Scholars Program Application Process Overview Application for the Rita Allen Foundation Scholars Program consists of two parts: 1. Formal nomination by an institution, during which a nominating official or his or her qualified designee submits a Letter of Inquiry (LOI) proposing the institution’s single candidate through the Foundation’s online application system https://ritaallen.fluxx.io/apply/scholars 2. Subsequent completion of a proposal by the nominee Both parts require submission through the Foundation’s online application portal, Fluxx, located at https://ritaallen.fluxx.io. Please note that the candidate may not submit his or her own nomination. Instead, the candidate adds supporting materials in the second part of the process when submitting his or her proposal.

Part One – The nominating official at the invited institution submits a single candidate by creating a Letter of Inquiry (LOI) in Fluxx. o o o o o

Registers at Fluxx website. Receives an email from Fluxx with login credentials. Enters information into the LOI in Fluxx. Uploads two PDF documents – Letter of Nomination and Candidate Assessment. Submits LOI.

Part Two – The nominee, after being notified that the Letter of Inquiry (LOI) has been submitted by the nominator at his or her institution and reviewed by Rita Allen Foundation staff, submits supporting materials to the proposal through Fluxx. o o o o o o o

Receives email from Rita Allen Foundation indicating nomination. Receives email from Fluxx with login credentials. Edits the proposal in Fluxx. Requests recommendations from five individuals. Uploads two PDF documents — CV and Proposal Narrative. Waits for five recommendations to be received. Submits proposal.

Please go to https://ritaallen.fluxx.io/apply/scholars

and register. Don’t forget to click “Submit Request” at the bottom of the screen when form is complete. You will receive a pop-up message on screen if the nomination was successfully submitted. Within two business days, you will receive an automatically generated email from Fluxx with login credentials. This indicates that you can log in to Fluxx at https://ritaallen.fluxx.io and enter Letter of Inquiry (LOI) information. After logging in, please change your password. On the left-hand side of the page, click on “LOI” under the heading “Requests” to find your institution’s LOI.

Click on your institution to open the LOI submission form.

Click on “Edit” to fill in LOI submission form. Provide a brief description for “Nomination Procedure” and “Tenure Track.” Add “0” as the amount requested (will see this field only when in edit mode.) Don’t forget to “Save” frequently so you don’t lose any information. Click on “Edit” to fill in contact information for the Nominee, Nominator, Institution/University President and Grants Administrator. Important Note – Registrant: If you are filling out this Letter of Inquiry/Nomination on behalf of the Nominator (a senior official at your institution) and you have selected that person’s name as Nominator, please be certain to select your own name here as Registrant. If you do not do so, you will be unable to log in and complete this Letter of Inquiry in the future. For each position either choose:

Option 1 - An individual already associated with your institution from the dropdown menu. Step 1 – Click on arrow for dropdown menu for list of individuals already in Fluxx Step 2 – Choose an individual already listed Step 3 – Click “Save” 3

Option 2 – Add a new individual. Step 1 – “Save” previously added information Step 2 – Click “Add New”

Step 3 – Add and Save information for new individual (If for some reason you do not see the “Save” key please zoom out on your computer screen)

Step 4 – Click “Save” again Step 5 – Click on “Edit” to choose the newly added individual from the dropdown menu

When the LOI is complete, click “Submit LOI.” What to expect: 1. 2.

The Foundation will review for completeness. If approved, Fluxx sends email notification to the candidate (with a copy to nominating official). Fluxx generates a Proposal which together with the LOI make up the full application to the Rita Allen Foundation Scholars Program. The candidate (Nominee) takes over the remaining part of the application.

After a Rita Allen Foundation staff member approves the institution’s LOI, the Nominee will receive two Fluxx emails regarding the nomination, one of which will include login credentials. The Nominee should log in to Fluxx at https://ritaallen.fluxx.io.

After logging in, please change your password.

You will find the proposal under “Requests”/“Proposal.”

Click on the name of your institution to open the Proposal.

Click on “Edit” at the top of the page to edit the Proposal.

Enter all information. Press “Save” regularly so you don’t lose any information.

When completing the “Abstract” field, please provide a summary in terms that would be understood by a general audience. Don’t forget to click “Save.” This summary becomes public information so do not include any proprietary or confidential information. Limit the summary to 3,000 plain text characters, including spaces. Text containing scientific notations, special characters, special fonts, and other rich-text formatting (e.g., bold, italics, underline) cannot be saved or displayed. Please type continuously—do not insert carriage returns at the end of each line but only to start new paragraphs. If you cut and paste from another document, check the text to make sure the lines are continuous.

Add “Additional Information.” Don’t forget to click “Save.” Please explain how your proposal differs from or relates to your other supported projects. Describe how becoming a Rita Allen Foundation Scholar would enable you to pursue new ideas and take strategic risks. The summary should be 1,000 characters max, including spaces. Text only. No special characters or formatting (see above).

Describe “Other Sources of Funding”: Step 1 – Click on the green “+” Step 2 – Enter funding information Step 3 – Click “Save” You must detail past, current and pending support from other funding sources. “Other Sources of Funding” includes all financial resources, whether Federal, non-Federal, commercial or institutional, available in direct support of an individual’s research endeavors, including but not limited to grants, cooperative agreements, contracts, or institutional awards. Applicants with committed awards that overlap the first two years of the Rita Allen Foundation Scholars Program from the Beckman Young Investigator Program, Kimmel Scholar Award, Pew Scholars Program in Biomedical Sciences, and Searle Scholars Program are not eligible. Other sources of funding may influence selection.

Five Letters of Support from people acquainted with your work are required. Request a recommendation: Step 1 – Click on the green “+” Step 2 – Add name and email Step 3 – Click “Create Recommendation” Step 4 – Check to see if your recommenders received the request as some institutions may filter the request email. You may add the same name twice with an alternate email address. At least two of the letters should come from individuals outside of your institution. Fluxx will send an email directly to each reference requesting a letter of support. To track the status of each letter or to resend the email request, return to this section from time to time to monitor progress.

The “Submit” button for your proposal will not become available until all five letters of support have been received

When five recommendations have been submitted and the proposal has been completed, click on “Submit Proposal.” You will receive confirmation via email once the Foundation reviews your Proposal for completeness.
