Stationary Hors d’Oeuvres: Decorated hors d’Oeuvres platters make food easily accessible for guests and can serve as part of a larger dining experience or can stand alone as the only style of service throughout an entire event Butlered Hors d ’Oeuvres: This style of service adds an extra touch of service for your guests and can serve as a part of a cocktail hour or a component of an entire hors d’Oeuvres affair Action Stations: Entertain your guests with a chef-manned action station which is an interactive way to creatively present food cooked to order Buffet Meal: This style allows yours guests to choose from a variety of dishes and select their meal of choice Plated Meal: This style of service allows your guests to be completely pampered with being served their dinner along with table wine service. Say “I Do” Cocktail Hour A fully stocked bar will be open throughout the evening for four continuous hours, featuring our deluxe brands of liquor, red and white wine, 2 domestic and 2 imported beer, soft drinks, bottled water and juices. Hotel Staffed Bartenders are required for all Bars. Hotel recommends one bartender for each 50 guests during cocktail hour and one bartender per 100 guest during main event. Bartender fee of $100 per each four hours. Decor and Entertainment  All requests and details pertaining to decor and entertainment must be made known to the Catering Sales Manager prior to your event and must be approved by the Hotel. In regards to entertainment, hosts must submit copies of all band/DJ/music vendor contracts 90 days prior to event. Rooms are typically available two (2) hours prior to your event for decorating; however, access may be limited due to other events so please confirm with your Catering Sales Manager. For all flower and other decor deliveries, they are to arrive no more than one (1) hour prior to event scheduled start time. Decorations should be removed immediately following the function unless otherwise arranged. Freestanding is best, nailing and taping are prohibited. We requests florists be considerate in cleaning up any messes made during their set-up. Appropriate cleaning can provided, if requested in advance. There might be an additional fee for clean-up to the host if extra services are required due to the improper care taken by florists or decorators. Use of any flame in decor requires an approval from Catering Sales Manager and Chesterfield County Fire and Rescue in advance of the event. Guarantee Numbers  Must be specified fourteen (14) business days by 12:00pm. Once final numbers are received, they cannot be reduced. If the guarantee is not received by the aforementioned date, the estimated figure will automatically become the final guarantee. If additional guests are in attendance above the final guaranteed numbers, the hotel may not guarantee the same menu and additional time may be needed. The hotel will prepare 3% over the guarantee and set up number (up to 200 guests) and 5% over the guarantee (over 201 guests). Counts cannot increase without a guarantee of payment for the additional numbers. Event Times  Day events are based upon a four (4) hour time frame and evening events are based upon a five (5) hour time frame. Afternoon events must be concluded by 4:00pm and evening events cannot start until 6:00pm and must end by midnight, 12:00am. Additional hours may be available upon request. Deposit and Final Payment  With the signed contract, a 25% deposit is required as a guarantee for the event date which is nonrefundable. A 50% payment is due 6 mo. out from event date. Final payment is fourteen (14) days prior to event. In the event that a cancellation needs to happen, all fees and penalties are located in our contract. Surcharge and Tax  Menu prices, Ballroom rental, and AV prices are net and customary 21% service charge and current Virginia sales tax, 5.3%, will be added to your final bill. Any miscellaneous charges are subject to these charges above. Service Staff  Event servers are included in your room rental. Coat check attendant, $100 for every 100 guests. Bartenders, $100 for (4) hours and $25 for each additional hour. Bartender fee can be waived with each $1,000 worth of sales per bar. Cashiers are $75. Special Conditions  No food or beverage from outside the Hotel of any kind will be permitted into the Hotel by the client or their guests unless it is pre-arranged with our Catering Sales Manager in advance. The only item/s allowed are your wedding cake and favors. There will be a $5.00 charge per person added to the menu price for breakfast functions prior to 6:30 a.m. and dinners starting after 9:00 p.m. An additional charge of $5.00 per person will be added for any event that falls on a major holiday
