Seabreeze Room The Seabreeze Room also enjoys unrivalled views over Coogee Beach and is the ideal venue for smaller functions. An outdoor garden terrace area adjoins the room, offering two different environments to enjoy your event.

Seaview Room The Seaview Room, with French doors that open onto a wide tiled verandah overlooking Coogee Beach is the perfect location for your event. It can be divided into two completely separate rooms or into a 3/4 size room to ensure that the atmosphere is tailored to your party size.

Arden Lounge For larger events, the Arden Lounge can cater for up to 250 guests cocktail style and is located off the Beer Garden.

Terms & Conditions Room Hire & Surcharge Room hire charges apply to all event bookings. Functions are based on up to a five (5) hour time period – depending on the room selected and event booking (times). This may be extended at an extra cost upon request. Note: Licensing laws extend to 12.00pm midnight for functions during weekdays and Saturday night and 10.00pm on Sunday night. Guests are required to vacate the premises in advance of this time; if this is not complied with charges will apply. Events taking place on Sundays or Public holidays will incur a 20% surcharge on your total spend. Menu Selection Menu selection is required (up to) 10 days prior to your event - including any special dietary requirements and Children’s menu (4-12 years). You will need to advise seating allocation for any special meals for food service. Final Numbers We require your minimum numbers (up to) seven (7) working days prior to your Function or as stated in writing upon confirmation. Please include professional’s meals if required (DJ / MC / Photographer etc). This is the minimum number that you will be charged. Numbers may be increased depending on availability (no later than 3 days prior to your event). Prices charged are those in effect three months prior to the function date. Prices all include GST. Should your final attendance reduce significantly from the original quote charges may apply. Final Payment Food and beverage account must be paid seven (7) days prior to the function or as listed in confirmation. Note: No refund is given for guests who do not attend. Table Setting White table linen is provided for round tables and white linen napkins are included for formal (sit-down) Functions. Round tables seat a maximum 10 guests. Larger tables seating 10 guests or more can be hired at additional cost. You’re seating and floor plans should be discussed with the Function Manager once numbers are determined prior to finalising seating layout. Any events requiring seating allocation need to provide 1 x A4 seating plan with an alphabetical names list/table numbers no later than three (3) working days prior to the Function for set-up purposes. Changes to seating, tables, menu selection or numbers cannot be permitted 3 days prior to events. Decorations/ Room Theming You may provide your own room theming & decorations for your event subject to approval by the hotel. If using candles they must be placed in a glass vase, there is to be no naked flames. Any damage to linen, carpet, walls, or the Hotel’s premises will incur a cleaning or replacement fee. We take no responsibility for damage or loss of any items. Early access to the Function Room can be arranged with the Function Manager in advance for your own set-up requirements or deliveries. Please note: Table scatters or confetti are not permitted. Entertainment Should you provide your own entertainment, please advise the Function Manager in advance. A current copy of Public Liability insurance certificate will need to be provided by any third parties in advance prior to your event. Limitations Children are only able to attend functions under the supervision of their legal guardian. Damage & offensive behavior will not be tolerated by any guest visiting or using the hotel’s facilities. Changes to event set-up and menu cannot be accepted 3 days prior to functions. Smoking The Conference & Function Rooms are smoke free at all times. You may wish to smoke on the balcony/terrace.

Terms & Conditions Confirmation Written confirmation of your booking must be received within 48 hours of making a tentative booking followed by a non-refundable deposit (equal to 10% of the estimated event charge including all food and beverage, room and equipment hire costs) and a signed copy of our terms and conditions within 7 days of booking. Bookings will not be confirmed and secured until deposit and signed terms and conditions are received, unless otherwise agreed. Cancellation A cancellation of a booking must be advised in writing. All deposits are non-refundable. Postponement of any function booking in less than 1 month of event will incur a $200 alteration charge to your final balance when you re-book your function. In the case of a function being cancelled the following terms are applicable: • 60-31 days written notice the cancellation fee will be equivalent to 20% of the estimated value of the function/room revenue. • 30- 8 days written notice the cancellation fee will be equivalent to 50% of the estimated value of the function/room revenue • 7-arrival days written notice the cancellation fee will be equivalent to 100% of the estimated value of the function/room revenue will be charged. RSA – Responsible service of alcohol Coogee Bay Hotel proudly supports and promotes the Responsible Service of Alcohol (RSA). We will strictly enforce these RSA laws and expect the co-operation of the organisers of the function. Staff reserves the right to evict any persons displaying antisocial or intoxicated behavior. Management reserves the right to cancel the function if the venue’s function requirements are not adhered to, or if a breach of the RSA rules occurs during the Function. Security Compulsory Security is required & charged for 21st bookings, or any other function as determined by Management (refer Functions Manager for details). A guest list is required for security purposes and the enforcement of our liquor service responsibilities (RSA) for these events will apply. Catering Our Licensing Laws prevents us from allowing patrons or guests to bring food or beverages onto the premises, with the exception of special occasion cakes. Removal of food & beverage from any if the hotel function outlets is a breach of licensing guidelines and is not permitted. Insurance The Hotel will take all reasonable care to protect the property of the guests, but will accept no responsibility or liability for the loss or damage of items left in the Hotel prior to, during, or after the function. We suggest that organisers arrange their own insurance and/or security for valuable items. Loss or Damage Loss or damage to any part of the Hotel or its equipment will be the financial responsibility of the organisers. Nothing is to be nailed, screwed, stapled or adhered to any wall, door, window or any other part of the building without prior permission from the Hotel. The hanging of banners must be approved by the Hotel prior to the function. We do not permit the use of confetti. Advertising and Endorsement Coogee Bay Hotel has strict guidlines regarding the use of our trademark and logo. As such, the client must first obtain permission from Hotel management before using the name or trademark of the Hotel in any manner. If permission is granted, a proof of proposed material must be supplied for approval by the Hotel’s marketing department. Room Allocation In the event of unforeseen circumstances or any alteration to numbers, the Hotel reserves the right (at our discretion) to change the venue to another suitable room to accommodate other reservations. Every effort will be made to discuss the changes with the organisers well in advance of the final decision.

Terms & Conditions Other Functions The Hotel reserves the right to book other functions in the same function room up to one hour before the scheduled function commencement time and one hour after the scheduled finishing time. Additionally, the Hotel reserves the right to book another function in adjoining rooms at any time. Pre-Function Area As the pre-function area is open plan, no client has the sole right to the total pre-function area and each client is limited to the pre-function area immediately adjacent to his or her function room. At all times flow spaces must be left clear for ease of movement of all clients. Accommodation No accommodation is held without a deposit. The Hotel requires a deposit equalling that of the cost of one nights accommodation for each room being held. 30 days prior to the group’s arrival, the Hotel requires a review of room bookings being held. 14 days prior to the group’s arrival the final rooming list is required together with written authority of which charges the company will accept. The rooming list must contain names for each person and share allocation if applicable. Any cancellation of accommodation rooms after this day will incur a cancellation fee of one night’s accommodation. If these requirements are not met, the Hotel gives no guarantee that it will have accommodation rooms available and will release all block bookings held. All accommodation rooms will be available from 2:00pm on the day of arrival with a check out time of 10:00am on the day of departure. Secure luggage storage facilities are available, if required. Menus and Prices Every possible effort will be made to maintain menus and prices, however these are subject to change. Every effort will be made to contact the organiser if changes occur. Special Effects Smoke machines, special balloon effects and/or pyrotechnics cannot be operated without prior authority from hotel management, due to the effect on the Hotel smoke detectors. Seven working days notice in writing is required. Should the fire brigade respond to an alarm set off by the unauthorised use of special effects, the client will be liable for any charges incurred by the Hotel. Deliveries The Conference and Functions Department must be notified in advance of any deliveries to the Hotel. All items should be marked for the attention of the Conference and Functions Department with the function name, date and item of numbers being delivered. The Hotel will not accept responsibility for items left in the Hotel for more than 48 hours prior to, or at the conclusion of, the function without prior arrangement. Content of the event If the Hotel has reason to believe that a function will effect the smooth running of the Hotel’s business, security or reputation, the management reserves the right to cancel at its discretion, and without notice or liability. Cleaning General and normal cleaning is included in the cost of the room hire. You may incur additional charges in instances where an event has created cleaning requirements that are considered to be over and above normal cleaning. Noise You and your employees, agents, contractors and guests must not exceed any noise levels which could disturb or disrupt the normal operations of the Hotel or conduct any activities that may cause damage to property, endanger the safety of persons or infringe any laws, regulations or rules.
