Admin The Online Booking admin function is super easy! All Online Booking administrative tasks are performed through SalonBiz Central. Settings 1. Login to SalonBiz Central. 2. From the Admin menu, go to Online Booking and click Settings. Locations Determine which Online Booking locations you would like to enable. Only the locations enabled will be displayed for clients. 1. Click the location name. 2. From the Locations screen check the options to: • Enable online booking • Select default request reason • Select default cancellation reason (if enabled in the General tab) • Enable booking requests • Display service descriptions 3. Enter the location email address so that your customers can email you a booking request. • Check the box if you would also like a notification sent to this email address to alert you of any appointments booked online. 4. Enter the location’s phone number. 5. Enter a brief description of the location. 6. Click the Save Changes button. Departments Determine your Department settings. There must be at least one Department displayed for Online Booking. 1. Click Departments and then click the location name. 2. From the Departments screen, determine the name of each Department and then check the options to: • Display department • Display service durations 3. Click the Save Changes button. Services First, we will put your service categories into departments so that it’s easier for your clients to find them. 1. From the Admin menu, click Performance then Service Categories. 2. The list will display your service categories from SalonBiz®. 3. Select which service categories belong in the appropriate department by clicking the corresponding box. Ö Select the categories that correspond with the departments (if you renamed them in the previous section). For example, if you changed Salon to Body because you do not offer Salon services, select the Body service categories you want listed in this area. 4. Click the Save button. www.salonbiz.com

Next, determine which services you would like to offer in Online Booking. Only those service categories that were assigned to a department will be displayed in the service list. If you share services, you will have one list to choose from. If you do not share services, you will need to set up services for each location individually. Online Booking will only offer services that you have chosen. 1. From the Central Admin menu, go to Online Booking then Settings. 2. Click Services and then click Edit. 3. Check the services you would like to be available by checking the Book Online box. 4. Check the services you would only like to be available to view by clicking the View Online box. Ö Clients can send an Appointment Request for these services. 5. Check your shipping items (if you will enable gift card shipping). 6. Click the Save Changes button. Popular Services This area gives you the ability to list up to 3 services in each department. You can choose services you would like to promote or those that you believe will be most popular. The screen will only list those services that are available for Online Booking. 1. Click Popular Services and then click the location. 2. Select the service you would like to highlight as a popular service by clicking it and then use the arrows in the category window. Use the up and down arrows to change the order of the popular services. 3. Click the Save Changes button.

Staff Determine which staff you want to make available for Online Booking. 1. Click Staff and then click the location. 2. Select how your staff will be displayed online by their department. You can choose to display: • staff names and photos • only staff names • staff categories 3. Enable individual staff by clicking on their picture. A picture that is “grayed out” is someone not available for Online Booking. 4. To enable or disable all staff, click the On/Off button for All location staff bookable online. Availability Define the location's booking availability. 1. Click Availability and then click the location. 2. Place a check in the box if you would like to allow clients to book online on the current day. 3. Determine the default week, the default is ‘This Week’. 4. Determine the default timeslot, the default is ‘Afternoon’. Ö Since these times are harder to book, we are encouraging those appointments. 5. Click on the day of the week or time of day to open (green checkmark) or prevent (red x) bookings. 6. Click the Save Changes button. www.salonbiz.com

Paym ents Define prepayment amounts. 1. Click on Payments and then click Edit. 2. Determine payment amount required when booking: • Full amount of the service(s) • No prepayment • Fixed percentage of the total • Flat fee of total 3. Payments made are reflected in client's balance in SalonBiz. Ö If you are requiring pre-payments and/or selling gift cards online and would like to utilize the Card on File feature, which securely saves the client’s card information for future purchases, please make sure to inform Neill Technologies. 4. Determine if you would like to see individual credit card types as the payment instead of ‘Web Pay’ on the SalonBiz tickets associated with each online appointment. Ö If you choose to view individual types please contact Neill Technologies so that we may update your data. 5. Click the Save Changes button. Gift Cards Define gift card sales parameters. 1. Click Gift Cards and then click Edit. 2. Check if you would like to: • Sell gift cards online • Allow gift cards to be shipped 3. Using the drop down menu, select the max number of gift cards that can be purchased per transaction, the system defaults to three. Ö This is a safety feature we created to help avoid theft, by limiting the number of cards purchased at once. 4. Enter an amount that will define the increments for purchase. Leave this field blank if you would like your clients to choose any value. 5. Enter a minimum amount, leaving this blank means that there is no minimum amount required for purchase. 6. Type in the instructions for redemption in the field provided. 7. Enter your website’s URL, this will appear as a link on the client’s order confirmation email they receive when a gift card is purchased. 8. Place a check in the box to be notified when gift cards purchased online need to be shipped. • If you checked the notification box, enter the email address that will receive the messages for shipping. 9. Place a check in the box if you’d like to allow customers to purchase gift cards without logging in. 10. Place a check in the box to mask the serial numbers and disable reprinting of gift cards purchased by the logged in client. • They will still be able to view serial numbers and print gift cards purchased FOR them. 11. Place a check in the box to allow clients to use received gift cards as payment on online orders. • Select the payment type with which to display the gift card payments on tickets and drawer entries from the drop down menu.

12. If you’d like to offer a discount on gift card purchases online, select one of the qualifying discounts from the drop down menu. Ö Discounts must exist in your Ecommerce store unless they are shared across all locations. • The discount must meet the following criteria in order to be eligible for this feature: o Discount Type – PERCENTAGE o Amount – between 1% and 99% o Usage – Ticket Line Only o Usage on Which Items – Discount Anything • Select a Start and End date for the gift card promotion. 13. Click the Save Changes button. General Settings Define Welcome, Help text, receipt info and enable general settings. 1. Click General and then click Edit. 2. Enter the Welcome and Help text in their respective fields. 3. Place a check to automatically select the location if only one location is available. 4. To add a receipt header image, click the Browse button and locate the image file on your computer. The image needs a maximum resolution of 360x60, and the file name can not contain the following characters :< > / \ * & ? 5. Enter your receipt header text that will appear at the top of the receipt (max 1,000 characters). 6. Enter your website URL address, this will appear as a link on your client’s confirmation emails they receive when they’ve purchased a gift certificate or when they complete a booking. 7. Enter your online booking URL address that will appear on the client’s confirmation emails. 8. Enter the number of weeks ahead you would like available in the menu for clients to select when choosing an appointment date. 9. Place a check in the box to enable a full day view. 10. Place a check in the box to allow clients to delete appointments online. • If you allow customers to delete appointments, you can determine how many days they can cancel prior to their appointment. • Be sure to select a cancellation reason in your Location settings. 11. Place a check in the box to require a phone number for online registration. 12. Place a check in the box to require an address to purchase gift cards online. • If requiring an address, customers will have to complete any missing address info before continuing with their purchase. 13. Place a check in the box to offer clients a filter by gender when selecting staff online. 14. Place a check in the box to hide staff image thumbnails in My Appointments page. 15. Place a check in the box to allow clients to filter locations by state. 16. Place a check in the box to hide blanket Operating Hours from Location Details. • Daily hours can be put into the Location Description box under Location settings. 17. Gift Card Images Manage your gift card images. 1. Click Gift Cards Images in the side navigation panel. 2. Check if you would like to use default images. This will populate the default gift card images in addition to any custom images you have added. 3. To add an image, click the Upload Image button. 4. Select an image file from your files by clicking the Browse button. • The maximum resolution of the image is 380x380 • The minimum resolution of the image is 101x50 • Files should not contain any spaces or the following characters in the name, :< > / \ * & ? 5. Once you’ve added the custom image, select the thumbnail. These smaller images are available for the purchaser to preview the card. 6. Click the Upload button. 7. You will now see your new image listed on the admin screen. You can have a maximum of six images. To remove an image, click the garbage can icon in the corresponding line. • Custom images will take a few minutes to appear for your online clients. Gift Card Links Create and manage links to your gift card packages on your website. 1. Click Gift Card Links in the side navigation panel. 2. Click the New Link button. 3. Fill in the name, amount, greeting, and message. The fields will be pre-filled when the purchaser buys the gift card package. 4. Select the Theme that your Online Booking uses. 5. Click Save. 6. Click the Get URL link next to your newly created Gift Card Link. 7. Your web designer will then copy the appropriate URL and paste it into your website on the Purchase Gift Card/Package button of your choice. v The purchaser will be prompted to log in or create an account if they are not logged in, and your settings require an account to purchase gift cards. v If your settings allow purchasers to buy gift cards a guest, they will be presented with the option to log in, or continue the purchase as a guest.

Them e Creating Your Theme Determine your own color scheme. 1. From the Central Admin menu, go to Online Booking and click on Theme Builder. 2. Click the New Theme button and then enter a name for your theme. 3. Click on the color boxes to customize the display of your Online Booking screen. 4. Click the box next to each item you would like to edit. 5. Click on the spectrum bar to select the base color range (ie reds, blues, etc). 6. Then click on the large color box and drag the selector to your desired color. 7. Click off the color box to see the color, the Theme Builder screen will mimic what you will see in the Online Booking screen. 8. Click the Save Theme button to save the theme you created.

Em bed Online Booking 1. Once your theme is saved, you will see it listed on the themes page. You can access it at any time to make edits or remove it. 2. To obtain the code to use for your website and Facebook click the Embed HTML link. 3. You have three options for embed types, to display: Online Booking and Gift Cards, Online Booking only or Gift Cards only. 4. Copy the entire text for the appropriate version and paste this into your website and/or Facebook page. 5. For the Mobile version, rather than using an iframe and embedding the widget in the page, add a link to the widget at the url displayed in the "Mobile Version" in the tag generator. Ö If you do not have a mobile (mobi) version of your site, you do not need to do anything. Online Booking (embedded in the iframe like usual) will detect if it is being viewed on an iPhone or Android and will display a button that your clients can click to launch the mobile widget in a new tab. Ö You may also give this to your web designer to handle. Em ail Confirmations View all email activity to customers for all orders (service deposits and gift card purchases) and all emails to gift card recipients for a date range. 1. From the Central Admin menu, go to Online Booking and click on Email Confirmations. 2. Enter a date range and then click the Run Report button. 3. Click the link to view the details of the email sent in the Subject column. 4. Press the Esc button to return to the report. Ö Use the Online Booking Activity report (accessed through Central Reports) to re-send an email to a gift card recipient.
