CONFERENCE INFORMATION Here at Emerald Explorers Inn our dedicated and experienced conventions and conference team are always on hand to assist with the planning, set up and execution of events and conferences. Our staff can meticulously plan and work with you to develop a tailored package of services and facilities to ensure your specific requirements are met including any dietary requirements you may have. Corporate accommodation rates are available for participants including standard rooms, semi self contained rooms, 1 or 2 bedroom apartments. The attached conference package will assist with your planning. It lists catering options, equipment hire, room hire and accommodation costs. TERMS & CONDITIONS TENTATIVE BOOKINGS

Will be held for 3 days or the time specified by Roma Explorers Inn. CONFIRMATION OF BOOKINGS This confirmation should be received within 3 days of the booking. If the confirmation is not received within the specified time, the motel reserves the right to cancel the booking and allocate the venue to another client. Upon receipt of your completed form an invoice will be raised to the value of the conference room hire which must be paid within 7 working days. This money is NON REFUNDABLE should Roma Explorers Inn not be able to resell the room to another client if you cancel. FINAL CATERING DETAILS AND NUMBERS OF ATTENDEES A guaranteed number of guests is required by 12 noon, THREE working days prior to the event and this will act as the minimum amount to be charged. CANCELLATIONS • • •

Any cancellation of the venue within 2 weeks of the event will result in a cancellation charge of 20% of the total estimated revenue (including catering options). Cancellation of the venue within 5 working days of the event will incur a cancellation charge of 100% of the total revenue (including catering options). Cancellations MUST be made in writing to the Manager/ Events Coordinator.

FINAL PAYMENT An invoice will be sent out to the arranged address and payment due within 14 days of date stated on the invoice. All prices quoted include GST. DAMAGES Organisers are financially responsible for any damages sustained to the Motel or Motel property whether in the room reserved or any area or part of the Motel as a result of their event, where the damages were caused by the negligent act or omission of the Organiser’s employees or any other persons attending the event. LIABILITY The proprietor of Roma Explorers Inn is not liable for the loss, destruction or damages of or to property belonging to guests on these premises unless such property has been lodged expressly for safe custody, or has been lost, damaged or destroyed due to the negligence or deliberate or reckless act or default of the proprietor or an employee. A copy of Section 49A of the Civil Liabilities Act 2002 is available for your inspection. Further to this, Roma Explorers Inn does not accept any liability motel for personal injury or damage caused by equipment not supplied by the hotel.

TERMS & CONDITIONS SMOKE FREE All public areas and function rooms are non-smoking. Smoking is permitted out the front of the conference centre is our designated smoking area. . SUBSTITUTE ROOM The Motel reserves the right to substitute another room for the function in the event that the original room booked should become unavailable or inappropriate in the motel’s opinion. The organiser will be advised as far in advance as possible should this occur. PARKING Complimentary parking is currently available to all Roma Explorers Inn guests. This is subject to availability on the day. MENUS We recognise that each function is unique and we are very happy to work with you to individualize your menu. Please notify us of any special dietary requirements.

Please note: A surcharge of 5% per person applies for a Sunday Function and 25% per person for any Public Holiday.

Responsible service of alcohol According to our Liquor Licence, we are not permitted to have any intoxicated,disorderly or unduly intoxicated guests on our premises. Our team practices safe responsible service of alcohol at all times and a responsible manager of a licensed venue is on site at all times.

Operation Times Our current liquor licence timings are between 10:00am – 11:30pm for all of our venues. At 11:30pm our friendly team will announce last drinks to all of your guests. By 12:00 midnight all guests will need to vacate the function areas.
