Human Resources: Performance Management Transfer, Cancel, or Delete Performance Documents Reference Guide Human Resources: Performance Management Transfer, Cancel, or Delete Performance Documents Purpose:

Transfer: If an employee changes managers during the performance year, the performance document needs to be manually transferred to the new manager. Alternatively, there may be reason for an individual other than the direct manager to complete a performance document. Cancel: If an error is made in a performance document that can’t be reversed, there is the option to cancel the document and start a new one. Alternatively, if a performance document is no longer required (e.g., transfer to a different appointment type), the document may be cancelled. Documents are automatically cancelled upon termination of employment. Cancelled documents are still viewable by the manager and HR team and can be recovered to allow edits if necessary. Delete: Documents should only be deleted when they are completely unused and recordkeeping is no-longer necessary. Deleted documents cannot be recovered. This reference guide provides the steps to transfer, cancel, or delete performance documents in the PeopleSoft 9.2 system.

1. Log into the myUofC portal (from any UofC webpage). 2. Click the My work tab. 3. Under Direct access, click PS Human Resources.

Transfer a Peformance Document Step 1: Navigate to Transfer Document Page 1. In PS Human Resources, follow the menu path: Workforce Development  Performance Management  Performance Document  Administrative Tasks  Transfer Document

Step 2: Select a Document to Transfer 1. On the Transfer Document page, enter employee/manager/document search criteria. Note: Searching for a manager displays all performance documents assigned to that individual. This is useful for transferring multiple employee documents due to manager change.

3. A list of names matching your search criteria displays. 4. Select the performance document(s) to be transferred. 5. Click the Continue button.

Step 3: Find the New Manager 1. On the Confirm Transfer page, click the Select a Manager link.

2. In the Person Search dialog box, enter search criteria for the manager to whom you want to transfer the document. 3. Click the Search button. 4. In the Search Results, select the manager. 5. Click the OK button.

Cancel a Performance Document Step 1: Navigate to Cancel Document Page 1. In PS Human Resources, follow the menu path: Workforce Development  Performance Management  Performance Document  Administrative Tasks  Cancel Document Note: A document must be cancelled before it can be deleted.

Step 2: Select a Document to Cancel 1. On the Cancel Document page, enter employee/manager/ document search criteria. 2. Click the Search button.

3. A list of names matching your search criteria displays. 4. Select the performance document(s) to be cancelled. Note that documents with the Completed status should not be cancelled. 5. Click the Continue button.

Delete a Performance Document Step 1: Navigate to Delete Documents Page 2. In PS Human Resources, follow the menu path: Workforce Development  Performance Management  Performance Document  Administrative Tasks  Delete Document Note: A document must be cancelled before it can be deleted.
