Rates & Capacities

How many guests can the War Memorial Center accommodate? MEMORIAL HALL .......... (actual capacities determined by variations in set-up) DINNER/DANCE ................. up to 260 DINNER ONLY .................... up to 300 LECTURE/PRESENTATION ...... up to 400 FITCH PLAZA ................ call for capacities Can the War Memorial Center accommodate both wedding and reception? Yes. Many couples planning late spring, summer, or early fall weddings prefer to hold the ceremony on Fitch Plaza overlooking Lake Michigan, followed by a cocktail reception before moving to Memorial Hall for dinner and dancing. What does my rental fee include? The rental fee includes the use of one designated area for up to six hours (4 hours for daytime and weeknight events MondayThursday), tables, chairs, and one set up per event. The minimum rental period cannot be divided between two different areas. If more than one area is used an additional rental fee will apply. How much is the deposit to secure a date? A $500 (non-refundable) deposit is due at the time of booking when the contract is signed. The balance is due 90 days prior to the event. Is the War Memorial Center handicap accessible? Yes. Renovations brought both the interior and exterior of the War Memorial Center into compliance with all ADA regulations.

Do you have on-site caterers? The War Memorial Center has a list of preapproved caterers to choose from. All food and bar service must be provided by one of the approved caterers on this list. You may not bring your own food or alcohol for an event. What if we plan our event outside and the weather is bad? It’s always good to have an alternative plan. Some renters will choose to secure a tent and some choose to have the event closer to the building, under the overhang, which provides tent-like cover. Others choose to move their event inside. If it is necessary to move the event inside due to inclement weather, no additional set-up fee will be charged if decision is made 24 hours prior to event start time. Do I need any special permits? No. The War Memorial Center has secured permits that cover almost any event. Any exception will be dealt with on a case-tocase basis. Can we use candles in Memorial Hall? Yes, if they are enclosed (i.e. votives, hurricanes, floating candles). Open flames are against fire code. How early can we come in to set up prior to the event? You are more than welcome to come 2 hours prior to your contract time. Once the day gets closer, we can check and see if anything is going on at the War Memorial Center and can allow you to come earlier than those two hours. We do not charge a fee for set-up time.

Frequently-Asked Questions

Payment/ Cancellation Policy

Decoration Policy

Most events require a $500 nonrefundable deposit to be made at the time of booking when the contract is signed by the renter. The non-refundable deposit is not transferrable to another date. Rentals of the War Memorial Center facility are considered binding when: 1. The Center has issued and received a signed contract from the renter along with the indicated deposit and/or payment. 2. The Executive Director of the War Memorial Center has also affixed his signature to the contract. Failure to return the signed contract with required deposit by the date indicated on the contract shall nullify the contract and the date will be released. The customer is responsible for confirming with the Events Manager that the Contract and deposit have been received if it is not hand delivered to the Events Manager. Further, the contract is not binding until evidenced by the signature of the War Memorial Center’s Executive Director. A copy of the binding contract will be sent to the renter indicating the nonrefundable deposit was received. Final payment is due 90 days prior to the event. Checks should be made payable to the “War Memorial Center.” Failure to make final payment will result in your event being cancelled. Organizations with established credit can make arrangements to be billed following the event. Payment would be due within 10 days from the date on the invoice. If an event is cancelled less than 90 days prior to the event date, the renter is responsible for the full amount of charges, including commissions and other fees. Renter will be invoiced for full amount and said amount will be due 10 days from the date of the invoice.

Memorial Hall is 42’ 10” wide and 119’ 2” long for a total of 5,100 square feet. The room is carpeted and a portable wood dance floor is available. Decorating is limited to tables only with nothing tied, taped, posted, nailed, or otherwise hung attached to walls or ceiling. Renters and their contracted firms are responsible for their own extension cords. Availability of Memorial Hall and/or Fitch Plaza for decorating is subject to our schedule of events unless renting organization wants to rent additional event time. The following points must be obeyed: 1. Use of candles in Memorial Hall or on Fitch Plaza is subject to the approval of our Events Manager. Requests to use candles must be made two weeks prior to the event. 2. Helium balloons may be used, but no balloon drops from the ceiling are permitted. All balloons left after event must be popped and disposed of by renter or renter’s caterer in trash containers. Be sure to request this of your caterer. The Events Manager must approve use of free-floating balloons in Memorial Hall. These balloons must not be treated for longer life. 3. No fog or smoke machines are allowed. 4. No dance floor powders or other substances may be spread on the floor. 5. Confetti or sparkles can be used on top of tablecloths only. Renter or caterer must then empty it directly into trash containers and not onto the floor. Be sure to request this of your caterer. An additional clean-up charge will apply if confetti is scattered on the floor. 6. After the event, all decorations, props, and equipment must be removed by renters. Decorations must be put in the trash containers for disposal. 7. Any special arrangements to drop off/leave decorations, props, or equipment behind must be preapproved by the Events Manager. Even with special arrangements, the War Memorial Center will not be responsible for anything dropped off early or something left after the event. 8. Shade and lighting adjustments in Memorial Hall must be performed by War Memorial staff. 9. The piano remains in Memorial Hall at all times. 10. No real flower petals in Memorial Hall.

Policies & Rules

Food & Beverage Service Policy FOOD SERVICE POLICY: n

Customers renting space who wish to have food service must use a caterer from the approved caterers list.

ALCOHOLIC BEVERAGE SERVICE POLICY: n

n

n

n

n

Customers renting the space who wish to have alcoholic beverages, with or without food, must arrange bar service through an approved caterer or approved bar service. Bar service at all events must close one half-hour prior to event ending time. No alcoholic beverages may be served to persons under the age of 21, intoxicated persons, or persons bordering on a state of intoxication. Individuals attending events may not bring their own alcoholic beverages. If alcohol is found that is not from caterer/bar service the War Memorial Center has the right to end the event immediately. It is the responsibility of the sponsoring organization/renter through its event contact person to see that all regulations are followed by all guests.

Parking Policy Ample parking for your event is available in the surface lot on the north side of the War Memorial Center. Parking fees are not included in your facility rental fees. Renters may choose either to have their guests pay for their parking as they arrive (Cash Parking Option) or arrange to prepay for their guests’ parking (Prepaid Parking Option).

CASH PARKING OPTION Guests pay the posted parking fee as they enter our lot. The parking fee is per park and is paid upon entering. Guests who leave and wish to re-enter the lot will have to pay an additional fee. (posted parking rate) During certain times (such as Summerfest) special event parking rates apply. Guests attending events at the War Memorial during these times will have to pay the posted special event rate.

PREPAID PARKING OPTION Renters may opt to prepay for their guests parking. This option must be arranged with the War Memorial Center and the estimated parking fees paid 14 days prior to the event. There is a $10 administrative fee for this option. Corporate customers with established credit may arrange for alternate billing options. As with the Cash Parking Option, during certain times (such as Summerfest) special event parking applies. Guests attending events at the War Memorial Center during these periods will have to pay the posted special event rate. Based on your anticipated guest count, as estimate car count is calculated. Historically the car count is about 50% of the guest count for social functions, and 90% of the guest count for daytime corporate functions. As an example, a wedding with an estimated guest count of 200 would prepay for parking as follows: 200 guests x 50% estimated car count = 80 cars x $6.00 per car = $480 At the time of your event, an actual car count is made. The actual parking fee is compared to the estimated pre-paid fee. If the actual parking count is more than what the renter paid, the renter will be invoiced for the difference. If the pre-paid count is more than the actual fee, the renter will be refunded the difference. Differences of less than $18 will not be invoiced or refunded. As with cash parking the parking fee is per park. Guests who leave and wish to re-enter to lot will be counted again upon re-entering.
