Introduction to b1210 This guide helps customers understand features and functions that were introduced with the release of SuccessFactors Learning b1210 General Availability (GA). SuccessFactors Learning uses a quarterly release cycle, reflected in the build number. For example, this delta captures enhancements in build 1210 (released the tenth month of the year 2012). The discussion includes changes to user and admin interaction with the LMS, including configuration changes. The guide assumes the reader has basic SuccessFactors Learning experience and knowledge. Throughout this document, items with an asterisk (*) indicate Learning enhancements available only with an integrated Learning environment (integrated with SuccessFactors suite of products).

Learning: Admin Enhancements This section discusses navigation and functional changes that impact admins for customers who license SuccessFactors Learning. This release contains many enhancements in response to customer feedback and needs.

* Admin Interface: Eliminate Pop-up (b1210) In an integrated environment, admins who click the Learning Administration link in SF Admin Tools will load in the current browser window. In previous versions, the application launches in a new browser window.

Item: Use Assignment Profile for Free-Standing Items (b1210) You can now assign a single, free-standing item to an assignment profile. To support this enhancement, the system includes:  A new read-only Assignment Profiles tab on the item record  A new Items tab on the assignment profile record  Two new workflows: View Assignment Profile Component (Item), Edit Assignment Profile Component (Item) On the Items tab of the assignment profile, admins can view, add, or remove the items to be assigned. Propagating the assignment profile updates the users' Learning Plan/To-Do List. After being added to an assignment profile, an item can have one of the following statuses:  Valid (the assignment profile has been propagated)  Add Pending (item added, but assignment profile not propagated)  Delete Pending (item removed, but assignment profile not propagated)

If you remove an item, you can cancel the action before you propagate. Click the Remove/Undo Action checkbox and click Apply Changes. The item's status changes to Delete Pending. The assignment profile will not assign an item with a required date when:  An administrator selects Calendar from the Initial Basis list on the Summary tab (Learning > Items > Summary tab) for the item.  An administrator selects Event from the Initial Basis list and types nothing or 0 in the Initial Number box on the Summary tab (Learning > Items > Summary tab) for the item. Note: what happens when an admin changes the item initial assignment? ü When the AP runs next, the system does not reassign the modified item (with its updated initial assignment attributes) to users who have already been assigned the item through the assignment profile. ü For any additional users who are now included in the assignment profile, the system applies the updated initial assignment settings.

Item: Define Authorized Observers for Task Checklists (b1210) An admin can now require users to select from a pre-defined list of observers for an assigned task list item. Enforce this option by selecting the new checkbox for Observers must be Authorized Instructors on the item record > Tasks tab > Task Checklist Settings.

The list of observers reads from the Instructors tab of the item record (Learning > Items > Instructors tab). Observers must be instructors with an LMS user account. Note: See page 16 for the user-side view, including a checkbox to limit the search to observers in the same region as the user ü Current set up does not limit the user to select his/her supervisor as an observer (under consideration for a future release) ü The enforced observers option on the tasks tab will work even if the “Enforce Instructors” checkbox is unchecked on the Instructors tab ü If the user nominates multiple observers, the first observer to record item completion will “win”. Alerts for the remaining observers will be cleared. ü An observer cannot refuse a request, but can simply not respond

Item: Show Icons in Catalog via Thumbnail URL (b1210) Admins can now add a visual element such as a logo to items. This provides a quick way for users to find items in the catalog. To enable - Global Setting: Set showItemThumbnailPhotosGlobally property to true in System Admin > Configuration > System Configuration > LMS_ADMIN. To enable - Item Setting: Enter a valid URL in the Thumbnail URL box. In the screenshot below, the URL is for the Microsoft Windows symbol.

Note: ü In this release, the images are not uploaded and stored on the LMS. ü Customers should carefully test the image to be sure is displayed in the user interface and not blocked by their network security.

Item: Bulk Remove an Item From Curricula (b1210) Admins can now remove an item from multiple curricula at one time. Before this enhancement, the item Curricula tab (Learning > Items > Curricula tab) was a read-only view of all of the curricula that were associated with an item. Now, admins can use this tab to remove an item from one or more curricula. Select the check box in the Remove column and clicking Save. Note: ü To add an item to a curriculum, you must still use Contents tab of the curriculum record ü Two new workflows control access to this functionality: View Component Curriculum and Edit Component Curriculum (where “component” means item)

Online Item: Content Can Send Pass/Fail Item Completion (b1210) In previous versions, only exams built in SF Learning could pass a failure status. In b1210, quiz content built in AICC or SCORM 1.2 can pass a failure if desired. Two new check boxes are available from the content object details screen in the item record. Go to Learning > Items > Online Content tab> Settings list> Modify Settings:  Record learning event when content passed  Record learning event when content failed The LMS will record completion each time content passes a pass or failure.

Associated Benefit for Multi-Language Content Customers often want users to launch content in their preferred language. In previous versions, an admin needed to set up a separate item for each language, then mark the online content, “Record learning when all content is complete.” With this new feature, an admin can allow multiple content objects in the same item to record completion. For example, the admin can set up 3 content folders, one in English, one in Spanish, and one in French. One content object in each folder can send completion, so that the user can select the preferred content and get completion in any language. Learning history will be recorded for the same item, regardless of language.

Online Item: Capture Content Grade as Item Grade (b1210) Select the Capture Content Object score as Item grade when recording learning check box for the LMS to automatically record the score a user received on a content object that is associated with an item. Go to System Admin > Configuration > Global Variables > General Settings area for this new checkbox. Note: This only works if the admin configures the content object to record a learning event when passed or failed. Refer to page 6 for details. Users and admins can see the grade when viewing details in Learning History/ Completed Work.

* Curriculum: View Status Data from Learning History (b1210) Fully integrated customers can now view curriculum status from the Learning History portlet of the Employee Profile. Note: Portlets are displayed on the profile only if the logged in user has the permission to read the standard element defined in data model. BizX users without access to the employee's record in the LMS can now view this information as part of the employee's scorecard.

Offerings: Run Roster Report from Offering (b1210) For a scheduled offering, admins can click the View Roster link in the Actions panel of the Learning > Scheduled Offerings > Summary tab. This quickly generates the Roster/Sign in Sheet report that shows all of the users who are enrolled for that scheduled offering.

There is a new workflow for admins to support this feature. Add the Run Class Roster Report.Schedule Instance workflow to any relevant admin roles.

Offerings: Supervisors Cannot Override Threshold (b1210) Admins can prevent supervisors from registering users into an offering if the registration is in conflict with the item Registration Threshold setting. The registration threshold prevents a user from self-registering into two offerings for the same item within a threshold window such as 90 days. To enforce the setting, de-select the checkbox for Supervisors can override registration threshold in System Admin > Configuration > Registration Settings.

Reports: New Audit Reports (b1210) Admins can now run audit reports for the following entities:  User Summary Data  User Custom Column Data  Item Summary Data

Reports: Point in Time Compliance (6.3.17/b1210) Some customers need to track user training compliance for a date in the past. For example, you may be asked, “Was this user certified on July 7, 2012 when s/he performed X action?” A new Point-in-Time report can answer this question, providing a list of the learning requirements for each user for the selected date. The sample below illustrates the output, including assignment and completion information for each item.

Reminder: In b1207, several reports were also introduced to track compliance:  Item Compliance Summary (CSV)  User Compliance Summary (CSV)  User Compliance Details (CSV) To be sure that admins have access to these compliance reports, assign the relevant “Run XXX Compliance Report” workflows to all relevant admin roles.

Reports: New Report for Form 2483 (b1210) Admins can use the Government Form 2483 Report to see the aggregation of user costs and events information of items that are included in reporting to the French government. This report is relevant only for customers with this reporting need.

* Reports: LMS Ad-Hoc Reports (Beta – b1210) As a beta release, three learning reports are now available using the BizX Ad Hoc Report Builder (ARB) framework. These reports are only available for customers who have an integrated LMS instance with BizX. The customer must have a license for Talent Insight and use ARB version 3.0. Note: Customers with more complex reporting requirements can continue to use the Plateau Report Designer (PRD) tool to develop their own custom reports. PRD is a client-side application that requires knowledge of LMS database table relationships.

The following ad hoc learning reports are available in this beta release:  Curriculum Item Status  Learning Item Status  Learning History This ad hoc reporting tool provides LMS admins a set of pre-defined data sets (list of records and fields) from which to select. The solution does not require indepth knowledge of the underlying LMS database table relationships.

Commerce: Support for Discount Coupons (b1210) The commerce functionality of the LMS has supported multiple payment options, including credit cards, purchase orders, credits, vouchers, and PayPal. Now a new coupons feature supplements these options.

The criteria learning admins may use for their coupons include start and end dates, percentage discounts or fixed price in multiple currencies. Coupons also have configurable maximum usage limits. The main purpose for creating coupon records is to offer incentives to groups of users for their course offerings. For example, you could create coupons for all new items that you create as a way to market and increase participation in a course.

There is a new coupon record (Commerce > Coupons). The new record has four tabs: Summary, Items, Assignment Profiles, and Coupon Values. After creating the coupon record, admins associate it with one or more item records (Commerce > Coupons > Items tab). The system allows end users to apply the coupon only to items that appear on this tab. Admins can also assign coupons to users via an assignment profile. Making Coupons Available in the User Interface The admin can choose to display a Coupons window always, never, or only when a user has active coupons. Define this option in the Coupon Display Settings area of User Settings (System Admin > Configuration > User Settings).

Learning: User Enhancements This section discusses changes to the software that effect users, supervisors, and organization owners.

User: Can Provide Multiple Security Questions (b1210) In previous versions, users could only provide one security question to answer when retrieving a forgotten password. In b1210, admins can enable multiple security questions. First enable this feature via System Admin > Configuration > System Configuration > LMS_ADMIN > EnableMultipleSecurityQuestionsForUser. Next, define the number of questions under System Admin > Configuration > System Configuration > User Settings.

User: New Home Page Header UI (b1210) You now have the option to use an enhanced Home page header that makes using alerts and delegations more intuitive. The linked image cannot be displayed. The file may have been moved, renamed, or deleted. Verify that the link points to the correct file and location.

To use the new home page header, go to System Admin> Configuration> User Settings, and select the Enable HTML version of User Display checkbox.

Supervisor: Enable HTML Version of Supervisor Display (b1210) Select the Enable HTML version of Supervisor Display check box (System Admin > Configuration > User Settings), to use an HTML version of the My Employees area for the user interface. This removes any use of the FLEX technology and means that iPad mobile users can access supervisor functionality.

User: Select Authorized Observer for Task List (b1210) Admins can enforce the Select from authorized observers option for a task list item (see page 4). In this case, the user interface does not allow users to search for an observer from the full list of users in the system. Instead, the system displays a list of authorized observers and users must select from this list.

The authorized observer list displays the observer’s region. This reads from the observer’s user record, not the observer’s instructor record. If the user assigned this item has an entry in the Region field of his/her record, the user will see a checkbox for My Region. When selected, this limits the list to

the subset of observers whose region matches this user’s (“West” as shown below).

Admins control whether users can add/change their region via System Admin > Configuration > User Settings > Allow Users to change Regional Information. To view/set the user region from the user side, go to Easy Links > Options and Settings > Select a Locale … > Region ID.

* Mobile User: New Layout with Tiles (b1210) Mobile users for an integrated environment have a new layout with a tile for My Learning. The user can quickly see how many items require action.

* Competencies: Pass Ratings from the LMS to BizX (b1210) When users complete an item in the LMS that is associated with a competency, the rating (mastery level) achieved can now be passed to BizX. A new calculated rating is displayed on the Competency portlet. To enable the integration in BizX: 1 Go to admin tools > processes and forms 2 Create a new process which contains the source "Competencies ratings from Learning" (make sure the checkbox is enabled) 3 Open "Configure Employee Files" 4 Add competency portlet in scorecard and choose the process defined in step 2 To define competencies and associated ratings in the LMS: 5 Go to each Item record > Competencies tab and: A. Assign one or more competencies to the item B. For each competency, set a mastery level to be assessed upon successful completion of the item 6 Enable the “Do Auto Competency” flag at the item level –OR– Check the “Automatically Assess Related Competencies:” checkbox when recording learning 7 The rating from learning will be averaged in with ratings from other sources such as Performance Management/360 assessments)

Separately Licensed Products Offline Player Upgrades (b1210) A variety of enhancements to the Offline Player are now available. Offline Player Push Installation by Admins Offline Player customers might not allow end users to download programs to their computers. In b1210, admins can download the offline player executable and push it out to the computers of end users. Set up this function by going to System Admin > Tools > Offline Player Installer. Note: If the offline player needs to be installed on a system that uses the Windows operating system, that system must have a compatible JRE for successful installation. Offline Player Login Customers can require users to enter a user name and password each time that they log in to the Offline Player. To do this, go to System Admin > Configuration > System Configuration > LMS_ADMIN and set the value of offlinePlayerLoginRequired property to true. Offline Player Internationalization To render the user interface of the Offline Player in another language: extract the files from the existing package, change the labels, repackage the Offline Player for each desired language, then redistribute the package to the target users.

Offline Player Branding To brand the Offline Player: extract the files, brand the application, repackage the files, and then redistribute that package to to the target users.

VLS: WebEx Upgrade (b1210) The settings shown in this topic are only enabled if the customer has licensed the Virtual Learning System (VLS). This functionality must be enabled by setting in the LMS_ADMIN configuration. Go to System Admin > Configuration > System Configuration > LMS_ADMIN. The WebEx VLS now allows an administrator to select a WebEx session type – Training Center, Meeting Center, etc. If you are creating a new scheduled offering, first enable the virtual session by selecting an instructor with a WebEx account. Then select the relevant option from the VLS Server dropdown. Then you can see the field for Session Type. You can leave the default or select from the dropdown list. The list is populated by the options enabled in your WebEx account.

After you save, the virtual session is scheduled automatically. The system sends a notification message to all registered users that contains a hyperlink to the virtual session. Then access the scheduled offering > Segments tab. Expand the segment details pop up. You will see a checkbox for Segment Is Virtual.

As of b1207, admins can provide information (for example, a dial-in number or URL) in the Session Details box, then the system includes that information in registration notifications (the tag).

To further restrict access, you can enter a value in the VLS Password field. This will be required by attendees who do not have a SuccessFactors Learning user record.

Connector Changes (b1210) Item Connector: New Field for URL Image (b1210) See page 5 for new thumbnail icons. LMS Connectors: New Admin Connector Admins can now schedule imports/updates of administrator accounts into the LMS. Go to System Admin > Connectors > Admin Connector. Details:  Admin accounts can be batch locked/unlocked  Roles can be added/removed (up to 3 in each run)  Passwords CANNOT be set/updated Connectors: Limit Field Length (b1210) For the SF User and Competency connectors, you can limit the length of some fields to prevent the record from being rejected by the connector process. To do this, define a string manipulator that is identical to Left (string, length). Sset these properties in the CONNECTORS configuration ID (System Admin > Configuration > System Configuration). For the SF User connector You can trim first name, middle name, and last name. To trim the length of these fields when importing connector data, you must: 1 Set the sfuser.field.transform.trim.data.enable and sfuser.extendeduser.field.transform.trim.data.enable properties to true in the CONNECTORS configuration ID. 2 Identify the string and its length for any one of the SF User fields, as shown in the example below: sfuser.field.transform.trim.data.length.FNAME=150 sfuser.field.transform.trim.data.length.MI=90 sfuser.field.transform.trim.data.length.LNAME=150

Connector: Retry in Case of Failure You can now configure the CONNECTORS configuration ID (System Admin > Configuration > System Configuration) to force the system to fetch any connector input file multiple times when a connector fails. That is, sometimes the data transfer from a connector input file might fail because of intermittent network failures. In these types of cases, you can configure the CONNECTORS configuration so that it will retry fetching the connector input file. To use this feature, you must: 1 Set the connector.input.file.fetch.retry.enable property to true in the CONNECTORS configuration ID. 2 Identify the number times to retry a fetch, the default duration, and the custom duration (if any), as shown in the example below: connector.input.file.fetch.retryCount=2
