Asset Register The Asset Register module is used to build and maintain a comprehensive and accurate asset register. A set of standards is used to compile the asset register to ensure that all assets are identified and sorted according to type. The module eases the management and tracking of assets and gives an accurate account of reasons for adding, deleting and moving assets. Assets can be referenced with GPS

coordinates that can be shown on a map. Linear assets can be captured in On Key by setting up a reference/primary asset with secondary assets which can be added using GPS coordinates or custom distance measures. Benefits •

Asset information is obtainable from one central location (warranty dates, attributes, documents, drawings, suppliers, and serial numbers). Asset management is made simple. Full life cycle management (asset care, asset operation, asset acquisition and disposal) is possible if used in conjunction with other modules of On Key. The module enables users to easily maintain an accurate, multi-site and multi-level asset register. Work orders on linear assets can be captured per GPS coordinate or custom distance measures from a reference point.

Maintenance Manager The Maintenance Manager module is an invaluable tool in the asset care function of any organisation, ensuring the optimisation of asset availability, asset reliability and resources. It is also used as a general helpdesk system.

Camera Integration - provides the ability for camera integration, enabling additional functionality, such as the ability to take, edit, and share images for the purpose of work order management and feedback.

OKX provides the ability to work offline. Changes that are made in the offline state can then be uploaded once connectivity is regained. This functionality ensures that no data is lost in the process, and that OKX can be used in any environment.

Planning and Scheduling Planning and Scheduling boosts productivity as it increases the maintenance efficiency for plants and equipment as well as resource productivity. It does this by allocating work that is achievable and most relevant at the time. The functionality improves the planning phase by making it easier to know and identify: • what must be done - prioritising • who must do it (trade type) • how long the job will take • what spares and materials are required • what other resources and special tools will be required • the estimated cost.

Materials Manager

The Materials Manager module incorporates the basic rules and best practices of inventory management and control, ensuring the optimisation of stock holding and spares availability.

The Material Master is a list of all material master items and coded non-stock items that are used to maintain assets. Each Material Master Item has a unique code and detailed description.

Financials

The On Key Financials module is used to configure the financial structures and data that are used to track and record the cost of work, including budgets. Financial structures in the system are cost centre types, cost centres, cost elements, financial years with financial periods, site financial years, and budgets.

Example: SSRS Asset Expenditure report This report displays a graph of the top 10 assets with the highest expenditure accumulated for a period. A table shows all assets with its related expenditure.

On Key Analytics enables a user to drill down to the absolute detail of a specific problem. In this Failure Analysis example the user can see: • asset type failures • failure type • failure count; repair type and root cause • the associated work orders.

Utilising business intelligence and translating it into improvement initiatives based on quantitative evidence.

Interfacing Tools Two options are available for establishing an interface between On Key and third party ERP systems: •

The On Key Interface Tool provides a generic integration mechanism for any system with On Key. All the data fields involved in On Key’s core transactions can be imported and exported via the Interface Tool, which ensures a standardised approach and reliability. Since the Interface Tool uses On Key’s web services, all transactions are processed through On Key’s business logic to ensure data integrity. All interfaced transactions are recorded in a comprehensive change log and it includes a notification mechanism for error logging. The specific data fields which can be interfaced in this way are available upon request.



On Key Web Services provides the ability to programmatically query and transact against On Key services. This option requires a little more development work, but gives the benefit of greater flexibility and tighter, more real-time integration. All imports that are available through the Interface Tool are also available as synchronous and asynchronous web services. Pragma can also assist with the development of custom integration solutions using the On Key Interface Tool, Web Services and Microsoft SQL Server Integration Services (SSIS) when further data manipulation before import/export from On Key is required.

Minimum software specifications On Key Server On Key requires the following software to be installed on the Application and/or Database server (32-bit or 64-bit): • Windows Server 2008 SP2 / R2 with IIS 7.0 and later • Ensure that the IIS 6 Management Compatibility components have been installed. •

Ensure that the server has been configured for both the Application Server and Web Server (IIS) roles.



For the Application Server role ensure that the Distributed Transaction Coordinator service is running. SQL Server 2008 SP1 and later
