ADDITIONAL INFORMATION GUARANTEE Guarantee must be specified fourteen (14) business days in advance by 12:00 noon. Guarantee number is not subject to reduction. If the guarantee is not received within the above mentioned time, the estimated figure will automatically become the guarantee. If additional guests above the respective guarantee numbers attend, the Hotel may not guarantee the same menu and additional time may be needed. The Hotel will prepare for 5% over the guarantee and set up number (up to 200 guests) and 3% over the guarantee (over 200 guests). Counts cannot increase without a guarantee of payment for the additional numbers. EVENT TIMES Luncheons are based upon a (4) four hour time frame and evening events are Based upon a (5) hour time frame. Afternoon events must end by 4pm and Dinner events cannot start till 6:00pm and must end by Midnight. Additional hours are available upon request. DEPOSIT AND FINAL PAYMENT A 25% Deposit is required with your signed contract as a guarantee for the event date. A 50% deposit of the projected event total is required six months prior to the event date. Final payment is due 14 Days prior to the event by cash, money order, certified or cashier’s check. Your initial deposit is non-refundable and non-transferable. Subsequent payments prior to your event date will be outlined in your Contract. Cancellation fees will be outlined in your Contract should your event cancel for any reason. SURCHARGE AND TAX Menu prices and audio visual prices are net and customary 21% taxable service charge and current Virginia sales tax will be added to your bill. Any miscellaneous charges are subject to current Virginia sales tax and service charge above. SERVICE STAFF Coat Check Attendant - $100.00 per every 100 guests; Bartenders $100 for every 100 guests; Cashiers $75; Chef Attendant $75 DECORATIONS Any use of a flame in décor requires an approval from your Catering Manager or Henrico Fire & Rescue, in advance of the event. Arrangements for early decorating time or special requirements of your decorator/florist must be coordinated In advance with the Catering Manager. SPECIAL CONDITIONS and FOOD AND BEVERAGE ARRANGEMENTS No food or beverage from outside the Hotel of any kind will be permitted into the Hotel by the client or their guests unless it is prearranged with our Catering Manager in advance. The only item/s allowed are Your Wedding Cake and Favors. There will be a $5.00 charge per person added to the menu price for Breakfast functions prior to 6:30 a.m. and Dinners starting after 9:00 p.m. An additional charge of $5.00 per person will be added for any event that falls on a major Holiday. BANNERS, SIGNS AND FLAGS Arrangements for hanging banners, signs, seals and flags must be handled by the Hotel. All banners and signs must be approved by the Hotel, so that we can maintain the beauty and integrity of the Hotel. We ask that all signage be placed on easels and not attached, nailed or taped to walls. Any type of signage in public space areas throughout the Hotel must be approved through the catering managers in advance.
