Vacation Planners – Process Overview Step 1 April 1 to April 29 Distribution and Completion of Vacation Planners ∎
Manager distributes the planners to all regular and permanent employees
∎
Employee completes the vacation planner for 2016-2017
∎
Employee may request: - purchase of additional vacation weeks - deferral of previous unused vacation - conversion of sick days to noncashable sick days - conversion of sick days (cashable or non-cashable) to vacation days - conversion of unused statutory holidays to vacation days
Deadline to submit to manager: no later than May 2, 2016
Step 2 May 2 to May 27 Manager and HR Approval
Step 3 June to September End of process & Payment

Manager approves the vacation planners
∎
Manager submits the planners to HR no later than May 9, 2016
∎ Manager returns the approved vacation planner and request form to the employee no later than May 31, 2016.
∎
HR approves the planners no later than May 27, 2016 and returns approved planners to the managers
∎ Unused sick bank days (not taken in 2015 -2016) are paid out no later than September 1st 2016.
SUMMER HOURS AND STATUTORY HOLIDAYS FOR 2016-2017 Summer hours are applicable to all regular and permanent non-teaching full-time employees. Arrangements for part-time and replacement employees are possible according to managers’ discretion and must be in accordance with principles established for permanent employees. As in the past, when taking vacation while summer schedule is in effect, employees are considered to have used five (5) days of vacation, not four (4), with the only exception to this being when a statutory holiday occurs within the same week.

INSTRUCTION SHEET FOR YOUR VACATION PLANNER (2016-2017) Your vacation planner is the tool by which you advise the College of the vacation dates you wish to take for the following contractual year. The reference period for 2016-2017 vacation entitlement is: Support Staff and Professionals - June 1, 2016 to May 31, 2017 Managers - July 1, 2016 to June 30, 2017 The “BALANCE” column indicates the number of hours and days of entitlement for each vacation year indicated.
Put an “X” next to your choices. Your vacation entitlement is indicated on your planner as “Vacation 2016-2017”
Your vacation remaining from the previous year is indicated as “Vacation 2015-2016” Your current sick bank balance Additional vacation days purchased for 2016-2017

REMINDERS (FOR EMPLOYEES)

Please make sure to select days for your full 2016-2017 allotment.
•
In general, your vacation selection should be taken in periods of a minimum of five consecutive work days.
•
The College’s practice is to allow flexibility in the selection of vacation days, however, the services provided by your department cannot be compromised by your choice.
• WHAT DO YOU PUT ON YOUR PLANNER? ▶ Include any days being transferred from your 2015-2016 vacation bank; Note that a maximum of 5 days may be carried forward. Any other remaining days must be taken prior to June 1, 2016. ▶ Include additional vacation days purchased; ▶ Include any sick days converted to vacation days; Note that we included your refundable sick bank balance on your vacation planner. ▶ Include any unused statutory holidays converted to vacation days. • Please remember that when you take a vacation day, you will be required to complete a certificate of absence to be approved by your supervisor. It is recommended this be done within two weeks following your vacation.
