To take full advantage of these instructions, we suggest that rather than print a hard copy, they should be viewed and used electronically (in PDF format). Can I register my daughter or myself online? Yes! Members both returning and new can use the online registration system (eBiz) to register for Girl Scouts.

How do I start? If you haven’t already created an online account in eBiz then that is the first step in the process. Full instructions on this process are available here: http://www.gsofsi.org/fo_leaders.html If you already have an online account, you will need to login. If you are the Family Manager for your family, then you will see an option on the main navigation bar that reads My Family. Clicking on this will open the Family Management area for your family members. You should be able to see your daughter(s) for whom you are listed as the Guardian 1, and you may be able to see the Guardian 2 for your daughter(s) as well. You can renew or register members of your family from this area. If you are an individual adult volunteer who is not a Guardian 1, then you can register yourself by clicking on the link in the upper right hand corner that reads ’s Account. This will open your profile view and should show an area titled Active Memberships. You can either renew by clicking on the Renew Membership button or if you are a new member you should see a button that reads Join Now. Either one of these buttons will begin the process for registering. If you log into your account and cannot see My Family and you should be the Family Manager, or if you are certain you should have an option to renew your membership but are seeing the Join Now button, please email the CES Help Desk at [email protected]. A Help Desk staff member will need to check your account status before you continue the registration process.

Where do I go to log into my online account? Go to www.gsofsi.org and click on Register at the top of the page. This will take you to the eBiz home page will open and the login area is on the right hand side of the screen.

How do I pay for online registrations? All online registrations are paid for with a credit or debit card: Discover, Mastercard, or Visa.

Can I register my daughter and myself at the same time? If you are the Family Manager, yes, you can register multiple family members including yourself from your account using the Family Management area.

My daughter and/or I are moving to another troop for 2015. Do we still reregister? The online re-registration system only allows you to re-register to the troop you were with for 2014. If you are changing troops for 2015, renew online and then notify your new troop leader that you have completed your online re-registrations and your troop leader will notify the Service Unit Registrar that you need to be transferred to your new troop for the 2015 membership year.

Is it still possible to register using paper forms? Yes, though we strongly recommend trying to register online first. Submit completed 2015 Membership Registration Paper Forms to either your troop leader or your Service Unit Registrar with a check for $15.00 for each Adult Registration, and $15.00 for each Girl Registration. 2015 Membership Registration forms can be found at: Adult Registration Form: http://www.gsofsi.org/fo_leaders.html#membership Girl Registration Form: http://www.gsofsi.org/fo_leaders.html#membership

Where do I go if I need help re-registering for 2015? Contact the CES Help Desk at: [email protected]. The Help Desk is open Monday through Thursday, from 8:00am through 5:30pm. During peak registration times, emails may also be answered as needed after hours.

Registration Step-By-Step Instructions 1. Log Into eBiz – My Family Using a supported browser (Internet Explorer 9, 10 & 11, Chrome, Firefox or Safari), access the GSSI website: www.gsofsi.org Click on Register at the top of the page. This will take you to the eBiz home page will open and the login area is on the right hand side of the screen.

On the right hand side of the screen, you will see an area titled Current Member Login, as shown above. Type in your username and password and then click Login. If you have not yet made an account, follow these instructions to complete the process: http://www.gsofsi.org/fo_leaders.html If you are a Family Manager, your screen should automatically load the My Family view as a default starting place. This view should look similar to the image below. If this view doesn’t load, click on My Family in the menu bar. Skip to step 2 to continue.

If you are a renewing member, you will see the above view with a button that reads Renew Membership. If you are a new member, you will instead see a button that reads Join Now. Click on either of these buttons to begin the registration process. Skip to the Collecting Membership Information: Adult Member section for instructions on how to update an adult membership.

If you are seeing the Join Now button and no membership history and you are certain you were registered during the 2013-2014 membership year, please email the CES Help Desk at [email protected] for assistance.

2. Selecting Members to Renew

From the My Family page, you can click the check boxes next to the names of the members you want to register. If the member is renewing there will be a small GS Logo to the right of the date under Girl Scout Member Until column:

If there is no green logo, check the dates under the Year/Serving/Role column. If you see a year range from 20142015, then this member is already registered for the 2015 year. If you only see one date range for 2013-2014 or no dates listed and no green logo, don’t worry! This just means the member isn’t considered “renewing” but you can still check the box next to their name and a new membership will be generated for that person. After checking the boxes next to the members you wish to register, go to the “I want to:”drop-down menu, expand the menu, and choose the option that reads “Purchase Girl Scout Membership(s)”. Then click the Go button. If you have a new family member to register (such as a new Daisy for the 2015 Membership Year) and they are not shown on your family roster, you can use the Add a Family Member link to add a new family member to your roster.

If a family member who has been a registered member in the past with GSSI is not listed on your roster, please DO NOT USE the Add a Family Member link. Please email the CES Help Desk at [email protected] for assistance. Your family member may need to be linked to your account before you can purchase their registration. 7|Page

After clicking the Go button, your screen should look similar to this:

You should see a line for each member you selected. The first line here is highlighted in mint green. This is the order we are going to update first. The other members are grayed out to emphasize which member you are currently updating. Click the Process # of # button to begin entering information for the first family member. In our example, Mike Daisy is an adult member, so we will show in greater detail the process for renewing an adult member in the next section.

3. Collecting Membership Information: Adult Member

Contact Information: Address, Email, Phone Number

Update the address and contact information. Make sure all fields marked with a red asterisk * are filled in as this indicates they are required.

(Both phone fields can be the same number.)

Read through the email and text message information and check or uncheck the boxes according to this adult’s preferences. Click Next to continue. 9|Page

Personal Information: Part 1 – Name, Birth Date, Race and Ethnicity, Employment, Involvement and Media Permission

Update the adult’s date of birth if incorrect by clicking the Change link. If the spelling of his or her name is not correct, please contact [email protected] to have council make the needed changes to any names.

Check the appropriate boxes to indicate the adult’s Race and Ethnicity. In all cases you can select “I choose not to share” if you would prefer not to make a selection.

Employment is a required field. If you do not know or don’t wish to share, select “I choose not to share”. If you wish to select “Employed” the below view is what you will see. You can search for the employer using the search feature. If the company is not found, click the “Company Not Found” check box. You can type the “Job Title\Company Name” into the Title/Occupation box. (Please use a backslash “\” in between the title and company name.) Click Next to continue. .

Indicate the number of years this adult was a member of Girl Scouts as both a Girl Member and an Adult member. Please only include the prior years of participation and not the membership year you are currently purchasing.

The “Are you a Girl Scout volunteer?” question is a required field. If this adult is new and does not know their troop number or position for the year currently being purchased, select “No”. (Troop number/position can be changed later once troop number or role is determined.) If “Yes” is selected, the next step in the process will require Troop or SU number and position information. Make a selection for whether Girl Scouts has permission to use photographs, video or other media of this adult by selecting the appropriate radio button.

Personal Information: Step 2 – Troop/SU and Position Request Form If “Yes” was selected in the previous step for the “Are you a Girl Scout volunteer?” question, the next step will be required.

Click the drop down menu next to Role and select the appropriate position for this adult. If the adult does not have a specific role in the troop, you can choose the 03 Support Volunteer option under Serving type in the troop or SU number. If this adult is a Service Unit volunteer or won’t be registering with a specific troop, you can type in the SU number in this box. (Contact [email protected] if you do not know your SU number.) Click Add to add this role to the How I Would Like to Participate Section below. You can add as many positions with as many troops as this adult should have by clicking the Add Another button. (All positions must be approved by council before they are active.) Click Update Involvement before advancing to the next screen. Click Next to continue. 12 | P a g e

Verification Page

We have completed the information collection process for Mike Daisy. Above is the screen you should now see where you can confirm all of the information that was entered during the collection process. Any section can still be changed by clicking on the Change links for the section you wish to alter.

If everything looks accurate, click Continue to proceed to the next step.

4. Proceed to the Next Family Member At this point we have completed updating all information for the first family member. The page refreshes to the display below and we can see that now the next member, Hannah Daisy, is highlighted in mint green. 13 | P a g e

Check the appropriate boxes to indicate her Race and Ethnicity. In all cases you can select “I choose not to share” if you would prefer not to make a selection.

Check that her school and grade level are correct. If they are not, click the Edit link. Type in the name of the school and click Search. If the school comes up in the list of options, click it to update the Your Selections area.

If you do not see the school, you can try a more general search on the name, or check the box “School Not Found.”

If her grade level is incorrect for the grade she will be in starting September 2014, use the dropdown menu to change it.

Personal Information: Part 1 -- Continued Update the number of years she has been a Girl Scout. This number does not include the year for which you are registering her, only prior years.

Select the Pathway of Entry for this girl. If you are not sure what her pathway of entry is, click the little icon next to the description for more details. If she is going to be participating primarily with her troop or as an Independently Registered Girl (IRG) during the year, select “Troop”. In some cases, this will cause a popup to display where you can type in the troop number that she would like to be in. This box is a simple text box and can accept any characters, so if you don’t know her number or if she is an IRG, you can type the town or city you live in or even “not sure”. Check the boxes for pathways that she might be interested in and make a selection for whether Girl Scouts has permission to use photographs, video or other media of this girl. Click Next to continue.

Check the information for the Guardians for this girl. If anything with a red asterisk * is not filled out, make sure it is filled in or you won’t be able to continue the process.

Below is the screen you should now see where you can confirm all of the information that was entered during the collection process. 6. Shopping Cart

In the Shopping Cart screen you will be able to review your orders before proceeding to the payment part of the process. You can click the Delete link below any membership that you wish to remove from the cart. Click the Checkout button to continue to the donation page.

7. Donation Page Donating to Girl Scouts of Southern Illinois is optional. If you wish to make an online donation, make the desired selection here. If you do not wish to donate at this time, select the “Not at this time” option.

8. Payment In the Order Payment screen, you can view the orders you are paying for and then scroll to the bottom to enter your credit card information. Please enter your credit card information as shown. Visa, Mastercard or Discover cards are accepted in either credit or debit form. Enter your name as it appears on the card. If you are using a troop debit card, enter only the name on the account and not the troop number. Check the box indicating that you have read and accept the Girl Scout Promise and Law and meet the membership requirements. This box must be checked before your payment will be processed.

Click the Process My Order button to submit your payment. Please note that GSUSA does not refund membership fees once processed and they are non- transferrable.

9. Order Summary and Receipt

When this screen loads, it indicates that the memberships were processed successfully. You have the option to print this receipt however you can also see this order under your Family Management area at any time after leaving this screen. When we click on the My Family tab now, we can see that the family members who were selected are now registered for the 2015 membership year.

Congratulations, you have completed registration for your family!

Tips and Troubleshooting Problem: Pages don’t display properly or certain areas of the webpage aren’t visible. You may need to refresh your browser’s cache. The PC keyboard shortcut is to press CTRL and F5. This shortcut will work in all supported browsers (Internet Explorer 9, 10 & 11, Chrome, Firefox and Safari). You may need to do this repeatedly before the website is rendered cleanly. If clearing the cache does not work, try switching to a different browser. When logging in with Google Chrome, enter your username and password and then click the LOGIN button. If you just click enter, it may take you to a white screen. If you are using a browser not mentioned above, you may need to use one of the recommended browsers for the website to display properly.. Optimal view of the website is using a laptop or desktop computer. Problem: While completing registration, there was an interruption and now the screen is back at the home page. Do I really need to start over? An eBiz session will time out if the user is idle for a period of time and yes, the information collected previously will not be retained - there is no option to save changes during the process. You will need to start from the beginning if your session times out. If you are under a time constraint and have several members to register, keep in mind that if you complete the updating of a member’s information, the membership will be added to your shopping cart and you can go back and pay for it at a later time. Please be aware that items do not stay in the cart indefinitely – carts are cleared periodically by system maintenance, so make sure that you don’t wait too long to go back in to pay for the registrations. It is also a good idea to have everything you need for the process at hand when you begin. If you do find that you need to confirm information or make name corrections during the process, complete the registrations and request the changes later. Problem: I should be the Family Manager, but I cannot see My Family. If I try to add a family member, I receive a message that the member “already exists in the system” or that the system cannot find my child. What do I do? If you are having any of these issues, please email the CES Help Desk at [email protected] so that a staff member can research your problem. In general these issues indicate that your record is not associated with your daughter’s record in our database. This is a problem that will need to be resolved by council.
