ORAL ELECTRONIC PPT E-‐POSTER PRESENTATION GUIDELINES Please upload the FINAL VERSION of your poster. During October 15-‐ 25, a set of reviewers will look at the posters to make sure you have followed the template correctly and will also choose top 3 of the best posters to be awarded at the meeting. What is an oral electronic ppt E-‐poster presentation? The Program Committee has decided to considerably upgrade the value of the posters at this year’s IMRP and has therefore included an oral presentation component, allowing time to engage with other participants during a structured E-‐Poster session. The E-‐Poster is essentially a PowerPoint presentation containing up to 6 slides. A PPT template is attached and can be found on the IMRP website. We recommend to scientific E-‐poster presenters to use this template. Commercial E-‐poster presenters may adjust this template according to their needs. Please read the steps below on how to prepare it and upload it. The exhibit hall will feature 5 wide screen monitors and the foyer area will feature a minimum of 5 wide screen monitors. In addition to the scheduled poster session, posters can be viewed at any time from Nov 7-‐10, giving significant exposure time for your work to the attendees. Furthermore, your E-‐Poster will be available 7 days before the meeting, as well as up to 6 months after the meeting giving participants an opportunity to connect with you pre-‐ and post-‐meeting, and onsite through the web app. The web app will allow attendees to view abstracts, attendees profiles, and much more. By having the option to upload in advance, you can drive traffic to your poster and build contacts at the Meeting. No physical paper poster is allowed. Giving the oral electronic PPT E-‐poster presentation • Presenters are requested to stand by their assigned wide screen monitor during the scheduled poster session on November 8. • Presenters have a total of 15 minutes designated to them. Presenters should prepare for a presentation of 5 minutes maximum within their 15 minute time slot. Attendees have the option to walk around to all the different posters, therefore you will find people will come in and out of your presentation, so it will be easy for you to restart your presentation with the next wave of attendees

during the 15 minutes. The poster committee will strive that there is no overlap on similar topics in the 15 minute time slot, but plan to be flexible. There will be a poster screen chair person who is responsible for keeping the time for each presenter and making sure the presenters finish and change ontime. There will also be a bell sound that will chime through the hall. Presenters must self-‐manage questions asked by the attendees. There is no designated Question and Answer Period. Presenters are responsible to bring their own handouts if they choose to have. Offering handouts of your abstract or poster (including your contact details) may facilitate future research communication with interested delegates. There will be a designated spot marked onsite for you to post your handout. Please log in and click “My Presentations”, followed by the “Modify” button.
How to prepare the E-‐poster PPT As delegates may be viewing the file on a laptop or mobile device (and not only on the meeting wide screens) we strongly recommend that poster presenters do not upload the actual image of the poster but alternatively create a six-‐slide PowerPoint. Please follow the steps below and use the template provided. • Presenters may upload 6 content slides (maximum size 250 MB) detailing their poster in our meeting management system. The cover slide and end slide (thank you slide) do not count as the 6. • We recommend you use Microsoft PowerPoint to create your slides. The system will only accept PPT files. • When creating your slides, use widescreen (16x9) landscape format in your page/slide set-‐up as this best fits most screen proportions. • Font type and size are up to the discretion of the poster author. Basic PowerPoint structure should be followed; use a large font but be mindful of the number of words on a slide. Graphics and charts should be sized to be legible. • Seek simplicity, keep text to a minimum, and avoid redundancies. • Let your important points stand out; use (but don’t overuse) bold and colors. • If possible, avoid abbreviations and acronyms, especially in the conclusions. • Feel free to provide one or more key references. • We strongly suggest you add contact information on your poster, as attendees will be able to view the posters during the full meeting, not only during your scheduled presentation time. • Attached is a template of what to cover on each slide. Please note the template guidelines pertain to scientific posters, if you have a commercial poster you can adapt the template to your needs, but please do not go over 6 content slides.
AT THE MEETING Arrival and Name Badge Pick Up When you arrive at the Westin Bayshore Hotel, please proceed to Conference Centre Bayshore Grand Foyer. The registration area is located in that hallway. Please collect your name tag at the “Pre-‐registered A-‐Z” counters. A-‐Z refers to the first letter of your LAST NAME. Speaker Ready Room – Thompson Room: Presenters must preview their presentation in the Speaker Ready Room either on Monday or Tuesday (atleast 3 hours) prior to their scheduled presentation. Hours of Operation: Monday, November 7 11:00-‐18:00 Tuesday, November 8 07:30-‐17:00 During Your Presentation / At Your Poster Screen: You will find your poster screen number in your IMRP account or on the IMRP 2016 mobile app. There will also be a map of the Exhibit Hall and Foyer in the Foyer area. The first presenter will act as chair person of your poster screen. They will inform you to start your presentation at the time given to you. When you have 1 minute left they will give you a warning. Once your presentation is done you must close the poster and the next presenter will open their poster. Please upload the FINAL VERSION of your poster. How to upload: (THE SYSTEM WILL BE OPEN FROM OCTOBER 1 – 15) The deadline to upload your E-‐Poster is October 15. Starting October 1, poster presenters must upload their PPT file detailing the contents of their poster to allow registered delegates to review material prior to attending the Meeting. We recommend using only Google Chrome, Firefox or Safari. Internet Explorer 9 or newer with compatibility mode turned off will work as well. STEPS Step 1: Visit http://cm.imrp-‐iia.com and login into your account.
Step 2: Click on "My Presentations" icon.
Step 3: Click on the Modify button.
Step 4: Click on the +Add Files button under the Powerpoint Uploads, to upload your EPoster PPT.
Step 5: Click on the Add Files button
Step 6: Click on the Start Upload button
Step 7.1: Once the file shows up under Powerpoint Uploads, please inform us if you are willing to share your presentation (in a PDF format) with the registered delegates. It will also be shared on the iia restricted website indefinitely. We hope you will share to help increase the knowledge of delegates. Step 7.2: You must click the button under Lecture to show the system which one you will use to present at the meeting. Even if you only upload 1 file you still must click it or it will not show up on the presentation screen.
