AASAF Meeting Minutes Monday, January 12, 2009 UC 310 Attendees: Richard Jackson, David Davenport, Sheila Bryant, Kathleen Evans, and Yonette Martin The meeting was called to order by Kathleen Evans at 12:07 p.m. Kathleen welcomes everyone back and wishes them a happy new year. Reading and Approval of Minutes The minutes were approved/accepted by consent. Treasurer’s Report See attached. The report was approved/accepted by consent. Reports of Standing Committees (seeking members for vacant chairs)  Student Support/Mentoring Adopt-A-Family – Beulah Oldham The program is at a stand-still. Kathleen noted that some student organizations already have a student mentoring program in place. She recommended that AASAF acts as a resource to those student organizations and collaborates with them on their projects, instead of duplicating programs.  Social Bonding Faculty/Staff Appreciation Day (4/30/09) – David Davenport David suggested having appreciation day during Spring break - instead of April - which allow members - faculty in particular - to attend. Kathleen noted that some faculty may already have personal plans during Spring break. Options: Host appreciation day during Spring break; if successful, then we could do away with hosting it in April. If not, then we could have a follow up gathering such as a “cookout” or “end of semester activity” in April.  Professional Support/Research Support Staff Upward Mobility Series (2/9/09) Sheila Bryant Sheila has agreed to give a brief 5-7 minutes presentation about “Life after Geier” and what educational opportunities are still in place for staff.  Political Action/Campus Advocacy MLK Community Celebration (1/19/09) – Yonette Martin The MLK community celebration will be held at the Burt Elementary School on January 19, 2009 (10 a.m.) following a march. AASAF will facilitate a children’s group ages 4-7. Yonette will contact members about helping in facilitating the children’s workshop. Reports of Special Committees AASAF Scholarship Members are encouraged to donate towards the scholarship. Kathleen and Sheila acknowledged sending a standalone email or letter to members that addresses the scholarship fund and including a direct link to the payroll deduction form if members choose to contribute. Unfinished Business/Events There are concerns about the Spring Play since there is limited time for planning. Yonette contacted Marcus Hayes, but no response to date. Kathleen suggested that we

organize a panel discussion instead but still retain the emphasis on the establishment of the NAACP (invite the history department and NAACP Chapter President or a designee’s to participate). Email to be sent to interested members who would like participate in the panel discussions. Event to be reported at next meeting. Help-An-Elf Participation - $195 was raised (members also donated gifts). Yonette thanks everyone who donated towards the programs and assisted with the gift wrapping. Statement attached. Other Business Kathleen questioned what AASAF could do to promote the benefits of membership. Both Sheila and David acknowledged that the relevancy/purpose of the organization must be addressed. Yonette noted that some members may not be able to participate in our program activities during work hours because AASAF is not a “recognized” organization or may not want to be a member for those same reasons. Richard suggested that we revisit the constitution and focus of the organization. If we collectively choose to become recognized then we could allow the existing organization to remain incapacitated for a period in a comatose state and recreate the organization that is viewed “more relevant” where we do not violate the expressed concerns of the founders of the organization. Discussion to be revisited in February’s meeting. David suggests that we establish personal contact with members to increase member participation, possibly inviting the president or vice president to one of our meetings, encourage members to be more visible on campus by attending receptions as a group. David also suggested that we move meetings to different buildings to accommodate others. Richard recommended using surveymonkey.com to design a survey on member participating and analyze the results. Announcements AASAF members encouraged to participate January 13, 2009 - Faculty/Staff Spring Welcome (breakfast station) from 8-10am in AACC. INTERESTED IN RETENTION??? WANT TO BUILD LEADERSHIP???

Research shows that workers prefer to work for companies that give them opportunities to volunteer. Research shows that workers believe volunteering can help them develop important workplace and leadership skills. Youth Villages’ foster care program needs volunteers to help develop awareness about the needs of children who lack supportive families. Volunteers can become families and mentors to these children. Volunteers can set up speaking engagements to increase awareness. Volunteers can sponsor and help with media campaigns or awareness events. Your Company can increase retention and build leadership by increasing awareness about our foster care program.
