Local Folders and Contacts Options for MS Office Outlook 2007 Clean your inbox. We are not looking for you to re-read all your email; however, please sort your email by size and try to delete any large emails/attachments you no longer need. Also, remove your deleted items and any old email that is no longer needed. DO NOT move your email to local folders, since only the email on the server will be migrated to UAConnect. Decide how you are going to process your personal folders. There are several options. Once you open your .pst file(s), you can: • • •
leave your folders local and copy your contacts to UAConnect use the move command to transfer local folders to UAConnect import your local folders and contacts to UAConnect
Leave Folders Local and Copy Contacts to UAConnect After you move your .pst files to Outlook go to Contacts and select the contacts you want to move to the UAConnect (server). Note: the top Contacts listed under My Contacts is the one on the server. Contacts listed beneath are from your moved .pst files.

Go to Edit > Select All

Go to Edit > Copy

Click on the top Contacts
•
Go to Edit > Paste
Download Address Book Go to Tools > Send/Receive > Download Address Book

Uncheck the Download changes since last Send/Receive box > click OK
Copy Contacts from the Global Address List (GAL) How to verify if you are using the Global Address List (GAL) vs. UAConnect AL: •
Open Outlook

Click on the Address Book
•
Select Tools > Options > Addressing
•
Select Global Address List (GAL) as default
•
Click Ok

Move Local Folders (Personal Folders) to UAConnect Once migration is complete and you have your UAConnect account setup in Outlook (2007, 2010), you will want to consider whether to move your email to the UAConnect server. To copy your email from your local disk (Personal Folder) or from the IMAP server is straight forward. Please use the following steps: First locate your .pst mail files. •
In Outlook go to File > Open > Outlook Data File…

This will open the Outlook Data File
•
Select Date modified to bring the most current pst directory file to the top of the list. The pst directory file you select to move over to the server is generally the file with the largest size. So remember look for the most recent file based on date and size.

Select the .pst directory or file you want to move from either your IMAP account or personal folder and click Open.

The directory should take all of the data and transfer to your local directory. Once here you can drag and drop individual emails or file folders from your local folder directly into the server mailbox.
That is all there is to it. There are no issues with nested folders except it may take a while if you have a lot of email to move. 7|P a g e

Copy UA Web Mail Contacts to UAConnect •
Login to WebMail (webmail.arizona.edu)

Go to Address Book

Click on Import/Export

Under Export Address Book click on Export

Open the csv file in either MS Excel or Text Editor -IMPORTANT! Remember to delete the top line Save to a location you can easily find (e.g., Desktop, My Documents) Open Outlook Click on Contacts

Click Browse to fine your Exported and saved .csv file from earlier Once found highlight and click OK Check mark the box Click OK Match up the Values (the names, addresses, phone numbers on the left to the ones on the right by dragging and dropping) Click Finish
