Manage Potential Duplicate Customers Manage Potential Duplicate Customers: TFS# 26539 - The Potential Duplicate Customers functionality allows dealers to reduce the number of duplicate customers by providing the tools and processes necessary to detect and correct duplicate entries. These tools include merge, exclude or delete Potential duplicates. The Potential Duplicate Customers process will run continuously, and records will be checked for potential duplicates each time a record is created or updated, resulting in a (near) real-time identification of any potential match. The Potential Duplicate Customers process uses 4 matching rules to identify duplicate customers: •

Cell Phone Number matches any Phone Number



Email address match



First Name + Last Name + Address (street address only)



First Name + Last Name + Phone (not cell) Navigate: CRM -> Customers (pulldown) -> Potential Duplicate Customers

Ability to Suppress an Event Ability to Suppress an Event - TFS# 32689 This enhancement will allow more accurate process events to fire and give users a way to suppress events that are redundant based on the activity of the customer. This is accomplished by providing a CRM admin the ability to add a filter to process events that will suppress the event if there has been an attempt to contact the customer via phone or an email within in the configured time. Events suppressed due to this setting will be updated accordingly in the customer process (Blue Gear Screen).

Navigate: ILM/CRM -> Sales and Service Processes -> Edit a process Event

Advanced Search – Merging Customers Advanced Search – Merging Customers: TFS#’s 39599, 39600, 39601, 39602 At the request of dealers and to further refine the customer merge process; Service Rep, BD Agent, CSI Agent and Manager fields have been added to the Lead Info section of Customer Merge. These changes allow users to select and carry over these assignments when merging customers. Navigate: CRM -> Customers -> Advanced Search -> Complete a search -> Performance Action section- Select Action: Merge Customers (Pick 2)

Inventory Dashboards It's the Inventory Dashboard, But Not As You Know It! To get there simply log into VinConnect > click Inventory > click Dashboard

Dashboard- search smarter, simpler & more choices When you position your mouse over a widget, information about the segment appears. To drill down, simply click! A new window opens containing details of that section.  Dealers will be added on a weekly basis through the end of February Week of Feb 8th; add dealer numbers 6000-6999 Week of Feb 15th; add dealer numbers 7000-8000 Week of Feb 22nd; add dealer numbers 8001-9000  Week of Feb 29th – all remaining dealers TFS # 30748 Part of Silverlight Deprecation – functionality remains the same but UI is updated.

AIS via HOMENET Over the last couple of months all VAW and CMS websites have been migrated to use AIS via Homenet. The API provides a single point of integration between AIS and all other Cox Automotive business units. Previous versions of AIS (1 & 2) are no longer being used. The following changes were made under the website AIS settings: • The AIS version is defaulted to AIS via Homenet and can no longer be changed • The AIS log link was removed has it tracked changes for AIS 2 • The AIS debug report was removed as it displayed information for AIS 2 and is no longer relevant •

Target - Month Filters New filters are available in Target that allow users to create dynamic filters based on dates. These filters include: • More than X months ago • Less than X months ago • Between X and Y months ago

Target - Email Template A new template type of Target Email Templates has been added to template management. Selecting this type when Adding or Editing a template will cause the Target Fields to appear for selection.

Target- Owns Vehicle column and Filter Target now includes customers marked No Longer Owns in the data. Due to this, the following changes have occurred: •

A new column is available: Owns Vehicle o Possible values:  Yes  No  Unknown

Ability to filter on Owns Vehicle field. All existing views will not include customers marked No Longer Owns. All new views will not include customers marked No Longer Owns o Users can remove or change this filter, if they wish. See next slide for Screen shots

Miscellaneous Enhancements TFS# 39100: To improve performance the User Interface for the VinConnect Mark/Sold page has been updated

TFS# 39213: - To provide a cleaner report the equity for sold wholesale vehicles will no longer be displayed.

Leasing Sources Enhancements Leasing Sources: TFS# 36197 – To allow dealers to accurately process Ford fees, administrators can now enable a Ford Local fee calculation in the Leasing Sources Screen. This option is available when adding a new source or editing an existing one. Navigate: Desking -> New Desking Settings -> Add or Edit a source

VinCall Tracking Reports #39526 – To maintain consistency among reports within CRM, the Reports>Telephony>Call Tracking Usage has been updated with additional fields of Dealer ID, State, and Percent Used.

UnMatch email to a service order #12271– UnMatch email to a service order— When searching a RO customer from UnMatched inbox, the only lead type available is now New Service Lead. Today you have the option to choose both New Sales Lead and New Service Lead regardless of the status.

For customers with the lead status of RO, the only option available will be New Service Lead. No changes have been made to other status types.

Description This resolves the display of certain campaigns not showing as completed.

This resolves customers getting an error page when they send emails via CRM and templates with surveys. This resolves the contract display record in Target to reflect the correct amount of months remaining with in the term. Target - Service Data - All "Total" data fields are including internal and should only be total warranty and total customer spend If a Dealer has access to Target, this resolution shows customer count in the multi day records based on the max events per day. This resolves letters from generating when there is a missing field in the template.

Nugetize Pricing Rules – We are decoupling the pricing rules application from cardashboard so it can be deployed independently. Databases used by pricing rules were updated to use BigInt to ensure we do not encounter issues are records continue to be added to the table. 01428961 When a change is made to existing prices rules the system will not create a duplicate rule.

Description Corrected and error that was being produced when matching the deal for Jon Fillinger from the DMS Matching Report in dealer #6182 Corrects an issue for dealer #6041 that was causing the Notes & History text to display vertically after printing standard lease letter templates. The issue dealer #6109 was experiencing with the Survey Escalation window not opening when clicking the Manage Escalation button while editing a survey has been corrected. Store #6474 will now be able to desk a deal for customer Cecilla Garcia. Emails can now be sent to a co-buyer even if the buyer doesn't have an email address. Corrected formatting issues with GM Phone numbers to reflect the proper formatting for a phone number. Description Now taxable credits will be applied to the proper value resulting in accurate tax and payment values on deals with add-ons The Business Tax will now be included in the amount taxed by the Sales Tax for customers. When the DOR Assessment value exceeds the sum of selling price and all taxable add-ons, the DOR Assessment value will now be taxed. We have improved payment calculations for dealers that utilize bi-weekly and/or weekly payment frequencies.
