1. Start Microsoft PowerPoint Microsoft PowerPoint is a presentation program which gives user the flexibility to produce professional-looking electronic presentations. PowerPoint contains several features, including word processing, outlining, inserting clip art, and slide management.

STEPS 1. Click on Start 開始 menu  All Programs 所有程式 Microsoft Office  Microsoft PowerPoint 2010. OR 2. Double click on Microsoft PowerPoint 2010 icon on the desktop.

2. Describe the PowerPoint Screen Below is the PowerPoint screen which consists of a variety of features to make your presentation more professional.

The basic unit of a PowerPoint presentation, whereas Objects are the building blocks for a

PowerPoint slide. A slide contains one or more objects, such as title, text, graphics, tables, charts, and drawings. (c) NOTES AREA The area you create speaker’s notes which is corresponding to the current slide. (d) VIEW BUTTON BAR You can change views by clicking one of the view buttons found on it at the bottom of the PowerPoint screen. (e) DRAWING TOOLBAR

3. Save a Presentation When you are creating a presentation by PowerPoint, the computer stores it in main memory. If the computer is turned off or lost electrical power accidentally, the document will be lost. Hence, it is essential to save your document regularly.

STEPS 1. Point and click on Save 儲存檔案 button on the quick access toolbar. 2. Click the Drives drop-down list box arrow and point to D:. 3. Type the filename “myppt” in the File Name box. 4. Click Save 儲存檔案 button in the dialog box. At the 1st time you save the presentation, PowerPoint displays Save As dialog box with the insertion point blinking after the default filename “Presentation1 簡報 1.ppt” in the File name box, you can assign another filename e.g.“myppt.ppt” to it. Afterwards, PowerPoint automatically assigns this filename to the presentation each time you save it.

4. Close a Presentation After you finish working with the presentation, close it and quit PowerPoint.

STEPS

1. Select File 檔案  Close 關閉檔案.

2. Click Close 關閉 button on the top right hand corner of the window to quit the PowerPoint.

5. Open a Presentation Once you have created and saved a presentation, you might want to revise it or print it. To do this, you must first open the presentation.

STEPS

1. Select File 檔案  Open 開啟舊檔. 2. The Open window popup, click the Drives drop-down list box arrow and point to D:. 3. Click the file “myppt”. 4. Click Open 開啟 button in the dialog box.

6. Create the Title Slide The purpose of the title slide is to introduce the presentation to the audience. Except the blank slide, PowerPoint assumes every new slide has a title.

STEPS 1. Click on the “Click to add title 按一下以新增標題” text box, type “The Hong Kong Institute of Education”. 2. Click on the “Click to add subtitle 按一下以新增副標題” text box, then type “IT Learning Center”. Each textbox in the slide is an Object. You can use the handle around the textbox to adjust its size. Make sure that every object can only be resized when the mouse pointer is any of .

Add New Slide from blank

The title slide for the presentation is created. The next step is to add the content slides in the presentation. Now, try to create a slide with a title and a graphic. But you might not found a suitable pre-defined layout, so choose a blank slide and create objects on it.

STEPS – add a blank slide 1. Select Home 常用  New Slide 新投影片  Blank 空白

Add a Text Object in Slide

In PowerPoint, you cannot type any text directly in a blank slide. You have to add a textbox (Object) before you type. Below are the steps to add a text object into a blank slide.

STEPS – insert textbox for title 1. Select Insert 插入  Text Box 文字方塊  Horizontal Text Box 水平文字方塊 to insert a text box to the new blank slide. 2. The mouse pointer change to . Position the mouse pointer to the left top corner of the slide. 3. Press and hold the left mouse button, and drag a text box for the title. 4. Release the left mouse button, a text box appears with an insertion pointer inside. 5. Type “The HKIEd Logo” in the text box. You can format the text by the tools in the Formatting bar.

Add a Graphic in Slide

Now, try to add a graphic under the title of this slide.

STEPS – locate the graphic 1. Type the location of file “http://www.ied.edu.hk” into Address 網址 textbox of Internet Explorer, and press ENTER key to locate the file. 2. Position the mouse pointer on the top left logo. Right click the mouse button and choose Save Picture As 另存圖片 from the Popup menu. 3. Click Save 儲存 button on the Save Picture window.

STEPS – insert the graphic 1. Select Insert 插入  Picture 圖片. 2. In the Insert Picture window, retrieve the graphic from the location which stores the graphic. 3. Click Insert 插入 button. After the graphic is inserted, you can resize it to fit in the slide.

Add New Slides in Bulleted List

Add a new slide includes bulleted list for the faculties of The HKIEd which can be copied from the Internet.

STEPS – insert bulleted list slide 1. Select Home 常用  New Slide 新投影片  Title and Content 標題及物件

STEPS – insert title 1. Click on “Click to add title 按一下以新增標題” textbox and type “Faculties of The HKIEd”.

STEPS – insert bulleted list 1. Type the location http://www.ied.edu.hk/web/hkied_faculties_and_departments.html into Address 網址 textbox of Internet Explorer, and press ENTER key. 2. Position the mouse pointer to the last character of the first line. Press and hold the left mouse button. Drag the mouse pointer to the first character of the text, and then release the mouse button. 3. Position the mouse pointer on the highlighted text. Right click the mouse button, then choose Copy 複製 from the popup menu. 4. Click on the Bulleted List text box, and then click Paste 貼上button on the quick access toolbar to insert the copied faculty. 5. Repeat the steps to copy all faculties (black words). You have to add some Carriage-return (non-print) character at the end of each name of faculties in order to reform the bulleted list. Student Information Technology Competency (ITC) Test

Now, add a blank 空白 slide with a title “END” only.

Add Animations to Slides

PowerPoint provides many special effects to make your slide show presentation look more professional. With those effects, you can control how slides enter and exit the screen, how the contents display, etc. The following steps show you in details.

STEPS – 1st slide 1. Select the 1st slide on the Slides area. OR Scroll up the vertical scroll bar to the 1st slide. 2. Position the mouse pointer on the main title of 1st slide. 3. Select Animations 動畫  Fly in 飛入 in the animation group 4. Select Effect Options 效果選項  From Top 自上. 5. Position the mouse pointer on the subtitle. 6. Select Animations 動畫  Fly in 飛入 in the animation group 7. Select Effect Options 效果選項  From Left 自左.

STEPS – 2nd slide 1. Click on the 2nd slide on the Slides area. 2. Click on the title of the slide. 3. Select Animations 動畫  Fly in飛入 in the animation group 4. Select Effect Options 效果選項 From Right 自右. 5. Click on Picture under the main title of 2nd slide. 6. Select Animations 動畫  Add Animation 新增動畫  More Entrance Effects 其他進入效 果  Dissolve in 向內溶解. 7. Click OK 確定 button.

STEPS – 3rd slide 1. 2. 3. 4.

Click on the 3rd slide on the Slides area. Click on the title of the slide. Select Animations 動畫  Fly in 飛入 in the animation group Select Effect Options 效果選項  From Right 自右.

5. Click on the text object under the title. 6. Select Animations 動畫  Fly in 飛入 in the animation group 7. Select Effect Options 效果選項  From Right 自右.

STEPS – 4th slide 1. Click on the 4th slide on the Slides area. 2. Click on the title of the slide.

3. Select Animations 動畫  Add Animation 新增動畫  More Entrance Effects 其他進入效 果  Spiral in 螺旋飛入. 4. Click OK 確定 button.

12. Different Views of Presentation There are different views in PowerPoint. Normal view is the default view. As you create a presentation, you can switch among these views as you work. Normal view 標準模式 Normal view is the main editing view, where you write and design your presentations. Normal view has four working areas. Slide Sorter view 投影片瀏覽 Slide Sorter view gives you a view of your slides in thumbnail form. This view makes it easy for you to sort and organize the sequence of your slides as you create your presentation. Notes Page view 備忘稿 The Notes pane is located under the Slide pane. You can type notes that apply to the current slide. Later, you can print your notes and refer to them when you give your presentation. Slide Show view 投影片放映 Slide Show view occupies the full computer screen, exactly the way your presentation will look on a big screen when your audience sees it. Reading view 閱讀檢視 Use reading view to deliver your presentation not to an audience (via a large screen, for example), but instead to someone viewing your presentation on their own computer. Master views 母片檢視 The master views include, Slide, Handout, and Notes view. They are the main slides that store information about the presentation, including background, color, fonts, effects, placeholder sizes and positions.

13. Print a Presentation Once you create a presentation, you may print it as a hardcopy.
