Classification & Pay • Establish and classify A&P and USPS positions and update position descriptions • Maintain pay grades and pay ranges for A&P and USPS job classes • Maintain A&P and USPS class specifications • Maintain University Organization Charts • Re-design the Classification System 3

Employment • Administer the recruitment and employment programs for A&P, USPS and OPS positions • Assist departments in administering the Employee Selection Process • Coordinate and assist departments in the Employment Appointment Process • Ensure the completion of the I-9 and other required employment documents 4

Employee Benefits • Administer State Group Insurance Programs • Administer FAMU Group Insurance and Annuity Plans • Administer Florida Retirement System and Optional Retirement Program Plans • Process DROP-Deferred Retirement Option Program Requests 5

Workforce Administration • Maintain iRattler HCM/Payroll Module • Enter and update payroll data for all employee groups including Faculty, A&P, USPS and OPS • Provide oversight for the Employee SelfService component of iRattler

Time & Labor • Maintain leave accrual and use records for salaried employees (annual, sick, compensatory, and holidays) • Calculate overtime and compensatory leave payments • Conduct exit interviews and process terminal leave payments • Administer provisions of Family & Medical Leave Act and other disability leaves 7

Payroll Operations • Coordinate and process the payroll for all University employees • Prepare and submit appropriate documents to generate pay warrants for off-cycles, settlements, terminal sick, annual and compensatory leave, overtime and law enforcement incentive payments • Process employment verification requests • Maintain required bi-weekly payroll documents 8

Employee Relations • Maintain oversight of the A&P and USPS performance evaluation process • Manage the University’s Workers’ Compensation Program • Advise and assist managers and supervisors relative to the disciplinary action process for A&P, USPS and OPS employees • Administer provisions of the collective bargaining contracts for USPS employees • Process requests for Tuition Waivers, Reimbursements and Moving Expenses 9

Organizational Development & Training • Create, implement and conduct periodic training assessments • Provide internal, external, and web-based training opportunities • Maintain a Training Database • Maintain the FAMU Learning Content Management System

Points to Remember…. • Use the Employment Appointment Checklist in the hiring process • Establish objective selection criteria in the hiring process • Check for the military discharge form DD 214 and apply Veteran’s Preference as appropriate in the hiring process

Points to Remember (Cont.)… • Check for additional and outside employment during hiring process • Obtain approval from the President, Provost or respective Vice President for hiring and employment separation actions • Extend offers of employment AFTER the approval process is finalized

Points to Remember (Cont.)… • Ensure that new employees contact Human Resources regarding insurances, retirement and other benefits within two (2) weeks of hire • Require participation in DISCOVER FAMU New Employee Orientation • Submit proper documentation for changes in assignment 14

Points to Remember (Cont.)… • Hold employees accountable for meeting timelines required for: – Reviewing/revising Position Descriptions – Conducting annual performance evaluations – Establishing performance objectives – Submission of updated organizational charts – Time and labor data entry and approval

Points to Remember (Cont.)… • Mass approval of time and labor data will lead to audit criticisms and must be discontinued • Adhere to payroll timelines to avoid delays in salary payments • Encourage participation in job related training
