2016 POPCORN SALES GUIDEBOOK Thank you so much for volunteering for one of the most important volunteer positions a Pack, Troop or Crew should have. This sale plays an essential role in allowing you to generate funds for your unit’s program. Imagine being able to pay for EVERYTHING your unit does for an entire year with popcorn sale profits. Trips, camp outs, trainings, advancement, blue & gold banquet, courts of honors, trailers, uniforms and more have been purchased with popcorn funds earned by units.

UNDERSTANDING POPCORN New to the popcorn sale, here is a basic overview! The sale has 2 parts. Show-n-sell and Take Order. With Show-n-sell, the popcorn is received prior to selling it, scouts are able to sit in front of stores and other locations and sell the product. With Take Order, each scout takes orders from customers, collects money and then returns and delivers the popcorn at a later date. The Unit receives a commission for all popcorn sold.

THE 4 PILLARS OF A SUCCESSFUL CAMPAIGN Program, Product, Prizes, Promotion

Pillar #1 – Program “A common element of strong Scouting units is that they all have a good annual unit program, planned a year in advance, that is then shared with all families in the form of a calendar” Before you start organizing your fundraiser, you have to know why? Why are you raising money? More likely than not, you are raising money so that your unit can have a great year of program. A great program is key to a healthy and successful scouting unit. The better the program, the more fun the youth and parents will have. We refer to this as the Ideal Year of Scouting. This means having a plan, a budget and a way to achieve your unit’s dreams. The 1st Pillar of success is to have a plan for your Ideal Year of Scouting. This plan is for units who WANT to increase their program and sales and should focus on the following:  Improving a scout’s experience in Scouting.  Ensuring Scouts enjoy a more robust program.  Increasing youth retention & recruitment.  An annual funding plan for the unit’s program that can be shared with parents.  Gain participation from parents.  Teaching scouts how to “earn their own way”.  Make your sale more profitable and efficient.  Help your Council, who can in turn help you.

STEPS FOR THE IDEAL YEAR OF SCOUTING: 1. Plan  Create an 18-month plan of events and activities for your unit  Dream big and make sure some activities are different every year.  Use the Council and District Calendars.  Attend your District’s Annual Program Planning Training held in May.  Share the annual plan will all families in the form of a calendar

2. Budget  Based on your Unit’s Program Plan create a budget that outlines costs for activities and how much revenue your unit will need.  Create a funding plan to obtain the needed revenue.  Goal #1 is to raise all of the money needed to fund 100% of your program.  Goal #2 is to ensure every scout participates to “Earn their own way”  Share the annual funding plan with all families, so they know how they can afford to do all of the fun things your unit has planned. 3. Set goals  Set a Unit Goal. This goal should be based on PROGRAM. How much do we need to raise to do our planned program.  Set a Per Scout Goal. (Take the Unit Goal and divide by the number of Scouts to see how much each scout needs to sell)  Unit’s and Scouts who set a Goal typically sell twice as much as units who do not set a goal 4. Communicate  Hold an exciting and fun Unit Kick-off event  Share the annual program plan  Provide weekly updates (e-mail/facebook/etc.)  Use technology & social media 5. Earn the Money  Complete Show-n-sell sales  Set up Show-n-sale Location with businesses  Create a Show-n-sell Location Calendar and manage individual sign-ups to ensure success  Complete Take Order Sales / Fill the Page  Use Online Sales & Military Donations 6. Execute the Plan  Deliver your “Ideal Year of Scouting” Promise  Do all of the Trips & Activities that you committed to in your 18-month plan. 2|Page

The Boy Scouts of America’s Partnership with Trail’s End has existed for over 35 years. Over $4 Billion has been raised to support local Scouting Units, Council and Scout Families.

The Council Popcorn Sale has multiple prize levels to help motivate scouts to reach the goals set by the unit.  Prizes earned are based on an individual Scout’s sales. No combining of sales with other Scouts is permitted.  Each Scout can select a patch or hat pin and prize at the level that does not exceed his gross sales. Scouts can select from multiple prize levels as long as the total of the categories does not exceed his gross sales.  Prizes are ordered online. The Unit Popcorn Kernel will order patches/pins and prizes and have them send to his/her home for distribution.  The list of prizes is found with the Take Order Forms

TRAILS END SCHOLARSHIP  Any scout that sells $2,500 in a year qualifies  6% of sales and all future sales go into account  Scholarship is payed directly to higher education institute.

COUNCIL PRIZES  There are 14 levels of prizes, prizes and levels are outlined in a flyer inside the Take Order Forms. You’ll receive these at your District Kick-off  $600 Club – Scouts that sell $600 or more qualify for the club and will receive a Stikbot Studio Pro or 7 function survival tool (Boy Scouts)

DISTRICT PRIZES  Your District may have additional UNIT PRIZES  Units should create & promote their own prizes  Examples: o Throw a pie in the Cub Masters Face o Top Den/Patrol Pizza Party o Pack Pizza Party for reaching goal o Special Trip or event o Major Prize for top selling youth o Prize for weekly top seller o Special T-shirts for selling x amount o Drawing for prizes (earn tickets) UNIT COMMISSIONS AND INCENTIVES  Unit’s receive a 30% base commission on all sales  3% Bonus Commission can be earned by: o Selling more popcorn than last year o Signing up to sell by August 30th o Turning in orders on time o Paying popcorn on time o Attending a Popcorn Training  Unit’s may opt-out of the council prize program and receive 2% more commission, it is highly recommended to NOT do this.

Pillar #4 – Promotion There are many ways to increase your unit’s sales and many different selling methods and strategies for success. Each unit receives a Kick-off kit with promotional materials and sales information. Remember Daily & Weekly promotion until you reach your goal. TRAILS-END.COM & THE TRAILS-END APP New this year is the trails end app. This can be downloaded on any smart device.  Scouts register to sell at www.trail-end.com.  Accept orders for Show-n-sell & take orders  It serves as a digital version of the Take Order Form  Order sync into trail’s end popcorn system  Take payment via cash, check & credit card  Scouts deliver the product to customers  Units are paid directly every two weeks Detailed instructions for using the App can be found on the Council website or Trails-end.com ONLINE SALES: Each Scout can set up, with their parent an Online Fundraising page via trails-end.com. Each scout will be able to:  Add pictures and personal stories  Create a goal, with real time tracking  Have the ability to share site via social media  The system is simply to set up TRAIL’S END POPCORN SELLING SYSTEM The New Trails end online system allows unit leaders to:  Place Unit Popcorn Orders  Manage their inventory in real time.  Digitize the ordering, which saves time  They system handles a lot of the accounting.  Individual Scout orders will ladder up  They system is available via smart devices  Allows the use of Text, email, facebook, twitter etc

UNIT POPCORN SALES KICK-OFF! Goal: To Motivate your Scouts and Parents  Keep it fun! Keep it moving! Keep it short!  Show Parents and Scouts the benefits of selling popcorn  Lay out the exciting Scouting program you have planned for the year  Show families how they can eliminate out-ofpocket expenses by reaching their goal  Teach them about the many tools available to help them with their sell. (online, e-blast, social media, square app etc)  Scouts will have fun while learning to pay their own way. Agenda: 40 Minutes total Grand Opening (5 min)  Get ideas from the online video training at sell.trails-end.com  Play music, dim the lights and have fun! Explain the Scouting Program and Key Dates (10 min)  Share your annual plan and budget  Make sure families understand the benefit of selling popcorn to fund their Scouting Program  Highlight Unit and Per Scout Goals  Highlight Key Dates important to the popcorn sale Train your Scouts (10 min)  Show Scout training videos on sell.trailsend.com at your kick off  Explain the different ways a Scout can sell  Teach them about Trails End App Showcase your Scout Rewards (10 min)  Introduce the Prize Program  Introduce your Unit Prizes Big Finish (5 min)  Send everyone home motivated to sell!  Idea: Have the top sellers from last year throw pies in the face of the leaders

TIPS FROM LEADERS:  It’s a numbers game. The more houses a boy visits, the more they’ll sell – Blair P.  Sell Scouting, and the popcorn will sell itself – Pat G.  Make it fun, and give them an incentive to help the unit. We have a prize jar so the Scouts can earn a small prize for each sale – Ken D.  Let the boys who sell the most throw a pie in a leader’s face! It’s amazing how much popcorn a Scout will sell with that chance in front of them! – Jason M.  Work on the salesmanship merit badge during the popcorn sale – Cindy P.  When the boys deliver the popcorn, have them include a thank you note. Their customers will remember the boys next year – Kimmy P.  My son sold $200 worth of popcorn an hour sitting in front of a store, he sold for just 2 hours and then called his grandparents and reached is $600 goal in no time. As a parent, I loved it because I didn’t have to pay for anything all year! – Nate D.  For Boy Scouts, give them ownership of the sale, get the boys involved in the decision making – Tonya A. SHOW-N-SELL PRODUCT RETURNS Each unit should develop a plan to sell all popcorn ordered and not turn popcorn back in. Normally if a unit does a good job with Take Order Sales, they don’t have any leftover Show-n-sell Popcorn. The Popcorn ordered but not sold will affect future unit commission. Please do your best to keep cost down by selling the popcorn your unit receives. The Crater Lake Council cannot return popcorn to Trails End! 5|Page
