Step 1: Log onto Registerasa.com OPTION 1: New users “Click” here to create a new profile.

OPTION 2: Returning users click here to login using last years login and password information. Returning Users: Skip to Slide 6 (Step 3)

Step 2: Account Look-Up If you have ever been background checked with ASA, you will have an ID number. If you do not know your ID number.

STOP!!! Contact your District Commissioner or JO Commissioner Rob Combs [email protected], to ask for this information. If you have all of the required information, please enter as directed. Then click the I AGREE section and FIND MY PROFILE.

If you have NEVER been background checked with ASA, please click the CREATE ACCOUNT button. Skip to step 3 4

Step 2: Account Look-Up

Update all of your profile information.

Click the “VERIFY” button.

Modify your username if you wish, select a password and confirm the password. Click “Save” 5

Step 3: New Profile Set-Up Choose a unique username and password.

Select Association: OREGON ASA Select Group: Youth – JO - Fastpitch Select League: District Commissioner

Enter full legal name. Enter the rest of the required information indicated by a red asterisk.

You MUST select the TEAM ADMINISTRATOR box.

You may also select an additional role.

Then SUBMIT 7

Your new profile has been set up! Click the RegisterASA link to take you back to the login screen.

Step 4: Accessing your Account Enter username & password Click Submit when done.

Step 5: Adding a New Team Click the “ADD NEW TEAM” button.

Step 5: Adding a New Team Click the TEAM ADMINISTRATOR box. Type your team name exactly how you want it to appear on your Championship Roster. Fill out all information with red asterisks. Season: 2013 Year Reg. Type: Individual Team Type: Youth Division: Youth-JO-Fastpitch Classification: Age & Classification Group: District Reg. Option: Photo ID Card

Click the “ADD TEAM” box. 11

Step 5: Team Page Cont. Status: Pending = waiting to be submitted, Submitted= created invoice & waiting to be approved, Approved=OK Issues: Click the “YES” link to view your team’s issues Roster Type: None, Standard, Championship Invoice Number: Click here to view your invoice

Click here to get a blank copy of the 2013 background check form.

Click here to “Add Members” to your team then proceed to next slide.

Team Members will show up here.

Step 6: Adding Members You can add members to your team by entering their information in this screen. Option 1. Use the Member’s ID# and DOB. Option 2. Use this option if you do not have the Member ID# or if they are a new person.

If the member appears in the grid below, you may select the existing individual by clicking the “Add Member” blue button. If there are multiple users, you can narrow the search by filling out the fields along the top.

If the member does not appear below, click the ADD NEW button. Note: If the member does not show up and the member was registered in 2012, the data you entered is not matching the data entered last year. Please contact your District Commissioner before going forward.

Step 6: Adding Members Enter all information for the new member you are adding, making sure to use Legal Names.

Step 6: Adding Member To add a photo, select the “BROWSE” link. Then, select “BROWSE” again.

Once you select your picture, hit “NEXT”

Grab the corners of the box and scale down to select only the member you want. Make sure it is a Head shot

Select “Finish” 15

Step 6: Adding Member Once all the information for this member has been added, including a photo, you may select “ADD TO TEAM or SAVE & ADD NEW MEMBER”.

Step 7: Creating an Invoice Before submitting your invoice, review the “ISSUES” link to be sure that all of your issues have been resolved. Note: Issues concerning birth certificates send to District Commissioner. Background checks Consent form, Code of Ethics and Drivers License can only be resolved by sending in the paperwork with the invoice.

Once all of your team members have been added, you are ready to create an invoice. Click the “GENERATE INVOICE PREVIEW” button. 17

Step 7: Creating an Invoice The system will generate a preview of the invoice . Review the invoice to make sure it is correct. If the invoice is correct, click “CREATE INVOICE”.

If the invoice is not correct, click back to the “TEAM MEMBERS” tab to make any necessary changes.

Step 7: Creating an Invoice Select STANDARD roster. You can switch to a Championship Roster prior to Championship play.

Select a shipping method.

Do NOT enter any special shipping instructions.

Select “SUBMIT”

Step 7: Creating an Invoice Mail invoice with payment to this address. Verify that the correct number of players and coaches were added to the invoice. Players will be listed on 1 line item. Adults will be listed on two line items. One line item will be for registration and the second line item will be for a background check and ACE. Be sure ALL adults have two line items.

This will be your total amount due. When mailing several invoices together for approval, you must pay the TOTAL AMOUNT DUE for each invoice including shipping costs. Registration cards are shipped from the national office by invoice and each invoice incurs its own shipping costs. 20

Step 8: Sending in Paperwork When sending in your paperwork, please put it together in the following order from top to bottom: 1.Check 2.Invoice 3.Background Check Release Forms (yearly) 4. Coaches Code of Ethics (yearly) 5. Drivers License For each coach, regardless of whether or not they have coached before, the above documents must be sent in with the invoice in order for the coach to be approved. 6.Birth Certificates (send to District Commissioner) For all players who did not have their birth certificate verified in 2011 or 2012, a copy of the birth certificate must be sent in order for the player to be approved. **Note: Please staple the background check release form together with a copy of drivers license. All coaches must turn in a new release form each year per ASA National Office. 21

Insurance Certificates

The option to request insurance certificates will become available once the team is registered.

Click “INSURANCE CERTIFICATES “

Insurance Certificates Team Insurance Certificate Team Insurance Certificates name the Team as insured.

Additionally Insured Certificates Additionally Insured Certificates name a field owner as insured on behalf of the team.

Click “ADD NEW” Click “PRINT TEAM INS CERT.”

Request #1: Type in the name of the facility and the full address. Request #2: Click “SUBMIT” when done Additionally Insured Certificates can be printed only after approval by ASA. You will need to check back at a later time to print the certificates. 23
