Program Motto :: “Quality is not static it is dynamic” our focus is on continuous improvement related to feedback from families, students and staff. Program Philosophy : to promote learning, social and emotional development/competence, physical ability, language, creative thinking and problem solving in a safe and nurturing environment. Our program is committed to equity and inclusion where thoughtfully planned programming is relevant and effective to all. We promote physical wellness/literacy in everyday programming. Our program is committed to the growth of each child by providing qualified, certified, enthusiastic educators. Our indoor and outdoor environments set the stage for children to have experiences that will promote growth and development building respectful, responsive relationships with each other and the child care professionals. IMPORTANT SAFETY POLICIES MORNING: The school is LOCKED until 8:10am . Students enrolled in the Before School Program are to be walked to the front door of the school and the doorbell is to be rang staff will come and let your child into the school and escort them to room 305. Parents are not to enter the school staff will sign your child(ren) in ( exceptions can be made for our youngest students or for any experiencing shyness or fear at entering without a parent). At 8am students are moved to the gym(except on chapel days ). Between 8:20 8:30: Kindergarten grade 4 students are walked to their classrooms. Grade 5 & 6 are dismissed to go to their classrooms by 8:30. AFTERNOON: Full Time/Part Time enrolled students will be released after school by their teachers to BASP staff who will walk them to their classrooms. EMERGENCY CHILDCARE : Students NOT enrolled in the Before and After School Program but in need of care will be walked to the designated pickup spot/zone outside the school by their teacher at the end of the school day. The teacher will wait the designated time for a transfer of each child into their parent’s care/supervision if not picked up they will be directed to the library where there will be supervised care that IS NOT part of the Before and After School licensed program. A parent must sign the child out upon arrival and pay AT PICK UP. $20 fee for afternoon, $15 fee for morning. UPON PICKUP : If your child is not in the Program room, please check the blue board on the door for where the class has moved to (gym or outside etc.). Staff sign out enrolled children once they have been transferred into their parent’s care. PARENTS ARE EXPECTED: To provide a morning snack AND an afternoon snack nut free and clearly labelled. FULL TIME/PART TIME STUDENTS: to call or text Melissa if your child i s not going to be in the Program OR if t hey ( the parent) are going to be late so that Melissa can contact the staff in charge to let them know. 4036069688

SCHEDULE Before School Program : 7am – 8:30am held in room 301 or room 305 We will have 1 certified/primary staff on each morning but if numbers exceed 15 we will have 2 primary staff working. If there is more than 22 students, on any given day, the extra students will be moved to room 305 and the Director (Melissa Pearce), or any of the emergency staff on duty will be called in for backup. Each child will be signed in to that room. After School Program: Mon Thurs: 3:406:00pm/Fridays 1:206:00pm **After 6pm care available upon enrollment. ●
Kindergarten Grade 2 is held in room 301
Grades K 4 children are picked up at the end of the school day by Staff and walked to their designated rooms. We will have 1 certified/primary staff in room 301. We also have jr. staff ( high school students) employed as extra help if needed. If there is more than 15 students we will have 2 primary staff working. If on any given day our numbers exceed 22 the extra children will be moved to our overflow room 302 and the Director (Melissa Pearce), or any of the emergency staff on duty will be called in for backup. Each child will be signed in to that room. ●
Grade 3 6 is held in room 305
This classroom will have 1 certified/primary staff member and a junior staff as extra eyes. If numbers exceed 15 another certified/primary staff will be called in. If there are ever more than 22 students they will be moved to room 302 as our overflow room and the Director (Melissa Pearce) or any emergency staff on duty will be called for backup, unless there are spots available ( due to licensing capacity) in room 301 as then they would be moved to that room signed in by staff. PD/Non Holiday school closure days: full ( 7:30 am 6pm)or half day options . (8am1pm OR 1pm6pm). We will staff with 1 certified/primary staff member up to 15 students if more students enroll additional staff will be provided. IF PARENTS ARE NEEDING THIS SERVICE: they may register and pay online https://campscui.active.com This service is not included in your monthly fee. Full Day Care: for winter and spring breaks for grades K 6 .(Half Day Options: 8am 1pm OR 1pm 6pm) Families needing this service are to register and pay online https://campscui.active.com PAYMENT PROVISIONS ● ALL FAMILIES MUST PROVIDE A VOID CHEQUE UPON ENROLLMENT TO BCS ● Full/Part Time Families will have their accounts debited the first of each month. ● The first month of service will also see a $40.00 registration fee debited from the account ● Emergency Childcare ( days not signed in for) AND any late fees need to be paid at time of service (debit machine on site). ● $50 NSF fees apply ● A receipt for income tax purposes will be provided. ● There will be no “discounts” for sick days/holidays/personal days/early pick up etc.

LATE FEES: If a family is late in picking up after 6pm they will be charged $1.00/minute per child. Plus an additional $10 if later than 6:15. This amount is expected to be paid upon pick up: UNLESS enrolled in the AFter 6pm Service.
WITHDRAWAL PROCEDURE: Families are required to provide at least one month’s written notice when they wish to withdraw their child from the program. Withdrawal forms are to be submitted to the Program Director. TERMINATION OF SERVICE: BCS B & A School Program can terminate services to families under the following circumstances. ● Fees for services are not paid in full and on time and suitable arrangements cannot be agreed upon (including Late Fees). ● The program is unable to resolve a problem with a family. ● If a family member behaves in a disrespectful manner, harasses, threatens or commits a violent or unlawful act toward a staff member, child or other family involved in the program. ● If, in the assessment of the staff, a child is unable to manage safely in a group of children within the given adulttochild ratio. In this case, termination of services will be a measure of last resort. OBLIGATIONS OF PARENTS : The Parents will: ● Abide by the Safety Policies stated above and all Policies in place. ● Notify the School when a person not previously authorized in writing or not known to staff will be picking up the Child (if attending the After School Program). * This person must present photo ID. ● Provide the Child with a nutritious, wellbalanced snack (NUT FREE) in a labeled bag or box for both the morning AND afternoon program. ● Make sure all medication – INCLUDING EPIPENS – are current, non expired and in original labeled containers and forms for consent to treat are given. ● Ensure that all enrollment forms are filled in and are current. ● Respect pick up time and if later than 6pm pay an additional fee of $1/minute per child PLUS an additional $10 after 6:15pm.( unless enrolled in the AFter 6pm service). ● Acknowledge that: Frequent late pickups could result in the termination of your child’s spot. Considerations will be made for traffic or poor weather conditions, although late fees will still apply. ● Acknowledge that they will be called if a child has not been picked up within 5 minutes of the Centre’s closing. If parents/guardians cannot be reached, emergency contacts will be called to help locate parents. Emergency contacts can pick up a child if parents / guardians cannot be reached. Photo ID will be required. ● Acknowledge that: I f they and their emergency contacts are not able to be reached after 1 hour of the Centre’s closing, staff are required to call Family and Children’s Services and notify the Director immediately. ● Pick up their child immediately if called by staff due to their child being confirmed sick ACCIDENT OR ILLNESS POLICY In the case of an accident or serious illness involving a child, we will ensure that the child’s parent is notified and the child receives medical attention if necessary. All accidents and illnesses will be reported to the Program Supervisor and/or Director. For minor medical accidents (i.e. scrapes, cuts, and bumps), staff will provide the appropriate first aid and an accident form will be filled out. Parents will be notified when they arrive to pick up their child and staff will speak with

the parent, explaining what happened. Parents will be required to read and sign the accident report form, and will be provided a copy of the signed form upon request. The parent will be called if staff feel the injury requires nonemergency medical attention or if the child needs to be picked up. If a child requires immediate medical attention due to injury or illness, the staff will call 911 and the child will be transported to the hospital accompanied by a staff member. In such instances the parent will be responsible for the cost of the ambulance. Parents will be notified as soon as possible by staff. If a parent cannot be reached, staff will begin to contact the emergency contacts for that child. Any incident or accident of significance will be recorded by the staff member in charge, brought to the attention of the Director, and then discussed with parent when the child is picked up/met at the hospital. Administration of Medicine Policy Should a child under our care require the administration of any medication, staff will administer according to the labeled directions only when all of the following criteria are met: Written consent from the child’s parent has been obtained. The medication is in the original labeled container. We will not administer medications that have the instructions to give “as needed” without a doctor’s specific written instruction for a specific time to give the medication. Please note that we may call the pharmacy on the prescription label to get clarification about the medication should we have any questions. Any time medication is administered to a child the following information will be recorded: The name of the medication. The time of administration. The amount administered. The initials of the person who administered the medication. All medication at the Centre will be stored in a locked container that is inaccessible to children. All medication that may be needed in an emergency, such as an EpiPen or asthma medication, will be stored in a location that is inaccessible to children, but immediately available to staff, i.e., in an easily accessible container that remains unlocked or on top of a high cabinet. EMERGENCY PROCEDURES POLICY MEDICAL TREATMENT AUTHORIZATION The Director and the Primary Staff Members are qualified to administer First Aid and their training is updated regularly. Parents must fill in and sign a medical form for their child(ren) upon enrollment **for ongoing medical conditions ( EPIPen, inhalers etc.) A separate permission form must be filled and signed for any medication to be administered each time/day medication is to be administered. EMERGENCY EVACUATION POLICY/PROCEDURE The program is maintained as a safe place for children. We encourage safe play both indoors and out, and we will instruct children in the proper safety techniques for using specific equipment and when playing on the playground.

Through modeling and routine, we will establish safety rules that allow children to function with minimal risk of injury to themselves or others. Children will be aware of any safety or emergency procedures that will allow them to remain unharmed in an emergency situation. Staff will follow all rules, procedures, and guidelines to insure the safety of the children in their care. Complete emergency evacuation procedure instructions are located near each exit. FIRE: Staff members take the daily attendance sheets for the group, as well as the emergency binder with contact names and numbers and other emergency supplies. They proceed to the nearest exit with the children in their care. Attendance is taken to make sure everyone has made it out safely. The director will check the building before leaving and locking up. In case of a real fire: 911 and all families are to be called once all children are accounted for and safely outside or in the MPF. LOCKDOWN/INTRUDER : Staff will lock classroom doors, close blinds and hide students behind overturned tables/desks. The educator will help students practice being calm and quiet. The phone line is not to be used. The door is not to be opened until the director lets them out. If the students are in the gym the practice will be held in Mrs. Hatch’s storage/office area. In case of a real intruder: 911 will be called and staff will not open the door to anyone other than the police. Families will be called once the police have arrived and all children are safe. We practice unannounced fire drills, as well intruder drills, occasionally to make sure children and staff understand the emergency evacuation procedures. Fire/Lockdown drill procedures are posted in all rooms. Epileptic Seizure Plan: Do not touch the person having a seizure, move furniture, line up kids and have them go to the other room take the emergency binder and sign in and out sheets, that worker texts Melissa. The other worker calls the parent of the person having a seizure AND STAYS with patient. If the seizure lasts longer than 6 minutes call 911. Anaphylaxis (severe allergy) Plan : ACT FAST! Emergency Action Steps DO NOT HESITATE TO GIVE EPINEPHRINE! 1. Inject epinephrine in thigh 2. Call 911 (before calling contact) 3. Call PARENT/Emergency contact One staff is to administer the epipen and calls 911 and STAYS with the child the other staff lines children up with sign in and out/emergency binder and brings to overflow room CALLS PARENT and texts Melissa and reassures other children. EQUIPMENT SAFETY POLICY Toys and equipment are inspected frequently for safety and ageappropriateness. All appliances used in the program meet safety requirements and are in good repair. The program uses only nontoxic arts and craft supplies. If parents notice that a specific piece of equipment is in disrepair or has become a safety hazard please let staff know immediately.

CHILD ABUSE POLICY All staff are required by law to report any suspicions of child abuse to the proper authorities. Section 4(1) of the Child, Youth and Family Enhancement Act states: "ANY PERSON who has reasonable and probable grounds to believe that a child is in need of intervention shall forthwith report the matter to a director under the Child, Youth and Family Enhancement Act or a person who has the director's delegated authority. The Child, Youth and Family Enhancement Act places the obligation to report child abuse by a parent/guardian or another person with any individual who has reasonable grounds to believe abuse has occurred. This responsibility includes caregivers in day care centres/Before and After School Programs. This obligation is not discharged until the individual has reported directly to a caseworker. Caregivers are familiar with the procedures set by the Child and Family Services Authority. It is the program’s goal to employ child care professionals who are committed to the highest standards of ethical behaviour. To ensure the health and safety of children in our care, a zero tolerance policy is strictly enforced. We consider corporal punishment or physical discipline by the staff to be abuse. If a parent has any concerns about the conduct of an employee that could be considered abusive, please contact the Director without hesitation. PROGRAMMING POLICY Staff responsibilities i nclude but are not limited to; 1.Being actively involved in play: participating when invited to play, contribute new ideas/materials to enhance play 2.Enter into conversation with children: comment about children are doing, ask questions, make suggestions, engage in respectful positive interactions 3.Support children as they show cooperation skills by acknowledging children’s efforts to follow the suggestions of others to play cooperatively and to learn from one another. 4. Assist children to develop leadership skills by providing opportunity for children to initiate ideas and/or make suggestions that will change or enhance the group play experiences. Students must be given the opportunity to: ● develop critical thinking skills ● be encouraged to use their own creative approaches to solve problems they encounter ● learn sense of self and belonging supportive relationships ● learn to respect the rights of others ● recognize and identify personal feelings of others and themselves ● experience and learn about the natural world ● receive half an hour of physical activity daily that incorporates indoor and outdoor play: both organized and student led free play Our Program promotes learning and development with stimulating learning activities, meaningful activities, creative play experiences and interactions that emerge from children’s interest.

Program Planning i s based on needs, abilities and interests of children and families as well as from experiences with families and communities. Our program planning goals include: ● working in partnership with families ● FAMILY involvement via suggestion box, surveys, conversations with director ● implementing clear, simple practices that promote regular exchange of information with families ● respectful, honest communication and joint decision making where families have a right to fully participate ● staff trained with solid understanding of early learning and child development ● student involvement via suggestion box, club and activity suggestion/creation, student planning/interest sheets and observation of staff TECHNOLOGY/SOCIAL MEDIA POLICY Technology Policy This may include the use of computers, videos, music, or taped recordings of their own voices, electronic game, etc. as a means of an activity. All activities, including the use of the computer, will be of appropriate age and content. Use of video games will be those that promote activity (dance games), be of an educational nature, and be limited in their use. We only allow games that are designed for a younger audience with a E for Everyone rating. We have program planned days for computer use and only with supervision and approved sites. Homework time allows for computer use if necessary for research related to assignment. Students are not to bring in their personal devices. Students are not to bring in nor use cell phones(unless to contact a parent with staff approval and supervision). Video Viewing Policy Use of movies or videos will be limited in their use. We will sometimes show short videos less than 10 minutes that enhance programming, such as a YouTube video of a rocket launch during spacethemed programming or an example of dancers from another culture or country. Full length movies are limited to once a month or for special occasions. All movies shown will be rated G or an equivalent rating. Web Site and Social Media Policy Depending on the changing technology and popularity of such communication, the program may engage in the use of social media outlets and web sites. Along with the centre web site, social media may be used for communications purposes, advertisement, and community outreach. It is our policy that such use follows our parent permission section in the registration form for photography and is respectful of all laws and ethical guidelines to protect the privacy of children and families. CHILD DISCIPLINE POLICY Within every school program setting appropriate guidelines must be set to ensure the safety and well being of all the children. Our intent at BCS is to provide a positive approach to discipline. The learning process involves teaching children to resolve their difficulties in a positive manner and develop selfcontrol. We encourage positive and appropriate behaviour.

Any child disciplinary action taken is reasonable in the circumstances: item put away if being abused, option of reading quietly if they are disruptive, removal from the areasupervised with the option of joining the group when they are ready(parents will be notified if necessary). Staff will not : inflict or cause to be inflicted any form of physical punishment, verbal or physical degradation or emotional deprivation, deny or threaten to deny any basic necessity or use or permit the use of any form of physical restraint, confinement or isolation. Program staff will keep open communication with parents in regards to their child’s behaviour The director will only be involved if behaviour becomes excessive or if parents have special concerns. We have a Behaviour Concern Policy in place. BEHAVIOUR CONCERN’S POLICY MINORS These behaviours are handled by the attending educator. Parent and Director involvement will occur for chronic infractions only. ● pushing and/or running in halls or classroom ● interrupting the educator ● leaving classroom without permission ● misbehaviour while in line ups MIDDLES These behaviours are handled initially by the attending educator and are referred to the director. ● inappropriate language ● inappropriate use of electronic equipment ● lying ● use of cellphones(without permission) ● teasing in a mean/disrespectful way ● disrespect/damage of school or educators space/property ● roughhousing MAJORS These behaviours are immediately referred to the director and a Student Behaviour Plan will be sent home with an action plan in place. SUPERVISION POLICY AND PRACTICES ●

The Before and After School Program is staffed with one certified/ primary staff member up to 15 children, with a “junior staff member” to help when needed. If we anticipate, due to enrolled students, that numbers will be consistently over 15 we will staff with 2 certified/primary staff members up to licensed capacity of room(s). We also have a few BCS staff on the premises at various times willing and able to come in to help, in case of sickness of staff or children or if the numbers exceed licensed capacity.. Children are escorted to and from the playground/gym etc. to the After School Program area by a staff member, who are easily identified as they wear Program name tags. Children are accounted for as the After School Program Staff sign them in when they arrive and sign them out once the parent has picked them up. Emergency/Drop In Care must have a parent sign out. If a child needs to use the bathroom during the After School Program time, a staff member will walk with them to the bathroom and assist if needed. The child will then be walked back to the After School Program room. The Primary Staff Member will watch the time and if the child/staff member do not return within 45 minutes she will check in on the situation OR call one of the emergency contacts at the school to check in. The intent of constant supervision is to make sure that at all times the Program children are safe and that activities meet their developmental needs.
The After School Program Director will periodically oversee staff as they supervise the children’s play and behavior both indoors and out, to ensure they are supervising in accordance to these policies. COMMUNICABLE DISEASE/ HEALTH POLICY If a staff member knows or has reason to believe that a child is exhibiting signs or symptoms of any of the following: ● vomiting, having a fever, diarrhea or a new or unexplained rash or cough, ● requiring greater care and attention than can be provided without compromising the care of the other children in program, or ● having or displaying any other illness or symptom the staff member knows or believes may indicate that the child poses a health risk to persons on the program Staff must ensure the following occurs: (a) that the child’s parent arranges for the immediate removal of the child from the program premises, and (b) that the child does not return to the program premises until the Program Coordinator is satisfied that the child no longer poses a health risk to persons on the program premises. The above condition (b) do not apply if the child’s parent provides written notice from a physician indicating the child does not pose a health risk to persons on the program premises. Parents are responsible to have someone available who can come to the program for emergencies or for a sick child. Parents must call if your child has a communicable illness or infection (chicken pox, conjunctivitis, pin worms, fifth’s disease, mites or head lice) so we can exercise additional control methods and notify parents. Your child’s identity will be kept confidential.

ANTI BULLYING POLICY BCS’ Before and After School Program is committed to making our program a safe and caring place for all children. We all treat each other with respect and we do not tolerate bullying in any form in our program. Bullying can take on various forms. Some examples include: keeping someone out of a group, teasing in a hurtful way, threatening, stealing or destroying someone’s personal things, hurting someone physically, using put downs, spreading rumors, insults or name calling. If you think your child is being bullied while attending our program, it is very important that you talk with the staff about your concerns, as not all children will talk to the staff about it. Our staff will do the following things to prevent bullying and to help the children to feel safe at the centre: ● Be accepting of each child’s individual strengths, personal characteristics, family background and culture ● Include all children in program activities and encourage all children to do the same. ● Closely supervise children in all areas. ● Watch for signs of bullying and stop it immediately when it happens. ● Respond quickly and sensitively to all bullying reports. ● Take parents concerns/advice about bullying seriously. ● Implement the program’s Behaviour Concern’s Policy as a consequence to bullying. Children in our program will do the following things to prevent bullying: ● Be accepting and respectful of each others individual strengths, differences, physical characteristics and family background. ● Treat each other with respect. ● Try to include everyone in play activities. ● Refuse to bully others, including watching, laughing or joining in when someone is being bullied. ● Report bullying to an adult. Bullying is something that unfortunately happens in any system where groups of children are together for a period of time and child care programs are no exception. With these guidelines in place, it is our goal to try to reduce and discourage bullying in our program. Signs that your child might be bullied: ● Your child is reluctant to go to the program/daycare. ● Your child makes excuses ( such as feeling sick) on a regular basis. ● Your child has difficulty sleeping. ● You notice cuts, bruises, or scratches that can’t be explained on a regular basis. What the program/centre should do: ● Take your concerns about bullying seriously. ● Pay special attention to your child when in their care to ensure bullying does not continue. ● Talk with the parents of the child who is doing the bullying. ● Discuss and come up with ways of dealing with bullying in the future. What you can do to help your child:

Encourage your child to keep away from the child(ren) who are bullying. Make sure they know that they are not dealing with the bullying alone and that the staff will help them. Make sure they stay near a caregiver and ask for help if they need it. Role play a bullying incident and make suggestions on ways to handle bullying if it occurs. Encourage your child(ren) to talk to staff when bullying is happening or as soon as they can. Teach assertive behaviour not aggressive not passive, but assertive.
COMMUNICATIONS POLICY Developed January 2015 Bearspaw Christian School’s Before and After School Program is committed to communication with families, children, staff members, schools and community members in a respectful and professional manner in order to facilitate positive relationships and create an optimum Child Care experience. FAMILIES Families of children registered at BCS’ B & A School Program have the right to be fully informed of their child’s experience while involved in a program. The B & A School Program has a responsibility to provide families with information on the program and its daily structure, as well as the information about their child’s experience and involvement while in the program. Written Communication ● Items of Communication that pertain to all families will be made available on a consistent basis, distributed either through email or the following avenues: ○ Newsletters distributed regularly ○ Notification of program staffing changes distributed within one working week of change ○ Parent Handbooks ○ Children’s weekly programming Verbal Communication ● Verbal communication will be used to establish a positive relationship with each family and to instill a sense of open communication. Educators will take care to acknowledge families when they arrive and leave the centre and take each opportunity to offer relevant information about their child’s day. Parent Participation and Feedback ● The B & A School Program will provide parents with the opportunity to offer their feedback regarding the program in a variety of ways: ○ Conversation with Educators ○ Parent Suggestion boxes ○ Invitations to AGM ( when in place). ○ Semiannual Parent Surveys Information gleaned from parents will be reviewed at staff meetings and changes to the program may be made accordingly. All comments and suggestions will be considered on an individual basis. Staff are diligent with informing students of the daily/weekly schedule and of “surveying” students for their interests and likes. Children’s concerns are heard and staff are always guiding behaviour and modeling correct behaviour. Staff make eye contact and are asking open ended questions to encourage communication with the students. Staff provide children with the opportunity to offer feedback regarding the program in the following ways: surveys, worksheets and gathering observations on likes/interests as well as group and individual conversations. STAFF Staff working in BCS’s B & A School Program have the right to be fully informed and involved in the program planning, policies and procedures and runnings of the program. It is the Director’s responsibility to provide regular communication on the day to day runnings, scheduling, and procedures. Staff have monthly meetings to discuss the program and all opinions and concerns are addressed and taken into consideration. There is an open door communication policy in effect that staff know they can set up a meeting, stop by the office, email or text the director at any time. The Director also communicates via staff group email and the staff info book any pertinent details/changes to the program. SCHOOL The Program keeps open communication with BCS in regards to day to day runnings and any policies and procedures that may affect them. The Director communicates openly via face to face and emails with fellow co workers/staff of the school to keep positive working relationships, as the program shares classrooms. The Director and Principal of the school work together in regards to behaviour plans and observations/reporting on any behaviours common with children in both aspects of the school working with aides of any IPP students to be consistent with behaviour plans. The program is committed to continuous improvement. To achieve this the following procedures are in place: Bi annual surveys given to families, staff and children aged 8 12. All feedback will be compiled and strategies will be created, shared with families and reviewed with staff. The director will be monitoring the implementation of strategies and progress by observing staff and scheduling team meetings to discuss what is working and what is not. Licensing and Accreditation teams will frequent our program and give feedback which will be compiled, strategies created, observed and reviewed by staff. Program goals will be set annually and an annual review will be completed and shared. PARENT CONCERN/COMPLAINT POLICY The program understands that there may occasionally be concerns that arise for various reasons. We believe that all concerns should be heard, addressed and taken into consideration. Concerns should be treated with respect and discussed openly with the intent for solution. If families have a concern that directly involves the educator/supervisor, the matter is to be taken up directly with the eductor/supervisor in question. The matter should be dealt with respect and done outside the program room. If the staff member cannot leave the room please schedule a time to meet with the supervisor/educator. The director will be notified of this conversation and a follow up phone call will occur. If the situation does not improve, the family must contact the director and a face to face meeting with all with be scheduled. Concerns that relate to programming, scheduling, payment or high level concern are to be communicated to the Director. All concerns/complaints are to be dealt with by the director within 24 hours of receiving the complaint/concern. The Director may set up a face to face meeting and families can always ask to meet with the Director. The intent of following up and meeting (if necessary) with families is to join with our families, allow them to voice themselves, and when necessary, correct and improve the program. The goal is to resolve differences and find solutions that everyone can accept. We are committed to providing a caring and supportive environment for our children, families and staff as it is in everyone’s best interest to maintain harmony and goodwill. The program reserves the right to ask a family to withdraw for the sake of the child(ren), family, and staff. We must at times be able to accept that our program is not the right fit for some children and families. Privacy Statement BCS Before and After School Program is committed to protecting your privacy and the confidentiality of your family’s personal information. We adhere to these policies and the provisions of the Alberta Personal Information Protection Act. We collect personal information in order to provide your child with child care services. Personal information is any information that identifies an individual. Our commitment to privacy means that we will not collect, use, or disclose you or our children’s personal information for any purpose other than those identified to you, subject to exceptions permitted by law. We take our responsibility to respect and protect your personal information seriously. If you have any questions about our privacy policy or practices, or if you would like to review your personal information please contact the program director. COMMUNITY/FAMILY ENGAGEMENT POLICY The Before and After School Program supports Community/Family members to participate in the program in a variety of ways. The Director is in contact with Western Rocky View Community Support Worker, who sends community information for the program to post and/or place in the communication method to parents ( newsletters, emails, bulletin board), has a working relationship with Child Care Coaches with the Alberta Resource Centre for Quality Enhancement and with FCSS in regards to workshops that may benefit staff and the program. The director has a

working relationship with the Town of Cochrane and utilizes staff members for various program planning opportunities. ( Fun Van(physical literacy), drama, music, art instructors). Parents who have shared special skills/training may also be contacted by the Director to discuss possible job opportunities that will benefit the program and/or children. Community/Family members that are hired for an enrichment program are first contacted via phone and/or email, a face to face meeting is scheduled where skills/experience are discussed, orientation of the program is reviewed and a verbal contract is arranged. A written contract will be done up for each hired/volunteer community member running an ongoing activity. Criminal checks are required and BCS staff help supervise these programs and report feedback to the Director. VOLUNTEER OPPORTUNITIES Family and Community Members are encouraged and may be invited by the Director to volunteer their skills/services. Communication via email and/or phone followed by a face to face meeting to discuss skills/services, orientation and program planning will occur prior to member sharing in the program. BCS staff supervise the event and report to the Director the outcome.
