course policies CANCELLATION POLICY As we all know weather can be unpredictable in Calgary and if the golf course must shut down due to extreme weather conditions it is required that the group still attend their dinner arrangements. A meeting will be established with the tournament coordinator to re-schedule the tournament and clarify any other details. You may only re-schedule an event if the golf course is deemed unplayable. If a situation occurs where a group decides not to play as a result of gloomy weather, the group will still be invoiced for their guaranteed number given to the tournament coordinator for food & beverage and golf requirements. Lightning is not to be under minded here at the Inglewood Golf and Curling Club. If the horn is sounded, all players must seek shelter (no exceptions) and may resume play once our Inglewood tournament staff has approved play to resume. Tournaments must cancel 45 days prior to their event. Cancellations must be sent by email to the Tournament Coordinator. The $2000 (shot guns) & $1000 (tee times) tournament deposits are non-refundable with any cancelation. EXTRA POWER CARTS Power carts are required for all tournaments. Inglewood will ensure enough power carts are available for the tournament based on the maximum number of players that you estimate on the contract during the time of booking. If you require any additional power carts for organizers, photographers or volunteers, please reserve additional carts at time of booking. Additional carts are rented from an outside supplier ($60 per cart) and are subject to availability. Power carts must remain on the available cart paths at all times. Course marshals and starters have sole authority on the golf course. Please obey all instructions and/or requests. Inglewood strictly enforces a “No Rider” Policy; non-playing individuals are not permitted on the golf course unless given permission. If the tournament requires extra carts for nonplayers, they may be subject to additional charges.

VOLUNTEERS On course volunteers must arrive no later than one hour prior to tee off. Sponsors arriving less than one hour prior to tee off may have to wait until after tee off to go out their designated location. The Hole-In-One volunteer will be provided with a table and chair(s) at the tee box. Please coordinate all course requirements with the Event Coordinator prior to your event. SPEED OF PLAY All tee time or crossover events are expected to play in less than four and a half hours. Any tournament that is playing in a shot gun format must play in less than five hours. Failure to play in the time frame necessary may be subject to late play charges.

tournament conditions The proposed tournament date will only be confirmed when the non-refundable deposit of $2,000.00 (shotguns) $1000.00 (tee times) and the completed tournament contract are received at the Inglewood Golf and Curling Club. A second invoice will be issued six (6) days prior to the event. This invoice MUST be paid before the start of play. Credit card information is required to cover any additional charges that may have incurred on the day of the event. An invoice will be provided after the event for any additional charges and can be paid by cheque or the credit card on file. You meal choice must be confirmed thirty (30) days prior to your event. Confirmation of final numbers (meals, players and tournament specifics) MUST be provided eight (8) days in advance to the scheduled event. Any reductions in those numbers after this deadline will be subject to a full tournament fee. Any conditions with this number must be approved by the Inglewood Event Coordinator to ensure availability. Please review our tournament timeline located on the tournament contract. This timeline will ensure your event is organized and exceeds all expectations. All tournaments with tee times will be charged for the total number of tee times required. For example, if you end up needing 10 tee times, and only have a threesome or are short of the forty required green fees, your group will be charged for the forty green fees and carts. The names of all competitors IN FOURSOMES must be received in excel format three (3) days prior to the event. The names should be typed clearly with gender and tee time allocations. If there are any special requests, please refer to the Event Coordinator. A surcharge of $250.00 will be charged to all events that send their foursomes in after this deadline. The foursome list MUST be sent in the proper excel template that the Inglewood Event Coordinator will supply. This includes the player’s first and last name in the same field, gender and their handicap in a separate field (if required, based on how you want your tournament to be scored). A detailed list of all skill prize holes (longest putt, closest to the pin, hole in one yardages, etc.) and a copy of the rules sheet you are using must be sent to the Events Coordinator at least eight (8) days prior to the tournament. Should the number of players differ greatly from the original booking, Inglewood reserves the right to alter the starting times or style of start (tee times, crossover or shotgun). All shotgun starts must have a minimum of 120 players. Any changes to the style of start must be announced a minimum of thirty (30) days in advance. If you alter the starting format within 30 days you will be charged for the original numbers given to the tournament coordinator. Organizers and volunteers of the tournament must report to the Inglewood events coordinator a minimum of two (2) hours prior to the start of the event. The type of competition format and proposed rules sheet for the tournament must be first approved by the Inglewood Event Coordinator in advance. If your event has more than ten (10) beginner golfers, you must play a Texas Scramble format. Once the competition format has been approved, there will be NO CHANGES to the format without prior approval. Please contact the Events Coordinator if you have any questions, or if you have special sponsor related items for the golf course such as placement of cars or equipment to go on sponsored holes, this takes time and planning and must be known well in advance of the tournament. For a effective signage presentation we advise the Event Coordinator meets with the signage coordinator in advance for proper placement around the golf course. This will ensure the on course set up is ready well before the shotgun start. Please have all tournament signage delivered to the golf club the day before your event. All tournament signage must be picked up the day following your event. The Inglewood Golf and Curling Club is not responsible for misplaced or damaged signage.
