The Lady Betty Martin Fund Why was it established? Professor Sir Laurence Martin established the Lady Betty Martin Fund in 2014 in memory of his wife. The fund recognises Betty’s contribution and passion in education & young people and her time living in Newcastle upon Tyne. The purpose of the fund is to support arts activities benefitting children and young people (age range 0 – 21) in communities across the North East of England. The fund will consider applications to support individuals to develop their practise. How does it work? The Lady Betty Martin Fund is an investment, within The North East Fund for the Arts endowment fund, through which grants are made from the income. What is the next Deadline? Monday 20th October 2014 Who benefits? Grants are given to young people (age range 0 – 21) living in the North East of England to support their pursuits in the arts. Individuals must provide a reference to demonstrate their commitment to their chosen art form. Groups who are assisting a young person to access arts opportunities may also apply but must speak to fund manager Ellie Turner before applying as this fund is primarily for individuals. Examples of grants  Costs towards attending courses / art fair / residential / summer school  Arts activities for a community group  Individual music lessons  Purchase of equipment related to arts activity  Costs towards an arts related experience. How are decisions made? The North East Fund for the Arts advisory committee meets once a year to discuss applications including those to the Lady Betty Martin Fund and the Pen & Palette Club Fund. How can an application be made? Individuals must apply using the application form for individuals which is on our website. Click on the pink ‘Apply’ button on our website and follow instructions for applying as an individual. If you are an organisation or group you need to complete a standard online application form using the help notes below. If agreed, a group or organisation can apply using notes below and the standard application form. These notes should help you fill the form in but are not designed as guidelines for the fund. If you have further questions contact Ellie Turner on 0191 22 0945 or [email protected] Section 1 - Checklist The majority of funds at the Community Foundation support activity in Tyne & Wear Northumberland. However our funds within the North East fund for the Arts, support activities across the North East (Tyne & Wear, Northumberland, County Durham and Tees Valley). If your activity will take place outside of Tyne & Wear and Northumberland please select no. You will be asked later in the form where the activity will take place. Section 2 - Contact details Q1. Contact Details This should be the name and address of the organisation who want the grant and who will be responsible for how it is used. The first contact person should be someone who can discuss the application. If possible please give an alternative person in case the first contact person is unavailable. The second person needs to know enough about the project so that they can answer any questions. Section 3 – About your Organisation Q2. What type of organisation are you? You do not have to be a registered charity to get a grant, but we can only give grants for activities or projects that are charitable.

If you are not sure about answering this question please contact us. Q3. When did your organisation start? Enter the year in which your organisation started (or the exact date if known). Q4. What does your group or organisation do? This should be a brief summary of the work of your whole organisation rather than the project you want a grant for. Please try to avoid jargon or abbreviations. For example a youth club you might say; We are a youth club working with children and young people 13-19 years old. We open four nights each week. We provide sport, leisure and arts activities.

Q5. Where does your group do most of its work? Grants from these funds are available to individuals and organisations across the North East as outlined above. Choose your Local Authority area from the drop down menu. Q6. How many people take part in your organisation’s activities each year? Please state how many people attend your group each year, for example 20 people each week or 160 members. This refers to the number of people who are involved in your activities but does not include volunteers or workers. You might call them service users, beneficiaries or clients. Q7. How many people are involved in running your group? Please state how many management committee members, full time and part time staff and volunteers your group has. By staff we mean people who are paid by your organisation. Full time means 35 hours per week; if they are paid for less than this then they are part time. If any questions don’t apply put a 0 in the box. Q8. What is your organisation’s income? The figures should be taken from your most recent annual accounts. The reserves should not include any money you have been given for a specific

purpose (restricted funds), for example other grants. If you are not sure about your reserves figure please ask your Treasurer or accountant. You must send your latest annual accounts with the application. These should not be more than 18 months old. If you are a new organisation you can send a copy of your most recent bank statement. Section 4 - About the Project IMPORTANT – Please fill in ‘Pen & Palette Club Fund’ or ‘Lady Betty Martin Fund’ in the first box. If you fail to fill it in the application will go in with our general applications and may not be seen by the correct panel. Q9. Describe the project or activity you want the grant for Tell us about the project you are applying funding for and exactly how you plan to spend the grant. Q10. Why is the activity or project needed? Tell us why you think the project or activity is important to your organisation and the individuals involved. Q11. Which one of the following would a grant help you to achieve? Select the relevant option from the drop down list. You may feel the activity covers more than one so choose the one you think best encapsulates the aims of the project. Q12. How will you know if the project is a success? If you get a grant you will have to send us a report on how it was spent and what difference it has made to your group or community. You will need to think how you will collect this information. Some of the things you might do include keeping attendance sheets, taking photographs, making a short film, surveys or an independent evaluation. Where possible we would be keen to get future updates on longer term outcomes of the project. What happened as a result? We will talk to successful applicants further about how best to collect this information. Q13. How many people will benefit from your project?

Please give an estimate of the number of people who will benefit from being involved in the project Q14. Which of our themes will the project meet? Select the relevant option from the drop down list. You may feel the activity covers more than one so choose the one you think best encapsulates the aims of the project. How much will the project cost in total? This should be the whole cost of the project and not just the amount you are asking for if it is part of a bigger project. Q15- 20 All these questions have drop down options. Where the answer might cover more than one option please select what you feel is the main group you are working with/will benefit from the project. Section 5 – Money Q21. How much will the project cost in total? Insert the total cost of the project even if it is more than you are applying to the fund for. Q22. What are you asking us to fund with the grant Each item you are asking for should be itemised with the total cost and the amount requested from the Community Foundation and then the grand total inserted at the bottom of the table. Q23. Where will the money come from If you are applying to other funders to support the project please tell us which other funders you have applied to for a grant including if your group is putting any money towards the project. Source and amount - this should be the name of the organisation approached and the amount of money requested from them. If the amount is secured please tick the box. Section 6 - Administration

Q24. Independent Referee This should be someone who knows you, your group or organisation and the work you do. They should not be a management committee member. A suitable person might be a local councillor or the Council for Voluntary Service. Q25. Your bank account Any grant will be paid by electronic transfer (BACS). For organisations payments will be made payable to the accounts of organisations not personal accounts. Name of account should be the name your bank account was set up in i.e. of your group. Please fill in the address of your bank and your sort code (6 numbers) and account number (8 numbers). Q26. How many signatures do your cheques require? We expect this to be a minimum of two people who are not related to each other. Q27. How many people in your organisation are allowed to sign them? This is normally two or more. Q28. May we give your group’s contact details to the press, TV and radio? We will only do this if you are awarded a grant and we will let you know before we do.
