  Daily Held Mail Report   You will receive this report every day in the form of an email. The report informs you of the SPAM and virus infected emails that were captured by the Sterling spam filtering service on the previous day. Here is how it will appear in your email:

The Held Mail Report Includes: 1. Sort options to give the ability to quickly manage held mail. 2. Report options to arrange personal settings. 3. A count of the overall mail being held. 4. The top 5 SPAM origins by country. 5. A list of your held mail. 6. A list of the viruses held.

 

1. Sorting the Held Mail Report The Sterling Held Mail Report allows customers to sort mail by “Time, From / Subject, Country or Size” for the listed messages for five day window.

Click the “Sort this Report” link. Select the Date for the Sort.

  Select the Heading for the Appropriate Sort.

The Email on the Held Mail Report will be Sorted by the Chosen Field.

 

2. Reporting Options Turning On/Off Held Mail Report: You have the option of turning on/off the report and resending captured emails. If you do not wish to receive the Daily Held Mail Report, select “Off” under Report Options for Daily Held Mail Report. Note: Itʼs highly recommended to receive the Daily Held Mail Report in order to verify that no messages were blocked that you wished to receive. If the list does contain legitimate messages, you are given the option of resending these particular emails under the Resend Tab of Your Held Mail. See “Resending Email” for details.

Receive Alerts: Alerts are periodic emails sent to inform you of important issues such as new scams, new viruses, enhanced internet traffic, etc. If you do not wish to receive the Alerts, select “Off” under Report Options.

Receive On Demand Report: If you would like updated information on email held throughout the day, click on the “Send Now” link as shown. You can send this report as often as you like to check the current status of your held emails.

 

3. Your Held Mail Count Totals the total amount of SPAM/viruses that were held from your account the previous day.

4. Top 5 Spam Origins by Country A listing of the top 5 countries from which SPAM was sent to your account the previous day. It also shows the number of messages sent from the listed countries.

5. Your Held Mail In this section, you are given a list of email that was held from the previous day as SPAM. You are also given the option to resend the email if it is legitimate. Resending Messages: You have the option to “resend” individually held e-mails that were flagged as SPAM. However, you cannot resend an e-mail that was held due to virus infected content. To resend an e-mail that was held as SPAM, click on the “Resend” link to the right of the held e-mail, under the Resend column in the Your Held Mail section of the report.

 

Releasing Held Messages: After clicking “Resend” link you will be presented with a new window with several options. This page will present the detailed header information for the e-mail you wish to resend. To release the e-mail, click on the “Resend This Message” button toward the upper left side of the page. To request the sending email address or domain be added to the systems “allowed senders list” click either the “Sender” or “Domain” links at the top of the page. A dialogue box showing the sender or domain will allow you to edit the information if necessary. (often the case if the email is a newsletter with components of the from address that are always unique). This information will be provided to your Domain Administrator so that future e-mails from that sender will not be held as SPAM.

5. VIrus Held Mail The Held Mail Report also lists the various viruses that were captured by the Sterling system over the course of the previous day. You can see the date of the virus, the message it contained and the email address it came from. However the end-user cannot resend an e-mail that was held due to virus infected content.
