Using Performance Review Manager/Supervisor

Complete a review for an employee Once you have scheduled performance reviews for employees, it will appear on their manager’s or supervisor’s Pending Reviews page with the status “Not Started.” Now the review is ready for the manager or supervisor to complete. 1. Log in to Employee Self Service. 2. Select “Manager View” or “Supervisor View” from the drop-down in the upper-right corner of the page. 3. Choose Employee Self Service > Pending Reviews. A list of all reviews scheduled that are not yet completed will be displayed.

4. Select the review to complete. 5. Click Start to start the Performance Review wizard. 6. The first page displays details related to the review: review period, review date, review type, review (template) and name of the reviewer. 7. Click Next for the first question/statement in the review. a. Rating: Select the rating for employee from the drop-down. b. Comments: If the review includes comments at the individual question/statement level, a text box will display on the page. Enter comments. c. Click Next to move to the next question/statement. You can skip questions and return to them later by clicking Previous. You can also leave the review at any point by logging out or navigating to other Self Service functions. HKWorks will save the review and your entries with the status “In Progress.” Select the review from Pending Reviews to return and complete the review in progress.

Click View to open the review in a printable format. Print the PDF format.

8. Repeat step 4 until “Survey is Complete” message displays.

At this point, you have three options: a. Leave incomplete if additional information is needed for a rating or comments section. i. Click Previous to return to the page where additional information is needed. When the additional information is entered, click Next to return to final page and click Mark as Complete. ii. If still waiting for the information, no action is required. The review will be saved when you log out or navigate to other activities in Self Service. To enter information in the future you will follow steps 1 through 9a. b. Complete if no changes or additional information is needed. Click Mark as Complete. The review status will be updated to one of the following: i. Pending Acknowledgement if the Requires Employee Acknowledgment checkbox is selected in Client Management > HR Management > Performance Review. A copy with ratings and comments will be available in Pending Reviews. Managers or Supervisors can no longer make changes at this point. ii. Complete if the Requires Employee Acknowledgment checkbox is not selected. A copy will be available for the employee in their Performance Review History. c. View the review in a separate report view window and display a PDF of the review. Click View. You can print a copy from the PDF view window. HKWorks

9. Once the employee has reviewed the ratings, added any comments and saved, the employee’s comments will be available for the manager or supervisor to view. a. Select the employee. b. Choose Employee Management > Performance Reviews > Review History. c. The status is now “Complete.” Select the review if it is not already. d. Click Next until the Employee Acknowledgement page is displayed. e. Or click View and scroll to the last page of the PDF report to read employee comments.

Schedule a review Managers, supervisors and administrative users are able to schedule performance reviews. Choose Employee Management > Performance Review > Schedule Review. 1. Select the employee who will be completing the review. 2. Click Add New. 3. Review Date: Required. Enter a date or click the calendar icon to select a date the system will use to track when the review is due. 4. Next Review Date: Optional. Enter a date or click on the calendar icon if you want to schedule the date of the next review. 5. Period Start Date: Optional. Identify the beginning date in the period for which the employee’s performance is being evaluated. 6. Period End Date: Optional. Identify the date through which the employee’s performance is being evaluated. 7. Review Type: Required. Select from drop-down. 8. Review: Required. Select from drop-down. 9. Click Save. The Performance Review is now scheduled and assigned to the manager, supervisor and/or employee as determined by the checkboxes selected on the Performance Review page. Choose Client Management > HR Management > Performance Review.

Add a review Managers and supervisors can initiate and complete a performance review without using the Schedule Review function when they are assigned the ESS Manager role in Employee Self Service. Log in to Employee Self Service. 1. Select “Manager View” or “Supervisor View” from the drop-down in the upper-right corner. 2. Choose Employee Management > Performance Reviews > Add Review. 3. The page will display all employees assigned to you in Employee Management > Employee Maintenance > Jobs. Select the employee from the list for whom you will add a review. 4. Complete the fields in the Add Review page: a. Review Date: Required. Enter a date or click the calendar icon to select the date the system will use to track when the review is due. b. Next Review Date: Optional. Enter a date to schedule the date of the next review. c. Period Start Date: Optional. Identify the beginning date in the range of time the employee’s performance is being evaluated. d. Period End Date: Optional. Identify the date through which the employee’s performance is being evaluated. e. Review Type: Required. Select from the drop-down. f. Review: Required. Select the review to be scheduled from the dropdown. 5. Click Next to start the Performance Review wizard. 6. See “Completing a Performance Review for an Employee” on pages 2-4 for instruction on completing the review.
