Migrating Student @smail (Google) Emails and Contacts to Student @smail (Outlook – Office 365) in 10 easy steps! ALANA PEREZ, THOMAS JAMES

As of August 26th, 2016, student email were redirected to Outlook 365 accounts.  Old Gmail accounts can still be accessed and used after the switch. WHEW!  Emails, calendars, and contacts from the @smail (Google) accounts will not be deleted and email can be migrated to the new @smail (Outlook) accounts by following these steps.  Make sure your new @smail (Outlook) account has been accessed at least once and your password has been changed.

1. Login to Student Gmail Account Login to your student Gmail account by typing this in the address bar of a browser:

https://mail.google.com ◦ Log in with your @smail (Google) credentials* ◦ Access Settings by clicking on the gear icon in the top right corner ◦ Click Settings * Students who might need to reset their Google account passwords may contact the [email protected] or 253-964-6373, or our old self-service Gmail password reset tool is still available! SID/PIN login required: https://my.pierce.ctc.edu/webapps/GmailPasswordReset/

2. Configure POP/IMAP Settings Choose Forwarding and POP/IMAP ◦ Under POP Download, choose Enable POP for all mail ◦ In the drop down box below “When messages are accessed with POP”, choose keep Pierce College Mail’s copy in the inbox ◦ At the bottom of the screen click Save Changes

3. Access Account Settings After clicking on your account icon in the top right corner, click on My Account ◦ In the next page, choose Connected apps & sites under Sign-in & security

In the top URL bar, type www.google.com/settings/security/lesssecureapps/ and press Enter.

4. Allow access for Outlook – Office 365 ◦ Make sure the “Access for less secure apps” option is set to Turn on ◦ After everything has been copied into the new Outlook account – come back here and reset to Turn Off. ◦ In the left-hand side bar, click Signing in to Google

5. Change your Google account security settings Disable two-step verification to allow Outlook to log into your Gmail account. ◦ Make sure that the two-step verification option is set to “Off” ◦ If you use two-step verification with your student Gmail account, you may need your phone to disable this option

6. Log into your Outlook student email account

From the Pierce College homepage, use the “Student Email Login” shortcut Log in using your new Office 365 Outlook password

In the top right corner, click the Settings button Then click on MAIL

7. Import your Gmail account On the Options pane, select Connected Accounts ◦ Click on the + ◦ Enter your Pierce College smail.pcd.edu email address and your OLD smail Password ◦ Click OK

8. IMPORTANT Unsecured Connection The Unsecured Connection WILL FAIL Click Skip Click POP connection Setting

Click OK

9. New POP account connection Display Name- anything you like, no email from this address will be sent. Email Address- a NON-Pierce College email ie:@Gmail or @Yahoo (personal emails) User Name- Complete Pierce College email with @smail.pcd.edu Password- enter your Pierce College Gmail password DO NOT check Leave Copy of messages on the server Incoming Server- pop.gmail.com Authentication- Basic Encryption- Select “SSL” from drop down menu Port- 995 Click- OK

10.Downloading You will now see: Account- NON PIERCE COLLEGE email address Status- it will say DOWNLOADING DOWNLOADING

This process could take up to 4 hours. You can log out, continue on your computer, or shut down.

Once complete, the Status will display- OK

11. Finish Your old emails and contacts from Gmail will be transferred into your Outlook folders. ◦ The process of importing old emails may take a while, allow a few hours for all contacts and emails to be transferred ◦ You do not have to be logged in while emails and contacts transfer, the process will continue in the background even if your computer is shut down and logged out ◦ Once you have confirmed that all your email has been imported to Outlook, you may delete the connected account from your Outlook settings.
