LIMITED TENDER NOTICE FOR HIRING CARS Limited Sealed tenders are invited by Airport Director, Airports Authority of India, Hyderabad – 500016, for the AC and Non-AC vehicle for the Visiting officers of CHQ & RHQ from the taxi operators/ Travel agents. The Taxi operator must have sufficient number of vehicles well maintained and of 2007 model and later make. Proof having sufficient vehicles is required along with the application for purchasing tender documents. Tender documents and further details can be obtained from O/o the Assistant Manager, (E&M) Workshop, AAI, Hyderabad Airport Contact No. 27902741 and 27903054 Ext: 330, Mobile No: 9490419370. On office working day W.E.F: 15.12.2009 to 22.12.2009 between 10.00 Hrs to 16.00 on payment of Rs. 113/- (Rupees One Hundered Thirteen only), including VAT. Last Date & Time for the submission of tender shall be 23.12.2009 (1500 Hrs). The Tender shall be opened on 23.12.2009 at 1530 Hrs. Duly completed tender from together with EMD of Rs. 10,000/- (Rupees Ten Thousand only) in the form of DD from any schedule Bank in favor of AIRPORTS AUTHORITY OF INDIA, payable at Hyderabad shall be submitted in a sealed cover address to the Airport Director, AIRPORTS AUTHORITY OF INDIA, Hyderabad Airport, Hyderabad -16, up to 1500 Hrs on 23.12.2009. Tender received will be opened on the same day at 1530 Hrs. Tender without EMD will similarly reject. For unsuccessful Tenders, the EMD will be in due course in the form of crossed cheque. Parties who had executed a similar contract with reputed companies/ Public Sector Organisation/Airlines during last Two (2) years only need to participate. TERMS & CONDITIONS: 1. The rate quoted shall be inclusive of Fuel, Oil & Lubricants, Taxes of vehicles, Insurance, Driver, Parking & Maintenance etc., 2. The period of contract shall be one year W.E.F 01.01.2010 to 31.12.2010 or from the date of actual award of contract. It is extendable for a period of another Three (3) months on mutually agreeable conditions.

3. The vehicle providing to AAI should be well maintained 2007 and latest model and shall be is good running conditions with all valid vehicle documents such as registration, insurance, pollution under control certificate, proper driving license for the driver etc., And if any breakdown occurs than the contractor should replace it with in half an hour. 4. The Vehicle supplied by the contractor for AAI job should carry sing board, “ON AAI DUTY” which should be removed after completion of the trip. 5. If the contractor fails to provide the required vehicles, after issue of award letter, than the EMD will be for forfeited and penal action will be initiated. 6. The Kilometer reading and time will be calculated from the reporting point at Airport or according to the user (certified by the user). 7. Any quote without EMD of Rs. 10,000/- will be similarly rejected. 8. Any damage to property of AAI or public caused by the vehicle provided by the contractor shall be borne by him. 9. The contactor shall be in a position to provide the required vehicles within one hour notice. 10. If the contractor fails to provide the required number of vehicle at any point of time, than a levy of rupees 500/- will charged from the contractor in addition to the actual expenses incurred for that particular trip for the inconvenience caused by his fault to the department. 11. The rate finally agreed shall be FIRM during the tenure of the agreement period and no revision in the rate shall be considered. However if the fuel price varies, needful re-imbursement shall be considered as per the formula give as under:

The following shall be assumed: a) Standard Diesel price prevailing at Hyderabad as on 10.12.2009 viz Rs. 36.13 per liter shall be the base index for the fuel price based on which the tender shall quote say “A” Ltrs. b) The Mileage of the AC vehicles shall be assumed to be ……… Km/Ltrs. c) The fuel price prevailing on the 1st of the month of service shall only be considered for the calculation of the fuel escalation reimbursement. d) If the fuel price has increase to say Rs. “B” per month, then the difference in the rate Rs. (B-A) per Ltrs. e) If the cumulative Km covered as Air-conditioned vehicles and T is the cumulative kilometer covered as Non-Air conditioner vehicle, the fuel that would have been consumed for e.g. A/C. vehicle =T/12 Ltrs. f) The Re- imbursement towards fuel price increase than would for e.g. Ac vehicle = T/12 X (B-A). g) If there is a decrease in fuel price deduction shall be done from the bill from the above lines. 12. Only our terms and conditions will be accepted. No correspondence will be entertained once the tender is opened and finalized. 13. Monthly bills can be raised for the work carried out in each calendar and month basis and it will be paid with in 15 Days in the form of crossed cheque or Electronic Transfer by AAI accounts section after receipt of bills. 14. The monthly bills should accompany with log entry or duty slip for the use of transport duly signed by the vehicle user. 15. Income Tax and other taxes applicable will be deducted from the monthly bills. For service tax, service tax number must be provided. 16. AAI reserves the right to terminate the whole contract or part of the contract without assigning any reason by giving One Month (30 days) notice. 17. Airport Director, AAI reserves the right to reject any or all the tenders and will not be bound to accept the lowest quote. 18. In case of any disputes arise, Airport Director’s decision will be the final and will be binding for both the parties. 19. Parking charges at Rajiv Gandhi International Airport, Shamshabad shall be borne by the user agency.
