What’s new for Room Selection 2016:      

The credit requirements for the following residence halls have changed: North Campus 48+ credits Schwartz Hall 36+ credits You are not required to match roommates or fill a room to participate in room selection. All students eligible for room selection will be given a priority start time for room selection based on the total number of expected earned credits at the end of the spring semester. Commuter students can be included in roommate matches and are eligible to participate in room selection with current residents if they have paid a deposit by the March 25th due date. You can apply for an LLC when you pay your deposit. You do not need to complete a separate application. New members welcome! We are introducing a new updated gender inclusive housing option.

Who is eligible for room selection:  Students who have paid their $250.00 non-refundable housing deposit by March 25, 2016  Students who are current residents on campus for the Spring 2016 semester and have paid by March 25, 2016  Commuters who have paid their deposit by March 25, 2016  Students who are currently studying abroad

Important things to know for room selection:  You can reach your MyHousing portal by logging into your bannerweb account through MySCSU, select “Student Services”, click on MyHousing portal and then proceed to the MyHousing portal.  You must participate in room selection to be assigned a room for the upcoming year.  Your current room may not be available for selection.  Living Learning Communities (LLC) are open to returning residents, there is a separate room selection process for students who request an LLC. You may only match with other students who have selected the same LLC.  Your credits for eligibility are based on your expected cumulative earned credits at the end of the spring semester. (expected credits from summer courses will not be considered as part of your total credits for eligibility.)  New incoming students are not eligible for room selection and cannot be considered part of your matched roommate group to fill a room.  If you would like to live with a new student you will have an opportunity to make a room change over summer break selecting from the available rooms to try to room together.  Triple rooms are not available for room selection and are reserved for incoming freshmen.

Which Room Selection Process is Right For You: There are 2 types of room selection– Decide which one is right for you and your roommate group. Only students who have paid their deposit by the due date are eligible for room selection. Internal Room Selection

For students returning to their current residence hall. (*see exceptions below) All matched roommates must be from the same residence hall.

Open Room Selection

For any students who meet the credit requirement for the available residence hall. For any matched roommates who are from different residence halls or if you are switching to a different residence hall.

Finding a Roommate Overview- Filling a room If you will be searching for a roommate(s), you should complete a roommate profile and the roommate survey. You can include your email address so that potential roommates can contact you. It is important that your set your profile privacy to “NO” so that you are included in search results for potential roommates and students can view your contact information. How to create your roommate profile: Login to your MyHousing portal, select the “Personal Information” tab then select “Roommate Profile” from the drop down box. Steps to create your profile: 1. If you already know who your roommates are select “yes” so that you will not be included in the pool of eligible roommates.

2. Enter your contact preference type. (we suggest email) 3. Enter your contact information: (we suggest using your owl’s email account) 4. In the my profile box you can write a short paragraph about yourself and the type of roommate you are or you are looking for, as well as where you would like to live on campus. (i.e. I like video games, I am very neat, I want to live in a West Single suite.) 5. Then select “update roommate profile” to save your information.

Determine Your Room Type: Before you begin searching roommates you will need to determine which type of room and which residence hall you are interested in living in. You and all of the roommates in your matched group must meet the eligibility requirements of your requested residence hall. To determine which residence halls and room types you are eligible for please review the room type information sheet on the next page. Some room types are extremely limited if you are considering any of these options please make sure you and your roommate group have a backup plan if the room type is unavailable. Once you have determined which room type you are interested in you can begin searching for roommates to fill the room. See the room type information on the next page.

Roommate Search : *You are not required to fill a room and do not need to search for a roommate(s). There are 2 types of roommate searches: Simple Search: For students who already know who they want to live with. Advanced Search: For students who are searching for a roommate(s) If you already know who you want to live with you can do a simple search to invite your desired roommates to create your matched roommate group. If you need to search for a roommate(s) you will need to use the advanced search to find potential roommates who have similar preferences and are looking to live in the same room type. Both the simple search and advanced search can be accessed from the “Roommates/Suitemates “webpage of the MyHousing portal, please see below for instructions on how to access the “Roommates/Suitemates” page for Fall 2016 *Please be aware that MyHousing will send automatic emails to students when you request, confirm or decline roommate requests.

How to search for roommates: Login to your MyHousing Portal, click the “Room Selection” tab and select “Roommates/Suitemates” from the drop down box. Select Fall 2016 from the drop down menu

Simple Roommate Search– For students who already know who they want to live with You can do a “Simple Roommate Search” by typing in the name of your requested roommate and selecting “Begin Search”.

If there are multiple people that meet your search you will need to select your desired roommate from the list and continue. This will send an automated email to your selected roommate notifying them of your request. It will also add the student to your list of requested roommates. (see page 12 for more info about your roommate list.)

Advanced Search– For students who need to find a new roommate(s) The advanced search is found on the same page as the simple search, it allows you to select the attributes that you desire in a roommate. You can select as many or as few of the attributes as you desire. Select a few general attributes for a board search, select more to narrow the number of results in your search. Scroll down the search page to the advanced search

Advanced Search– For students who need to find a new roommate(s) Once the advance search is submitted, the search results will show in a list. You can scroll through the results and view students profiles and survey responses to find someone who may be a good match for you. Once you have identified someone who may be a good roommate you can contact them through their profile information or simply request them as a roommate and an automatic email will be sent to the student notifiying them that you have requested them as a roommate.

Creating a Matched Roommate Group: Once you have selected a roommate the student will be added directly to your requested roommates list and a notification email will be sent to the student. The system will show your requested roommate(s), your unmatched roommates and pending roommate requests you have received. Once all roommates have been requested and confirmed by all parties each of your requested roommates’ status will be changed to “matched”.

Once all roommates have confirmed each other, the status will change to “Matches” indicated by a thumbs up, and you will be ready for room selection. The system will not allow you select a room that you or any of your roommates are not eligible for.

How to Select a Room Selection

IMPORTANT: You must designate one member of your matched roommate group to select the room online for the entire group. Reminder: your group should have a back up plan in case your requested assignment is not available. Once you have your matched roommate group, you are ready to participate in the room selection process. The room selections you are eligible for will display in the “Room Selection” at the bottom of your MyHousing home page. Active room selections will appear in red.

Select a room: You may be prompted to select which residence hall you would like to view the available rooms in. You may use your back browser to return to this page to select a different residence hall if you would like to view additional rooms during the process. A list of available rooms will appear for the residence hall you selected. The information listed will include the room number, the number of open spaces in the room, room cost and the room type. Simply select your desired room from the list, this is not a final selection. You can still change your selection at this time.

Room Booking: You will have an opportunity to review your selected room and designate beds for your roommates. Once you have settled the bed/bedroom arrangements, select “I Agree-Submit My Room Selection”. You will be not be able to change your room after agreeing and submitting your request. An automatic email will be sent to you and your roommates with your confirmed housing assignment.

Confirmation of assignment: You and your roommates will receive a confirmation assignment email when you assignment has been completed.

Meal Plan Assignment You will automatically be assigned to the default meal plan for your residence hall once the new meal plan options and pricing have been set. You will have an opportunity to change your meal plan during the summer through your MyHousing portal. More information will be sent through your Owl’s email account.

Late Housing Deposits Students who pay their deposit after the deadline cannot participate in the room selection process and must reapply for housing through the MyHousing portal by completing the “Commuters Housing Request and Deposit.” Students who pay their deposit late will be assigned by the Office of Residence Life.

Room Changes The room change process will be available through the summer break for students who are interested in changing rooms. The room change process does not allow for groups of students to change rooms together however students may individually select the same room if there are multiple vacancies in that room. Room changes will take place online through the MyHousing portal similar to room selection.

Students Requesting Accommodations: The Disability Resource Center (DRC) works with University Health Services collaboratively in order to provide recommendations for housing accommodations for students with disabilities or chronic health conditions. Housing Accommodations for students with disabilities or health conditions vary according to the nature of the documented disability or condition. To request accommodations for housing due to a documented disability or health condition, the student must contact Deborah Fairchild in the Disability Resource Center to make an appointment to discuss the request. Documentation of the disability or health condition must be included with the request. For documentation guidelines, please see the Disability Resource Center website, www.southernct.edu/drc/. Once the request is received, it will be evaluated by the Disability Resource Center and if necessary, University Health Services. Although priority consideration will be given to accommodate students with disabilities and health conditions, it does not imply that a particular accommodation must be granted if housing is not available or if it is deemed not reasonable if other suitable options are available. Living Learning Communities (LLC’s) Living Learning Communities are available to all current and incoming residents through the application process. Interested residents must complete the indicate on their interest in the housing application online through the MyHousing portal. Applications for returning residents must be submitted by March 25th. Incoming Freshmen and Transfer students must submit their interest by May 15th. There will be a separate LLC room selection process for students who have applied to the LLC’s. Students who request an LLC may not request to match roommates with students who have not submitted an LLC application. Specific rooms have been set aside for students interested in the LLC’s and these will be the only room available during this room selection. *Students applying to live in an LLC must meet the eligibility requirements for the residence hall in which the community of interest is established. Students requesting to live in the Honors LLC must be accepted into the Honors College at the time of application.

Housing for Commuters and New Students Current Commuters The housing application is now located in the MyHousing portal which is accessible through the "student services" section of your BannerWeb account. Select the “Commuters Housing Request and Deposit” from the applications tab in your MyHousing portal. Students who have completed the application by March 25th will have an opportunity to select their housing assignment online with returning residents during room selection in April. All other applicants will be assigned by the Office of Residence Life. New Students The housing application is located in the "Next Steps Checklist" on your BannerWeb account which will redirect you to your MyHousing portal. Your admissions acceptance letter will contain your user ID and password which will allow you to access your mySCSU and the BannerWeb. Once you have been accepted to the University and have paid the $200.00 admission's deposit, you will have the option to accept or decline on-campus housing. If you accept on-campus housing, please follow the link to the MyHousing portal. From the main menu, select the “Applications” tab and click on the “Academic Year Housing Deposit and Application”. You will be required to make a $250.00 non-refundable credit card payment at the time of application. Student’s who apply prior to the June 1 proirty date, will have an opportunity to search and match roommates before selecting a housing assignment online in July. You will receive more information through your Owl’s email account and during your orientation there will be a session on how to search roommates and select a room.

Cancellation of Housing Students can request to cancel their housing assignment or application for housing until June 30th by completing the Housing Cancellation request form online through their MyHousing portal. The housing deposit is non-refundable. All other housing and meal plan charges will be removed from the account within 2 business days. After June 30 the Academic Year Housing Agreement is a binding contract and students are financially responsible for both the fall and spring semester unless they meet the standard for automatic release as outlined in the Academic Year Housing Agreement signed at the time of renewal or application. After June 30th, students with considerable extenuating circumstances may request a meeting with one of our staff members to discuss the circumstances of cancellation and request a Housing Contract Cancellation form which will be submitted to a committee for review with supporting documentation. Students who’s request is denied will remain assigned to housing and be responsible for the financial costs associated. Can I participate in Room Selection if I paid my deposit late? Unfortunately, students who pay their deposit after the deadline cannot participate in the room selection process and must reapply for housing through the commuter application in the MyHousing portal. You may not match with roommates for room selection and you will be assigned to housing by the Office of Residence Life

I do not meet the credit requirement for my requested residence hall, but if I take summer courses, am I eligible? In order to be placed in a residence hall, you must meet the eligibility requirements by the end of this spring semester. Your credit total does not include anticipated summer course work. You may participate in a room change process after your credits have been added to your account.

What if I am requesting a roommate who is not currently living on campus? Commuters who have paid their housing deposit prior to March 25 are eligible to be matched as roommates and may participate in room selection with returning students on the last day of open room selection. New students and transfers are not eligible to be matched with returning residents however all parties can attempt a room change at the end of July to try to select the same room.

What if I want to change my roommate and/or room assignment at a later date? After the room selection process is complete, roommate, room, or building change requests can be made online through a room change process more information will be available through your owls email and after the semester ends. This process is done online through the MyHousing portal and is for individual room changes only, you cannot match roommates during this process. Students must remove all roommate matches to participate in a room change process.

What if there are no open spaces left in our requested residence hall when I go to select a room for my roommate group? Have a back up plan for your roommate group. During open room selection you can back browse to select a different residence hall to see what other rooms are available. In addition, the roommate matching process will stay open during room selection days for roommate groups that need to be adjusted in case students need to split up to choose their preferred residence hall, (ex. 4 students wanted a Brownell Suite, there are no more available, they need to split up into 2 matched roommate groups of 2 to select rooms in Hickerson Hall as their back up plan.) Please be aware that you may need to remove roommate matches to select a different capacity room.
