Registering the IP Office Product (with On-Boarding Functionality) Getting Started Registration of your IP Office Product is required to obtain maintenance support

What is registration? – Registration is the process of providing the hardware details of the product to Avaya. This is referred to as Installed Base Creation and assigns the hardware details to the customer site record – An additional part of registration is the creation of the remote connection between Avaya and the IP Office. This is referred to as Technical Registration and establishes the secure connection between the product & Avaya. (Note: SSL/VPN remote connection unavailable on versions lower than 500 v2)

How is registration different for IP Office? – Unlike other Avaya products, registration can be initiated via the IP Office for versions 8.1 and higher with the built in IP Office 8.1 Web Manager – The IP Office provides a hardware inventory file in XML format that can be uploaded directly to Avaya’s Global Registration Tool (GRT) – Registration functionality available on all Editions (Basic, Standard, Server)

Log into Global Registration Tool (GRT) using your SSO credentials. On the GRT Home page, click the Create New Registration to expand and display all options.

Enter the end user Sold-to/Functional Location number on the Customer Site Registration page and select Next. *Note: The user can begin typing either the name of the account or any part of the Sold To/FL number and all accounts that match the data entered which the user is authorized for will be displayed.

Registering the IP Office Product Complete a new registration without inventory file 5. On the Site Contact Validation page, you will be prompted to verify the sold-to information, enter the required contact and registration information. 6. Once completed , click the Next button to continue

Validate selected Sold To Location •Make sure your entered sold-to is the correct location before proceeding

Registration Name is an optional field that can be used to help easily identify your registration.

Reported By •User name and email address is populated from the SSO login profile. •Enter a valid telephone number

GRT Notification Contact •Same as above option will automatically populate the Reported By information •Enter Manually will allow you to enter a different contact to receive GRT email notifications •Multiple Email Addresses can be entered by separating email addresses with semicolon. Select the correct option under the Technical On-Boarding section: “Would you like to establish Remote Connectivity for the IP Office? •Select “Yes” to simultaneously perform remote connectivity (aka Technical On-Boarding) which will generate the OnBoarding file (set-up recommended). •-Or•Select “No” then Technical On-Boarding will not be initiated (no On-boarding file generated at this time). Technical onBoarding can be initiated at a later time. 8. Leave the File Upload section blank, you will be prompted to enter the material codes for Install Base Creation on the next screen. 9. The Company Information section contains optional fields about the End User customer. This information provides the Product House marketing data. 10. Click Next to continue

Select the Manually Add Material Code button and enter material code, quantity and serial number (optional) Upload an Excel spreadsheet with the material code, quantity and serial number (optional).

* Format of excel spreadsheet can be downloaded by hitting the “Upload IBASE information” button.

12. If you have selected “Yes” to establish remote connectivity on the previous screen, each line item will have the Select Core Unit and Version fields visible. This information is required during the Technical On-Boarding to identify the Control (Core) unit. Select the appropriate line item that contains the Core Unit and then pick the correct version. (See next screen if No was selected for technical on-boarding) ** Note: Generation of the xml On-Boarding file only allows one Core unit per registration request.

13. Once complete with entering all material codes for install base creation, select the submit button to process the request.

If you selected No to establish remote connectivity on the previous screen, you will select the version when you initiate the technical on-boarding. (See slides 15 – 22) 15. Enter the material codes for install base creation by either: 1) Select the Manually Add Material Code button and enter material code, quantity and serial number (optional) 2) Upload an Excel spreadsheet with the material code, quantity and serial number (optional). •

Format of excel spreadsheet can be downloaded by hitting the “Upload IBASE information” button.

16. Select Submit once all material codes have been added.

Registering the IP Office Product Complete a new registration without inventory file • After selecting Submit, you will receive confirmation pop-up. 17. Select Yes.

Note: You MUST select Yes in order to proceed. If you do not select yes and select the X, this will void the registration and Install Base Creation. If you select No, you will be navigated back to the Install Base Creation page.

• After selecting Yes, you will receive an email notification reminder pop-up along with an “In Process” email notification

18. Select OK – This will navigate you to the Registration List page and will receive an “In Process” email notification. 19. GRT will process both the install base creation as well as initiate the technical on-boarding automatically (for all requests where Remote Connectivity was selected). Avaya - Proprietary. Registering the IP Office Product Complete a new registration without inventory file • You will receive several emails denoting the steps initiated and status changes. • Upon completion of the technical on-boarding request, the Technical On-Boarding Completed Notification will contain the xml On-Boarding file that will need to be uploaded into the IP Office to establish the SSL VPN connectivity. 20. Save the IPO On-boarding XML file to the desktop 21. Instructions for uploading the on-boarding file and validating connectivity can be found on slides 23 – 25.

Click on the Collapsed section – Registerable Products List – Read for Technical On-Boarding to expand. 26. Select the Access Type of SSL/VPN for the IP Office material code.

The Technical On-Boarding Configuration screen will display required fields needed to complete the onboarding. •The default values will be pre-selected with the correct values. 28. Update software release based on the version on the IP Office you are on-boarding (8.1 or 9.0) Select Add * Note: Connectivity will remain = No as the remote connectivity will be handled outside of GRT using the xml onboarding file. The value of no is correct.

Navigate to the On-boarding screen of the IP Office 8.1/9.0 Web Manager (shown below) 33. Click the browse button and locate the IPO On-boarding XML previously saved to the desktop 34. Click the Upload button • Congratulations, the IP Office product is now registered and setup for remote technical support from Avaya
