilton Garden Inn suggests prearranged seating for a plated dinner. Place cards may be set on a table at the entrance of the banquet room that lists the guests’ names and the table they are to be seated at. Place cards should also indicate the meal selection a guest has chosen for a formal plated meal. The Hilton Garden Inn will provide table numbers but we do not provide place cards. We will be happy to set place cards if they are provided to us prior to the event.

What kind of linens does the hotel provide? The Hilton Garden Inn can provide a selection of linens in white or other stock colors. We can also provide complimentary chair covers. Specialty linens can be arranged through your Sales Manager.

Does the hotel allow outside food and beverage? No. The Hilton Garden Inn must supply all food and liquor as regulated by the New York State Department of Health and the New York Alcohol and Beverage Commission. Wedding Cakes are the exception to this policy.

Does the hotel offer special room rates for our guests? Room Blocks are available for out of town guests. Our Group Sales Manager will be able to provide you with rates and information. Based on availability, limitations do apply. Room Blocks can only be held and guaranteed with a signed contract.

What’s the cancellation policy? Cancellation of an event will be subject to a cancellation fee as noted within the terms and conditions of your contract.

Does the hotel provide shuttle service? Unfortunately, the Hilton Garden Inn does not offer a shuttle service at this time.

Can I or someone from my wedding party come to decorate the room prior to my reception? Yes. You will need to arrange the time with your Sales Manager. You or someone from your wedding party will be able to come at this appointed time to arrange décor, centerpieces, etc. Arriving prior to the arranged time will not guarantee that the room set will be completed. The Hilton Garden Inn will require a $100.00 clean up charge for confetti. The Hilton Garden Inn Sales Manager and Banquet Manager will be happy to set your centerpieces and décor at no extra charge.
