Dear modelling friend, The Leopoldsburg scale modelling club Moveleo has the pleasure of inviting you to ‘model force ‘17’, Moveleo’s well known modelling festival. Model force ‘17 will be held at SUNDAY, 30th of APRIL 2017. The show will take place at the Technisch Instituut Don Bosco in Helchteren. Located in the center of the Limburg province, this venue is easily accessible by the highways E313 and E314, local roads and public transport. During our search for a suitable environment we have tried to attend to the needs of our traders and clubs. The building is devided into 3 open area’s for traders, clubs and a model contest, making it easier to keep an overview and to provide the best possible accommodation. Our club is aware of the importance of traders attending scale modelling events, therefore we are open to your suggestions concerning the organisation. Keeping the success of the previous 16 editions in mind, we will do our best again this year to make model force ‘17 another fun modelling event. To give you an impression of the things going to happen, we provide a small overview of all planned activities: > model force ‘open contest’: open model contest in 3 levels: beginners / advanced / masters. This way we especially hope to motivate the beginning modeller to enter his/her models into the competition without shame, and with a good change on winning a prize. > trade fair: our visitors are always looking for the latest kits, update sets and documentation to bring their hobby to a new level, or that old kit they have been searching for years. They are hoping to find this all and much more at your trade stand. > active club stands: we try to persuade our modelling colleagues to show some active scale modelling to our visitors. (since they need to infect our visitors with the modelling virus, which eventually will result into a purchasing behaviour at your trade stand) > kids corner: kids under the age of 16 can have their first modelling experience here. Supervised by professional modellers, they get a chance at build their very own model, and take it home with them. Traders interested in supporting this initiative by donating some kits may indicate this on the registration form. RESERVATION Registration needs to be done with the enclosed registration form or by using the online form on our website. In order to be able to guarantee your requested space, registrations by phone or verbal registrations will be not be accepted. More information can be obtained through [email protected] or club members. Due to participants cancelling at the last moment or even not showing up, we are forced to demand an advance payment on the stand fee prior to processing your registration request. Late cancellation or not showing up leaves us with unrecoverable costs, the inability to assign the free space to other interested traders and the empty tables at the show are bad for the show’s reputation with our visitors. The demanded advance payment is 50% of the stand fee to be payed, leveled up. It has to be payed in cash to a Moveleo representative or has to be payed on bank account BE68 7350 0598 9534 (BIC: KREDBEBB) mentioning “Model Force ‘17, your company or organisation name and the desired trade stand length. Your registration request will not be processed until reception of the advance payment. The amount payed in advance will be deducted from the total amount due, only the resulting fee has to be payed at Model Force. For the safety of both our members and yourself, no cash payments will be accepted. When the advance is payed and your registration is approved, a stand will be issued. You will receive an email or letter to inform your registration has been approved. 14 days prior to our event at the latest, you will receive a reminder with your registration confirmation, the actual length of your exhibition stand and some last minute information. RESERVATIONS by letter must reach us prior to April 1st 2017. Reservations through the website are possible until depletion of the space available, but we strongly advise you to register quickly and avoid the risk of missing our event. CANCELLATION There are always situations possible in which you will find yourself forced to cancel your registration. When cancelling your show registration prior to March 1st 2017 the organisation will fully refund the the advance payment for your trade stand. After the passing of this date all cancellations and the associated refund of the deposit will be subject to evaluation by the organisation. After this date a refund of the payed advance will only be possible after providing a valid and proven reason for cancelling, and after approval by the organisation. If no valid reason for the cancellation can be provided, the amount payed in advance will not be refunded and will be held as compensation for costs made and the lost trade stand. RATES In these times of crisis we try to maintain reasonable and ask realistic trade table prices, therefor our price has been set at 8 Euros per meter trade stand. There are no further administration or registration fees. TABLES AND CHAIRS Moveleo provides the stand holder with the tables and chairs necessary to set up the trade stand, based on the requested stand length and number of chairs. These will be installed at the correct location by Moveleo before the start of Model Force. You are allowed to bring your own tables or racks and use these in stead of the tables provided to set up your trade stand, if these tables or racks fit within the size of the requested trade stand. Please indicate on the registration form if you want to bring your own tables so Moveleo can keep your stand clear of unused tables and make an easy setup possible. STANDS AND SETUP After registration Moveleo will issue you a trade stand, this will be the requested size unless less space is available or if the trader requested space exceeding ‘normal requirements’. At Model Force, the exact trade stand will be indicated on the tables or floor. The participant is allowed to change the setup of the tables to his/her needs, as far as

this is possible within the room provided by Moveleo. The participant is not allowed to: - Extend the stand length past the issued stand length - Extend the stand width by reducing the width of neighboring stands, or by reducing the width of the passage corridors for the visitors Moveleo is allowed to charge the excess meters of trade stand, or may demand the trader to alter the stand to comply with the show rules. Stand build-up is possible on Sunday between 8h and 10h. Build-up on Saturday is only possible when requested, and confirmed by Moveleo, between 13h and 15h. All requests for build-up on Saturday must be registered prior to April 1st. The build-up on Saturday and storing of any goods in the show hall during the night is solely at the responsability of the stand owner. LODGING In the area surrounding Helchteren, several hotels are available. If you like to receive more information concerning hotels just check the box on the registration form. SPECIAL TROPHIES We strongly encourage traders wishing to donate a special trophy to do this in the form of a gift voucher or a model kit. We are convinced that this will generate better promotion for your company. PARKING SPACE Finding a suitable parking space is always a problem with large events. Keeping this in mind, we have reserved the best parking spaces for our traders and visiting modelling clubs. With this initiave we hope to prevent you from having to haul models or goods a long way. Arriving at the school complex, you will be personally welcomed by our organising team, which will accompany you to your designated trade space in our event hall. TVA AND TAX REGLEMENTATION Each trader is required to operate in accordance to TVA and tax regulations of Belgium, the European Economic Community (EEC) and the country of origin of the trader. In Belgium you are required to register yourself as a trader, and apply for a business or VAT number. Depending on the sales turnover it is possible to request an exemption for the payment of VAT to the Belgian Tax Services.
