Introduction The Listing Notifications feature is a premier online tool that helps you effortlessly put critical market information into the hands of your important clients. You’ll find the ability to provide even higher levels of service as the Listing Notifications constantly searches the MLS on your behalf and emails your clients the newest property listings – moments after they hit on the MLS! Sign up your current leads prospects, however hot or cold, and use the Listing Notifications to stay in front of them until they’re ready to buy. Every email that is sent from the Listing Notifications feature comes from your email address and contains your information and photo, along with links back to your personal website. To further simplify your life, the Listing Notifications feature is integrated directly into your AgentAchieveTM contact manager, so you don’t even need to log into another system to benefit from this powerful tool. You can optionally receive notification on your cell phone of your client’s activity, down to what listings they have viewed and the properties in which they are interested. Follow this Quick Start Guide to begin using Listing Notifications. The guide will direct you through: • • • • •

Setting up a Listing Notifications account and search profile Managing client accounts and search profiles Viewing client activity Viewing client access Setting up your personal preferences

Create a Notifications Account   To enable your clients to receive automated email notifications of property listings, follow the steps below:    1. Click on Notifications  2. Click on the New Saved Search link  3. Enter the contact name and click the Find button  4. Select the contact and click on the New Saved Search or Account button  5. If this is a new account, you must first enter a username and password, and select the preferred email address.  Optionally, you may receive a copy of all email notifications sent to the client by selecting the “Copy me on  notifications sent to this client” button  6. Mark the button to Create a New Saved Search and then click the “Save” button  3

7. Enter a name for this search in the “Search Name” field 8. Select the frequency of email notifications to the client

NOTE: Search fields may vary by MLS and might not reflect exactly what’s displayed below, but will be similar.

Quick Search Options – This search offers frequently used search fields which enables you to create a saved search profile quickly and more efficiently.

Enter/Select the search  criteria using the “Search  Options” section. To expand  this section to view all quick  search options, click the  “More Options” link in the  lower right.            The listings displayed and Listings  Found count will update automatically  as you enter criteria.    Use the “View” tabs to change how  you are seeing the results.

MLS Specific Search – This search offers a greater number of fields which allows you to create a search profile using very specific criteria. 1. Select the MLS you want to search. 2. Select the Property Type. 3. Mark the box next to each Property Status you want to include. (The availability of this field varies per MLS Board). 4. Select a County, and then select a city, area, zip code, or any combination. To select multiple cities/areas, hold down the Ctrl key and click on the additional selections. 5. Enter the Price Range and Listing Dates. 6. Use the Property Location Specifics options to locate a property by street name, map code or development. 7. Refine your search by using the additional property detail fields. 8. Use the additional search options to locate very specific property information: • Special Features - Limit your results to properties that contain a certain feature or amenity. • Parcel Information - Limit results to specific information about the lot, parcel, Homeowner's Associations, and more. • School Information – Limit results to properties within specific school districts. • Perform a Vicinity Search - Limit your results to properties around a center point address. • Perform a Map Search - Select your search area by highlighting it on a map. 9. Click the Search button to preview results before saving. 10. Select the sort order for the result. 11. If you are satisfied with the results, click the Save Search button.

Your contact is now set to receive listing notifications.  An email is automatically sent to the client containing their  username, password, and URL to their profile.       

   

   

NOTE: As an Agent, you can click on a property address or house icon on the map to   preview an Full Property Detail report

Manage Listing Notifications Accounts The dashboard displays a snapshot of your client’s activity, including contact name, number of listings viewed, number of search edits, amount of logins, number of emails sent, and the date and time the last notification email was sent. Click on a client’s name to view and manage search profiles, or view a summary of recent activity by clicking on the “View Report” link.

View and Manage Search Profiles 1. Click on Notifications. 2. Click on the client’s name. All search profiles and options to manage the profile are now displayed.

View Listings/Modify Search - Click this link to view the listings that have been sent to the client and to modify the client’s search criteria. View Search Summary - Click this link to view the search criteria included in the profile. Delete Search - Click this link to delete that search profile and discontinue the email notifications for this search profile. Copy This Search - Click this link to copy the search criteria from one client into another client’s profile. Custom Email - Use this link to create a personalized email that will be sent to this client. Email Frequency - Use this drop-down box to change how often your client receives notifications.

quick start guide: listing notifications Add Additional Search Profiles There is no limit to the amount of search profiles a client can have. To add another search profile for your client, click on the Create New Search link.

View Client Activity This area allows you to view the way that your client uses their account. Any time your client views a property, receives an email alert, edits a search profile, or logs into their account, the information will be tracked in this area. Adjust the drop-down menu to view activity for a specific time frame or to limit the report to a specific type of activity.

Saved Properties This allows you to view the properties that a client has saved. Additionally, you can create notes that your client will be able to view within their account. View Saved Properties 1. 2. 3. 4.

Click Notifications. Click on the client’s name. Click on the Saved Properties link. Additionally, you can create notes that your client will be able to view within their account. To create a note, click the Add Note link underneath a saved property.

Sent Email Notifications You may view the dates and times notifications were sent out to your clients, as well as the listings that were included in each email. View Email Notifications Sent 1. Click Notifications. 2. Click on the View Activity link. 3. In the Account Activity section, click on the View Details link next to Emails Sent. 4. A list of all properties that have been sent to your client is displayed. To view a property detail report, click on the address of the property.

quick start guide: listing notifications Points of Interest Use the Points of Interest feature to enter in addresses of locations that are important to your clients, such as work, day care provider, etc. Whenever your client views a property listing, the detail report will display how close a prospective property is to each of the points of interest. Add a Point of Interest 1. 2. 3. 4. 5. 6. 7.

Click Notifications. Click on the client’s name. Click on the Points of Interest link. Click on Create New Point of Interest. Enter a name for this point of interest. Enter the address. Click on the Submit button.

Manage Client Preferences Use this area to manage the client’s username and password, preferred email address, and to activate or deactivate a notification account. Access the account preferences by clicking on the Account Preferences Tab within the client’s account.

Username and/or Password You may reset the password or change the username as needed. Reset the Username or Password 1. 2. 3. 4. 5.

Active or Inactive Setting an account to inactive will discontinue the automated email notifications and prevent them from logging into their account. Click the Save Contact Preferences after changing this option. Disable an Account 1. 2. 3. 4.

quick start guide: listing notifications Email Notification Preferences You may elect to receive a copy of all notifications that are sent to your client. To enable this feature, mark the “Copy me on notifications sent to this client” box. Preferred Email Address If your client would like to have notifications sent to multiple email addresses (work, home, spouse, partner, etc.), mark the “Send Notifications” box next to the corresponding addresses.

NOTE: You must mark at least one email address if you would like you client to receive notifications from you.

Client Access Personal Website For the agents that have purchased a personal website: Your client can access their notification account by logging in through your personal website.

Email Notification The email notification that is sent to the client contains multiple links that the client can use to access their account.

Direct Link To locate the URL of the direct link, click on Notifications and then click on the Preferences link. To create a more user friendly website address, enter your name (without spaces) or a short phrase (withoutspaces) in the box. Click the Save button.

Client Side Features The account dashboard is displayed after a client logs into their Notifications account. Using the links, a client can quickly view, edit, modify, or delete search profiles. They may also perform a property search, view saved properties, and create points of interest. The My Preferences Tab allows the client to edit contact information, username and password, and change their preferred email address.

Search summary details are displayed, including the total number of matching listings, number of recent listings, number of price decreases, highest and lowest price, average and median price, and the average number of days on market. The Search Profile Property Distribution Analysis Graph displays a snapshot view of the number of properties within the specified price range. Also, the date the profile was last modified and the date it was created is displayed above the graph.

quick start guide: listing notifications Listing Notifications Preferences There are many settings and options you can use to personalize the notification account. To access your account preferences, click on Notifications and then click on the Preferences link.

Notification URL Address A link is provided that you may send to your clients in order to directly access their account. However, you may wish to create a more user friendly website address for your clients to use. To do so, enter your name (without spaces) or a short phrase (withoutspaces) in the box. Then click the Save button.

Automated Email Presentation Options You may elect to include a custom email header and/or email footer in each automated email that is sent to your clients. To customize the information, click on the edit link.

Customize Email Notification Messages You have the option to personalize the default email notifications that your clients receive. The Welcome Message is the first message your clients receive after signing up for a notification account. This message will automatically include their login and password information. However, you are free to personalize the rest of the message as you like. New Listing Notifications Introductory and Closing Message is the message users will receive when there are new listings that match their search criteria. The body of this message will contain your client's new property listing summary/detail. You may personalize the intro and closing in the message as you like.

Create a Custom Welcome Message and/or New Listing Notification Email 1. Click on Notifications. 2. Click on Preferences in the left navigation menu. 3. In the Automated Email Templates section, click on the name of the email template you would like to change. 4. Enter your personalized message. 5. Click Save when finished. 11

Click on Contacts. Click the name of the client. Click on the Notifications tab. Click on the custom email icon located next to the saved search profile. Enter a subject, header, and footer. The body of the message will automatically contain the property listings. 6. Click Save when finished.

Matching Contact Alerts By default, whenever you view a property detail page, AgentAchieve will alert you if any of your contacts may be interested in that particular property. This is done by detecting when a contact's search profile matches the details of that specific property. Select whether you want to enable this alert to display on property detail reports.

Email Address Verification When a consumer begins the account signup process, you can require them to validate their email address by automatically sending them an email with a validation link which must be clicked before they can continue the signup process.

Daily Client Activity Email The Daily Client Activity Email feature allows you to receive a daily email that summarizes the activity of your clients. When enabled, you will receive an email that provides a summary of each new listing that matches your client's interest, as well as other activities performed within their account. Enable the Daily Client Activity Email 1. Click on Notifications. 2. Click on Preferences in the left navigation menu. 3. Click yes to enable the Daily Client Activity Email and select the information would you like included for each contact. 4. Select if you would like to receive an update for all clients, clients with activity that day, or a “hot list” of clients that you select. 5. Click on Save. 12

Configuring your Client Activity Alert Preferences You may elect to receive notifications for different types of client activity. Notifications can be received as an alert on your homepage, by email, or by an SMS text notification on your cell phone/mobile PDA - or both. You may also select how far in advance of an event you want to receive an SMS notification. Configure the Alerts 1. 2. 3. 4. 5. 6. 7. 8. 9.

Click the Preferences link in the top right menu. Click on Alerts. Select which types of client activity alerts you want to receive. Select how you want to receive the alert (Homepage, Email, SMS/Cell). Select the timing for the notification, if applicable. For email notifications, enter the preferred email address. For text/SMS notifications, select your service provider and enter your phone number. Select your time of day preference. Click on Save Alert Preferences button.
