Quick Guide to Searching COS Pivot INITIAL STEPS: Go to http://www2.lib.udel.edu/database/cospivot.html Click the Connect button Click on the word Funding near the top left corner of the screen Select the Advanced Search option by clicking on words underneath the search box

Set Activity Location. Do not include sub-entities or super entities Citizenship is preset to United States; select other countries as appropriate. Select Funding Types, e.g. research, travel Select Keyword, then Browse for keywords. Keyword browser presents a hierarchy of terms using folders. Open folders to see more specific terms.

Uncheck Explode

Select appropriate Requirements, e.g. Academic Institution, Ph.D./M.D./Other Professional

FINAL STEP: Click Search

Sharing Funding Opportunities with Faculty Frequently Asked Questions

1. How do I share a funding opportunity with others? You can share funding opportunities from many points within Pivot. You must be logged in before you can share a funding opportunity. You can share funding opportunities from your Active or Tracked lists, from the search results page, from a funding opportunity, and from a lists. Look for links to share the opp to open a share box. You can start typing in the ‘To’ field to see a list of possible matching names, if the recipient’s name is not already populated in this field. You can type in the email of a recipient if it is not on the suggested list. If you share with multiple people, you have the option to let all recipients see who else received the funding opp, although this option is unchecked by default.

2. Can I share a funding opportunity with someone outside my institution? Yes. If you share a funding opportunity (or several) with someone outside your institution and they are also a Pivot subscriber, they will receive your email and will see the shared opportunity in the Shared opps section of their homepage. If the recipient is not a Pivot subscriber, they will receive the email and the link to view the funding opp(s) will be active for them for 2 weeks.

3. What is the Shared list on my homepage? Opportunities that you have shared with others in the last 60 days can be viewed by opportunities shared or the people with whom you have shared funding opps. When viewing by opportunity, you can see the next deadline and the number of shares and if any of the recipients have added the funding opp to their Active or Tracked lists, or have dismissed the funding opp from their Received list. In addition, the list can be viewed by the people and you can view all the funding opportunities shared with the people on the list.

Create a Pivot Profile o

When? ASAP because it takes two weeks to process and we want to have it ready for the next session.

Why? A Pivot profile that has been claimed, updated and managed can demonstrate how Pivot can use your own data to generate funding opportunities that are aligned to your interests.

o

If you do not Claim your profile, you cannot update it.



Attached is a handout that walks you through the process.



Helpful Hints o

When updating your profile, 1) verify that your webpages are correct, and 2) upload your CV. Upload your CV using the Publications link that appears within the updating process.

After you have updated your profile, the Pivot editorial team will implement it. This may take two weeks to finalize. Your CV will not be visible, but the data on it will be used to select funding opportunities for your review. To view the selected funding opportunities, see the Advisor link that appears on your Pivot home page. If you have questions, please feel free to get in touch with me.

Creating and Updating Your Profile One of the benefits of Pivot is that we have over 3 million faculty profiles created and maintained by our Editorial Team. This takes the creation burden off you! We review profiles on average every 12 to 18 months, however, if you have pertinent information you need added or changed in your profile, you can make certain updates or additions on your own. These updates and additions will be immediately visible in Pivot. You can even attach certain types of files that Pivot will index and make searchable until the information is confirmed and added to your profile. Once you log in to Pivot, you can click on your name to see a drop down list of account options. If you have a profile linked to your account, you will see the option, Your profile. Click on this link to view your profile in full. If you wish to update your profile, click on the Update profile link. If you do not have a profile linked to your account, when you click on your name, you will see the prompt that your name is not linked, you will see the Claim profile link to either claim an existing profile or create a profile. Claiming an Existing Profile Claiming an existing Pivot profile is not required in order to use Pivot, however, there are certain benefits you receive by doing so: Pivot Advisor: The Advisor makes funding opp recommendations for you based on your profile. These recommendations are automatically available on your Pivot Homepage when you have claimed your profile. If you do not claim or create a profile, you will not see the Advisor recommendations on your homepage. Updating your profile. If you do not Claim your profile, you cannot update it. Why make sure your profile is updated? Your profile is viewed by thousands of Pivot users who may be looking for potential collaborators for a research project. You may be overlooked because your profile is missing critical information. To claim an existing profile: 1) Log in to Pivot. 2) In the upper right-hand corner, your name is displayed. Click on the arrow to display the options. If you see a Claim profile link, you know there is not a profile linked to your Pivot account. Click the Claim profile link.

3) A list of potential profile matches (from within your institution) may be displayed. If no matches occur, you can choose to look for potential matches outside your institution by clicking on the appropriate checkbox above the results list. 4) If you locate your profile from the results list, click the “This is me” button to the right of the profile name. If no results display, click the Suggest a scholar link located to the left of the results list. 5) After clicking on the “This is me” button, a message will be displayed informing you that you that a new window will be opening to complete the profile claim process. 6) You will then be asked to confirm whether or not you still have access to the email address listed on your Pivot profile. 7) If you confirm that you still have access to the email on your profile, you will receive verification email at that address that will link your profile to your account and will grant you access to update your profile. 8) If you do not have access to one of the emails displayed, select I no longer have access to any of the above email addresses and hit the submit button and your request to claim your profile will be sent to our editorial team. A verification e-mail will be sent the e-mail address in your Pivot account within 1 business day. This e-mail will link your profile to your account and grants you access to update your profile. Updating your Pivot profile: Pivot provides the capability for you to update certain fields or areas of your profile. Updating your profile can increase the quality of the funding matches recommended for you from the Pivot Advisor. You can currently update the following sections of your profile:      

Name Email address(es) Webpages (with publications, CV or other information) ORCID id (Note: ORCID ids will not be immediately visible in your profile. They will be visible at a later date). Expertise Affiliations (both past and present)

Publications are updated through our linking process. You cannot currently update your publications, however, you can link to a publication page on your website. Any publication or CV links you add are indexed and searchable (as are webpages).

Change submissions are immediately visible once you save them.

To change or update your Pivot profile: 1) 2) 3) 4)

Log in to your Pivot account. Click on your name to display the options. Click the Your profile link. You will be brought to your Pivot profile. Click the Update your profile link to the far right of your name.

5) Clicking the Continue button will take you out of Pivot and into our profile editing system. 6) Click the Edit button.

7) You will see various buttons or icons that will allow you to edit, add and re-order information related to your profile. Click the edit button or edit icon to modify the information in a specific section of your profile. You must click the Save or Add button for each field after making changes, adding new information or removing

information. You cannot move to another field until you either save or cancel your changes.

1) Click the Done button at the top to exit the edit view and review the changes you have made. Your submissions will be immediately viewable in Pivot. The profile will be time-stamped with the date updated and the name of the person who edited the profile. Pivot editors will not edit any profile information (with the exception of the automated publication linking) for at least one year when a profile has been updated by a scholar or a Pivot Administrator.

To create a Pivot profile for yourself (or for someone else): 1) Click the Suggest a scholar link on any profile search results page. 2) Enter the name of the person you would like a profile created for. 3) Once you submit the name, you will be shown a list of profiles that have already been created that may represent the person you wish to have added. 4) If you find a profile from the list that represents the person you wish to have added, no further steps are required, since a profile already exists. 5) If no profiles are returned or none of the profiles from the list represent the person you wish to have added, click the No match button.

6) You will be brought to a new page where you will be prompted to enter some information about the person you wish to have added. Fill out as much information as you can, paying attention to the required fields. 7) Click the Submit button when finished. 8) Once a profile for the person has been created, you will receive a confirmation from the Pivot Editorial Team.
