Introduction to DELISprint / Features

Our parcel label print program DELISprint has been developed to simplify the parcel shipping process between customers and DPD. It provides a user-friendly way to create DPD parcel labels. You no longer need to fill in the DPD standard parcel labels manually. The integration of DELISprint into your office environment or your warehouse workplace also allows you to access existing address data of your parcel recipients to make your shipping processes more efficient. The typical target environment for DELISprint are the shipping tasks arising in an office (e.g. in a secretariat) or warehouse, which is why the program was developed for MS Windows platforms. The parcel labels are printed on a laser or thermo printer connected to the PC. The Internet connection allows the simple update of the DPD tables required for the parcel label printing program (e.g. routes table). You can also run a DELIStrack search for your shipped parcels easily. The electronic transfer of advance information to the dispatch depot simplifies the process (as opposed to the former use of fax or telephone) and makes especially the options COD and DPD EXPRESS more user-friendly for both sides. DD – Date delivery The range of products and options can be configured for each DPD customer individually. The parcel label print program DELISprint provides the following features: User-friendly processing of individual parcels and shippings including their shipping types. Existing address data (e.g. in Excel format) can be imported to use them as recipient addresses. DELISprint simplifies the import of your own customer address formats with the import wizard. Often recurring shipping procedures (e.g. shipping promotion articles to the same recipients on a regular basis) can be automated to a large degree by importing complete parcel lists. The Parcel order import wizard allows the user to import own customer file formats. The cyclic import of complete parcel lists as data files from another application such as an ERP system can be configured via the cyclic interface import feature. The import of parcel lists can be performed in semi- or full automatic mode (including parcel label print out). The simple completion of printed parcel labels gives an overview of parcels already shipped both in tabular (journal) and in individual form (self-booking list). The automatically created self-booking list may be used, for example, to document the transfer of the shipped parcels to the driver. The storage of the data of processed parcels makes it possible to access parcel data for parcels shipped in the past allowing an overview of the shipping activities in a user-friendly way. You can access the Internet parcel tracking system DELIStrack from within the parcel list with a simple mouse click. The update of the DPD tables required for DPD shipment (routing table and product table) is automated to a large degree via Internet access to the DPD Web server (access must be verified). The parcel labels may be printed on laser or thermo label printers (see thermo printer usage). The multi-client functionality allows you to utilize several consignor configurations in DELISprint at the same time and to create client-specific parcel labels and exchange lists. Each client has his/her own DPD-specific customer configuration. The needed parcel labels and accompanying documents for the dispatch of hazardous goods will be automatically printed out during label printing or the daily balance process, respectively. The required DPD hazardous goods shipment information are contained in DELISprint and will be updated regularly. The entry of collection requests and their forwarding to the DPD computing centre for the daily balance is fast and efficient. During the initial installation DELISprint will be installed as a demo version to give the user an overview over its features and applications. The DELISprint demo version can be activated by the sending depot. DELISprint allows the customer to transfer collected COD data, reference data, hazardous goods data and EXPRESS parcel label data to the DPD system. The data transfer can be done either automatically via an Internet connection or manually via floppy disk. DELISprint can work as a network application in a distributed environment with access to a central database. This simplifies maintenance, allows access to central data and helps organize the daily balance procedure. To utilise the ERP system’s current address database, the ERP system address data table can be accessed via ODBC.

A simplified import procedure is provided to enable the user to import data of parcel print orders and address data based on MS file formats (e.g. Excel, Access). Specific parcel labels can be printed by scanning the customer-side reference barcode. For parcel shipment from/to non EU-countries the export handling can be used. User administration: The integrated user administration allows the user to define an “EOD manager“ and “warehouse manager“. EOD procedure can therefore be performed by “authorised“ users only. In Addition there are “Track & Trace” accounts, which can only access the parcel history. For better support of the shipper with shipping actions a step-by-step procedure has been integrated for the easy generation of parcel labels. The following user interface languages are available: German, English, French, Norwegian, Dutch, Danish, Estonian, Lithuanian, Latvian, Czech, Croatian, Hungarian, Slovenian, Slovakian, Serbian, Bulgarian, Finnish and Greek. The online help is available in German and English. DELISprint is a tool for DPD customers that allows the nearly seamless integration of the shipment processing into the normal working environment (office/warehouse workplace with MS Office). The seamless interface to the parcel tracking system DELIStrack makes it possible to track the parcels shipped via DPD beyond the parcel transfer to the DPD system and guarantees that all shipment activities can be completely monitored.

Congratulations, you have successfully installed the DELISprint demo version. DELISprint imports automatically some test data while starting the demo version for the first time.

To print your first parcel label, perform the following language and printer configuration steps.

Language configuration

To choose a different language, select ”Configuration -> Language...”.

The following user interface languages are available in DELISprint: German, English, French, Norwegian, Dutch, Danish, Estonian, Lithuanian, Latvian, Czech, Croatian, Hungarian, Slovenian, Slovakian, Serbian, Bulgarian, Finnish and Greek.

2.2

Printer configuration

To configure your printer, please follow the configuration instructions below. If you do not configure a printer, the Windows default printer will be used for printing. Step 1: Open the DELISprint printer configuration dialog box.

To open the printer configuration dialog box, select the menu item: ”Configuration > Configuration ”. Step 2: Printer selection Select the ”Printer configuration” tab. If you intend to print your parcel labels on an A4 laser printer, continue with step 3. If you wish to print your labels on a thermo printer, continue with step 4. Step 3: A4 laser printer configuration

Select ”A4 Page (4 labels per page)” under ”Label format”. From the ”Printer for labels” section select the printer you want your parcel labels to be printed on. In the ”Printer for reports” section, specify your printer for printing the journal and the self-booking list (you should specify an A4 laser printer here). Step 4: Thermo printer configuration

Select the ”98 x 150 mm labels (1 label per page)” item under ”Label format”. From the ”Printer for labels” section select the printer you want your parcel labels to be printed on. In the ”Printer for reports” section, specify your printer for printing the journal and the self-booking list (you should specify an A4 laser printer here). Further information about this topic is available in the “Printer configuration” (3.3) chapter.

Parcel data entry

New Parcel data can be entered by activating the button „New“ in the main Window of DELISprint. Then the dialog „Data entry“ is being opened and the parcel information can be entered.

Demo version restrictions

The demo version has been developed to give potential customers the opportunity to test the DELISprint functionalities. The following test print restrictions apply: The word ”DEMO” will be printed on all printed parcel labels. The self-booking list and the journal will be labeled ”Demo version”. Data transfer is disabled. The loading of current routes and product files is disabled.

Demo version activation

If you have decided that you would like to use DELISprint for your shipping environment, please refer to the DELISprint contact in your DPD dispatch depot. The dispatch depot will create a customized configuration file for you.

2.6

Creating sample parcel labels after initial installation

To be able to use self-printed parcel labels, they must first be approved. To do this, use the “Print test labels” functionality in DELISprint. Print the parcel labels and the information pages and send them to your dispatch depot. If you have not imported your customer configuration file yet, you can find instructions in the “Loading the customer configuration file“ chapter. Printer configuration instructions can be found in the “Printer configuration“(3.3) chapter. Step 1: Printing test labels Open the “Print test labels“ dialog box. To do this, select “Parcels > Print test labels“.

Step 2: Parcel label approval Please send the test labels and the information pages to your dispatch depot which will then initiate the parcel label approval process. Your sending depot will provide you with a confirmation that the printed sample parcel labels meet the DPD requirements. Only if these parcel labels have been approved can DELISprint be used for actual production. Once this installation process is complete, the parcel label printing program is ready for use and can be utilized to process your parcels for shipment.

Valid parcel labels can only be printed after this has been done. Your DELISprint contact in your appropriate DPD dispatch depot will assist you if you experience any problems during the DELISprint installation/update or while loading the configuration file.

3.1

Installation/Update DELISprint

The DELISprint installation/update process can be divided into two parts: 1. Downloading the DELISprint installation program from our website 2. DELISprint software installation/update Note: To be able to access the download area on our WWW server, you need a registration confirmation for our DELISonline Internet services. If you do not have your registration confirmation yet, please refer to your DELISprint contact in your DPD dispatch depot.

Downloading the DELISprint software from our DPD website

Step-by-step instructions on how to download the DELISprint software. Step 1: Accessing the DPD website and the download area Enable your Internet connection and type “www.dpd.net“ in your Web browser’s address field. Our website front page will be displayed. Switch to the “Track & Order“ tab.

Click on the “Login“ button in the DELISonline section.

The login dialog box will be displayed. Type in your DELISonline ID and press the “OK“ button.

The DELISonline main page will be displayed. Select the link “DELISprint“.

Our DELISprint download page will be displayed. It allows you to initiate the DELISprint installation program download.

Step 2: Initiating the DELISprint download Select the ”Download” link to start the download. The “File Download“ dialog box will be displayed. Select “Save file to hard disk“ and click on the “OK“ button. The “Save As“ dialog box will be opened. Select a directory (folder) where you want the DELISprint installation file to be saved and press the “Save“ button. => If any errors occur during the DELISprint installation file download, please repeat the download process as described. If the error persists, please refer to the DELISprint contact person in your appropriate DPD dispatch depot.

Creating a backup by an installation or an update

By an installation or an update of DELISprint, a backup with timestamp in the following folder will be automatically created: DELISprint\Backup If a backup exists in this folder a query will be displayed to erase the old backup files. In the event of a failed update installation this allows you to make a full recovery and to be able to continue to work normally.

3.1.3

DELISprint software installation/update

To install/update the DELISprint software, open the Windows Explorer and navigate to the corresponding folder (directory) where the DELISprint installation file is located. Please remember to exit the DELISprint program (if it is running) before initiating the update. Step 1: Initiate the DELISprint installation/update. Initiate the installation/update by double-clicking on the DELISprint icon.

The DELISprint language selection window will be displayed. Select the desired language setting and press the “OK“ button. To install/update DELISprint, select “Modify program” and press the “Next” button. Step 3: Installation process The installation/update will now be performed based on your input. To complete the installation/ update process, press the “Finish” button.

This will finish the DELISprint installation/update. If this is an initial installation, DELISprint will be installed as a demo version. Step 4: Automatic DELISprint start-up If automatic start-up has been selected after the installation process, DELISprint will start up automatically after the installation has been completed.

Step 5: Manual DELISprint start-up Once the installation/update process is complete, you may open DELISprint via the Windows Start menu.

3.2

Loading the configuration file

The customer configuration file is created by your DPD sending depot. This file contains the sending information for printing parcel labels that have been pre-configured for you by your DPD sending depot: Your sender address Your parcel number circle information A selection of products and options tailored to your needs Your sending depot’s current routes file The current DELISprint product table If any errors occur while loading your customer configuration file, please refer to the DELISprint contact person in your appropriate DPD sending depot. Step-by-step instructions on how to load the configuration file: Step 1: Customer configuration file request The customer configuration file is provided by your DPD sending depot. If you do not have a customer configuration file, please refer to the DELISprint contact person in your appropriate DPD sending depot. Your customer configuration file has the file extension ”.knf“ and will be sent to you via email or on floppy disk/CD-ROM. If you received your customer configuration file via email, please save it in a directory (folder) on your DELISprint PC. Step 2: Opening DELISprint DELISprint can be opened via the following menu sequence: “Start->Programs->DELISprint>DELISprint“ Step 3: Opening the “Configuration file selection” dialog box To open the dialog box, select “Configuration->Read-in configuration file...”.

In the “Configuration file selection“ dialog window, select the folder where your customer configuration file is located.

The customer configuration file has the ”.knf“ file extension. Select the file and press the “Open” button.

Your customer configuration file will be imported. Once the customer configuration file has been imported, the routes file and the products file will be loaded and integrated into DELISprint automatically. This process will be visualised via a progress bar.

Once the configuration file has been imported successfully, DELISprint must be restarted.

Step 4: Verify if your configuration file has been imported correctly. To check if your customer configuration file has been loaded correctly, select the “Configuration > Configuration“ menu item.

The “Configuration“ dialog box will be displayed. It allows you to view your configuration data. The “Customer data“ section should now display your address data. The “Depot data“ section should now display your sending depot’s depot data.

The configuration is now complete and DELISprint is ready to run. => Should your customer data not be displayed in this dialog, an error has occurred during the customer configuration file export process. If this is the case, please start over with step 3 (opening the configuration file). If this step is complete and the configuration file has still not been imported successfully, please refer to the DELISprint contact person in your appropriate DPD sending depot.

Printer configuration

To configure your printer in DELISprint, please follow the configuration instructions below. If you do not configure a printer, the Windows default printer configured for your workplace will be used for printing. Step-by-step printer configuration instructions Step 1: Open the DELISprint printer configuration dialog box.

To open the printer configuration dialog box, select the menu item: ”Configuration > Configuration”. Step 2: Printer selection Select the ”Printer configuration” tab. If you intend to print your parcel labels on an A4 laser printer, continue with step 3. If you wish to print your labels on a thermo printer, continue with step 4. Step 3: A4 laser printer configuration Select ”A4 Page (4 labels per page)” under ”Label format”. From the ”Printer for labels” section select the printer you want your labels to be printed on. In the ”Printer for reports” section, specify your printer for printing the journal and the self-booking list (you should specify an A4 laser printer here). Starting with version 5.5.0 the MPS additional labels can now be printed in the depot. To do this, enable the "Print additional label in the depot" checkbox.

If you want to use individual A6 labels (envelope printer tray) for the parcel label printing, select ”A6 label (1 label per A4 page, free position)”. If the format shall not be saved directly by the printer driver, the offset settings can be specified in the ”A6 label offset in mm” input fields.

If the A6 label format has been saved in the printer driver, the ”98 x 150 mm labels (1 label per page)” item can be used. Step 4: Thermo printer configuration Select the ”98 x 150 mm labels (1 label per page)” item under ”Label format”. From the ”Label printer” section select the printer you want your labels to be printed on. In the ”Printer for journal + selfbooking list” section, specify your printer for printing the journal and the self-booking list (you should specify an A4 laser printer here). When the “Print only barcodes” checkbox is enabled, a label will be created that only contains barcodes. It is only necessary to enter the recipient country, the postcode and the city. The activation is done in the Configuration dialog box “Configuration > Configuration... > Printer configuration” menu item. If “Print recipient’s telephone number on parcel label” checkbox is enabled, the “Telephone number” entry field printed additionally on the parcel label. This option is activated by default because it's helpful for the delivery process. But this option can also be deactivated every time. The activation is done in the Configuration dialog box “Configuration > Configuration... > Printer configuration” menu item.

Network configuration

The DELISprint Network configuration is set up in the dialog “Configuration > Configuration > Customer configuration“. In the section “Internet access” there are various options to choose: No access to the internet: With this option the network configuration is disabled Through the local network: Choose this option, if your PC is directly connected to a local network which has a central Internet access point. It is possible to enter proxy server settings when using this option. Remote access connection: Choose this option, if you connect your PC to the Internet using a modem or an ISDN card. In this case you will be able to select an existing remote access connection. This remote access connection will then be used for connecting to the Internet. Windows default connection: DELISprint uses the default Windows internet options.

Proxy server configuration

If you use a WWW proxy server (firewall) to access the Internet, enable the “Use Proxy Server“ checkbox and specify the corresponding WWW proxy server configuration parameters. If you have to use a WWW proxy server to access the Internet, you will receive the address and the proxy port number from your system administrator or your Internet provider.

The user data are transferred using the “plain text“ method.

Check connection (Connection test)

Press the “Check connection” button to check the created network configuration and the data transfer.

3.6

Data transfer to the DPD system - step by step

It is possible to transfer data of processed parcels to the DPD system. The transfer is performed via HTTP using the address http://195.145.31.129 from where the data are forwarded to your dispatch depot and integrated into the depot-specific software. Alternatively the data transfer via Email can be chosen. In this case an Email is sent to your DPD dispatch depot with your dispatch information. Please use the data transfer via Email only if the data transfer via HTTP is impossible. The data transfer to the DPD system can be performed automatically or via floppy disk. For the automatic data transfer it is necessary that the DELISprint work station is connected to the Internet in order to be able to perform the data transfer via HTTP or Email. Data transfer configuration

This chapter describes the necessary steps for the data transfer setup. Step 1: Defining the data transfer type Before the data transfer can be activated, the Internet connection must be checked. If the DELISprint PC has an Internet connection, the automatic data transfer via HTTP should be used. Alternatively the data transfer can be done via Email. This option should only be used if the HTTP data transfer is impossible. If the DELISprint PC has no Internet connection and the data transfer via Email is impossible, the data exchange via floppy disk must be used. Step 2: Enabling the data transfer

Select the ”Configuration > Configuration...” menu item in the DELISprint main screen to open the ”Customer configuration” dialog box.

To activate the data exchange, enable the ”Data transfer activated” checkbox in the ”Data transfer DPD” section. Here the type of data transfer must be selected. If possible, “by HTTP” should be selected. If the data transfer shall be performed via Email, a working email configuration must be specified in the “Email dispatch parameter” section. The email can be sent either via SMTP to the customer’s email server (SMTP server/user/password) or via the local Outlook email client on the DELISprint “end of day workstation”. The DELISprint data transfer must be enabled for this feature. To do this, enable ”No Internet connection (data exchange: update using floppy disk/CD-ROM)” in the ”Internet connection” section. Step 1: Close parcels Press the ”Close” button on the DELISprint main screen and proceed as usual when closing your parcels. Step 2: Creating the data transfer file After the ”Close parcels” dialog box the ”Data exchange via floppy disk” dialog box will be displayed.

Insert an empty formatted DOS floppy disk in the disk drive of your DELISprint PC. Press the ”Save” button to save the data on floppy disk. The name of the created data transfer file is ”DELISp.dat”. If an error occurred during data retransfer or if the data transfer could not be carried out, the data can be retransferred at any time. Retrying previously interrupted data transfers The data retransfer is initiated by pressing the ”Data transfer” button in the DELISprint main screen. This button is only active if there are any ”pending unfinished data transfers” in the queue.

The data transfer is performed based on your Internet connection configuration. All data transfers for the current day which could not be carried out for some reason (including failed data transfer attempts due to errors) will be retransferred. Data retransfer To open the Journal dialog box, select the ”Parcels > Journal administration…” menu item.

Network workplace

The DELISprint network multi-workplace solution must be explicitly enabled by the DPD sending depot. The activation is done via the customer configuration file generated by the sending depot. Only one DELISprint installation package is required for the installation process. Network workplace solution advantages: Central workplace activation Central workplace update including the routes and products file every four months Central address database Central parcel label number circle assignment and parcel history Central maintenance Daily balance organisation Access protection (configurable) Following are the hardware/software requirements for the network workplace: Windows 2000/XP operating system Screen resolution at least 1024 x 768 Workplaces connected to a 100Mbit network PC main memory at least 256MB of RAM Internet access for the workplace daily balance 60MB of free hard disk space for workstations, 250MB of free hard disk space for the database server Installation To be able to perform a network workplace installation, a single-user installation has to be done first. The single-user installation settings can be specified in the “Installation type” dialog during the installation process.

The required central database will be created during the single-user installation process. Once the DELISprint single-user installation is complete, your DPD sending depot has to activate the multiworkplace solution via the customer configuration file (for more information see the Loading the DELICom

customer configuration file chapter). To be able to access the DELISprint database from other workplaces, the DELISprint directory has to be enabled for other workplaces via the Microsoft network directory service. Assuming the installation path for the DELISprint program is “C:\Program Files\DPD\DELISPRINT“, the “DELISPRINT“ directory including all files and subdirectories has to be enabled for network access (read/write/modify). Please note that file and directory privileges as well as Microsoft Network user privileges may have to be adjusted. Once the single-user workplace installation is complete, other workplaces may be installed as well. The installation process requires that a network drive be created which is connected to the “DELISprint” directory (enabled for access by other users via the Microsoft Network) where the DELISprint database is located. When the network drive is connected, the DELISprint installation process for this particular workplace can be started. When prompted to specify the installation type, select network installation.

For the database path specify the drive letter associated with the connected central DELISprint database directory. No further input is required for the workstation installation.

3.8

Application login

To login to one of the DELISprint network workplaces, select the login user in the “User login“ dialog which is displayed when the DELISprint application is opened.

If the sending depot defined in the customer configuration that the password must be specified during the login procedure, the password defined by the user Administrator for this particular user has to be specified when logging in. Warehouseman login If the DELISprint user has logged in using a warehouse employee account, DELISprint will provide the functionalities associated with the creation of parcel label print jobs. To be able to add printed parcel label print jobs to the daily balance, they must be added using the “Lock printed.“ button. Parcel label print jobs which have not been printed can be transferred to the daily balance using the “Lock“ button.

EOD manager login If the DELISprint user has logged in using an end of day procedure account, DELISprint will provide both the functionalities associated with the creation of parcel label print jobs and with the end of day procedure. To remove parcel print jobs from the end of day procedure, press the “Unlock“ button.

Login as Track & Trace assistant If the DELISprint user has logged in using a Track & Trace account, only the parcel history can be accessed. Double-click on a record to open DELIStrack automatically and display the parcel history. Track & Trace accounts cannot enter or delete parcels.

Administrator login If the DELISprint user has logged in using an Administrator account, DELISprint will provide all available functionalities.

To be able to log in as Administrator, all other users must be logged of. When an Administrator is logged in, no other users can log in.

IMPORTANT!

Problem solution: The user is unable to log in. System crashes of individual PCs can make it impossible for the DELISprint application to log off from the database. Even though the “crashed“ PC has been rebooted in the meantime, the corresponding user is still flagged as “logged in” in the database. A new log-in using the previous user name is impossible. The following message will be displayed.

Using DELISprint Editing parcel data

All parcel data records that have been created are displayed in the DELISprint main screen which is divided into two parts. The parcels that have already been processed are displayed in tabular form in the upper part. A new parcel entry can be created by selecting the ”New” button which will open the ”Data entry” dialog box (see chapter Entering parcel information for more information). Parcel labels that have not been printed yet do not have a number assigned to them yet and can be recognized by their white background. Parcel labels that have already been printed will be assigned a parcel label number and have a yellow background.

After selecting a parcel from the parcel list, its data will be displayed in the detail view. To edit a parcel data record, double-click it with the left mouse button or select the parcel data record and then the menu item ”Data set > Edit”. To sort the data in a column in ascending order, click on the corresponding column heading (e.g. type of shipment). The ”Parcel number” column will remain empty for the time being. It will not be populated until immediately before the parcel label is printed. A parcel label which has already been printed can be

modified (in which case the old parcel label number will be set to 0, i.e. the parcel will be denoted as having not been printed). To reprint the parcel label, select the corresponding parcel label record and then the ”Data set > Re-printing of Labels” menu item. Deleting a parcel label which has already been printed will also delete this database entry. The detail view for the parcels which have already been processed will be displayed in the lower third of the screen. Select a parcel data record in the main screen to view its details. The status line displays several pieces of status information: the number of parcel labels and parcels processed are displayed in a field with green or red background color. The color will be switched from red to green as soon as the number of parcel labels to be printed fills a complete DIN A4 page. The red color means either some labels will remain empty or not all parcels will be printed. The right-hand side of the status line displays the client currently open (multi-client functionality) and the parcels which have not been completely processed yet, i.e. these parcels may have been printed already, but have not been evaluated in a journal or self-booking list. A description how to handle several clients in DELISprint can be found in the Multi-client functionality chapter. Please note: Data records which have already been printed, but have been modified or deleted subsequently will be deleted from the database for good and will no longer be displayed in the parcel list. Starting from version 5.3.5 both the most recently used and the remaining parcel label numbers are displayed in the bottom right corner of the DELISprint main screen.

If a number cycle lock has been configured by the depot and you reach the end of the interval reserved for you, the following window will be displayed:

In this case, please refer to the appropriate contact person in your depot. Your depot will verify if the first parcel label number has been used most recently more than six months ago and provide you with the password to enable a new number cycle. If the first parcel numbers of your number cycle have been used during the last six months, your depot will provide you with a new configuration file with a larger number cycle. This file must then be imported as described in chapter 2.2 “Loading the configuration file“.

4.2

Entering parcel information

To enter new parcel data, select the ”New” button in the DELISprint main screen. The ”Data entry” dialog box will be displayed.

This box allows you to continuously enter parcel information without having to close the dialog box. The parcel data will be displayed in the main screen and may be printed from there after this data entry box has been closed The parcel recipient data have to be entered in the ”Consignee” section in the upper area of the ”Data entry” dialog box. This may be done either through searching for recipients that have already been entered into the address database or by creating a new recipient record. For more information see the Creating addresses during parcel processing chapter.

Please note that when creating a recipient address record the entry fields ”Company”, ”Name” (either ”Company” or ”Name”), ”Address1”, ”Country”, ”ZIP” and ”City” are mandatory, i.e. they must not be empty. The recipient’s telephone number in the ”Phone” field is mandatory for the options “DPD 8/DPD 10/DPD 12/DPD 18” and “DPD EXPRESS”. If the reference code of an already entered recipient’s address is known, the search for the recipient data record can be started and the recipient data record displayed by entering the reference code as well as activating the tab key in the field reference.

For the address fields ”Company” and “Name” (colored) a quick recipient address search is implemented.

Both fields support a string search for parts of the company or last name. The search can be started by pressing the magnifying glass button or the key combination ”CRTL-S”. Both ”Search” button and the key combination ”Alt-S” allow you to select an existing address from the address book. After selecting the ”Search” button, the ”Select address from address book” dialog box will be displayed where you can specify search criteria for finding the desired address record.

To use the currently selected address as the recipient address for the parcel currently being processed, double-click it or select the appropriate menu item. For a description of the functionalities of that dialog box see the Finding addresses during parcel processing chapter. The middle part of the ”Parcel info” section entry area allows you to specify additional parcel information.

The ”Att. of” field allows you to print an additional recipient name on the parcel label. The number of the parcel labels to be created may be specified in the ”No. of parcels” field. If several parcel labels have been generated, the parcel weights for all parcels can be specified in the ”Weight (kg)” field or received over a connected scale. The individual weights must be separated by the ”/” sign. To print a reference number on the parcel label, the ”Reference No.” field must contain an entry. DELICom

The reference fields 3 and 4 are not printed on the label, they can be use only for search the parcel on the track and trace system. If the checkbox next to the entry field is enabled, the specified total weight will be divided by the number of parcels. Example: Total weight 20kg, number of parcels 4. The total weight will therefore be divided by 4 (four parcels, each weighing 5kg).

The lower part of the entry area allows you to select the shipping type, e.g. standard parcel, small parcel, PARCELLetter and the corresponding options, e.g. ex works, DPD 18 or COD. Invalid combinations cannot be selected and will be dimmed to indicate this.

For COD parcels the COD amount, the currency (destination country currency), a collection type (cash, cheque) and the intended purpose can be specified. The entry fields will be displayed if the shipping type ”COD” is selected. If more than one COD parcel labels with different COD values are to be created, the individual COD values can be entered separated by “/” as in the case of the weight field.

DPD EXPRESS parcels require the entry of additional information. To do this, the lower part of the screen provides an area where the parcel type (documents or consignments of goods) has to be selected. For consignments of goods and documents a complete description of the parcel contents must be given in the ”content description” field. The customs value and the parcel dimensions (in cm) must be provided as well. If the selected type is document, the fields will be filling with the default size 35 x 25 x 2 cm. If the document has different dimensions, it's obligate to change them. The additional shipping information required for hazardous goods parcels such as “Packing type” and “Hazardous goods included” can be entered at the bottom of the screen. If the Hazardous Goods option is enabled, the weight field is mandatory. Further information about this topic is available in the Entering hazardous goods data chapter. To save the parcel data record, press the ”Save” button at the bottom of the dialog box. A plausibility check will be performed to determine if this particular shipping type is available for the specified destination country and if there is any information missing. An error message will be displayed if the parcel record cannot be saved, because certain entries have not been made. Press the ”Close” button or the ”Escape” key on the keyboard to close the dialog box and to add the parcels to the main screen list. In addition, the number of processed parcels will be displayed at the bottom of the dialog box. Immediate printing after entering the parcel data can be activated by selecting the checkbox “Print label when saving”, placed on the bottom of this dialog. This property can be efficiently used via a thermo printer.

The search entry fields ”Ref. (address)”, ”Company/Name”, ”Postcode”, ”City” and ”Country” allow you to specify search patterns (i.e. parts of the name you want to find) to be able to find the recipient data record more rapidly. The search criteria are not case-sensitive. To start searching, press the ”Begin search” button. The search operation may also be started by pressing ”Alt-a” simultaneously from the search entry field. The first found data record will be highlighted in the results view if the search process was successful. To add the recipient data record highlighted in the results view to the main screen and to insert the parcel recipient information into the current data record, press the ”Select” button or the ”Return” key on the keyboard. For the address fields ”Company” and “Name” (colored) a quick recipient address search is implemented.

Both fields support a string search for parts of the company or recipient name. The quick search can be started by pressing the magnifying glass button or the key combination ”CRTL-S”.

4.3.2

Creating addresses during parcel processing

To speed up parcel record processing, you can add and assign recipient addresses which have not yet been added in DELISprint directly to the address database during parcel data processing. Open the ”Data entry” dialog box by selecting the ”Data set > New” menu item or by pressing the ”New” button in the DELISprint main screen.

Specify the recipient data for the parcel and add it by selecting ”Save”. To be able to deliver Express parcels to the recipient, the telephone number must be stored as well, because it will be printed on the Express parcel label. To make the address entry process more user-friendly, DELISprint makes address field entry easier for the user by: Automatically determining the destination city via the post code and country specifications. The recipient’s post code will be entered automatically in the ”Post code” field. If you press the tab key, the next entry field ”Ort” (City) will be filled in automatically by DELISprint. The destination country is a mandatory field as well, but will be predefined to state the consignor country. To ship to a different country, open the country selection list by clicking on the arrow symbol (see screenshot). The country selection list will be displayed allowing you to select the destination country.

The columns can also be sorted by clicking on the header of the respective column. If in the ”Country” column a field has been selected und the character ”E” is entered, for example, the program will automatically display ”Ecuador” (the first country abbreviation starting with “E”). If you enter a second character, for example ”s”, the program will display the next country whose initial characters correspond to your selection, in this case “ES“ for ”Spain”. This way you can quickly and efficiently search for the destination country. The country name search may be performed using both the country abbreviation and the country name. A description of the mandatory fields can be found in the Address management chapter.

Parcel label printing

To prepare the already entered but not yet printed parcel labels for printing and to actually print them, select the ”Print Label” menu item. Parcel label numbers will be assigned based on the shipping type (shown in white in the table).

After printing the corresponding parcels will be marked as printed (yellow background in the table). During printing the print progress will be displayed in a progress bar. Successfully printed parcels appear in the parcel list together with their assigned parcel label number. To reset an already printed parcel, select the ”Data set - Post-printing of label” menu item.

This may be necessary if the wrong paper type has been used in the printer or because of a paper jam, for example. This function causes the parcel to be marked as not printed (white background). The already assigned parcel label number will be discarded. The parcel will then be printed again the next time the ”Print Label” menu item is selected. The discarded parcel label number will not be reassigned to other parcels.

Parcel completion

Selecting this menu item completes the parcel shipping process. The parcels will be printed if this has not already been done. In addition, a journal will be created which contains the entered parcels in the form of an overview. To do this, the entered parcels and additional services are displayed in a tabular view. In addition, a self-booking list will be created containing an itemised list of the entered parcels. This self-booking list can be used to document the parcel transfer to the driver, for example. If parcel labels have been printed using the options hazardous goods or COD, DELISprint will additionally print out accompanying documents for hazardous goods or a COD list, respectively. The desired actions can be selected in a parcel completion dialog box. This allows you to specify the number of journal and self-booking list copies at the same time. After parcel completion the parcels will be deleted from the current parcel list. The parcel data will be stored in the journal so that parcel data entered in the past can be searched for. If DELISprint data transfer is enabled, the corresponding data will be transferred to the depot either automatically or manually (depending on the configuration). Start the End of Day procedure as follows: Select the data records you would like to complete (hold down the CTRL key to make multiple selections) and press the “Close” button.

The labels of the selected parcels will then be printed (if this has not already been done), the data will be transferred and the journals will be printed. Please make sure that “Close the selected parcels“ checkbox is selected.

Consolidated deliveries can only be completed as a whole. It is not possible to complete individual parcels within a delivery.

Also it is possible to close only those parcels for which the labels have already been printed. Therefore you have to activate the option “Close the printed parcels” when closing the parcels.

Parcel history

A selection dialog box will be opened which allows you to specify your search criteria for individual parcels in its upper area. Select the ”Begin search” button to display the results list in a table. The date restriction default is the period of the last four days (may be overwritten). To search for the parcel in the DPD tracking system DELIStrack on the Internet, double-click the results list. To sort the parcel list alphabetically, click on the column header in the table. By default the list is sorted by date.

The fields ”Company/Name”, ”ParcelNo.”, ”Reference number”, ”Postcode” and ”City” support a pattern search in the parcel history. A search pattern like ”Construction” in the ”Company/Name” field finds all parcel datasets containing the company or private name ”Construction” in the consignee address. The search ignores upper/lower case characters. From all search fields you can start a parcel history search by pressing ”Alt + a”. Please note that the values in the fields “Journal”, “Date from”, ”Date until” and ”Country” will also be considered when searching for parcel data records. Double-click on a record to open DELIStrack automatically and display the parcel history. To export the displayed parcel data in an Excel-compatible file format, press the ”Export” button. The first line of the exported data includes the column headers. To add the parcel data to the main screen (to create new parcel labels), select the corresponding parcel data records and press the ”Take over” button.

Journal administration

After parcel completion the entered parcels will be placed in the journal. This makes it possible to search for parcels which have been entered in the past. To open the Journal dialog box, select the ”Parcels > Journal administration…” menu item. A list will appear showing the entered journals:

This list details when the completion has taken place. To print the corresponding journals or selfbooking lists again select a journal and press the ”Re-print journal…” button. Press the ”Activate data transmission” button to start the transfer of all data (that have not been transferred yet) to DPD or to save these data on a floppy disk. To open the ”Parcel history” dialog box, double-click on a journal entry. All parcels contained in this journal entry will be displayed. The other functionalities are the same as those provided by the ”Parcel history” menu item.

Exiting the program

If you try to exit the program although the current parcel list still contains parcels for which no parcel labels have been printed yet or which have otherwise not been completed, the following warning message will be displayed to give the user the opportunity to print/complete these parcels.

Additional functions Importing parcel data records

This function allows you to import an entire parcel list for recurrent shipping operations (e.g. monthly shipment of promotional gifts to the same recipients), i.e. the parcel data/recipients do not change. This is useful, for example, if recurrent operations must be processed using an external program, allowing the parcel label printing program DELISprint to print the appropriate parcel labels automatically. To import the parcel data records, select ”Parcels > Import parcels…”.

For the parcel list import, the ”Parcel print order import” dialog box will be opened. The desired data import format can be chosen via the ”Configured data formats” selection box. The default is the “PARCELORDERS_DEFAULT” DELISprint parcel data record format which comprises all data fields. The buttons ”New”, ”Edit” and ”Delete” allow the user to create, modify or delete parcel data record formats. More information about the creation/customization of import data record formats can be found in the Data import format configuration chapter.

Select the import file containing your parcel print orders in the ”Import file” field. Press the “File Browser” button to select a specific file. Please note that the file to be imported must have the data record format selected in the “Configured data formats” field. The address data contained in the parcel data records will be added to the address data based on the same rules as implemented in the ”Address import” menu item. The export of address data records, as the import, can be performed in the address management dialog. The address data records are stored in the Excel CSV data format. To export the address data, press the ”Export” button in the address management dialog box. Exported address data records can be re-imported into DELISprint at any time via the address data record import functionality.

5.3

Duplicating parcel data records

If you ship several parcels to a recipient, you do not have to create a new parcel label for each parcel. You can simply duplicate existing parcel labels instead. First, enter or select the recipient data as usual. Click on the record to highlight it in blue. Then press the ”Duplicate” toolbar button or select “Duplicate“ by right-clicking on the parcel data record.

This will copy the currently selected data record. Yon can now edit the record (e.g. modifying the weight).

5.4

5.4.1

Grouping parcel data records (shipments, consignments, consolidated deliveries)

“Simple” grouping

The ”Grouping” function allows you to create a consignment consisting of several parcels. A number will then be printed on the parcel label so that the recipient can determine if he/she has already received all parcels. This way the receiver knows if all consignment parcels have already arrived. Let us assume, you want to ship four parcels to a recipient. In this case there is no need to fill in the data record three times. Instead, you can create a consignment using the grouping function. Create your parcel data record including all necessary data.

Highlight the data record and press the ”shipment” button. You will be asked how many shipments you want to create for this group. Enter the desired number, in this case ”4”, because the consignment consists of four parcels.

Once you confirm your entries by pressing ”OK”, the program will create additional data records for this recipient and also add consecutive numbering. These numbers will be printed on the parcel label so that the recipient can easily check if all parcels have been received.

5.4.2

Adding individual parcels to an existing consignment

If you already have grouped several parcels to a consignment and would like to add more parcels, you can do this if the parcel labels have not been printed yet. Select the first parcel in your consignment and then the newly added individual parcel. Right-click and select the “Grouping“ option.

The following verifications will be performed: Consistent recipient address Consistent service Consistent shipment ID If these statements match and no parcel labels have been printed for this consignment yet, the individual parcel will be added to the existing consignment.

Importing parcel data in a single row

You may also specify the parcel data to be consolidated in one shipment in an import file row. This gives you the advantage that the recipient data do not have to be consistent.

All weights of individual parcels must be separated by “/” and the number of specified weights must be the same as the number of parcels.

5.4.3.2

Importing the parcel data in several rows

Please note that for all parcels that are to be consolidated into a single shipment a consistent “shipment ID“ must be specified in the import rows. Recipient address, service and shipment ID will be verified. The parcels will be consolidated into a single shipment only if these data are consistent during import.

To consolidate parcel data into a single shipment automatically, all parcel data pertaining to the respective shipment must be contained in an import file. If the parcel data are imported via different import files, automated consolidation is not possible. In this case you must add the parcels manually as described in chapter “Adding individual parcels to an existing consignment“.

Using the clipboard

Data stored in DELISprint can be copied to the clipboard using the ”Ctrl + C” key combination and added in Excel, for example, by pressing ”Ctrl + V” simultaneously. The order-processing depot has to place a new label on the parcel on the return path (including the depot-specific route information).

For the EXPRESS service we offer delivery within the recipient’s premises Germany-wide, e.g. for shipments delivered directly to a department or specific floor. This information will be indicated to the delivery driver when the stop is due to be delivered.

The data record format for the transfer is MPSEXPDATA. If necessary, you can request the data record description from your appropriate depot.

5.12

AOB - Online pick-up ordering

On Working days, the sender now can instruct DELISprint online to perform a pick-up on the same day. This can be done only up to a specific cut-off time. Once this cut-off time has elapsed, the customer has to contact his/her sending depot to arrange a pick-up.

When the first cut-off time has elapsed, it is no longer possible to perform the same day pick-up using DELISprint. The following message will be displayed. The customer will be prompted to contact the depot to ask whether a pick-up on the same day is still possible. The order will not be saved.

When the second cut-off time has elapsed, a same day pick-up is no longer possible. The following message will be displayed. The customer will be prompted to contact the depot on the next working DELICom

From version 5.5.0 it is possible to send parcels with parcel-shops. For this you have to choose one of the products “SCP” or “NCP” when you entering a new parcel. For one of these products you have to choose the service feature “PS-Parcel-Shop delivery”.

As soon as you have filled in the consignee data, you can choose a parcel-shop by pressing the “Parcel-Shop” button. You also have the possibility to show more parcel shops or to search after parcel shops with different postcodes.

Proactive notification

In conjunction with the Express products ”Proactive notification“ can be enabled.

This allows the user to define up to 5 recipients which will be notified when certain events occur.

The input for the proactive service can also be defined as standard, so you do not have to fill in the data for several parcels with the same notification event. For the DPD 8:30 product, the “Notification by phone” option is additionally available for the “Delivery“ event. All “Events” can be selected when the option “Email” or “SMS” is enabled.

The fields “Telephone“ and “Att. of“ are mandatory fields in this case.

Statistics data generated by DELISprint (self-booking list and journal) can either be printed on paper or stored in a file. The generated statistics data files can be used for further processing (e.g. in Excel). After printing the parcel labels, press the ”Close” button.

Multi-client functionality

To be able to utilize the DELISprint multi-client functionality, you need a configuration file customized for you by your DPD dispatch depot. Only one customer configuration file is required for multi-client functionality. The file contains all necessary client data and resource files. A description of how to set up DELISprint can be found in the ”Using the DELISprint full version" chapter. The DELISprint multi-client functionality enables the DELISprint user to utilize several consignor addresses. Each client is treated as an independent consignor. In addition, the DPD configuration parameters for the respective client will be used for parcel label and additional list printing. The DELISprint multi-client functionality is active, if the ”Select client” dialog box is displayed after start-up and the ”Client” button in the DELISprint main screen can be selected.

Key features of the multi-client functionality include: The address database recipient data records can be accessed by all clients.

Only one client at a time is active in DELISprint. The active client will be displayed in the main screen title bar. Created parcel data records are stored and displayed based on this client’s configuration. The active client is selected at DELISprint start-up and can be switched at any time by pressing the ”Client” button, by selecting the ”File > Client” menu item or by pressing ”CTRL-M” in the DELISprint main screen.

In DELISprint a client is considered ”open” if no parcel labels have been printed yet or this client has not been completed yet. The number of opened clients including the parcel labels to be printed will be displayed in the main screen status bar. In addition, the ”Select client” dialog box displays the status for the individual clients (press the ”Client” button in the DELISprint main screen to activate it). This screen indicates (using colors) if the client contains ”Parcel labels not printed” or the client has not been completed yet (all parcel labels have been printed, additional lists have not been created yet).

The network and printer configuration applies to all clients. Only one route table and product file is required for all clients. The configuration data (consignor address, depot address, number circle information and DELIStransfer services) for the active client can be displayed via the ”Configuration > Configuration >” menu item. Parcel label printing (via the ”Print label” button in the DELISprint main screen) is only available for the active client. The ”Close” button closes the active client in the DELISprint main screen. However, the user can close all clients at once via the ”Close all the clients” option in the ”Close parcels” dialog box (in which case the parcel labels for all clients will be printed). The self-booking list and the journal are printed for each client including client-specific data. Statistics files are created for each client individually. For easier accessibility, the journal and parcel data are displayed for all clients in the ”Journal” and ”Parcel history” dialog boxes. When exiting DELISprint, the user will be informed about which clients are still open and (if data transfer is active) for which clients data transfers have not been performed yet. DELICom

5.21

Creating hazardous goods parcel orders

The DPD option hazardous goods must be activated client-specifically by your DPD dispatch depot to comply with the legal requirements for the dispatch of hazardous goods. Only hazardous goods with DPD approval are allowed for shipping with DPD, furthermore the ADR/RID legal requirements for the shipment of hazardous goods must be observed. To activate the option hazardous goods for shipment, please contact your DELISprint contact person in your DPD dispatch depot. Please note that DELISprint requires a valid product file to be able to create hazardous goods parcel orders. The DELISprint product file will be provided via our DPD web server every four months. Information on how to load the DPD routes and product file can be found in the Loading the routes and products file chapter. Requirements for DPD hazardous goods parcel shipment: 1. Please announce your hazardous goods shipment early enough to your DPD dispatch depot to ensure efficient parcel shipment. 2. Precondition for DPD hazardous goods shipment is the signing of the ”Hazardous goods special agreement” and optionally the signing of the “Ammunition additional agreement”. Please contact your DPD dispatch depot for these agreements. 3. Only DPD approved hazardous goods can be used for DPD shipment. 4. DELISprint requires a valid product file for the creation of hazardous goods parcel orders (please take 4-monthly shift into account). 5. Up to four different hazardous goods parts are allowed for one hazardous goods parcel. 6. DPD hazardous goods shipment must be activated by your DPD dispatch depot. 7. Always follow the legal requirements when transferring hazardous goods parcels to your DPD dispatch depot. Step-by-step instructions for hazardous goods shipments: Step 1: Creating hazardous goods parcel labels To create parcel labels for hazardous goods parcels, open the ”Data entry” dialog box. To do this, select ”Data set > New”.

Once the “Data entry” dialog box has been opened, your hazardous goods shipping order can be created. Follow the description in the Entering parcel information chapter. Please note that the parcel weight entry is mandatory for hazardous goods parcels. Select the option hazardous goods in the ”Products and Options” section (the option hazardous goods is only visible/available if it has been activated by your dispatch depot). After activation of the option all hazardous goods parameter settings for your shipping order can be made in the lower part of the dialog box. Input requirements for hazardous goods parcel shipment: 1. Packing type definition: Select the used hazardous goods packing type from the list of available packing types. 2. Adding hazardous goods To add the hazardous goods contained in the hazardous goods parcel, press the “New” button. After pressing the ”New” button, the ”Hazardous goods data entry” dialog box will be opened. A description of this dialog box can be found in the Entering hazardous goods data chapter. Added hazardous goods will be displayed in the ”Hazardous goods” table. Press the ”Delete” button to delete the hazardous goods already assigned to the parcel and selected in the hazardous goods table. Step 2: End of day procedure containing hazardous goods If your end of day procedure contains hazardous goods parcels, DELISprint will print out two ”Hazardous goods transport documents” (ADR/RID compliant) in addition to the self-booking list and

the journal. Please note that, to comply with the German legal requirements, the handover of the hazardous goods parcels to the DPD delivery driver also requires that a ”Hazardous goods transport document” (marked in the document header) be handed over. The second hazardous goods transport document must be faxed to your DPD dispatch depot if automatic DELISprint data transfer is disabled. The fax number of your dispatch depot can be found in the hazardous goods transport document header. Please note that your DPD dispatch depot must receive the fax announcement with your hazardous goods data early enough to ensure a smooth shipping process. Please contact your DPD dispatch depot for your specific hazardous goods announcement time. If automatic data transfer is enabled in your DELISprint installation and the status is “Data transfer successful”, there is no need for an additional FAX announcement. Please take the announcement time for the automatic data transfer of your DPD dispatch depot into account.

5.22

Entering hazardous goods

The ”Hazardous goods data entry” dialog box allows the user to enter the hazardous goods contained in a hazardous goods parcel. Up to four different hazardous goods can be contained in a DPD hazardous goods parcel. The hazardous goods must be identified using the following parameters: ”UN no.”, ”Class”, ”V group” and ”K code”. Only DPD-approved hazardous goods can be selected. The definition of the hazardous goods should start on the left-hand side with the ”UN no.”. The ”UN no.” can be entered either via the keyboard or via list box selection. If additional parameters are required to uniquely identify the hazardous goods, the switches ”Class”, ”V group” and ”K code” can be used. A required input will be indicated by an activated switch. If you select the ”…” list item, the hazardous goods selection will be reset. If additional information such as ”NAG desc.” or ”NEM weight” are required, the respective fields will be indicated accordingly so that the user can provide the necessary input. The ”Hazardous goods identification” section displays the hazardous goods parameters for the selected hazardous goods.

Press the “Save” (Alt-c) button to save the created hazardous goods data record und initialize the dialog box for the next input. Press the ”Save” (Alt-s) button to save the current hazardous goods data record and close the dialog box. Press the ”Empty” button to reset the dialog box for new input. Since Version 5.4.0 default entries can be defined over the button “Create Template” for repetitive combinations of hazardous goods information. So you can ease the data entry of hazardous goods. Variable consignor address

This program feature allows the sender to process variable consignor addresses for parcel label printing, i.e. to act as a logistics agent. This feature can be activated by the dispatching depot of the consignor. After activation any consignor address for parcel label creation and the import of parcel print orders can be chosen. The default is the DELISprint customer’s sender address. The variable consignor address will be added to the parcel label print order as sender address. After activation by the dispatch depot, the data entry dialog box displays the variable consignor address section.

The ”Fixed consignor address” checkbox allow you to use the selected consignor address for more than one parcel label print order. For the import of parcel print orders, the consignor address can be selected using the appropriate fields in the file format section. Please be aware that, in order to view the entire dialog box, a screen resolution of 1024x768 is required. This ensures that the consignor address can be displayed in the data entry dialog box.

5.24

Parcel label printing using consignor information

If the consignor places a special reference barcode on his parcels, the DELISprint shipping station can be used to view and print the parcel order uniquely identified by this reference barcode. The reference barcode must be scanned using a keyboard-connected laser scanner (laser pen). The laser scanner should be configured such that the ”return” character will be sent after the reference barcode has been transferred. The parcel label should be printed on a thermo direct printer or laser printer that allows the printing of individual labels. Consignor information is added by importing the parcel label print orders via the import format configuration. The ”Consignor Ref.” import field has to be added to the configured data record format, i.e. a parcel label print order has to be uniquely assigned to each data record.

Parcel label printing based on the consignor information can be done via manual import or via semiautomatic import of the parcel label print orders. For parcel label printing using manual parcel label print order import, the ”Shipper information scan” dialog box can be opened via ”Parcels>Shipper information scan”.

By scanning the reference barcode using the laser scanner, the barcode will be inserted into the ”Reference information” field. Depending on the status of the ”Open data entry dialog box” checkbox, the subsequently generated ”Return” character will cause the parcel label order to be displayed for correction or printed directly based on this reference information. To be able to print parcel labels using the semi-automatic parcel label print record import functionality, the semi-automatic import must be configured accordingly. Configuration instructions for the semi-automatic import functionality can be found in the Cyclic interface import chapter. After the semi-automatic import functionality has been enabled via the ”Import” button in the DELISprint main screen, the ”Cyclic interface import” dialog box will be displayed.

Through the new feature „update database before scan” you can easily find the right parcel data you have recently imported. It is only available at the network version of DELISprint.

5.25

Dispatch actions

The “Dispatch action” dialog can be opened via the DELISprint menu item “Parcels > Dispatch action”. The creation of the dispatch action must be initiated with “Step 1, Specify parcel parameter” in the opened dialog.

Once the “Step 1” button has been pressed, the “Data entry” dialog will be opened. This dialog allows the user to specify the uniform parcel parameters for the dispatch action such as “parcel weight, reference information” and product and option information. Once the parcel dispatch parameters have been specified, the parcel recipient addresses have to be specified by pressing the “Step 2” button. Once the “Step 2” button has been pressed, the “Select address from address book” dialog will be opened.

The selection of the parcel recipient addresses is consecutive, the address selection can be used in the same way as for the parcel label print order creation. The buttons have the following functionalities: Initialization, deletion of an already created selection Selection, selecting addresses Help, open online help Back, close dialog Show address selection, show current address selection in text editor Activate selection, show address data records after filtering for selection The “Remarks (address)” address field which is added to the address master data, can be used to classify customers. Once the parcel recipient data have been specified, the created DELISprint import file can be verified by pressing the “Parcel print order verification” button. The import of the generated import file which contains the parcel print orders into DELISprint can be initiated by pressing the “Step 3, Generate parcel print orders” button. Next, the data is imported into the DELISprint main window.

5.26

Export processing

The export processing module makes it possible to transfer the data required for customs clearance electronically to DPD to aid the custom clearance procedure and to avoid manual data entry. The export processing module allows the user to allocate one or more parcels to an invoice. The export processing module must be enabled by the DPD sending depot for the respective customer configuration. The export processing module entries will be added to the parcel label information in the parcel label print order.

The following parcel-specific information must be specified for export processing (Export parcel parameters tab): Contents, “Documents” or “Non-documents” Dimensions, length > width > height of the parcel shipment C.C.C./contents, parcel contents (contents information can be added/removed via the buttons “Add” and “Delete”. “Contains accompanying documents“, the accompanying documents are attached to the parcel. For each shipment the accompanying documents must be attached to a parcel. Required documents, specification of the necessary documents for export processing for the respective destination country For the best possible transport of your parcel within the DPD system a number of limits must be taken into consideration. In addition to the maximum weight, the overall dimensions are important. Both values are checked from DELISprint.

The overall dimensions serve to limit the dimensions for shipments: Circumference = (width + height) x 2 Overall dimension = circumference + longest side If the parcel shipment is not shipped by air, the dimensions parameters can be filled with “0” in agreement with your depot. The following shipment-specific information must be specified for export processing (Export shipment parameters tab):

Invoicing order information, makes it possible to allocate the parcel print order to an invoice, the following selections are provided: Invoicing address is the same as the consignee address Creation of a new invoice including invoice address (not the same as parcel recipient) Allocation of a parcel to an existing invoice ID/Com, internal DELISprint number and comment for better distinction Select address, if the invoice address differs from the parcel recipient, this button can be used to select/create an invoice address

View, for viewing the parcel print orders allocated to the currently selected invoice Delete, removes the selected invoice including the allocated parcel print orders Goods value, invoice value and currency Terms of delivery Accompanying documents, selection of accompanying documents Additionally a comment to the invoice parameters can be entered in field Comment1. Since DELISprint 5.4.0 also tax numbers can be entered in field VAT Number. During the daily balance process the processed data are transferred from the export processing module in the EDI data transfer module to DPD. In addition, an export processing document will be printed for the daily balance that contains export processing information.

5.27

Collection request processing

The processing of collection requests must be enabled by the DPD sending depot for the respective customer configuration. In addition, the variable sender address feature is required to define the pickup location (sender address) and the delivery location (recipient address) for the collection request. Collection requests can be created by enabling the “Collection request” product/service.

The pick-up address for the collection request has to be specified in the consignor section. The delivery address for the collection request has to be specified in the consignee section.

The entry fields (Info1, Info2, reference address) have a special meaning for the creation of collection requests. More detailed information can be found in the “Attention collection request” field in the data entry dialog. The processed collection requests will be transferred to the DPD computing centre for the daily balance calculation using the EDI data transfer. Collection requests must be transferred to the DPD computing centre one working day prior to processing. For more detailed information please refer to your DELISprint contact in your DPD sending depot.

Future shipping date

Setting the “future shipping date“ must be enabled by the DPD sending depot for the respective customer configuration. The shipping date must then be selected for the shipping order in the data entry dialog. The parcel label can be printed and pasted independent from the selected shipping date. However, the parcel print order will only be allocated to the daily balance and included in the data transfer to the DPD computing centre when the shipping date has been reached or exceeded. A subsequent date change is only possible if the parcel labels have not been printed yet. The date can also be imported as a field.

5.29

SSCC / NVE Barcode

The Serial Shipping Container Code (SSCC) is an eighteen digit number used to identify logistics units. The SSCC is encoded in a barcode, generally GS1-128, and used in electronic commerce transactions. The SSCC comprises an extension digit, a GS1 company prefix, a serial reference, and a check digit. The SSCC is commonly used in the Advance Ship Notice (ASN) EDI transaction. Example:

Import wizard

The import wizard can be used for the import of parcel label print orders and address data from Microsoft data formats. The following Microsoft file formats are supported: MS Access MS Excel FoxPro DBase ODBC data source The import wizard for the parcel label print order import can be opened via “Parcels > Import parcels... > IMPORT_WIZARD > Import“. The import wizard for the address data import can be opened via “Master data > Addresses > Import > IMPORT_WIZARD > Import“.

Once the “Import...” button has been pressed, the “Import configuration” dialog will be opened. The “Import configuration“ dialog must be edited from top to bottom. The “Fields connection” section allows the user to establish the necessary associations between the external table columns (data source) and the DELISprint table columns. Mandatory fields for associations are highlighted using colors in the “DELISprint fields“. An association can be established as follows: Drag and drop between external and DELISprint table columns Selection of one column each in external and DELISprint table columns and pressing the “Associate” button Pressing the “Remove” button deletes an association. Existing associations are displayed in the “Field connection” list. Pressing the “Reset” button resets the dialog to the default values. Pressing the “OK” button initiates the import process. On saved configuration of the import wizard, it's required to open the configuration again and affirm them with OK. With this step the data will read from the data source. First on the next step with press the label 'Import' the data will import to DELISprint.

Export Parcel Number

The parcel label number can be exported in real-time during fully automatic import. After the parcel labels have been printed, the import file including the appended parcel label number will be stored in the previously defined directory.

If several parcels have been imported in a single row in the import file, the parcel numbers will be separated by “/“.

After the export file is created, DELISprint can optional add a Semaphore-File to process this data. Also DELISprint can add a time stamp to the export file name, to beware an overwriting of exported (and not processed) data files.

Connection of electronic scales

Since Version 5.4.0 the weight of the parcels can be transferred from electronic scales to DELISprint. At present electronic scales can only be linked through the serial communication interface RS-232. The scale type can be chosen in the configuration menu “Configuration > Configuration > Scales“. Also the interface parameters are set here. For a working data link between DELISprint and scale both sides have to be configured with the same parameters. Please look up the manual of your scale for the needed parameters.

There are two connection modes: Weight is sent by the scale. Weight is requested by DELISprint: For this function there is a button in the data entry dialog, which requests the weight from the connected scale.

5.33

Email notification

The email notification feature must be enabled by the DPD sending depot for the respective customer configuration in the DELISprintDepot.

Three different email notifications will be created: Normal parcels (notification of shipment/imminent delivery) COD parcels (notification of shipment/imminent delivery/COD information) Collection requests (notification of imminent delivery) For these three email types the DPD sending depot provides ready-to-use email bodies included with the configuration file.

The subject of the notification e-mails can be changed in the field “Configuration > Configuration > Customer Configuration > Subject of the notification e-mails”

The email bodies can be customized for the shipping customer using the integrated text editor via “Customer configuration” > “sending email configuration” section > “mail content configuration” button.

For this you can use a list of variables to include them into the email text. By sending the email, DELISprint fill the position of the variables with the real field value. The email body is HTML-coded which makes it possible to create a link to DELIStrack. The following requirements must be met for DELISprint to create an email notification: A customer email address must be specified in the customer configuration (sender email address)

To be able to create a parcel label print order, an email address must be specified for the recipient (data entry or address book dialog)

A correct email configuration must be specified, email feed via sender SMTP server (see 5.11.1) or via MS Outlook client (see 5.11.2) The email notification is sent during the end of day procedure. This requires that email sending be enabled in the “Close parcels“ dialog.

Please note: Prior to sending the email notification the email bodies have to be edited to integrate sender information such as sender address and contact.

5.33.1 Dispatch via SMTP If you have your own domain (e.g. www.dpd.de), you can send emails directly on the Internet via your mail server. Please note that the account which you enter in DELISprint must already exist. Enter your access data into the corresponding fields and enable the “Email with SMTP“ option. Next, confirm your settings by pressing the ”OK” button.

The DebugSMTP.txt file in the C:\Programs\DPD\DELISprint directory may be used to verify the connection data. This file contains mail server error messages caused by authentication errors, for example.

5.33.2 Dispatch via Outlook If you would like to utilise the locally installed Outlook, enable the “Email by Outlook“ option. Next, confirm your settings by pressing the ”OK” button.

After the “end of day procedure“ the email data will be transferred to the local Outlook can therefore be sent afterwards. Press the “Yes” button to confirm.

Maintenance and troubleshooting

This chapter describes DELISprint program maintenance and administration issues.

6.1

Log file

To open the log file screen, select “Customer data > Log file ...”. The log file contains logs of various activities including program start and exit, file imports (routes and configuration file) and completed journals.

6.2

Import failure handling

Further information about the import failure handling is available in the following chapters: Failure handling for the address data import, Importing address data records chapter Failure handling for the parcel order import, Importing parcel data records chapter

6.3

Regular maintenance

To be able to conduct DELISprint multistation installation maintenance work, you must log in as user Administrator. The password for the user Administrator has been defined for your configuration by the sending depot. You can only log in as user Administrator if no other users are currently logged in to the database, i.e. it must be possible to open the central database in exclusive mode. When you are logged in as Administrator, you may conduct maintenance work such as importing the routes and products file every four months. The following maintenance tasks should be carried out regularly: Loading the current route and product files Towards the ”End of the current four-month-period”/”Beginning of the new four-month-period” the new routes and product files should be imported. The four-month-periods are: Four-month-period 1 Four-month-period 2 Four-month-period 3

January - April May - August September - December

A description of the routes and product file and how to load it can be found in chapter Loading the routes and product file. DELISprint database backup The DELISprint database should be backed up in regular intervals. The database contains the following important data: Recipient database Parcel history Configuration data The backup should include the installation directory. The default installation directory path is “C:\Programme\DPD\DELISprint”. The backed up data should be stored on an external data storage medium, e.g. on CD-ROM. Please be sure to exit DELISprint before you start the data backup. DELICom

Printing configuration/system information

To open the configuration dialog box, select ”Configuration > Configuration...”. Select the ”Printer configuration” tab. Press the ”Print information page” button to print the DELISprint system and configuration information on the printer specified in the ”Printer for reports” field.

6.5

Displaying contact information in the title bar

To make it easier for the customer to refer to the DELISprint contact person if any questions or problems come up, a contact address can be displayed in the DELISprint main screen title bar. To do this, the ”titel.txt” file must be created in the DELISprint installation directory (by default ”C:\Programs\DPD\DELISprint”). This file should only contain a single line which will be loaded during program start-up and displayed in the title bar.

Configuration and administration

7.1

Address management

The recipient addresses can be edited using the address management feature. To open the address management dialog box, select the ”Customer data > Addresses” menu item.

The address management screen allows you to perform the following tasks: Creating new recipient addresses Editing recipient addresses Deleting address data records Importing address data records Exporting address data records You may add new data records in the address management screen. However, this requires that all mandatory fields (fields which must not be left empty) be filled with the appropriate data. Mandatory address management fields (recipient information): Country Post code City Address 1 (street and number) Name or company name Telephone number (only for EXPRESS products)

To make the address management process more user-friendly, DELISprint makes address field entry easier for the user by: Automatically determining the destination city via the post code and country specifications. The recipient’s post code will be entered automatically in the ”Post code” field. If you press the tab key, the next entry field ”Ort” (City) will be filled in automatically by DELISprint. The destination country is a mandatory field as well, but will be predefined to state the consignor country. To ship to a different country, open the country selection list by clicking on the arrow symbol (see screenshot).

The country selection list will be displayed allowing you to select the destination country.

The columns can also be sorted by clicking on the header of the respective column. If in the ”Country” column a field has been selected und you enter the character ”E”, for example, the program will automatically display the ”Ecuador” data record. If you enter a second character, for example ”S”, the program will display the next country whose initial characters correspond to your selection, in this case ”Estonia”. This way you can search for the destination country, even if you do not know its abbreviation (in this case ”EE”). The country name search may be performed using both the country abbreviation and the country name.

The user administration for the central DELISprint database also has to be done using the Administrator account. DELISprint classifies the users into four groups based on their tasks: Administrator: Maintenance and user administration Daily balance employee, responsible for the daily balance and parcel label creation Shipping department employee, parcel label creation Track & Trace: Access to the parcel history Each client must only be associated with one daily balance employee. The user administration is done via the “User management“ dialog. The “User administration” dialog can be opened via “File > User management”.

To be able to create a new user, first the login name of the user has to be specified in the “User name“ field. Additional information the user will see in the login dialog window can be specified in the “Comment“ field. If the sending depot has defined that a password authorization is necessary for this network installation during the login process, a password has to be specified in the “Password“ field. You have to specify the account type in the “Account type” section (see above). The configurations valid for this account have to be derived from the available customer configurations. Press the “Save” button to save the newly created or edited account.

Since Version 5.4.0 it is possible to define timeframes in which you will be reminded of missing data transfers, you can enable this option in the menu “Configuration > Configuration… > Customer Configuration > Configurate Reminders”.

For different product types separate timeframes for the reminder can be defined.

Then in the status line of DELISprint a reminder message will be displayed during the defined timeframe. This message automatically disappears when the data for these products and services are transferred.

If DPD parcel labels have already been created using a parcel label print program, it is possible to configure the starting parcel label number in order to simplify the transfer to DELISprint, i.e. an existing customer configuration can be imported and reused. The starting parcel label number configuration has to be done in the ”Configuration of the starting parcel number” dialog box and must be enabled on a customer-specific basis. The ”Configuration of the starting parcel number” dialog box is displayed during the customer configuration file import process (see Loading the customer configuration file chapter). If several clients have been configured for you, please note the sender information in the left pane of the dialog box when specifying the DPD parcel label number. This dialog box will be displayed once for each client for configuration purposes if this option has been enabled by your dispatch depot. Specify the DPD parcel label number which you have printed most recently in the ”Last printed parcel number” section for the corresponding DPD product type. The most recently printed DPD parcel label number can be obtained from the DPD parcel label or from the self-booking list (transfer list for your DPD driver). Please note that the DPD product type on the parcel label must match the product type in the entry field in this dialog box. Press the ”Next” button to submit your entries. The entry for the most recently used parcel label number will be verified based on your configuration data. If the parcel label number is outside of the configured range, a corresponding error message will be displayed and your entry can be rectified. => Please refer to your DELISprint contact in your DPD dispatch depot if you have questions regarding the starting parcel label number configuration or if the transfer fails.

7.5

Configuration of the parcel history reorganisation time

The reorganization time for the parcel history can be configured in the configuration dialog “Configuration > Configuration… > Customer Configuration > Number of days to save parcel history” menu item. The default is 122 days. The parcel data record reorganization in the parcel history will be performed when DELISprint is opened using the configured reorganization time.

7.6

Import data record format configuration

A customer-specific import dataset format configuration can be created for parcel print orders and address data files. Press the ”New” and ”Edit” button to open the configuration dialog box at the beginning of the respective import process. Configuration address data record format: Menu item: “Customer data > Addresses… > Import > New/Edit” Configuration parcel label print order format: Menu item: “Parcel > Import parcels > Import > New/Edit” Menu item: “Configuration > Configuration... > Cyclic interface import > Configuration > New/Edit” When creating a data record format it is important to take mandatory fields into account. Mandatory fields are an integral part of the dataset format and cannot be removed from the data record configuration. Mandatory fields have a leading “!” for better identification. Press the “OK” button to save the configuration.

Section “Available columns” This list contains the available optional data fields. To add the selected data fields to the data record format to be created, select the corresponding data fields and press the “Right arrow“ button in the middle of the screen. To ignore individual data fields, select the “Dummy” field and add it to the data record to be created. Section “Configure columns” This list contains the data fields that have been added to the data record format. To adjust the position of the selected data fields, press the “Up arrow” or “Down arrow” button (on the right-hand side of the dialog box). Data fields can be removed from the configured data record format by

Cyclic interface import configuration

The cyclic interface import allows the customer to import parcel orders cyclically over ODBC in the form of data files from a specified directory and (if enabled) to print parcel labels automatically.

The settings can be made under “Configuration > Configuration... > Cyclic import” in the “Configuration” dialog box.

For multi-client configurations client-specific import directories can be selected. DELISprint imports the parcel label print orders from the specified directory and assigns the print orders to the corresponding client.

Data source: Current only text files and ODBC-Connections (SQL, Oracle) are supported. Data format: The desired data import format can be chosen via the ”Configured data formats” selection box. The default is the “PARCELORDERS_DEFAULT” DELISprint parcel data record format which comprises all data fields. The buttons ”New”, ”Edit” and ”Delete” allow the user to create, modify or delete parcel data record formats. More information about the creation/customization of import data record formats can be found in the Data import format configuration chapter. “Data management” section This selection allows you to define how the import file should be handled after the cyclic import. If the import file should not be deleted, enable the ”Move file after import” checkbox and select a destination directory. Press the ”Directory“ button to select the destination directory. “Create log” section To configure the cyclic interface import logging feature, enable the “Archive” checkbox and select the log file. Press the “File“ button to select the log file. Use the “Compact Log File” control to specify the number of log file lines. Press the ”Compact” button to adjust the log file to the currently specified number of lines immediately. “Parcel data Export“ section See „Export Parcel Number“ section

“More Options“ section The option „Store address by saving in address book“ allows to save all addresses of imported parcels automatically into the address book. With the option „Show imported parcels to all users“ all imported parcels aren’t assigned to a DELISprint account. Therefore these parcels can be seen by all accounts until label printing. The parcel is being assigned to that account that prints out the parcel label.

“Importation configuration” section The “Time interval” text entry field allows the user to specify the time interval for cyclically importing the “Import directory” in seconds. If the file import process should only start after creation of a corresponding semaphore file, the user may enable the ”Use semaphore file ...” checkbox and define the desired semaphore file extension. For example, if the “sem” file extension has been selected, the semaphore file name will be “parceldata_343455.dat.sem” for the “parceldata_343455.dat” import file.

1. Semi-automatic mode: cyclic import of parcel label print orders and display of the imported parcel orders in the DELISprint main screen, but without label printing. 2. Fully automatic mode: cyclic import of parcel label print orders, display of the imported parcel orders in the DELISprint main screen and printing of parcel labels.

Semi-automatic mode Press the “Import” button to open the ”Cyclic interface import” dialog box. The dialog displays an overview of the import process times (import files), a comparison of the number of parcel print orders (successfully imported/all) and the import file name. In the lower left corner of the dialog box, a total view of the number of parcel print orders (successfully imported/all) is displayed. Press the ”Stop” button to stop the cyclic import mode.

Fully automatic mode Press the “Import” button to start the fully automatic mode. Once the ”Import” button has been pressed, the button label changes from ”Import” to ”Stop…” and the application will be locked so that no additional entries can be made. This makes it possible to minimize the application. Press the ”Stop…” button to exit the fully automatic mode.

Press the ”Stop…” button to open the “Summary of the imported files” dialog box which contains an overview of the import processes carried out. The dialog displays an overview of the import processes performed (import files), a comparison of the number of parcel print orders (successfully imported/all) and the import file name. In the lower left corner of the dialog box, a total view of the number of parcel print orders (successfully imported/all) is displayed.

Press the ”OK” button to close the dialog box. Press the ”View Log” button to view the log file if logging has been enabled. New features available in version 5.3: If you have stopped the fully automated cyclic import and errors have occurred during the import process, this will be indicated in the status bar in the lower left-hand corner. In this example the import file contains 12 data records, but only 9 data records could be imported successfully.

If you confirm by pressing the “OK” button, a new dialog box will be displayed and the incorrect data records can be edited directly in this window. Press the “OK” button to re-import them. Please make sure that the “Import rows again“ radio button is enabled.

The corrections made in this window will not have any effect on the import file. The original import file will remain unchanged. Only the import data records for DELISprint will be corrected. If you do not need the incorrect data records, you may exit the dialog box by selecting the “Do not import“ radio button. The incorrect data records will then be discarded and not be imported into DELISprint.

External address connection

ODBC address connection allows the user to connect DELISprint to an external address table, i.e. during manual parcel label creation it is possible to access an external address data source, e.g. an ERP system. The configuration of the ODBC connection is done via the “External Database Configuration” configuration dialog box (Configuration > Configuration> Customer configuration, ”External addresses” section). The external address connection configuration has to be performed in two steps: 1. 2.

Once the external address data connection has been configured and saved, it has to be enabled via the “Activate” checkbox in the “External addresses” section of the “Customer configuration” dialog box. To create parcel print orders, the ”External addresses” checkbox in the ”data entry” dialog box has to be enabled. Once this has been done, external address data will be accessed when the address search is activated.

Example printer driver configuration OS204 Printer Setup Connect the OS204/X2000+ to the DELISprint PC via the parallel port. Calibrate the printer. The label format is “101mm (width)” x “148mm (height)” without margin. Printer Driver download You may download the printer driver installation program from the www.seagullscientific.com website. Follow the “Download a Printer Driver > Meto” menu. Save the driver installation program on the local hard disk and start the installation. The installation program will place the printer driver files in the “C:\Seagull” default directory. Printer Driver Installation Follow the installation steps for the printer driver as local printer. Press the “Have disk…” button in the “Select printer driver” installation dialog box and select the ”C:\Seagull” directory as driver directory. Select the “Meto Bandit“ printer driver. DELISprint configuration for thermo printer use

Open DELISprint. Open ”Configuration->Configuration…”. Select the Printer configuration tab and select Meto Bandit (depending on the printer) as Printer for labels. Set the label format to Label 98 x 150 mm (1 label per page).

Press the “OK“ button to save your settings. The DELISprint configuration for parcel label printing is now complete.

DELISprint Start parameter

For customer optimized installations DELISprint support some start parameter: Automatic login For easy program start it is in single situations possibly to transfer username and password with the program call. Example: DELISprint.exe user=xxx password=xxx Please note, this usage means that every person with access to this computer can start and use DELISprint. Also every person can read the login name and password from the link. This can be a security risk in your company. Automatic start of cyclic import On automatic usage (for example on warehouses) it's possibly to start DELISprint direct in the import mode. Example: DELISprint.exe load=cyclic_import On network installations this parameter must combinate with the automatic login (load=cyclic_import user=xxx password=xxx)

Loading the RPINFO- file

The routes and products file ensures that you always use up-do-date transport paths for the shipment of your parcels and that you can always access the latest product information. The routes and products file will be provided to you by your DPD dispatch depot. It can be downloaded via the Internet either manually or automatically. The routes and products file should be replaced every four months: Four-month-period 1 Four-month-period 2 Four-month-period 3

January - April May - August September - December

We recommend the automatic routes and products file download. This requires that the DELISprint Internet access configuration is available. The manual routes and products file download is necessary if the DELISprint PC is not connected to the Internet or the automatic routes and products file download does not work correctly.

8.1

Downloading the routes and products file automatically

For downloading the RPINFO-file automatically, DELISprint has to be configured for Internet Access and the connection test must be successful. Further information about this topic is available in the “Network configuration” chapter

To start the automatic routes and products file download, select “Configuration -> Update tables...“ in the DELISprint main window. The “Update tables“ dialog will be opened.

8.2

Loading the DELISprint routes and products file via manual Internet download

The manual routes and products file download is necessary if the DELISprint PC is not connected to the Internet or the automatic routes and products file download does not work correctly. The procedure consists of two steps. First, download the routes and products file from the DPD website using your Internet browser. Second, load the file located in the DELISprint PC file system into DELISprint. Step-by-step instructions on how to load the routes and products file manually: Step 1: Open the DPD website and navigate to the download area. Enable your Internet connection and type “www.dpd.net“ in your Web browser’s address field.

Click on the “Online-Services “ tab on the website.

Click on the “Login“ button in the DELISonline section.

Step 2: Saving the routes and products file The routes file and the products file is necessary to be able to use DELISprint. Start downloading the file by clicking on the link and select an appropriate directory (folder) on your hard disk.

Address data will be added only if all data records meet the format description requirements. For incorrect data records an import log will be created. "Length" indicates up to which field length the data will be added (longer fields will be truncated). The data record uniqueness is defined by the fields Company, Salutation, Att. of, Last name, Address 1, Country abbreviation, postcode, city. If an address is imported where these fields are the same as in another address, the previous address will be overwritten. By default, only one address can be specified for a particular reference number. To accommodate customer-specific processes, a reference number may be assigned. The reference number ambiguity can be enabled by disabling the checkbox in “Configuration > Configuration... > Customer configuration > ´Reference field of address has to be unique´”.

The DELISprint “Beispiel (Example)” directory contains the “Adressen.txt” example file with exemplary address data records.

Shipment grouping based on shipment ID If several parcels have an identical shipment ID (field 34 - shipment ID) und the same shipment type and destination address are the same as well, DELISprint can create shipments automatically. Please note: This functionality must be enabled in the configuration and cannot be used at the same time as fully automatic cyclic import.

Shipment grouping based on the number of parcels Field 37 (Number of parcels) allows you to import several parcels as a single shipment. DELISprint will create several parcels based on the specified quantity and will consolidate them into a single shipment. DELISprint will copy all data including the weight and the dimensions. If the parcels have different dimensions or weights, the individual values can be specified during the import process using the "/" separator. Example: You would like to ship 3 parcels weighting 2, 3 and 5kg, respectively. The following files can be found in the DELISprint Beispiel (Example) folder. Please note that the contact (name) and phone number are mandatory for DPD EXPRESS. The plausibility of all lines will be checked first. If one or more lines are not plausible, these lines will not be imported. The user may correct data records based on the import log. "Length" indicates up to which field length the data will be added (longer fields will be truncated). If sender address data are imported in the parcel data record, the same formats apply as for the recipient data record fields. The data record format descriptions required for the hazardous goods import can be obtained from your DPD dispatch depot. Data record descriptions required for export processing can be obtained from your DPD dispatch depot. To assign data records to a particular client in multi-client mode, the “Customer ID“ field can be used. This field must contain the customer number including the SubID, format: “_”. The client-specific customer number and SubID are displayed in the “Configuration > Configuration...“ dialog box.

Microsoft Windows 98, ME and NT4

DELISprint supports downward compatability up to and including Microsoft Windows 98. After the end of Microsoft’s product support (as of 11.07.2006) the compatability was supported for a further year. Since version 5.3.5 (August 2007) the support of Microsoft Windows 98 as well as the related systems Microsoft Windows ME and NT4 have also no longer been supported by DELISprint

Microsoft Windows Vista

With Windows Vista, the software company Microsoft introduces new rules and conditions for programs from other software providers. At the same time the support of older application services was partially discontinued. In order to safeguard downward compatability DELISprint is currently not being changed from Windows Vista to the new services. The support is to be introduced at a later date, parallel with the redesign of the interface. Independent of this, DELISprint can already be implemented on computers with Microsoft Windows Vista. The following points must, however, be observed: 10.3.1

Installation outside of the program directory.

With Microsoft Windows Vista, Microsoft steps up its efforts of separating program files and configuration files. Therefore the access to files in the program directory is regulated; configuration files that are saved there can no longer be edited in the current form by programs. This regulation prevents the smooth operating of DELISprint and leads to an error message during default installation. When operating with Microsoft Windows Vista, installation must not be made in the protected directories C:\Programs" or "C:\Program files". Please select "C:\DPD\DELISprint" or another directory for the installation. 10.3.2

Installation of support for 32-Bit help files.

The 32-bit help files that are available for Windows 98, 2000 and XP are no longer supplied with Windows Vista. They can, however, be installed later as free updates.

You can download and install the Windows help program (WinHlp32.exe) from the Microsoft Download Center (www.microsoft.com/downloads/details.aspx?displaylang=de&FamilyID=6ebcfad9d3f5-4365-8070-334cd175d4bb. With DELISprint Version 5.4.0 the help file has been changed to pdf-format, so that this workaround is no longer necessary. 10.3.3

Display problems with Windows Vista

The newly designed interface of Windows Vista can lead to occasional display problems with DELISprint. In particular it can happen that: Program messages (Popups) do not automatically come up Design adjustments to the Windows interface lead to display problems and Text fields in the dialogue boxes and parcel capture might not be completely displayed. We do therefore not provide support for the errors which are due to the use of Windows Vista.

10.4

VMware (Virtualisation Software)

In the area of software development, virtual machines facilitate developing processes, as various different instances can run in parallel. Often different development environments are simulated in this way for the convenient testing of new software in these systems. VMware can also be used as a link between Windows and Linux, to run Window programs on Linux and to avoid the complex changing between two operating systems on different disk partitions. The virtual Windows operating system can be accessed as “a window“ from Linux – and vice versa. As of DELISprint Version 5.0, the use of VMware (Version 5.5 and higher) is supported. All operating systems that are supported by DELISprint can be used as virtual systems. Due to the architecture of VMware however, DELISprint offers a lower performance with virtual systems and has higher hardware requirements.
