1 Introduction The aim of this user’s guide is to take the less experienced user step by step into the world of the eIPE™ Unlimited software tool. This guide will help you to understand how you can get the most out of this powerful online application. The following section contains an overview of the International Position Evaluation methodology version 3.1. For a more complete picture and for further details of the methodology, we recommend that you study the IPE Version 3.1 System Manual and Consulting Handbook, and contact your Mercer representative with any questions. The remainder of this guide will cover the major features of the online application that is available to licensed IPE™ users around the world.

Outline of the Process The basics of performing evaluations and submitting data for the surveys is as follows: ƒ

Login to the Mercer eIPE Unlimited website at: http://ipe31.mercer3-p.com

ƒ

Share the IPE knowledge in your organisation and assign internal users with the support and advice from your local Mercer Consultant.

ƒ

Define your benchmark positions and build a global database with standard evaluations.

ƒ

Review your company structure, decide which operational unit should be considered as organisations and determine their economic size. Check the size by total number of employees.

ƒ

Apply benchmark positions throughout the organisation, starting from the top and adjust the standard evaluation as required. Positions that are obviously similar to the benchmark positions should not be adjusted.

ƒ

Report and cross check your evaluations within job families and across organisations.

ƒ

Let your Corporate Administrator peer review evaluations for governance reasons within your group.

2 Overview of Mercer’s IPE Version 3.1 Mercer's International Position Evaluation System (IPE) is a global point factor evaluation methodology, designed to objectively determine the relative value of positions. With eIPE Unlimited on the web, you can systematically compare positions within and across job families and in your different organisations. Mercer compensation surveys and market pricing across all regions in the world are related to the IPE position classes. IPE is a dynamic approach to position evaluation, developed and enhanced by users in co-operation with Mercer Human Resource Consulting, Inc. It is built on many personnel executives' long experience in using position evaluation and is an easy-to-use, flexible system that includes the necessary factors to compare all kinds of positions within most industries. Mercer strives to continuously improve the system and make it relevant to the changing needs of organisations. The IPE system is built on five factors: ƒ

These factors are the most critical for determination of job size. Each factor is divided into two or three dimensions, which in turn each have a set of degrees and corresponding point values. The process of evaluation involves selection of the appropriate degree level for each dimension, which will determine the corresponding points for the factor. The application converts the total of these points into a “position class”. The position class express the relative value of the position as compared to other positions within the company and across companies participating in Mercer’s compensation surveys. While Mercer’s surveys that incorporate the IPE methodology can also be used in a job-matching scenario, the position classes allow you to “drill down” a bit further to see the relationships between relative job size and remuneration packages. Position classes also allow you to compare remuneration across functions for jobs of a similar size. IPE is not only a survey evaluation tool. The results can be used as a tool for organisation analysis, providing input to the design or review of organisation structures to ensure that the business strategy is supported in the most efficient manner. More information, case examples, and further support on the application of the IPE system can be obtained from your Mercer representative.

3 Working with eIPE Unlimited In the following sections you will learn how to access and work with eIPE Unlimited online to evaluate positions.

Login to the Mercer eIPE Unlimited web site Each user is assigned a unique Login-ID and a Password in order to get into the Mercer eIPE Unlimited web site. 1) In your Internet browser, type in the Address field http://ipe31.mercer3-p.com and press Enter. You will get the Mercer eIPE Unlimited login page as shown in figure 1. Figure 1 eIPE Login

2) Key in the Login-ID and Password you received from your Corporate Administrator or Mercer representative, and click Submit.

Note: Password is case-sensitive Concurrent logins with the same Username are not allowed.

Homepage After the successful login you will get the eIPE Unlimited homepage, which is your source for getting information and documentation needed to perform position evaluations. Tip: Whenever you log in to the Mercer eIPE Unlimited site, check the last login date and time at the top right-hand corner of the screen. If you suspect your password may be compromised, please change your password immediately.

Navigation options The basic navigation links of the eIPE software are available at the top of the window and in the left navigation bar. Click on the relevant link to the required function. Scrolling through list pages You may go forward or backward between pages by clicking the Next or Previous button respectively. You may also move from one page to another by selecting the relevant page number from the list. Figure 4 Page navigation

You can customize the number of records shown per page by changing the number in the records per page option. Figure 5 Records per page

Once this option is set then the system will recalculate the total number of pages, based on the total number of records.

Filtering records Filter the records shown on a list page or in a report by specifying your search criteria. Up to two criterion may be specified and you may filter the records meeting both or either criteria. Figure 6 Filtering Records

Choose a field for which you want to specify criteria from the list of fields and select either ‘beginning with’ or ‘containing’ and enter the search string in the value field. If you want to specify one more condition, then select either “and” (fetches all the records meeting both the criteria) or “or” (fetches all the records meeting either of the criteria) before clicking on the Go button to get the results. If you want to view the full list of records, click on the Show all button Sorting a list of records Sort the records based on a specific column by clicking on the column label. Click one more time on the label to change the sort order (Ascending or Descending). Note: The list of fields will vary based on the module you are in. The system saves your navigation selections when you leave a screen. Check carefully your filtering and sorting selections whenever you log on to the site or access a screen.

My Benchmarks In order to evaluate positions in eIPE, the Corporate Administrator will have to establish your benchmark position database. Benchmark positions are organised by Job Families and Benchmark Titles. Each benchmark title is assigned with a code - termed as Benchmark Title Code (BTC). Each benchmark position may contain a brief job specification and a standard evaluation. You might also need Benchmark Positions without a standard evaluation, in case you want to evaluate positions that cannot be matched to an existing benchmark job. Your Benchmark Positions should be linked with Mercer Benchmarks Positions to ease your work when participating in Mercer’s Compensation surveys. Adding a Benchmark position Your Benchmark positions can be copied from Mercer Benchmark Positions or you can define and add your own Benchmark Positions. (Require user permissions as Corporate Administrator) In My Benchmarks click on Mercer Benchmark Positions. Select the relevant Mercer Job Family and within the family select the relevant position you would like to copy. You can select multiple positions to copy. Figure 7 Mercer Benchmark Positions

Click on the Add button to create a new benchmark position. Define the benchmark title and complete the required information before clicking the Submit button. Figure 9 Add your own Benchmark Positions

Click on Standard Evaluations to add / edit the standard evaluation for the new benchmark position. Each position can have multiple standard evaluations as defined by the range of organisation size. To apply a standard evaluation you will have to define the organisation size as ranging from 1 to 20. Additional standards can be added by

defining from what degree it applies. Click on the Submit button and the system will recalculate and insert the sizing range with the defined standard evaluation. Figure 10 Standard Evaluation

You may edit / delete the standard evaluation by clicking on the relevant button. Click on Map Mercer Benchmark and select a job family and Mercer benchmark title to link current benchmark position with Mercer Benchmark Position. You may edit and save the update of a Benchmark Position by clicking on the relevant button. To delete a benchmark position, you may simply select the position by ticking on the relevant checkbox before clicking on the Delete button. Thereafter, you may confirm deletion by the OK button, or choose Cancel to proceed without deletion.

My Companies As an integral part of the position evaluation process, review the structure of your corporation to identify the organisations that needs to be created and sized as Companies. You will have to create the Companies before adding positions. Before you add a Company you will need to collect relevant Sales volume and Head count information for each organisation. Choose My Companies and click Add to create a new Company. Fill values in the relevant fields and click the Submit button to save the new Company. Select the relevant type of Industry from the drop down listing. Select the type of Organisation. Select the Value Chain. Select the Value Chain Steps Select the Reporting currency for the Sales Volume (should be local currency). Fill in the Net Sales Volume (or amount of assets for Asset companies) including all digits. Fill in the Headcount with relevant number of fulltime equivalent employees.

All fields marked with “*” (e.g. Country, contact names and email address) are required information in order for the system to generate messages to the involved parties. Selecting a Current Company As you can only work with positions in one Company at a time, you will have to select Company whenever you want to shift from one active Company to another. To select another Company, click on My Companies. From the list of Companies, tick the box next to the desired Company Name, and click the Select button. The selected Company will now be listed as the active Company in the banner at the top of the screen. Editing a Company To edit a Company, tick the box next to the desired Company, and click on the Edit button or click on the Company Name. After modifying the values, click Submit to save the changes. Deleting companies Click on My Companies, to select one or more companies by ticking on the checkbox and click on the Delete button. Confirm delete by clicking on the OK button or Cancel to proceed without deletion.

My Positions This is where you can add and maintain your positions and evaluate them using Mercer IPE Version 3. Click on My Positions to view the list of positions for the selected company.. If you have not defined the actual title for a Position, it will automatically be shown at the top of the list. We recommend you update the actual title as an internal reference for these positions. The Flag field has been introduced to highlight positions while they are still new or copied. The flag changes status when the position is updated. For governance reasons this field can only be cleared by your Corporate Administrator. Under the flag column you can find the following indicators: ƒ

“N” is a new position copied from My Benchmarks listing.

ƒ

“C” is a position copied from one of the position in your listing.

ƒ

“U” is a position that has recently been updated. Figure 15 My Positions

Tip: Use the Search functions to narrow the list of positions shown on the screen.

Adding a new position Choose My Positions and select Add to create a new Position.

A list of your available Benchmark Positions is displayed. Click on the printer icon to the right of each position, and the Position description will be displayed in a popup screen to verify that the position match is correct. Tick on the box next to the relevant position(s) and click the Create button to save the new position to the Positions list. Figure 16 Add new Positions List of Benchmark Positions

Copying a position To Copy a position and its evaluation into a new position for later editing, select a position by ticking the relevant checkbox and click the Copy button.

To edit a position evaluation, actual title, or to add comments, select a Position by ticking the relevant checkbox and click the Edit button. Modify the individual factor degrees and the Actual Title as required. Click Submit after the modifications have been done, to save the changes. Deleting positions To delete a position, select a position by ticking the relevant checkbox and click the Delete button. Click on the OK button to confirm deletion, or Cancel to proceed without deletion.

My Reports The Reports available in eIPE Unlimited allow you to monitor the Companies and contacts within the Group, and to check the position evaluation results across Job Families and Companies/ Business units. In My Reports you will have multiple options for viewing, sorting and printing your benchmark positions and evaluations. To sort a report based on a specific column, click on the column label. Click one more time on the label to change the sort order (Ascending or Descending). To print a report, select a printer friendly version, using the link at the top left corner of the report, and then use your browser’s print facility. Tip: To print hard copy of the report use the following browser options Click on “Files/Print” menu option Right Click and “Print”

To export a report, click on the Export button to save the report data in Microsoft Excel format. Click on the Back button or the Close Window button to return to the Report screen. To access the reports click My Reports and then the report category: Group Reports The Group Reports provide you with an overview of the Company and Mercer contacts and the annual license fee. In My Reports, select Group Reports and in the preferences select the desired Country / Group / Mercer consultant, and then click the Go button.

Company Reports The Company Reports provides a Summary listing by Group of Companies, Countries and the assigned Contact Person’s and Mercer Consultants. In My Reports, select Company Reports and the Type of report. In the preferences select the desired Group, Country and Mercer consultant, and then click the Go button.

Position Reports The Position Reports in eIPE Unlimited allow you to check the position evaluation results across Job Families and Companies in the Group. Share these evaluation reports with line management to ensure clarity and internal consistency of your benchmark positions and position evaluations

To access the reports click Position Reports, then select the type of report to view, the companies to be included, and click the View Report button to display the report. Figure 23 Position Reports Options

Evaluation Comparison List The Evaluation Comparison List report provides evaluation listing of the positions. This is a very useful report to view evaluations of all the positions together. It provides the overall ranking of evaluations, as well as the ability to compare individual factor degrees between positions. This report also lists the name, date, and time of the last modification of the evaluation.

Evaluation Comparison Summary (By Job Family) The Evaluation Comparison Summary is a useful report to view the positions sorted by position class and arranged by Job Families. Verify that positions of similar size and level in your organisation are evaluated at a similar position class. Verify that the evaluations are consistent with the career progression in your organisation.

If you want to view the results of a specific Job Family, select the desired job family from the result page. To show all positions, select All Job Families and refresh the screen.

Evaluation Comparison Summary (By Company) The Evaluation Comparison Summary (by Company) is a useful report to view the positions sorted by position class and arranged in columns by Business Units or Companies. Verify that positions of similar size and level across your Companies are evaluated at a similar position class. Verify that the evaluations are consistent with the career progression in your Group.

If you want to view the results of a specific Job Family, select the desired job family on the Evaluation Comparison by Family first, and then select the Evaluation Comparison by Company. The report will now show only positions by the selected Job Family, but distributed across different Companies. Company Sizing Report The Company Sizing Report is a useful report to review the selection of value chain and steps for calculation of the multiplier. Verify that companies of similar kind and with similar activity across your Group are sized based on same value chain type and selection of value steps. Verify that the sales volume and head count are updated to the relevant values. .

Other Functions Following are the few other additional functions found in eIPE Unlimited. My Profile The My Profile function allows you to change your password and verify or change your contact information. To access My Profile, click the link in the banner at the top of the screen. All fields marked with “*” (e.g. Country and email address) are required information in order for the system to generate messages to the involved parties. After making any modifications click the Submit button to save changes. Figure 28 My Profile

The Change Password section allows you to change your password at any time to maintain the security of your site access. It is recommended that you change your password periodically to prevent the password from being compromised. Enter your new password, confirm your new password and click the Submit button to save your new password. Note: Do not share your password with anyone. Choose a password that is easy for you to remember. If you forget your password, contact your Mercer representative to reset your login and password.
