Dear Unit Kernel, Welcome to the Heart of Virginia Council’s 2016 Popcorn & Peanut Sale! We would like to begin by thanking you for volunteering your time and talent to support the Scouting program in your community! We are pleased to offer the Popcorn & Peanut Sale fundraiser for your unit to earn the funds it needs to experience its “Ideal Year of Scouting.” We have some exciting things in store for you this year! By popular demand, we are offering some of our Trail’s End popcorn treats in special collector’s tins this year… there are four different tins/products to choose from! Trail’s End has also introduced Classic Trail Mix… a delectable blend of peanuts, M&MÒ candies, raisins, almonds and cashews! We are excited to partner with Whitley’s Peanuts this year to offer a variety of peanuts and peanut candy that will be a nice addition to our popcorn line-up. Whitley’s “Home-Cooked” peanuts have a wonderful, crunchy freshness and distinctive flavor because their peanuts are still made the old-fashioned way… hand cooked and slowly roasted to perfection right here in Virginia! This annual sale continues to be very important to our Council and your participation is greatly appreciated. In addition to providing support to our units, the sale is a significant source of funding for the Council’s operating budget. It helps fund our camps, service center, staff, communications, adult leader trainings, programs and so much more! Unit Kernel Volunteer Description The Unit Kernel is responsible for the product sale portion of the unit fundraising goal. Your job is to coordinate a successful product sale by bringing enthusiasm and positive energy to the sale. The goal is to raise enough money so your Unit can fund an entire year of Scouting! The Unit Kernel is entrusted to do the following: Attend a Product Explosion, ask questions and share your knowledge with others. Work with the Unit committee to develop a Unit sales goal. Divide that goal into a den or patrol goal, then lastly into a “per Scout” goal. Conduct a spirited Unit Explosion to involve your Scouts and parents in goal-setting and hand out sales materials. Collect, review and confirm Scout orders and place the Unit Order with the Council. Coordinate the distribution and delivery of Show & Sell and Take Order products in your unit. Ensure all Scouts and parents receive training on turning in forms and money collection, best sales practices and safety. Share sales results with the Unit frequently, and praise and encourage success at every meeting. Collect and total orders from den/patrol leaders and place final orders of popcorn and peanuts. Order prizes online by the deadline listed in the Popcorn & Peanut Sale Calendar. Council pays the bill for all prize orders, but orders placed after the grace period will be billed to the unit directly. There is a 10-day grace period after the prize order deadline. Pick up popcorn and peanuts on designated pick-up days at the Kloke Warehouse located at 1855 Boulevard W., Richmond, VA 23230. You will be expected to verify counts and sign the Unit packing slip acknowledging receipt. MAKE SURE YOU COUNT YOUR PRODUCT BEFORE YOU LEAVE THE WAREHOUSE. Distribute popcorn to Scouts, remind Scouts of money due dates and make sure checks are made payable to the Unit. Work with your Unit Treasurer on making deposits. Ensure your Unit pays their product bill due to the Council by the final product payment due date listed on the Popcorn & Peanut Sale Calendar.

Benefits to Your Scout This program can be an integral part of our Scouting program. It provides opportunities and teaches skills that are consistent with the goals of Scouting. Your Scout will learn to set goals and then decide on actions to achieve those goals. He will learn the joy in surpassing a goal. He will practice approaching and talking with a wide variety of people. He will learn how to speak up and look people in the eye. He will learn how to accept rejection and how to persevere until successful. He will learn how to adapt his approach to different situations. He will learn that to communicate effectively he must know what he is going to say. He must learn every aspect of the products and then inform others about it. Knowledge inspires confidence. He will learn how to count money and how to do math in his head and give back the correct change. He will learn that you are there to support and encourage him, but the results are totally up to him. He will surpass your expectations of what you think he can do. At its heart, the popcorn and peanut sale is much more than just a fundraiser. This program is about Scouting and the potential to teach the boys life lessons.

Benefits to Your Unit and the Council Up to 73% of the sale proceeds supports local Scouting. All units that sell popcorn and peanuts will receive a base commission on traditional sales (and online sales for popcorn) of 30%. The average prize cost for the Scouts (which is paid for by the Council) is 4%. Units can earn up to an additional 5% commission by qualifying for the Popcorn Journey to Excellence program. Earning bonus commission depends on what level you achieve. o Bronze Level = 1% additional Bonus Commission o Silver Level = 3% additional Bonus Commission o Gold Level = 5% additional Bonus Commission The product is BSA branded! This is one of the two fundraisers that is Council approved. Scouts are able to wear their uniforms while fundraising (the other fundraiser is the Heart of Virginia Camp Card program).

Scout Prize Program The prize program for this year is the General Commercial Corporation, Keller Marketing Division Prize Program. There are fourteen levels in this program where Scouts can earn a patch starting at Level 1 for selling just one item. In Level 2 at $75 to Level 14 at $4,500, Scouts can earn everything from camping equipment to toys to Walmart gift cards ranging from $40 - $200! It’s a great selection of awesome prizes for Scouts of any age! Prizes are earned from popcorn (including online sales) and peanut sales. Kernels must order prizes online by the deadline listed in the Popcorn & Peanut Sale Calendar. Council pays the bill for all prize orders, but orders placed after the grace period will be billed to the unit directly. There is a 10-day grace period after the prize order deadline.

Trail’s End Galactic Collection Patch Scouts can earn the Trail’s End Galactic Collection Patch and its surrounding “rockers” as well as earn the Top Seller Pin. The patch is for popcorn sales only. Patches are available for Scouts in all Units participating in the sale at no cost. A Scout may qualify for the patch pieces by completing the following: Sell 1 popcorn product: Trail’s End participation patch (center). Online: Make one sale online and earn the Satellite patch. Seller Club: Sell a total of $650 face-to-face and/or online & earn the Saturn patch. Military: Make one military sale face-to-face and/or online & earn the Galaxy patch. 1 of Each: Sell 1 of each item on the Take Order form & earn the Space shuttle patch. Top Seller: Be the Top Seller in your Unit (with $1,000+ in sales) and earn the Top Seller Pin.

Unit Popcorn & Peanut Explosion! MAKE IT A FUN EVENT! This is often the first gathering of the new program year for Scouts and parents. Conduct games, have snacks, offer door prizes, etc. Explain how selling popcorn & nuts helps your unit fund its program and helps the Heart of Virginia Council provide resources, support and service to your unit. Up to 73% of all sales support local Scouting! Distribute Popcorn and peanut order forms to each family. Let parents know they can take order forms to work. Review all the activities planned and their costs for the upcoming program year and summarize a list of things that the unit will pay for in its annual budget. Announce the total sales goal for the sale and the per Scout sales goal for every Scout. Emphasize to parents that participating in the Popcorn & Peanut Sale is an expectation of Scout families and each family should aim to meet or exceed their per Scout sales goal. Remember, parents and Scouts will follow where their unit leaders lead them! Motivate parents to sell by sharing the benefits their Scout will receive through the sale (see the “What’s In It For My Son” document). Motivate Scouts to sell by reviewing the prize program and the prizes they can earn. Review the different selling methods: Show & Sell, Take Order, Online (popcorn only) Review important dates - Show & Sell locations, shifts needed and dates, deadline for Take Order orders, deadline to turn in money for product. Review the safety tips and selling tips. Teach your Scouts how to sell. Teach Scouts this proven sales speech and have them practice it:

“Hi, my name is __________ with Pack/Troop ________! I’m trying to earn my way to ________. (Summer Camp/Philmont, etc.) Can I count on your support? All the popcorn and peanuts are delicious and you will help fund my many adventures in Scouting!”

Popcorn & Peanut Product Orders How much product should the unit order? • Units are encouraged to order 50% to 70% of the previous year’s total sales in their first order. • Any remaining product can be used for Take Order sales. • Show & Sell Orders are due September 12, 2016 (order full cases only). • Take Orders are due by November 7, 2016 (can order full cases or individual pieces). • Council will need to validate the original Take Order forms for Scouts who qualify for the Trail’s End Scholarship and the $650 Club to be qualified for an invitation to Blast Day. Council will need to validate the original order forms (forms are not kept by the Council; they are given back to you). Please collect an email address for the Scouts’ parents so Council can contact them directly regarding the scholarship and Blast Day/Top 100 Spin ‘N Win event if needed. Provide this info on the 2016 Unit Top Sellers Report turned in to Council by 11/7/16. • Scouts can use their order forms to know who to deliver popcorn/peanuts to and who to visit next year. • Remember to schedule receiving your take order forms and all money from your Scouts with time to account for stragglers, because there will always be one or two.

Product Pick-up Location & Information Product can be picked up on your designated pick-up days at the Kloke Warehouse located at 1855 Boulevard W., Richmond, VA 23230. Additional inventory can be picked up each Wednesday during the sale (from September 28 – November 2) from 12:00 noon to 2:00 p.m. In order to pick up additional inventory, you must fill out the appropriate Popcorn or Peanut Additional Inventory Sheet and fax 804-353-6109 or email it to Heather Dunton @ [email protected] by 5:00 p.m. the day before.

Billing The unit treasurer can also have access to the unit homepage on www.trails-end.com (for popcorn) where you can review and print invoices and product orders. Please return one copy of the statement along with your unit’s payment to the Council by the settlement date shown on the Popcorn & Peanut Sale Calendar. IMPORTANT NOTE: No personal checks from your customers will be accepted by the Council for payment of the Unit Product Bill. All personal checks should be deposited into the unit bank account and then payment for the unit popcorn/peanut bill should be a unit check, cashier’s check, money order or credit card. If the unit does not yet have a bank account, then the money and checks should be deposited into the chartered organization’s bank account and have the organization issue a cashier’s check or money order to pay the unit popcorn/peanut bill.

Sales Methods & Techniques Blitz Day: Taking Product Door-to-Door This is the most effective sales method! The Scouts will go door-to-door with product and Take Order forms in hand. They will give their sales pitch to the customer. If they have the product, they will complete the sale and exchange product for the payment. However, if the customer orders a popcorn product the Scout does not have on hand, he will collect the money, take the order and deliver popcorn at a later date. The Scout should give the customer an estimated date of when he will return with their order. Make sure the Scout keeps a copy of the Take Order form so that he knows where to deliver the popcorn when it comes in. $400 SALES KIT (example): 4 bags - Premium Caramel Corn 4 bags - White Cheddar Cheese 8 bags - Classic Caramel Corn 3 boxes - Unbelievable Butter Microwave 3 boxes - Butter Light Microwave 3 boxes - Kettle Corn Microwave

How to coordinate a Blitz Day • Conduct a Blitz Day each week of the sale. Gather at a public place (parking lot), parent or unit leader’s house at 9:30 am (do not knock on doors prior to 10:00 am). Your Unit can do 3 different shifts or split the day in half: 10 am to 12 noon (with a hotdog celebration for lunch), 12 noon to 2 pm (with an ice cream or cookie celebration) and 2 pm to 4 pm (also with an ice cream or cookie celebration). A Mega Blitz allows Scouts to choose WHICH time best suits their schedule in between football practice or other fall commitments. In your communication with your Unit, set the expectation that everyone will participate with at least ONE shift. • Have a meeting with the Scouts and Parents/Leaders to set expectations for the Blitz. • Kernel passes out Blitz Kits to Unit Leaders/Parents. All Leaders and Parents are required to double-check inventory and sign-off on the Blitz Kit Inventory Sheet. Complete the Blitz Inventory Kit Sheet and return to Kernel. • Parents need to bring minivans, SUV’s, trucks and cars. On average there should be two to four Scouts assigned to each parent/vehicle. • Scouts along with parents and/or leaders will blanket neighborhoods with two Scouts on each side of the street, stopping at each house while the parents are observing from the street.

• Scouts should write down the name, address and phone number on their take order forms so they have the information on to come back to visit the customer if necessary. If the customer wants a product the parent doesn’t have in the car, this becomes a “Take Order” sale. • The Scouts will turn in money and any unsold product to the Unit Popcorn Kernel or designee at the end of the Blitz Day. (Usually there is no risk of money or inventory lost.) Count inventory and settle-up on the Blitz Inventory Sheet having the Kernel sign off on the sheet to confirm inventory and that money collected is accounted for. • Always emphasize safety! • Keep in mind: Packs, Troops, Patrols, Dens or even individual families can do a Blitz Day. • The group should meet back at a designated time where you can reward Scouts for participation with a hotdog lunch, ice cream social, cookies or pizza! You can do a Blitz at any time of the day or do different shifts throughout the day. • Give a small reward or recognition to those Scouts who sell the most items, have the most money in sales or knock on the most doors. Make it FUN!

Take Orders This method involves taking the Take Order form to family members’ work locations, neighborhoods, church, and other locations to ask friends and family to place an order for popcorn. Mom and Dad can take the form to the office as well. Money should be collected at the time of the order and the form should be filled out as completely as possible. Let them know when the popcorn will be delivered. Once all Scouts have turned in their Take Order forms, the Unit Popcorn Kernel will then calculate the individual Scout orders and consolidate it into one unit order. That order will be submitted online through the Trail’s End website at www.trails-end.com for popcorn and with the Council for peanut inventory. Units can also use any of their left-over show and sell inventory to calculate their take order. Make sure the Scout keeps a copy of their Take Order form so they know where to deliver the popcorn/peanuts.

Show & Sell: Selling in front of retail establishments This sales technique involves setting up a product display in high traffic areas, such as local stores, office parks, community fairs, sports events and other venues. Remember you must have written permission from the manager of the location prior to setting up your product display. At these events, Scouts give their sales pitch to passersby, collect payment and give customers their product on the spot. Many businesses will allow units to set up and sell if they are asked. Use your imagination and your unit connections to set up locations for a Storefront Show & Sell. A word of caution – stores such as Lowe’s have traditionally been good Storefront Show & Sell locations primarily because Scouts set up at the dedicated out door and people are more willing to stop on their way out. Very busy locations (such as Walmart) traditionally do not make great storefront Show & Sell locations because even though there are tons of people, they are coming and going all at once and are usually in a big hurry. It is hard for Scouts to get their attention and even harder for them to share their entire sales pitch. This experience can be very frustrating and demotivating for Scouts. It is not okay to solicit donations for your specific unit during your popcorn storefront Show & Sell. However, if someone gives you a donation, it should be counted towards a military donation so that the Scout gets credit for it.

Online Sales This sales method utilizes email, social media and websites to sell popcorn to those who are not local or prefer on-line ordering. A Scout, along with his family, sets up a Trail’s End online Scout account at www.trails-end.com. Scouts can customize emails to friends and family members throughout the country to encourage sales to support your Scout and his local unit and Council. The customers can click a link within the email to buy popcorn and have it shipped directly to them. They can also search on the website for the Scout or local Council they would like to support. Once the Scout establishes his account for online sales, he will receive a Scout ID. For every sale under that ID, the Scout will get credit and the unit will get the commission. All sales from August 1st through November 7th will be combined with traditional sales to determine prize levels for the Scout. The unit sales commission will be paid out to the unit from the Council at the end of the sale.

Military Sales This final sales method involves selling popcorn or peanuts for the military. The Scout can take an order form around to neighborhoods to sell popcorn and peanuts for the military. All monies collected for this sale is a tax deductible donation, so make sure you give the customer a receipt. You will handle no product. All products are shipped overseas, around the world and locally to our men and women who are in the military.

Selling Tips for Scouts Þ Set a sales goal for yourself. Pick a prize you really want from the prize program and go for it! Then also set mini goals. When you reach a mini goal, take a break (it is no fun if you are too tired). Þ ALWAYS wear your uniform. Þ ALWAYS smile and introduce yourself. Þ BE PREPARED! Know what you are going to say. Practice your sales pitch with a parent before you go out to sell. This will only build confidence. Please don’t only say “Would you like to buy some popcorn?” If you do, you are missing an opportunity. Make it about supporting the Scout, not about the price of the popcorn. Most people want to support a well-spoken Scout who is trying to reach a goal. Speak clearly and loud enough to be heard. Look people in the eye. SMILE! Þ Give them a reason to support you. “Hi, my name is __________ with Pack/Troop ________! I’m trying to earn my way to ________. (Summer Camp/Philmont, etc.) Can I count on your support? All the popcorn and peanuts are delicious and you will help fund my many adventures in Scouting!” Þ KNOW the different kinds of popcorn & peanuts. If a customer does not want the higher priced item you suggested, suggest another lower priced option. If the customer does not want popcorn, suggest pretzels or peanuts. Þ ALWAYS say “Thank you!” whether they make a purchase or not. Þ If you get frustrated, ask for coaching from your parent, unit leader, unit Popcorn Kernel or another Scout. Try different ideas and find a way that works for you. Think outside the box!

Safety Tips for Scouts Þ Þ Þ Þ Þ



ALWAYS walk on the sidewalk and driveway. ALWAYS sell with another Scout or with an adult. NEVER enter anyone’s home. NEVER sell after dark unless you are with an adult. DON’T carry large amounts of cash with you.

What’s In It For Your Son? The Popcorn & Peanut Sale exists to support the programs put on by Scouting units throughout the Heart of Virginia Council. Some of the goals in Scouting are to teach a Scout a sense of commitment, responsibility and to earn his own way.

POPCORN GAMES Have fun playing these popcorn games at your Unit Explosion! POPCORN RACE: Form two teams. To set up the game, put two buckets on one side of the play area and have both teams line up on the other side. All the players should attach a cup to their foot. To do this, poke a hole in the bottom of the cup and push a rubber band through the hole. Now put a paper clip through the rubber band on the inside of the cup. This will keep the rubber band from slipping out. Players should put the rubber band around their foot and fill it with popcorn. To play, players have to race to the bucket and try to dump the popcorn into the bucket without using their hands. Then, they race back to their team and tag the next person in line. The team with the most popcorn in their bucket in one minute, wins. POPCORN STRAW BLOW: Place a piece of popcorn at the end of a table for each player. Using a drinking straw, blow the popcorn to the other end of the table. The first popcorn to arrive wins. CHOPSTICK POPCORN: Give each boy a pair of chopsticks, one bowl of popcorn and an empty cup. Boys have one minute to fill the cup with as many kernels of popped popcorn as they can using only the chopsticks. POPCORN CUP DROP: Drop pieces of popcorn into a cup on the ground. Try to get as many pieces as possible into the target. POPCORN DISTANCE THROW: Throw a piece of popcorn as far as you can. Farthest throw wins. POPCORN RELAY: Divide into two teams and give each team a non-breakable cup or plate of popcorn. Have each player take turns walking with the cup of popcorn on their heads, across the room, around a chair and back to their team. Play for a specified amount of time such as 2 minutes or more. The team that has the most popcorn in their cup wins! POPCORN CHEER: Pop, pop, popcorn… popping in the pot! Pop, pop, popcorn… eat it while it’s hot! Pop, pop, popcorn… butter on the top! When I eat popcorn, I can’t stop!
