Evidence-based Services TRAINING GUIDE

Why?  To track which delinquency interventions a

youth receives, whether the youth completed that intervention, and the amount of hours the youth received the service. This information is critical for future funding as a means to illustrate to the legislature whether youth who receive evidence-based interventions are less likely to commit future offenses (lower recidivism rates).

Accessing Evidence Based Services  Login to JJIS and select Evidence Based Services

on the Application menu.

Lessons: Sessions that make up the intervention *

How are Lessons added? Lessons are added to the Module by designated DJJ HQ staff. Example of Lessons: T4C Lesson 1 Introductions T4C Lesson 2 Active Listening

Interventions are added to the Module by the Quality Improvement Chief or designee.

How are Interventions Added?

Example of Interventions: Aggression Replacement Training (ART) Thinking for a Change (T4C)

Existing Interventions are located in the table. This component captures the recommended min and max # of youth, as well as which program areas have access to the intervention.

Qualified facilitators are added to the Module by the Quality Improvement Chief or designee.

How are Facilitators Added?

Facilitator is added for each Intervention they are qualified to deliver. Required fields are last 5 of SSN (CORE ID), last name, first name, Intervention, and active status. Saved Facilitators are visible in the table. To add new, fill in the required fields and click Save. Only one Intervention can be selected per entry, so if Facilitator is qualified to deliver more than one Intervention, their name is saved for each one.

Now we are ready to add our first class. This function can be completed and maintained by the facilitator or facility designee.

Youth Intervention

To begin, select the Facility Name where the Intervention is being delivered. A record of previous classes will appear in the table if applicable.

Classes will be named using the curriculum acronym followed by a hyphen and the facilitator’s last name and first initial. Example: T4C-Pla, J If a facilitator runs another class of the same intervention it should be named following the same protocol with a “#2” at the end, such as T4C-Pla, J#2

How are youth added to the class?

Once the Class name has been entered and saved, it will appear in the table.

Click the Add Youth link. This will pull over the current facility roster.

• Select the youth participating in the Intervention by checking the boxes next to their names and then click ‘Add Youth To class’. • This must be completed within 72 hours of facilitating the initial session. • No additional youth can be added to the class that did not attend the initial session of the first lesson.

Maintaining Attendance of the Class Now that the youth have been added to the class, we are ready to add the start date for the class and maintain attendance for the lessons. On the Youth Intervention Page, we will select Youth Worksheet

To start, we need to add the start date for the youth that began the class.

Youth Worksheet is where attendance is maintained and class completion is recorded.

Then, individually select each youth, or click the box to select all. Next, click Fill in Dates for Youth, and the start date will appear in the column for each youth selected. Click Save.

To record attendance for lessons, click Youth Intervention Lessons

Attendance is maintained by selecting the Lessons each youth attended and then clicking save.

The Lesson Duration drop-down allows for selecting how long each lesson took to deliver.

Contact Hours:

Available selections range from 1 hour to 10 hours by 15 minute intervals (1, 1.25, 1.5, etc.). Select the lesson for which you want to enter the contact hours, then select the duration from the drop-down, then click “fill times for lessons”. The times will appear next to the lessons selected.

How are class completions recorded? If youth(s) do not complete the class, the end date and end reason are recorded.

To add an end date and reason, add the end date first. Select youth that ended on that date, and click Fill in dates for youth. Select the appropriate reason and then click save.

Reasons For No Completion Date  Youth was transferred -Youth was transferred to another facility  Youth was in custody at some point during the group -Youth did not complete a lesson due to being in detention or adult jail

 Youth did not attend

-1) Youth refused to attend, 2) was unable to attend at least one entire class or lesson, or 3) is deceased

 Youth was released from placement prior to

completing –DJJ custody was ended and supervision terminated  Staff facilitating the group is no longer at the program –Staff is no longer employed at the facility  Staff no longer facilitate group-Staff’s responsibilities no longer include facilitating this group or 2) group was temporarily suspended or ended due to facilitator's absence.

 Program no longer provides service-Group or curriculum was discontinued, due to 1) program management decision, 2) program closure, 3) program restructuring or reorganization, or 4) change in contract or contract provider.

 Other

After all lessons for the class have been administered and attendance recorded, it’s time to record the completions.

Recording Completions

Enter the completion date. Select all remaining youth that completed. Click ‘Fill in dates for youth’. Click Save.

Enter DJJID # and select report type.

Report will show all Interventions youth was enrolled in. Details include the facility, dates, and lessons attended.
