Overall Purpose:

The overall purpose of the Sport Facility Coordinator – Whitten Oval is to coordinate and be responsible for the functions of the VU Community Sport Stadium. This is the key position for the facility and has a competition, hire and programs focus. The incumbent will be expected to manage all of the day to day activities.

Organisational Context and Relationships

Within the University the position:  works closely with the Western Bulldogs and the VU Sport Management team  supervises the casual reception and program staff Outside the University the position liaises with schools, sporting associations, private sporting providers and government department.

Location/Campus:

The position is currently located at the Whitten Oval Campus of the University. The position and incumbent may be relocated to any other existing or future University work locations where it conducts its operations.

Organisational Unit The Sport and Health Department is located with the PVC Industry, Community and Sport Engagement Portfolio. The Department provides representative, social, community and club sporting programs, health advice and services, and manages a range of sport and fitness facilities. The Department works closely with VU Students, VU staff and the community to deliver high quality programs and services that complement the VU course and research offering. The Sport and Health Department collaborates with the VU Colleges to deliver high quality teaching and learning content and facilities to enhance student outcomes.

MAJOR TASKS & ACCOUNTABILITIES  

         

Oversee the staff and operations of the Whitten Oval Stadium ensuring that it is professionally managed in accordance with University Procedures. Liaise with government departments, internal and external clients and local schools to create and deliver multi-sport/activity and holiday programs for both Primary and Secondary school students that aims to increase the activity levels of the participants as well as providing a fun and educational experience for all. Organise the evening competition bookings as well as maximising the day and weekend usage of the Centre by creating strong partnerships with competition providers, internal VU departments, state and local clubs and groups. Undertake facility supervision duties, including cash handling, during prescribed shifts to ensure the provision of an effective customer service. In conjunction with the Sports Facility Manager, develop and implement the Sports Facilities Unit operational plan, in the context of the Section plan, to meet the identified needs of the facility users. Prepare and oversee the implementation of the Whitten Oval operational plan, in the context of the Unit and Section plan, to meet the identified needs of the facility users. In conjunction with the Sport and Health Section Management, coordinate the marketing and communications activities and procedures for the Whitten Oval Stadium. In conjunction with the General Manager Sport and Health and the Sports Facilities Manager, develop the annual budget for the Whitten Oval Stadium. Prepare monthly financial and statistical comments on the performance of the Whitten Oval Stadium programs for the Sports Facilities Manager and monitor income and expenditure patterns to ensure conformance with budgets and make appropriate recommendations for remedial action. Develop, update and implement a cyclic maintenance program covering all buildings and fixtures of the Whitten Oval Stadium and ensure adequate provision is made in the budget for regular and long term building maintenance and replacement of fixtures in accordance with the plan. Contribute to other Sport and Health Section and Sport and Recreation cluster projects as required. Ensure that the work for which they and their staff are responsible is carried out in a manner which safeguards the OHS of staff, students, visitors and contractors.

TYPICAL/MAJOR CHALLENGES    

Plan and make decisions for the VU Community Sport Centre at Whitten Oval with consideration to the integration or impact of a range of University policies and requirements. Significant initiative and judgement skills to handle a range of issues that may arise at the Centre. Work collaboratively with the internal and external departments and agencies to ensure the Centre is maintained to a high standard, and the service delivery is of a high quality. Work independently, prioritise work demands and respond to emerging requirements.

LEVEL OF SUPERVISION 

Operates under broad direction from the Sport Facility Manager and may be required to manage other administrative, technical and/or professional staff.

PROFESSIONAL AND ORGANISATIONAL KNOWLEDGE    

Expertise in designing and delivering Sport, Health and Fitness programs, particularly at the primary school level, and management of sporting facilities. Develop and implement Sport, Health and Fitness programs that meet the Organisational and Departmental strategic aims. Familiar with Federal and State government legislation and policies related to the tertiary education and the Sport, Health and Fitness sector. Knowledge of University operations, governance and decision making processes, including quality assurance policies and procedures and other relevant legislative requirements.

KEY SELECTION CRITERIA Essential 1.

Knowledge or training equivalent to: a degree with at least 4 years subsequent relevant experience; or extensive experience and management expertise in technical or administrative fields; or an equivalent combination of relevant experience and/or education/training.

Demonstrated operational and financial management expertise of sport and fitness facilities and programs.

3.

Demonstrated experience in planning and implementing physical activities programs for children including school holiday and skill development programs.

4.

Well-developed verbal, written and interpersonal communication skills and the ability to 3

communicate effectively with a range of clients. 5.

Demonstrated ability to lead a team and operate as an effective team member in a diverse environment.

6.

Demonstrated capacity to manage multiple projects simultaneously and achieve key performance indicators by critical dates in an organisational environment.

7.

Current First Aid, CPR, and Working with Children Certificates; or willingness to obtain these prior to commencement.

8.

Skilled use of Microsoft applications and facility management applications.

9.

Demonstrated capacity to understand and comply with employer policy and practices in all aspects of work and conduct, including OH&S and Anti-Discrimination responsivities and complete/attend relevant training.
