Welcome to Starfish®. Starfish gives you a convenient way to keep track of your students – raising flags when you observe a pattern of behavior that concerns you, ensuring that the people on campus who can intervene are aware. It also allows your students to easily book an appointment with you or someone else who can help. Getting started is easy. Accessible through Blackboard, Starfish will automatically display all students that you have been assigned or are enrolled in your courses. From there, you can begin raising flags about students, review flags that have been raised about your students, and provide additional information. That’s it. Simple for you. Empowering for your students.

Getting Started Log into Blackboard and find Starfish on the Homepage

Update Profile Settings 1. Update and complete your Institutional Profile a. Email Address b. Phone Number c. Biography d. Picture 2. Update your Appointment Preferences to use Starfish to make appointments with students a. How long do you want appointments? (15 minutes, 30 minutes) b. Is there a deadline that students have to schedule appointments? (day before, hour before) 3. Update Email Notification preferences a. How often do you want to receive email updates? (once a day, once a week) b. To sync your calendar with Microsoft Exchange, select “Read busy times from my external Exchange calendar”

View List of Students 1. Click the Students tab on the Starfish Homepage

2. Select your list of students based on your connection to those students: a. View all students b. View advisees c. View students in specific courses

View Student Information Click on student name to view their personal profile and folder. Depending on your connection with students, you can view student information by clicking on their name in the Student tab. Advisors can view student flags, reports, appointments, notes, and tracking history. Instructors can view student contact information and other members of the student’s Success Network.

View Student’s Success Network A student’s Success Network is a group of individuals on campus that work diectly with the student and are dedicated to their success. Some success members include their Academic Advisor, Success Coach or Success Counselor and instructors

Early Alerts (Flags, Kudos, and Referrals) While viewing a student’s profile, instructors have the option to raise flags, kudos and submit referrals. The flags will take the place of the Early Alert System used by the university.

As you select flags, kudos or referrals, you can view permission levels of those alerts. Instructors will only have permissions to view alerts related to their own course.

View Flags, Kudos and Referrals As an advisor, you can view all flags, referrals and kudos that have been submitted for your students. In the student’s profile, select the “Tracking” tab to view all flags, kudos, and referrals that have been submitted by instructors and advisors.

Edit and Clear Flags or Referrals Advisors and faculty members can add comments to a raised flag to inform other members of the student’s Success Network. The flag can also be closed, which will “Close the Loop” informing the Success Network the issue has been resolved. Click the flag to the left of the alert to view more details, clear the flag, add comments or edit the flag.

Enter Notes Instructors, advisors and other staff members can enter notes in a student’s online folder at any time. As you select note types, you will see who has permission to view them in a student’s Success Network. You can also elect to have your notes set to private. Reports can be generated on all notes in Starfish, even private notes. Do not put anything in Starfish that you do not want others to see.

Create Office Hours and Appointment Preferences Creating office hours in Starfish allow students the opportunity to schedule an appointment with you online. Click the “Appointments” tab and select “Add Office Hours” to personalize your hours in Starfish

Select days and times when you are available to meet with students. Set reoccurring appointments for the entire week and semester. Select the length of appointments that can be made. Provide students details when making appointments. (“Check-in with staff at front desk.” or “Bring your textbook.”)

Add, View, and Edit Appointments You can view your calendar by the day or week in the “Appointments” tab in the top of the screen. View upcoming and previous appointments. To add a new appointment, select would like to schedule the appointment.

Sync Microsoft Exchange Calendar with Starfish 1. Select Email Notifications in Profile Settings 2. Select “Read busy times from my external Exchange Calendar 3. Edit Microsoft Outlook Calendar settings a. In the calendar display in Outlook, right-click on My Calendars  Calendar b. Select Share  Calendar Permissions

c. In the Permissions tab, click Add and find “Starfish Retention” in the Address List. d. Select “Editor” as the Permission Level with the following settings i. Read: Full Details ii. Delete Items: None iii. Write: Create items, Edit all iv. Other: Folder visible

* Calendar items from Microsoft Outlook will show on your Starfish Calendar. You can delete starfish appointments from Outlook but cannot edit Outlook appointments from Starfish

Progress Surveys Progress surveys will be sent at the 4-week and 8-week points in the semester. Instructors will receive a link in an email to bring them directly to the Progress Surveys. These surveys allow instructors to quickly and efficiently raise concerns about students in class.
