The property edit screen Property Administration Creating a new property To save time when writing up multiple properties or to quickly add a new property to the system, you can create a new property from the edit property page •

You must have a security level of at least 2

You can create a new pre-valuation property from an existing property in dezrez. 1. Ensure you are in the property edit page 2. Click create a new property in the toolbar Once you have selected create a new property, you will be shown a blank property edit screen. Note: You must fill in all the required fields before saving the new property that has been created.

Save the property To update a property with any changes or amendments you have made, you must save the property. Once you have made changes or updated a property, you need to save the property you are on for the changes to be replicated across your agency. 1. Ensure you are in the property edit screen 2. Click Save the property in the toolbar Note: If you have Auto Save turned on, the property will automatically save at the predetermined time you selected. Once you have saved the property, you will be shown a "Saved Successfully" message in the bottom right corner of your screen.

Edit the property status To modify the marketing status of a property, you need to edit the property status. E.g. Write Up to On Market •

When you have a property that is ready for a marketing change you need to edit the property status. There are two ways to edit a property status. 1. Ensure you are in the edit property page a) Click Edit Status in the toolbar Note: You will be prompted to save the property before you navigate to the status page. 2. Ensure you are in the property list a) Click on a property b) Select Status Once you have selected "Edit Status" or "Status" you will be shown the property status screen.

How to select a property's default particulars When you want to set a default brochure for a property, you must select a particulars template from a predefined list. • •

You must have a property within dezrez You must have brochure templates setup

To set a default brochure you must select a particulars template from a predefined list. 1. Ensure you are in the property edit page 2. Click the Default Brochure drop down menu in the toolbar 3. Select particulars template Once you have selected a template this will become the default particulars for that property. Note: To view the chosen default particulars you will need to click on the View Particulars button.

Viewing a property's particulars To view the appearance of a property on your property brochures & window cards, you must view your particulars •

To view your property particulars, you must have a brochure template selected in the Default Brochure list.

Once you have made changes or updated a property, you need to check the appearance of the property on your property brochures & window cards, to ensure the layout and information is correct. 1. Ensure you are in the property edit screen 2. Ensure you have a brochure template selected 3. Click View Particulars in the toolbar Once you have clicked on View Particulars, you will be shown your property brochure

Property Actions How to attach a key to a property You can attach keys to a property, enabling your colleagues to see if the keys are available or checked out. • •

You must have a property within dezrez You must be on the edit property screen

If you have the keys to a property, you will need to attach the keys to a property in dezrez. This gives your colleagues the ability to see if the keys are available or if the keys are checked out to a negotiator, company, vendor or landlord. 1. 2. 3. 4.

Ensure you are in the edit property page Click Actions in the toolbar Select Property Actions Click Create Key You will be presented with a screen asking "Do you wish to sign the key in yourself?" 5. Click Yes You will be presented with the Property Key Code screen 6. Enter a key code into the Code box Note: The key code you enter is up to you. We recommend that you use the key numbering system within your office. 7. Enter any Viewing Arrangements if needed

8. Click OK You will be presented with a screen advising the key has been added to the system, and do you wish to continue and check the key out to an individual. 9. Click No You will be returned to the property edit page. The key is now attached to the property.

How to match applicants to a property If you have a property that you wish to match to your applicants, you can do this directly from the property edit page. • •

You must have a property in dezrez You must have applicants in dezrez

You can match a property to your applicants, this is achieved by matching directly from the property edit page 1. 2. 3. 4. 5.

Ensure you are in the property edit page Click Actions in the toolbar Select Property Actions Click Match Applicants To This Property Select Yes or No to save the property Once you have selected Yes or No to saving the property, you will be shown the sales applicant editor screen.

6. Click Search Note: Applicants will only be matched, based on price and number of bedrooms Once you have clicked "Search" applicants who match the property will be displayed.

How to copy a property If you have a property that you wish to enter as both a sales and lettings property, or if you wish to duplicate a property, you can use the copy property function. •

The make copies of this property feature allows you to duplicate a property or copy a property as both sales and lettings. 1. 2. 3. 4.

Ensure you are in the edit property page Click Actions in the toolbar Select Property Actions Click Make Copies Of This Property Once you have selected "Make Copies Of This Property" you will be shown the Copy Property box. 5. Select Copies Note: You can only make a maximum of 10 copies per property in one go. 6. Select Sales/Lettings You can copy the property either as a sales property or a lettings property per day, per week, per month, per quarter or per year. 7. Select if you wish to copy the following as well as the property • • • • •

Copy Vendor Copy Solicitor Copy EPC Copy Metropix Copy Virtual Tour

8. Click Copy Once you have clicked copy, the property will be copied up to a maximum of 10 times as either sales or lettings. The vendor, solicitor, epc, metropix and virtual tour will also be copied depending on your selection.

How to move a property to another branch If you have a property that you wish to transfer to a different branch, you need to use the Move Property To Branch function • •

You must have a property to transfer You must have an other branch on the same Agency ID in dezrez

Move Property To Branch feature allows you to transfer a property to another branch 1. 2. 3. 4.

Ensure you are in the edit property page Click Actions in the toolbar Select Property Actions Click Move Property To Branch Once you have selected "Move Property To Branch" you will be shown the Move Property box 5. Select Destination 6. Click Move Note: You can only move a property to a different branch if you have multiple offices within the same agency.

How to order an EPC You can order an EPC for a property directly through dezrez Legal via dezrez. • •

You must have a property within dezrez You must have dezrez Legal integration

The order EPC feature allows you to order an EPC for a property through our dezrez Legal team via dezrez. 1. 2. 3. 4.

Once order EPC is clicked, the order will be sent through to our dezrez Legal team. How to arrange a time for an EPC appointment If you want to book an EPC appointment into your dezrez diary, you can do this via the Book Time For EPC feature. •

Check the information you want to record is correct 11. Click Finish Once you have clicked finished, the appointment will be set in your dezrez diary.

Marketing Actions How to tweet a property If you have a twitter account, you can tweet a property from within the dezrez software. • • • • •

You must have a property within dezrez You must have a twitter account You must have the Twitter widget on the dashboard of the user You must have the Twitter widget authorised with your twitter account You must have a tweet template setup

If you want to tweet a property to your twitter account, you need to use the tweet this property feature. 1. 2. 3. 4.

Ensure you are in the property edit page Click Actions in the toolbar Select Marketing Actions Click Tweet This Property This will display the tweet this property screen 5. Select the Account you want to tweet from This will pre-fill the edit tweet box 6. To edit the tweet, modify the text in Edit Tweet 7. Click Tweet Once you have clicked tweet, the property will be tweeted to your selected twitter account.

How to paste property details to Microsoft Word You can paste all of the property information you have typed up in dezrez, into a new Microsoft Word document.

Once Paste to MS Word is clicked, Microsoft Word will load and all the property details will be copied into the new word document.

How to write a letter You can write a letter regarding a property to clients or companies in dezrez. • •

You must have a property within dezrez You must have Microsoft Word installed

If you want to write a letter regarding a property to your clients or companies, you can do this within the property edit page via the Write Letter feature. 1. 2. 3. 4. 5. 6. 7. 8. 9.

Ensure you are in the property edit page Click Actions in the toolbar Select Marketing Actions Click Write Letter You will be asked do you want to save the property Click on the letter you want to use This will load the Standard Letter Word Merge wizard Confirm the letter you want to use Click Next Fill in the required fields Click Next

Once you have clicked next, the letter will load in Microsoft Word, pulling through all of the relevent merge fields.

How to view the pipeline report You can view the pipeline report directly from a property. The pipeline report gives you an overview of fees owed and due for your agency. • •

You must have a property within dezrez You must have a security level of Branch Manager or above

If you would like to see the fees owed and due for a property or if you would like to see an overview of your pipeline, you can do this through the Pipeline Report feature 1. 2. 3. 4.

Ensure you are on the property edit page Click Actions in the toolbar Select Marketing Actions Click Pipeline Report You will be asked do you want to save the property

Once you have clicked pipeline report and selected if you want to save the property or not, you will be presented with the pipeline report.

Information Bar How to view a property's landlord or vendor You can view a landlords or vendor card directly from the property edit page. This gives you quick access to your clients information. • • •

You must have a property within dezrez You must have a landlord or vendor attached to a property You must have a Tablet to open an online mobile version of a card

To open a landlord or vendor card directly from the property edit page 1. Ensure you are in the property edit page 2. Click Card next to the vendor in the information bar Note: If you are opening the card on a Tablet, an online mobile version of the landlord or vendor card will be loaded. Once you have clicked Card, the landlord or vendor card will be loaded on screen.

How to feature a property on your website On the property edit screen, you can feature a property on your website by selecting the featured on website option. • • • •

You must have a property within dezrez You must have a website Your website must be integrated with dezrez You must have the featured properties integration

If you want a property to appear in your featured properties section on your website, you need to select the featured on website option. 1. Ensure you are in the property edit page 2. Tick 'Featured' On Website in the information bar Once featured on website is selected, the property will be displayed as a featured property on your own website.

How to mark a property as private On the property edit screen, you can mark a property as private by selecting the mark as private feature. •

If you want to remove the property from all public areas e.g. your website, property portals and exclude a property from matching, mail merges or any marketing you need to select the mark as private option. 1. Ensure you are in the property edit page 2. Tick Mark As Private in the information bar Once mark as private is selected, the property will only be visible by staff within the agency. The property will not be visible to the public. Marking a property as private Discuss what this actually means here What happens when I mark a property as private? When a property is marked as private within dezrez, it will instantly be removed from any marketing you perform within the software, (e.g. mail merge, matching). The property will also be removed from public searching areas such as your website, portals, mobile applications.

Note: There may be a delay for a property to be removed from a public searching areas because of the type of feed used, (e.g. Rightmove's feed updates over night, your website feed may update every hour). Who can view a property that is marked as private? Only staff within your agency can view a property that is marked as private. Should I mark a property as private? If you only want staff within your agency to view the property for a specific reason (e.g. the property is not ready for market because the vendor or landlord is not happy with the property particulars), then you should mark the property as private.

How to send a property to portals On the property edit screen you can send a property to a property portal that you upload to, by selecting send to portals option. • • •

You must have a property within dezrez You must have an account with a property portal Your property portal account must be set to take a feed from dezrez

If you want to send a property to a property portal that you upload to, you need to select the send to portals option. 1. Ensure you are in the property edit page 2. Tick Send To Portals in the information bar Note: The property must be set to public not private Once send to portals is selected, the property will be uploaded to any property portals you upload to. How to mark a property as Under Offer On the property edit screen, you can mark a property as under offer by selecting the under offer option. •

If you want to mark a property as under offer, you need to select the under offer option. 1. Ensure you are in the property edit page 2. Tick Under Offer in the information bar Once under offer is selected, the property will be marked as under offer.

How to mark a brochure as Approved On the property edit screen, you can mark a brochure as approved by a vendor or landlord by selecting the brochure approved option. •

If you want to mark a brochure as approved, you need to select the brochure approved option.

Edit The Property How to specify the property's address manually You can enter a property address on the edit property page manually. •

If you don't have our postcode lookup facility, you can enter a property address manually. 1. Ensure you are in the property edit page 2. Ensure you are on the Edit tab 3. Locate the Address widget Note: The name of the widget may differ if you have changed the widget title or if the widget is not visible please check the visibility of a widget. 4. Enter the address Note: Postcode and Address 1 are required fields

How to specify the property's address using postcode lookup This article takes you through the steps of entering a property address on the edit property page using the postcode lookup facility. • •

You must have a security level of Trusted or higher You must have the postcode checker enabled on your account

If you want to automatically enter enter a property address using a postcode, you need to use the postcode lookup facility. 1. Ensure you are in the property edit page 2. Ensure you are on the Edit tab 3. Locate the Address widget Note: The name of the widget may differ if you have changed the widget title or if the widget is not visible please check the visibility of a widget. 4. Enter the postcode into the Postcode box 5. Click the Magnifying Glass or press Enter on your keyboard This will load the postcode lookup box 6. Select the address you want to use Note: If you want to update the property location on a map, tick Update Location 7. Click Use Address Once you have clicked use address, the address will be automatically entered into the relevant fields for the address.

Modify a property's location on a map You can modify the location of a property on a map from property edit screen. •

To modify the property location on a map, you need to use the location tab. 1. Ensure you are in the property edit page 2. Ensure you are on the Location tab 3. Click and Drag the Orange dezrez House to a new location on the Google Map 4. Amend the street view of the new property location on the Street View Map 5. Click Save The Property in the toolbar Once you have clicked save the property, the location of the property will be updated and saved.

Assigning a location code to a property You can specify the location of a property using a location area code. Location codes are used to match applicants to properties in the areas they require. •

If you want to add a location code to a property, you need to use the location feature. 1. Ensure you are in the property edit page 2. Ensure you are on the Edit tab 3. Locate the Address widget Note: The name of the widget may differ if you have changed the widget title or if the widget is not visible please check the visibility of a widget. 4. Click the Down Arrow in the Location box Note: The field name may differ if you have renamed items within a widget 5. Click the + on the Generic or your Branch Name folder 6. Tick your required location code Note: You can only have a maximum of 9 location codes selected per property 7. Click Save The Property in the toolbar Once you have clicked save the property, your selected location code will be added to the property.

Adding property notes On the property edit screen, you can make notes against a property for internal use only. •

To make notes against a property, you need to use the notes box. 1. Ensure you are in the property edit page 2. Ensure you are on the Edit tab 3. Locate the Address widget Note: The name of the widget may differ if you have changed the widget title or if the widget is not visible please check the visibility of a widget. 4. Type your notes into the Notes box Note: The field name may differ if you have renamed items within a widget 5. Click Save The Property in the toolbar Once you have clicked save the property, any notes you have added will be saved to the property.

Editing a property's owning negotiator You can specify or change the negotiator that is handling a property from the property edit screen. •

You must have a negotiator within dezrez

To add or change an owning negotiator, you need to use the Owning Neg search box. 1. Ensure you are in the property edit page 2. Ensure you are on the Edit tab 3. Locate the Related Parties widget Note: The name of the widget may differ if you have changed the widget title or if the widget is not visible please check the visibility of a widget. 4. Click into the Owning Neg box Note: The field name may differ if you have renamed items within a widget 5. Type the name of the negotiator 6. Select the negotiator from the list 7. Click Save The Property in the toolbar Once you have clicked save the property, the negotiator you have selected will be saved as the owning negotiator against the property.

Associating a solicitor to a property You can specify or change the solicitor that is associated to the property from the property edit screen. • •

To add or change a solicitor, you need to use the 'Solicitor' search box. 1. Ensure you are in the property edit page 2. Ensure you are on the Edit tab 3. Locate the Related Parties widget Note: The name of the widget may differ if you have changed the widget title or if the widget is not visible please check the visibility of a widget. 4. Click into the Solicitor box Note: The field name may differ if you have renamed items within a widget 5. Type the name of the solicitor 6. Select the solicitor from the list 7. Click Save The Property in the toolbar Once you have clicked save the property, the solicitor you have selected will be saved against the property.

How to edit a property's style field You can specify or change the property style that is associated to a property from the property edit screen. •

To add or change a property style, you need to use the Property Style drop down box. 1. Ensure you are in the property edit page 2. Ensure you are on the Edit tab

Select the style you require for the property Note: You cannot add your own property styles to the list. 6. Click Save The Property in the toolbar Once you have clicked save the property, the selected property style will be saved against the property.

How to edit the property's age field You can specify or change the property's age that is assigned to a property from the property edit screen. •

To add or change a property's age, you need to use the Age drop down box. 1. Ensure you are in the property edit page 2. Ensure you are on the Edit tab 3. Locate the Detail widget Note: The name of the widget may differ if you have changed the widget title or if the widget is not visible please check the visibility of a widget. 4. Drop down the Age box Note: The field name may differ if you have renamed items within a widget 5. Select the age you require for the property Note: You cannot add your own property's age to the list 6. Click Save The Property in the toolbar Once you have clicked save the property, the selected property's age will be saved against the property.

How to edit a property's parking spaces You can specify or change the property's parking spaces that is assigned to a property from the property edit screen. •

To add or change a property's parking spaces, you need to use the Parking Spaces counter. 1. Ensure you are in the property edit page 2. Ensure you are on the Edit tab 3. Click the Up and Down arrow in the Parking Spaces box

They can be drawn online, faxed or uploaded as a sketch, or obtained from a large database of pre-existing plans. The floor plans are converted to a wide range of output formats suitable for both web use and in print. Once a Classic (2D) floor plan has been created, it can be upgraded in a variety of ways including a 3D image, walkthrough video, Google Earth model and interactive plan with photos. A web hit is the unique number of views for the full Internet particulars of a property through your web site or portal e.g. Rightmove Note: If you have a customised portal feed, depending on the type of customisation you have, clients may not have access to your full Internet particulars via a portal. How does it work? Every time a client views a property on your website or portal, and selects "More Details" or "Full Brochure" this will display the Internet particulars and count as 1 web hit. Note: If you view the Internet particulars through the dezrez software, this will also count as a web hit.

Settings What is Auto Save? Auto Save is a feature which saves work automatically in predetermined intervals, helping reduce the risk of data loss. What does it do? The Auto Save feature in the Property Edit Page will automatically save any changes you have made to a property in predetermined intervals. The predetermined intervals available to you are 3 Minutes, 5 Minutes & 10 Minutes. Should I turn Auto Save on? Ideally, yes you should turn on the Auto Save feature. it will reduce the risk or impact of losing work in the event of a crash, freeze or loss of Internet connection. However you can still save the property manually.

How to configure Auto Save A properties details can be set to save at regular required intervals to prevent work being lost •
