Mercantile Rowing Club Boathouse Drive, Melbourne, 3004 VENUE HIRE INFORMATION 1. The Venue. Mercantile Rowing Club was established on this site in 1880; is one of the most famous rowing clubs in the world and home to numerous Olympic medallists and world champions. The Venue has an unbeatable position next to Princes Bridge giving a beautiful view over the Yarra River, Federation Square, and the city skyline. This view is particularly impressive at night.

2. When can you hire? The club is flexible on this and it can be for daytime or evening functions subject to availability after considering our club requirements for training and functions. 3. Dictionary. a. The Club is Mercantile Rowing Club. b. The Venue is the upstairs of the Mercantile Rowing Club, specifically excluding the gymnasium, changing rooms and the two coach’s offices. These areas are out of boundaries to the hirer. c. The event is the function time you have booked, including set-up and packdown and exit time. d. The hirer is the entity hiring the venue. (Either a person or an organisation) e. An Approved Caterer is listed on Schedule 1 – Approved Caterers.

4. What do you need? The club provides tables and chairs at no extra charge plus use of bathroom facilities, kitchen appliances, crockery and cutlery. Our kitchen is not a cooking kitchen but suitable for heating and presentation of food prepared elsewhere. However, it is recommended you utilize your caterer’s supplies.

5. How many people can attend? The venue can accommodate up to 160 people seated comfortably. If a smaller function is required the bar area of the venue can be divided off by glass doors. A stand up function must not exceed 250 people. It is the hirer’s responsibility to ensure that numbers are not exceeded.

6. Dance floor? Yes, we have a dance floor.

The Venue hire deposit fee is 25% of the hire fee and is payable to secure your booking. It is non refundable if your function is cancelled with less than 28 days notice.



A valid credit card must be provided as security for any damages incurred or extra cleaning required..

8. Behaviour. The hirer and guests will behave responsibly at all times and the Club reserves the right to remove or exclude any person who is behaviour is causing offence to others.

9. Liability for personal injury and damage. The Club will not be responsible for any loss or damage sustained by the hirer or the guests through the use of the venue for a function, or in preparation for a function or cleaning after the function. This includes personal injury whether or not suffered under statute negligence or other means. The Club shall not be liable for any loss of any items of property left at the property. The hirer agrees to be liable for any damage or loss caused to the venue, its equipment and fittings for the duration of the event. This includes damage caused by the hirer, guests of the hirer and any contractors engaged by the hirer, and the credit card number provided will be used to revoer any costs. It is the responsibility of the hirer to check with their chosen approved caterer as to their insurance provisions.

10. You must not:      

Smoke in the venue. Use smoke machines or anything emitting smoke. Use rice or confetti. Use sparklers. Use marking tape, duct tape or nails for decorating. If you do, any costs relating to inappropriate attendance by the fire brigade or damage to the venue will be your responsibility to pay.

The hirer is responsible for their Approved Caterer to remove their own rubbish including empty bottles from the venue and ensure that kitchen appliances, cutlery and crockery are cleaned. If this is not done, the cost of rubbish removal and cleaning will be deducted from the security deposit. This must be completed by 8:00 am following the event or by 4:00 pm on the day of the event when a daytime booking is taken.

12. Access prior to the event. The hirer may be given access to the venue 2 hours prior to the event commencement. An exception to this is where the Venue may have a daytime booking. In which case there will be a shorter turnaround time. The exact time of this access must be arranged with your Approved Caterer via letter, fax or email seven days prior to the event.

13. Liquor licence. All licensing issues are the responsibility of the hirer as a compliance with the terms of the caterer’s liquor license and not the clubs liquor license.

14. Security. For evening functions the Club recommends that you employ a security guard. For 21st Birthday parties, security is mandatory and our preferred supplier details are included in this document.

15. Catering. The Club will recommend caterers to you and you must use one of these Approved Caterers.

It is agreed that access during the function is restricted to those properly authorised by the hirer to assist in catering duties. The kitchen is a prohibited area of the Club for any guests, who are not involved in directly assisting with catering for the function. The hirer acknowledges the damage to equipment or injury to persons arising from the use of the venue, as well as the kitchen or other catering functions within the Club will be the responsibility of the hirer and that the Club will not be of any liability or responsibility for such damage or injury. The hirer further acknowledges that any damage to the kitchen or the appliances as a result of the use of the kitchen during the function will be of the responsibility of the hirer. The Club provides a number of fire safety items of equipment, both in the kitchen and throughout the Club. The hirer agrees to familiarise him/herself with the use and location of these before the function and to ensure the persons involved in the catering for the function are similarly aware of the location and use of these items of equipment.

Mercantile Rowing Club Boathouse Drive, Melbourne, 3004 The hirer must have bar attendants who have successfully completed the Responsible Serving of Alcohol (RSA) course and abide by the required principles and directives in the course. These can only be provided by the Approved Caterer.

16. You will have booked the venue when: 1. 2. 3. 4.

Confirmation of availability has been provided by the Club. The Booking form has been completed and returned to the Club. The hire fee has been paid to the Club. As required, the hirer agrees to supply the Club with Credit Card details. Failure to comply will mean the booking is lost. Refund of the deposit will be by negotiation with the Club and remains at the discretion of the Club. 5. When a caterer has been booked.

17. Disabled access. There is no disabled access to the venue. 18. Parking Please park in designated parking bays on boathouse drive. Do not under any circumstances park in front of the boat house (except to unload or load) or in the nostanding area at the rear. Once you have booked Mercantile Venue Hire, all communication regarding your function is to be with your chosen Approved Caterer and not Mercantile Rowing Club. We will not accept 18th Birthday Parties. 21st Birthday parties must have a reasonable adult/family component and it is mandatory that security is provided.
