GUIDELINES SEG would like to invite poster presenters to submit an electronic presentation file for SEG to publish online after the conclusion of the Annual Meeting. This option is in addition to your scheduled poster station presentation. Submitting slides to be presented online is not required. Additionally, your presentation will be shown on the On Demand viewing stations. These stations, located near the Technical Program rooms, will allow attendees to view presentations at their leisure.

SUBMISSION OF ELECTRONIC PRESENTATIONS THROUGH THE INTERNET The pre-submission site will be active Monday, 22 August and can be accessed from your web browser. Detailed instructions for uploading your presentation will be e-mailed to you as the submission site becomes available. The deadline for pre-submitting your presentation will be one hour prior to your scheduled talk.

INFORMATION REGARDING ELECTRONIC FILES All electronic files must be submitted in the Speaker Ready Room using one of the software formats listed below: • • • • •

PowerPoint 2011 or earlier version USB Drives should be PC Formatted Preferred video format: .wmv Acceptable Video Formats (may require conversation, please allow extra time) .mov, , avi., .mpg., .mp4., .wmv PDF Reader: Adobe Acrobat X

Please submit your presentation utilizing one of the following physical media types. • •

USB Drive CD

Files stored in email, Cloud Drives, ftp sites, etc., or phones are not acceptable.

HELPFUL HINTS FOR SUBMITTING ELECTRONIC FILES Fonts: The presentation system will be loaded with Standard Windows Fonts. If your presentation contains any special fonts, you must provide a copy of the font to be loaded on the presentation system. To be safe, use Arial or Times New Roman to create your presentation. If you use scientific notation within your presentation, please pay special attention as this is often written using a non-standard font. If you have any doubts of the font being available on the computer we provide, bring the font with you to the Speaker Ready Room at least 24 hours prior to your presentation.

Slide Master: Make use of the Slide Master capability of PowerPoint, to standardize the look of your presentation. That way, if you need to change the bullets or fonts, they can be changed globally. (You won’t have to edit each slide individually) Embedded Images: If you are embedding charts and graphs, please do so as graphic file formats (jpeg,gif,bmp,tiff) NOT embedded charts. This will greatly reduce any translations issues. The maximum display resolution of our presentation machines is 1024x768. Linked Media Files: If you will be using media files, (.mov .mpg .avi etc or animations), please create a folder on your machine and store your presentation and all the media files within that folder. That way when you transfer the files to us, you will be sure to transfer all the appropriate files, and their relative location will remain the same. The latest versions of PowerPoint include the ability to embed the video file in the .pptx file. Even if you are using the latest version of PowerPoint please bring the media files as well. Macintosh Users: When adding graphics please use ‘Insert picture’. ‘Drag and Drop’ or ‘Cut and Paste’ will often change the graphic making it unreadable on the Windows platform. Please allow some extra time for our experts to repair any Mac-PC conversion issues.

GUIDELINES FOR POSTER PRESENTATION STATIONS •

Poster presentations will utilize ONE poster board. The dimensions of the board are 4 feet high by 8 feet wide (1.2 meters high by 2.4 meters wide) with a surface areas that is 3 feet 10 inches high by 7 feet 10 inches wide.



The poster area will be located on the Second Level of the Kay Bailey Hutchison Convention Center between Hall C and Hall D.



You may put your poster up for display at your designated poster station beginning at 7:00 am for the day you are presenting.



All posters will remain on display until the end of the day.



Any poster or material left after 5:00 p.m. on your presentation day will be discarded.



Supplies for hanging posters will be available at the Poster Assistance Booth.



We recommend authors print their posters prior to arrival at the meeting.

Please note: Time allotted is 20 minutes per presentation, which includes questions and discussion. The next 3-5 minutes should be used to transition to the next speaker.

GENERAL INFORMATION All speakers are encouraged to attend the Speaker Breakfast on the day of your presentation. During this continental breakfast we will have a welcome from our Technical Program Chair, and a presentation on how to use the Audio/Visual presentation equipment. The breakfast will be held in room C3/C4 in the Kay Bailey Hutchison Convention Center and will begin at 7 a.m. on Monday, Tuesday, Wednesday, and Thursday.
