1 Introduction The aim of this guide is to provide an insight into how Erskine Golf Club is managed and some of the rules and recognised customs of the Club. It deals mainly with the clubhouse and playing activities. It is by no means exhaustive in its content and any matters not referred to or not made clear in this guide should be taken up with the convenor of the appropriate committee. It is primarily designed to help the members and their guests enjoy the facilities at the Club and to this end it is expected that everyone will respect the proper etiquette and manners, on and off the course. This guide may be altered and updated by the Board of Directors of the day to suit any change in policy.

2 The Board of Directors Erskine Golf Club was established in 1904. In 1935 it became a Private Limited Company. As a Limited Company it is managed to comply with the Companies Act of the day. Hence the Golf Club is governed by a Board of Directors responsible to and elected by the shareholders, i.e. the full members. To comply with the Companies Act the Club must hold an Annual General Meeting at which it must present audited accounts. The Captain and Vice-Captain of the Club are elected at the AGM. The Board consists of the Captain, ViceCaptain, the immediate past captain and up to 12 Directors. One third of the Directors retire annually. Directors are elected at the AGM to serve, at the present time, for three years. Nominees for Director must have been members for at least four years, as must their proposer and seconder. Nominations for Director should be made to the Secretary before the 30 th November in any year. If there are more nominations than vacancies then a ballot shall take place. Should there be less nominees than vacancies then the Board of Directors has the authority to co-opt members to the Board. The Secretary acts for the Company and the Directors. There is a Ladies Committee elected by the Lady Members and a Junior Committee elected by the Junior Members. The above is a very brief synopsis of the status of the Golf Club. A full and detailed account of the Club is contained in the MEMORANDUM and ARTICLES of ASSOCIATION of the ERSKINE GOLF CLUB LIMITED, copies of which can be found within the clubhouse, failing which, a copy can be obtained by contacting the Secretary.

3 Club Electronic Systems The Golf Club operates an electronic card system which allows members to book into competitions and to pay for food and drinks over the bar. Each member will be issued with card and various discounts can be enjoyed via the use of these cards. Erskine Golf Club operate an online tee booking system available to all playing members. Erskine Golf Club website is available and has a members only area within it. The website can be located at www.erskinegolfclublimited.co.uk Erskine Golf Club have an arrangement in place with Premium Credit Co Ltd to enable members to pay their subscriptions by instalments over the subscription year. Further details can be obtained from the Club Secretary.

4 Applications for Membership Persons applying for Full membership, Associate membership or Junior Membership must complete an application form. They must be proposed and seconded by full members who have at least four years continuous full membership. The applicant must be known to both the proposer and seconder. Applicants will be interviewed by members of the Board prior to being placed on the waiting list. A full member can only propose two applicants in any one year. At the discretion of the Board of Directors this may vary to accommodate specific recruitment drives and special offers from time to time.

5 Membership Categories There are nine categories of membership although this will change in time as certain categories are phased out. The differing categories are as follows.

5.1 Full Members The bye-laws of the Club allow a maximum of 450 full members. All full members are entitled to unrestricted playing times. Gentlemen members can play in all club competitions provided they have a handicap. Lady members play in competitions organised by the Ladies Section. Full members are entitled to vote at AGMs. After four years as full members they can become directors of the club, propose and second nominees for directorship. Only Full members and Full Life Members have the right to cast a vote at any EGM or AGM.

5.2 Full Life Membership Full members who have reached the age of 65 and who have paid 40 years full subscription. These members will have full playing and voting rights.

5.3 Senior Membership Full members who have reached the age of 65 and who have paid 25 years full subscription. This category of membership is being phased out and there will be no new members admitted.

5.4 Associate Membership This category of membership is open to both Gentlemen and Ladies. They have restricted playing rights and pay a reduced subscription. Playing rights and rates of subscription are as posted on the notice boards and may be altered by the Board of Directors with the approval of the members at an AGM.

5.5 Life Associate Membership Associate members who have reached the age of 65 and who have paid 40 years subscription. These members will maintain the playing rights of associate members.

Week Day Associate Membership

Week day associate members play the course but must have teed off prior to 4.30 pm on any day, Monday to Friday. Week day Associate Membership is available to members who have been a full or associate member aged 55 or over who has been a member for 20 years and may transfer if a space is available. The maximum number of weekday members permitted is 20.

Junior Membership

This category of membership is open to both boys and girls up to the age of eighteen years. They have restricted playing rights and pay a reduced subscription. Playing rights and rates of subscription are as posted on the notice boards and may be altered by the Board of Directors with the approval of the members at an AGM. Upon attaining their 19th birthday the junior member will move directly into the Youth associate category of membership.

Youth Membership

Youth membership is available to juniors who on reaching their nineteenth birthday will progress directly into this category of membership which will last until their 25th birthday. This category of membership is open to both males and females. Youth members have no restricted playing rights and pay a reduced subscription. Playing rights and rates of subscription are as posted on the notice boards and may be altered by the Board of Directors with the approval of the members at an AGM. Youth Members, on completion of their period of Youth membership, will progress to full membership.

Members Transferring between Membership Categories

Members wishing to transfer to full or associate membership should apply in writing to the Secretary. Requests for transfer should be made before the 31st January of any year. Should there be no immediate vacancies then the requester shall be placed on the waiting list for the appropriate category. Conditions for transfer will be those current at the time.

Members wishing to resign

Resignation from any category of membership should be made in writing to the Secretary before the 31st January in any year. Failure to resign in this manner may involve the member being liable to partial payment of the following year’s subscription. Note;- The times of playing on the course for each category of membership is posted on the noticed boards and may vary from time to time or from year to year.

Grievance Procedure

Complaints or Grievances by members should be made in writing to the Board of Directors. Grievances by Junior members should be taken up with the Junior Convenor. Members must not deal directly or attempt to reprimand any member of staff. In the event of a complaint against staff the above procedure should be followed.

The Clubhouse

7.1 Entry to Clubhouse As a private club licensed to sell alcohol the Club must comply with the licensing laws. This results in the Club maintaining a register of all non-members using the clubhouse. A visitor’s book is kept in the entrance hall for this purpose. Members, of any category of membership, must “sign in” their guest in this book. This includes wives, children, persons who do not intend to golf, and who do not intend to consume alcohol, there are no exceptions. Alcohol and other beverages served at the bar are for consumption in the lounges and dining area. Under no circumstances are drinks and glassware to be taken into the locker rooms.

7.2 Clubhouse Hours of Opening The Clubhouse operates summer and winter opening hours. Members are advised to check the Notice Boards or Club Website to see the current hours of opening. The Board of Directors may vary these hours to suit particular circumstances.

7.3 Dress Rules in the Clubhouse Erskine Golf Club in common with the vast majority of golf clubs operates a dress policy to ensure that certain standards are maintained both within the clubhouse and on the course. The cooperation of the membership is paramount in making this work and creating an atmosphere of comfort and tolerance within the clubhouse. Taking modern fashions into account the following guidance is given.

a. Jackets, collars and ties must be worn by gentlemen and male junior associates at functions where a specific dress code is requested by the host or at the Captain’s direction, otherwise smart casual is acceptable in all areas. Waterproof clothing is not permitted in the lounge areas.

b. Ladies should wear dresses, skirts and blouses/jumpers or tailored dress trousers. Waterproof clothing is not permitted in the lounge areas.

c. Golf shoes or training type shoes are not permitted in the lounge areas. Trainers may be worn by junior members in any part of the clubhouse.

d. Outer clothing, i.e. coats, anoraks, casual jackets, should not be left over chairs or on windowsills. Clothing not being worn can be left in the Gents or Ladies locker room.

e. The only acceptable tops are shirts with a collar or a roll neck sweater. Ladies may also wear blouses or jumpers. Collarless shirts of any description are not allowed nor is a crew neck sweater when worn without a collared shirt below. Shirts must be tucked inside of trousers when they are designed to be worn as such.

f.

Tailored trousers and clean, unripped jeans worn at the waist are permitted. Patch pocket jeans, military, or trousers of a similar type, track suits and jogging pants are not allowed.

g. Tailored shorts are permitted in the lounges. Cargo shorts and sports shorts are not permitted.

h. Golf shoes even with soft spikes are not permitted. Training shoes or shoes with a similar design are not acceptable for adults.

Members of all categories must not change in the car park.

A “Dress Code” notice is posted on notice boards and members are asked to make themselves familiar with this and also for any additional information regarding the clubhouse. The above dress code does not apply to children 10 years and younger. The Board of Directors are authorised to vary these rules to meet particular circumstances.

Mobile Phones

Whilst it is recognised that mobile phones are a feature of modern life, all members and their guests must not use their mobile phones in any of the lounges or dining room. Should the occasion arise when they have to answer a call or make a call they are requested to carry on their conversation in an area other than the lounges or dining room. The use of mobile phones to access emails is permitted however the playing of video/audio recording is not.

Catering and Bar

9.1 Catering The Golf Club offers a catering service via a franchise agreement and the Franchisee is responsible for the provision of food and catering staff under contract with the Board of Directors on behalf of the club. A snack menu and a plated meals menu are on offer. There is no 10% members discount on catering. There is a 20% members discount on bar products.

9.2 Dining Area The Dining room will be operated by the Franchisee under advertised terms and bookings for dinner can be made with the catering staff where applicable. At other times members may arrange, in advance, with the catering staff the use of the dining room for luncheons on weekdays and Sundays. A notice showing the hours which catering is available is shown on the Notice Boards. They can vary depending upon the time of year. Members are advised to check the Notice Boards. The Board may vary these times to suit particular circumstances

9.3 Refreshments The rules for serving drinks at the bar and the opening hours of the bar are governed by the Licensing Authority under the conditions of our drinks licence. No person under the age of eighteen can be served alcohol. No person under the age of eighteen can purchase alcohol. No person under the age of eighteen can serve alcohol The bar is normally open from 11.00hrs until 30 minutes before the clubhouse closes. Members are advised to check the notice boards for opening times. The Board of Directors may vary opening hours of the bar to suit any particular circumstance.

9.4 Private Functions The Clubhouse can be made available to members for parties of up to 100 persons depending upon the type of function. Bar and catering is available if required for these functions. As members use the club mostly during the playing season it would be unlikely for private functions to be approved during this time although it would depend on the type of function. In all cases applications must be made in writing to the Secretary detailing the type of function, numbers attending, catering and bar requirements. If catering is required and takes the form of a buffet then the price quoted for catering will be related to the numbers attending. There is no members’ card discount in respect of catering charges. There remains a members’ card discount of 10% on bar products.

Members will be required to sign an undertaking which clearly states that they are responsible for the conduct of their guests while on club premises. This includes the cost of any repairs as a result of damage caused to the property of the club. In all cases the approval of the Board of Directors is required and applications must be made well in advance and, where possible, providing three months notice. The Board of Directors will have the right to cancel any function already approved if it is discovered that the original application has changed in any significant way. Members booking a private function must be in attendance at that event. Where additional opening hours to that advertised on the day are required the member will be required to pay for additional staff and licence costs. In all cases, the decision of the Board of Directors will be final. Permitted functions are foreseen as:Wedding Anniversaries Birthdays Engagements Retirement Christenings, Funerals.

     

9.5 Gaming Machines No person under the age of eighteen is allowed to play any gaming machines on the premises. Members are asked to ensure that they do not allow any of their young guests to “have a shot” no matter the attraction flashing lights have for youngsters. The Gaming Machines are for use by members and their guests only. The Board of Directors have also ruled that no Junior member can play the machines regardless of age. Staff members are not permitted to play the gaming machines.

10 Smoking Policy Smoking of any type of cigarettes, including E Cigarettes, is prohibited in all parts of the buildings occupied by the club under the terms of Legislation. Members are encouraged to use the bins provided outside the club to ensure any litter is minimised at the entrances to the club.

11 Young Persons Families are welcome at the Golf Club but members are requested to keep children under their immediate control. This would mean the children sitting with the adult at their table. In the case of very young children should they walk about then an adult must accompany them. With hot food being carried from kitchen to tables it is essential that children are kept under control. Please note that babies and very young children are not permitted after 7.00pm.

12 Storage 12.1 Locker Area Members wishing a locker should contact the Club Secretary in writing. There may be a waiting list for a locker. Any member no longer requiring a locker should notify the Secretary in writing to allow it to be reallocated. Members are required to make payment of the appropriate rental fee for the locker allocated together with key deposit, returnable when locker no longer required. Members should keep the locker room tidy by removing their belonging from the benches and floor. Articles of clothing and footwear found in the locker area will be removed and be kept in a box which will be cleared on a regular basis. Members should note that the Club will not be responsible for any loss from lockers or the locker room area.

12.2 Caddie Car Bays As with Lockers, members wishing a caddie car bay should apply in writing to the Secretary. As with lockers, members with no further need for a caddie bay should notify the Secretary. There are no facilities for electric trolleys. Members should not occupy any bay without authorisation from the Secretary. Members should note that the Club will not be responsible for any loss from the caddie car sheds.

13 Toilet and Shower Area Members are requested to maintain the toilet and shower area in a tidy condition. Towels are provided, free of charge, by the club and should be placed in the receptacles provided after use. Towels should not be left in the locker room. As with the locker area, articles of clothing left will be placed in the lost property box where if not reclaimed will be disposed of by the Club.

14 Match & Handicap (Gentlemen) The Match and Handicap Committee carry out the work of organising competitions, allocating handicaps and maintaining records, but members also have responsibilities. This section refers to gentlemen only as the ladies have their own Match and Handicap system. Lady members and Lady Associates should refer any queries to the Ladies Committee.

14.1 Handicaps Members wishing a handicap should hand in three score cards to the Professional’s shop. The cards need not be over a medal round although this would be preferable. The cards should be countersigned by a member or associate of the Club. Where a round of golf is being played for handicap purposes during a medal competition this must be advised to your playing partners before the round commences. The Match and Handicap Committee will then allocate a handicap and create a record of the member on the M & H computer. The Match and Handicap Committee’s decision shall be final. Members joining the Club with a handicap should present a Handicap Certificate to the Match and Handicap Committee who will create a record on the M & H computer. Members who are also members of another Golf Club must declare which Club is to hold their main handicap record. If Erskine GC is to be their home club then the Committee will treat the member as any other member, i.e. keep their handicap record up to date. It is member’s responsibility to notify his other 11

club of any change in his handicap. Similarly if Erskine GC is their “Away” club then it is again the player’s responsibility to notify Erskine GC of any change in their handicap from their “Home” club. This must be done as soon as practicable. It is always the player’s responsibility to know his current handicap. A few days after each competition at Erskine the M & H Committee will post an updated handicap list. Members playing medal rounds at other clubs (other than Away Players) should enter their scores along with the Competition Scratch Score in the book provided. The M & H Committee will update the player’s handicap record. However as the master Handicap List is only posted after Erskine competitions it is the player’s responsibility to know if their handicap has changed. Please note that the results of most club competitionand subsequent handicap adjustments are posted on the website “How did I do” Members can reference their handicap and playing record from this website via the Erskine Golf Club Website (www.erskinegolfclublimited.co.uk). All players with a handicap are allocated a lifetime CDH (Central Database of Handicap) number registered by the Scottish Golf Union.

14.2 Organisational Arrangements for Medals/Competitions with a Ballot Members are reminded of the procedures which must be followed when playing in competitions requiring a ballot.

14.2.1 Booking Notification of a competition is posted 4 weeks in advance of the event and computerised booking is made available to members in the clubhouse and from home via Howdidido.com. From the entries an order of play is generated by the computer software and a copy is posted on the notice board about 1 week prior to the event. If the preferred playing time is not available members can add their name to a waiting list on the notice board next to M & H computer. The starter will attempt to fit those players on the waiting list into a game but there is no guarantee this will be possible. Should a member subsequently be unable to play he must advise the Professional accordingly at the earliest possible time. Failure to notify the Professional without good cause may result in the member not being allowed to enter a subsequent competition. Members are only allowed to enter their own name on the ballot sheet. Any member entering another members name shall have their name removed from the ballot sheet along with the other named person. Repeated conduct of this nature will result in the member being suspended from a determined number of competitions. Where a member has provided a valid email address to the Club an automated email will, when possible, be sent to you advising you of your start time and playing partners.

14.2.2 Checking – in arrangements On the day of the competition, members should check in with the Professional at least 20 minutes before his tee-off time ensuring his entry is logged into the computer and any fees are paid. Should withdrawal from the competition be necessary on the day members MUST notify the Professional. Failure to do so generates additional workload and may prevent someone else from taking your place in the competition so please ensure you provide as early a warning of withdrawal as possible. It should be noted that members who withdraw from competitions 12

without notifying the Professional are liable to be barred from a subsequent medal. Finally a competitor should enter the required information on the score card – name of the competition, date, his name and handicap.

14.2.3 Returning Cards It is a requirement of competition entry that all cards are returned on completion of the round. A competitor should ensure that the following entries are correct – Score for each hole; Total score; Net score. Finally ensure that his signature and that of the marker are present.

14.3 Stableford/Net Double Bogey Adjustment & Scores This system was introduced by CONGU to place a limit on the maximum score that can be recorded at any hole in order to make handicaps more representative of a player’s potential ability. This control is for handicap purposes only. It has been introduced to lessen the impact of the occasional “bad score” on a player’s Stroke Play return and to reduce the incidence of “No Returns” that can on occasions represent an undesirable proportion of the competition entry. It also allows a player who does not complete a hole, for any reason to continue to record a score for handicap purposes thus sustaining golfing interest and at the same time providing useful handicap information.

14.4 Competitions There are nine monthly medals. No medals are held during December, January and February. Medals due to be played in November and March will not be re-arranged if they are cancelled. Midweek medals are played on the first Thursday and fourth Tuesday of each month March to October. There is no ballot for midweek medals, members arrange their own games. Games should be played in three ball format to speed play on the course.

Starting times for other competitions are not balloted. Players make their own arrangements on the day of the competition. A notice shall be posted four weeks before the date of any competition, other than monthly and midweek medals. This notice will give details of the rules for that competition.

14.5 Juniors playing in Senior Competitions Juniors with a single figure handicap may be invited to play in senior medals and other balloted senior competitions for handicap purposes only, i.e. only a senior member can win a senior medal. Junior members can also qualify for the club championship by playing in the appropriate qualifying competitions. Should they qualify for the final stages there will be no restriction on their time of playing. 13

14.6 Youth Members Playing in Senior Competitions Youth members can play in and win any senior competition.

15 Junior Newton Shield Members – Playing off Yellow Tees At the start of the season a pool of Junior Members shall be selected as potential players for the Junior Newton Shield Team. Those selected will be permitted to play off yellow tees to give them experience as Junior Newton Shield team matches are played off yellow tees. This relaxation will only be for the period April to July inclusive. Other Junior Members playing with Newton Shield pool players must play off their normal red tees. The names of those permitted to play under this ruling will be posted on the notice board.

16 Starting Sheet The procedure for obtaining a starting time on normal playing days is as follows. A starting sheet is posted by the professional on a daily basis. Members wishing to play at a particular time should enter their name against an appropriate time. It is not permissible for the member then to leave the club, the member must remain at the club. Players must be ready to play when their turn to play is reached. Cases of dispute should be referred to the Professional and his decision on any ruling is final.

17 Course Etiquette Attention to course etiquette is as important as the attention paid to the rules of golf. Particular points to be noted are as follows. Two, three and four ball play are the recognised form of play. Single players have standing on the course in terms of R&A rule change 2012-2015. The club have endorsed this rule change. Games of five or more ball play have no standing on the course and are strongly discouraged. Players must play with their own clubs, i.e. players cannot share clubs. Members and or their guests doing so will be asked to leave the course. Slow play causes distress to many members. Players should proceed to play their shots without undue delay and move promptly on to their next shot. The old maxim of “it’s not enough to keep ahead of the game behind you, you must keep up with the game ahead of you” still holds true. Players who lose a clear hole to the game ahead of them should stand aside and let the game behind play through. Players playing off the white tees on non-competition days are requested to limit their number to a maximum of three per group in the interest of maintaining the speed of play. Players not playing a full round must not “cut in” in front of another game unless there is a clear hole ahead of the game playing the longer round. Definition of a clear hole is that the green, fairway and teeing area of the hole behind is clear of any players. No practice is allowed on the course, there is a practice area for those wishing to do so. Single players may play a maximum of two balls if they are playing on the course.

Mobile phones should be switched off when playing on the course.

17.1 Dress on Course Notices displaying the code of dress allowed on the course are displayed on notice boards. The code allows for a standard to be maintained and the following rules apply. The only acceptable tops are shirts with a collar or roll neck sweater. Ladies may also wear blouses or jumpers. Collarless shirts of any description are not allowed nor is a crew neck sweater when worn without a collared shirt below. Shirts must be worn inside of trousers. Tailored trousers are considered to be the only form of suitable trousers. Patch pocket jeans, military, or trousers of a similar type, track suits and jogging pants are not allowed. Only approved golf shoes are permitted as footwear. Shorts are permitted but must be tailored shorts. Football shorts, beach shorts, shorts of a casual nature are not permitted. When wearing shorts, socks must be worn and must be white sports socks. Caps when worn should be worn with the skip forward facing. Members must not change in the car park.
