SAP Data Archiving SAP archiving is an important part of an effective data management strategy. Data archiving is used by companies with two main goals in mind: reducing data volumes in the system and complying with legal data retention requirements. SAP Data Archiving is a secure and reliable process through which data from closed business processes, meaning data that is no longer needed in the online business, is written from the database to an archive, and then deleted from the database. Optionally the archived data can then be moved to an external storage system (Content Server). An important aspect of this entire process is that the archived data must be accessible at any time, in case it needs to be viewed again, for example as part of an audit or for business reasons. In terms of legal compliance data must be deleted as soon as the required data retention period has been reached.

SAP Document Archiving SAP generated documents can be moved into the archive (Content Server) to release additional database space. An exact replica of the original document is stored, to fulfil audit and compliance requirements. Archiving also provides a convenient way of accessing documents such as print-lists once they have been removed from the SAP spool and also avoids the performance impact of regenerating documents on the live system.

SAP Information Lifecycle Management (ILM) SAP Information Lifecycle Management means gaining complete control over what data there is, where it is located and automating the management of that data so that you comply with internal, external, and legal requirements for its retention and destruction.

Retention management addresses the management of the lifecycle of data up to the point of destruction. It uses retention policy management and legal holds to control the retention of data during its entire lifecycle.

System decommissioning covers the decommissioning of legacy systems by moving data into a central ILM system called the retention warehouse. It supports methods for tax and other types of reporting on data from decommissioned systems and includes all retention management functions for legally compliant storage of legacy data.

SAP BW Nearline Storage – Managing BW & HANA Data Improve decision-making capabilities by bringing unprecedented performance to SAP NetWeaver Business Warehouse with SAP HANA for current data and SAP Sybase IQ for historical data, achieving the perfect balance of cost and performance. The adapter for Sybase IQ as a near-line solution is delivered with the BW system. Integration of Sybase IQ makes it possible for you to separate data that you access frequently from data that you access rarely, thus making fewer demands on the resources in the BW system. The near-line data is stored in compressed form, reducing the costs incurred by data that is accessed less frequently. A three step color coded data management concept: HOT DATA: Active data that has to be accessible on a permanent basis for read and write processes is referred to as ‘hot’ data. As would be expected, this data is stored in the main memory of the HANA DB. WARM DATA: which is not accessed quite so often, is best stored in the HANA DB file system. Whenever this data is loaded into the main memory for processing, it is displaced with higher priority once processing has finished. To achieve this, SAP developed a non-active data concept in order to optimize the displacement strategy for BW tables in the HANA DB. Here, tables with ‘warm’ data are flagged and are prioritized for displacement from the main memory whenever they are used. These tables are normally partitioned in the default setting, and only the partitions of the table that are affected by the transaction are loaded to the main memory. This makes it possible to make more efficient use of the priceless commodity that is main memory space. While the non-active data concept manages the passage of warm data between the main memory and the disk, NLS management is concerned with the next data layer COLD DATA: This is rarely used data which no more updates are anticipated in BW? Removal of this data is in time slices to the Sybase IQ DB. All affected time intervals of an InfoProvider are locked for load processes in BW. Apart from this restriction, the removed NLS data (‘Cold’ Data) remains available at any time for all other processes in BW, for read accesses quite naturally but also for ETL processes or individual lookups. Strategic queries, which analyze data over longer periods of time and thus inevitably also include cold data, are split and procure data both from HANA DB and from Sybase IQ.

The removal process itself is highly complex and must comply with transactional requirements. All this can be easily managed in both directions using BW Data Archiving Processes (DAP) which can be combined in Process chains. Finally, the consistency of the entire data pool must be ensured at all times, even if this is split into two disjoint parts in the case of NLS.

SAP & Non-SAP Legacy System Decommissioning -The Factory Gartner estimates that “On average 10% of applications running in an un-optimised portfolio are candidates for retirement and an additional one-third can require migration or rationalisation”.

These include obsolescent applications that are no longer delivering any business value or have been replaced but not yet shut down, applications on mainframes replaced with less expensive servers and applications with duplicate functionality that have accumulated in the environment through mergers and acquisitions. Obviously retiring legacy applications would create major savings on the IT operating budget by freeing staff for more important assignments, eliminating licensing and maintenance fees, and allowing IT to shut down the hardware they run on, saving power and heating costs immediately. The prospect of these savings is a major driver in establishing application portfolio management and application rationalisation in large IT environments.

But shutting down applications is more complex than it might first appear. The issue is the data, which is often in non-standard formats and which almost always needs to be preserved both for internal business use, compliance and other legal reasons.
