At attention of under-15 male and female teams

Invitation

The organization of the IX Summer Cup 2008 has the pleasure of inviting your prestigious team to participate in the ninth edition of this International Tournament of Volleyball. This event takes place from 2nd to 6th July 2008 in Vila da Lousã – Portugal (located about 28 km from Coimbra) and it is intended for female and male teams under 15 (athletes born in 1993 and 1994).

Main objectives To extend the 2007/2008 season, thus motivating the teams to continue the training after the standard season. To mark the end of the season with a tournament, where the parties and the moments of fraternization between the teams are a constant, and which give this event unique features of festive atmosphere. To gather the family of European youth volleyball in Lousã and adjacent municipalities. Equally, this event allows the coaches to test the teams and the players of the 2008/2009 season. This means that the teams may also bring some younger players (born in 1995). Best regards, Luis Vidal (+351 967141074)

General informations Accomodation The accommodation of the teams will be made in classrooms of the Secondary School, Elementary School and Primary School of Lousã. The organisation will provide mattresses, thus each person must bring a sleeping bag, pillow and sheets. The teams will have their meals in the school canteens and the participation fee already covers the alimentation expenses. Note: the breakfast of 2nd July and the dinner of 6th July are not included. Group Each team has to be composed of a minimum of 9 athletes + 1 coach. There is no top limit to the number of athletes per team, however there must be a minimum of 10 people, 9 of which must be athletes. This is because the presence of 9 players per game is mandatory in order to observe the rules of rotation between sets (in one game, only three players can play more than 1 set, and never 3 sets consecutively). It is for the teams to decide if it is better to bring a large number of athletes in one single team or to bring two smaller teams of the same age/gender, even if one of the teams has younger players.

Participation Fee In this edition, there will be a participation fee per element of the group: ⌦ 50 € / per person, if the payment is made until 30th April ⌦ 60 € / per person, if the payment is made until 30th June ⌦ 70 €/ per person, if the payment is made at the “check in” Note: The participation fee is applied coaches/directors/physical therapist/etc.

The new participation fees intend to: • provide a better cash flow to face the tournament’s expenses. The support of the municipalities is progressively smaller and the specific sponsors are few. • guarantee a greater fairness in the payments of the fees, because a team with few players pay less than those with more players (if both enrol at the same time). In previous editions, there was a single amount for all teams, independently of the number of group elements. Note: Bearing in mind those teams with little financial capacity, the value of the fee for one team with the minimum of 9 athletes + 1 coach, the participation fee is equal to that of previous years in every period of time. The SC 2008 will continue to reward the first enrolments by diminishing the value of the participation fee, allowing the teams to reduce expenses and guaranteeing more time to the organization to plan the tournament.

Competition The competiton will have a maximum of 24 male teams and 24 female teams. The under-15 and younger teams will play in the same competition (female competition and male competition), and the groups will be established according to the team’s predicted level. There is the possibility of existing more female teams participating, so the copetition may suffer some adjustements according to the number of enrolled teams (for example, 36 female teams and 16 male temas). There is no elimination round, so all teams play the same number of games (8-9 games).

Transports (during the tournament) The organization will provide transports to the teams to and from the games and other activities included in the tournament. However, the teams may use their private transport, avoiding possible waiting periods and benefiting from a greater autonomy. Note: those teams that have private transport can use the tournament’s official transport.

Transports (Lisbon Airport / Lousã ) If those teams arriving by plain are interested in receiving some support of transportation from the Lisbon airport to Lousã (about 220 km), they may request it to the organization. 3

In this case, the organization will provide buses that will transport the several teams from the airport of Lisbon (if possible, the organization ask the teams to chose this airport rather than O’Porto) to Lousã. In order to reduce the transport expenses that will be placed at the teams’ disposition, we ask for (per route): • Lisboa airpot » Lousã = 5€ per person • Lousã » Lisboa airport = 5€ per person Each element of the group must contribute with 5€ per route for the bus’ expenses. The teams’ transport fee (if they are interested in the bus provided by the organization) may be added to the participation fee or paid separately when registering (“check in”) in the tournament. Example: A team with 10 elements (9 athletes + 1 coach) which pay the participation fee until 30th April (50€ per person) and which needs transport from the airport to Lusã (5€ per person) and from Lousã to the airport (5€ per person) pays 500€ (participation fee) + 100€ (airport-Lousã-airport). 10 people x 50€ + 2 x (10 x 5 €) = 500 € + 100 € = 600 € In the previous editions of the tournament, the organization enjoyed from protocols of collaboration with the municipalities, allowing the teams’ free of costs transport. However, this year, due to budget cuts, these protocols are not possible. Nevertheless, the organization will still support the teams’ transport, by financing 50% of the expense. Observations: 1. the teams are not obligated to use the organization transport. If they wish, they may use the train or bus national service. The tickets can be bought or reserved at www.cp.pt (train) or at www.rede-expressos.pt (bus). The bus or train ticket prices round the 20€ per person. 2. If the teams chose the organization transport: we only ask the teams to choose the Lisbon airport because it is easier to organize the transport, using 50-seat buses with several teams in the same bus. 3. We advise the Portuguese and foreign teams travelling by plain to plan their arrival to 1st July, Tuesday, during the day. The teams will have at their disposition a transport around 15h (3pm) and another around 21h (9 pm). This timetable may be adjusted to the time of arrival of the teams. It may happen that some teams have to wait for other teams arriving. 4. At the end of the tournament, we ask the teams to Schedule their flights to Monday, 7th July, if possible, at the end of the morning, so the departure from Lousã to the airport does not happen too early. 5. Again, some teams may have to leave Lousã earlier because of the hour of other teams’ flight. Thus, the teams with closer flights will go in the same bus and, so, leave Lousã at the same hour. 4

Volunteers The teams may be accompanied by volunteers (2 per team), who will help during the tournament (performing functions of referee and scorer or helping the organization All volunteers must bring parents/tutors’ authrization and must observe the rules of behaviour and discipline as all other participants. The volunteers’ enrolment is free of charge and is not included in the teams’ groups. Rules of the IX Summer Cup 2008 Lousã Portugal The teams interested in participating must enrol until May 31st 2008. 1.

The formalization of the enrolment is obligatory, through the fax number 0351 239 990146 or the e-mail [email protected].

2.

The single criteria of selection of teams is the order of arrival of faxes and emails.

3.

The organization will notify the teams of the provisional confirmation of the team’s enrolment soon after the reception of the fax or e-mail.

4.

The enrolment is only considered definitive after the payment of the participation fee.

5.

The organization undertakes to send the proof of payment after the reception of the cheque: The teams have to give the necessary data to the emission of this proof of payment.

6.

Each club can enrol two female teams and two male teams in the tournament.

7.

The enrolments can close before the official deadline (May 31st) if there are already 24 male teams and 24 female teams interested in participating or if the total number of teams (male and female) reaches 48.

8.

The participation fee is: 50 € / per person, if the payment is made until April 30th. 60 € / per person, if the payment is made until June 30th. 70 €/ per person, if the payment is made when “checking in”

9.

Teams must regularize their enrolment by sending a cheque to order of “Lousã Volley Clube” with the corresponding amount.

10. All payments must be made by cheque (from the team or personal) or by bank transfer. The necessary data will be provided by the organization when asked. 11. The organization is entitled to not returning the paid fee if the team decide not to participate in the tournament after June 2th 2006. 12. In the same way, the teams which, after the confirmation of their provisional 5

enrolment, do not pay the participation fee until May 31st, can be excluded from the tournament. 13. The teams have to bring a minimum of 10 players. In case of any last minute impediment (injury, illness, etc.), the team, being unable to substitute the missing athlete, can still participate in the tournament but they will do that under the specific rule of lack of appearance of a team in a game. 14. If any team chooses to participate with less than 9 athletes, it must pay the full participation fee, as if it was bringing the minimum number of 9 athletes. 15. It is of the teams’ exclusive responsibility to guarantee that all their athletes have sports insurance (or any other type of insurance) duly regularized, as well as an authorization from the athletes’ legal tutors. 16. The teams will be accounted for any material damage resulting from misconduct or inappropriate behaviour. 17. The organization is entitled to exclude from the tournament elements of the groups/teams, volunteers and other participants whose behaviour does not observe the rules of conduct of these kind of events. 18. The consumption of alcohol and tobacco is expressly prohibited to people under 16 years old. All coaches and other participants must make sure that the elements of the group under their responsibility follow this rule.
