TECHNICAL TRAINING LAB INSTRUCTIONS

In the following lab instructions, you will be creating a new batch class, document class, and form type. The OCR Full Text queue will be used to create searchable editable eDocuments that will be exported from Kofax Capture. You will also enable PDF generation and create PDF files from your image files.

Lab 13-1 Lab – OCR Full Text 1. In Administration, select the Batch tab and right mouse click in the open area of the Definitions panel, then select “New Batch Class”. 2. Name the batch class: “OCR Full Text". 3. On the Queues tab, create your workflow by selecting: a. Scan (Make sure the Capture Mode in the Scan properties is set to “Import”) b. OCR Full Text c. Export 4. In the Separation and Form Identification Tab, Select “Kofax Fixed Pages”. 5. Select [OK] and close the window. 6. Highlight your new OCR Full Text batch class, right mouse click and select “New Document Class”. 7. Enter “Warranty Docs” as the Name. No Index Fields are required. 8. Open the “OCR” tab and click on “Enable OCR full text”. In the “Dictionary name field, click [Browse] and navigate to the C:\Sample folder. Highlight “kofax.txt” and click [Open]. You are returned to the Document Class Properties window and the kofax.txt file is listed as the dictionary file. 9. In the “Recognition profiles” field, click [Edit] to open the properties for the profile. Accept the language (English), Mark level and Spell check options and click [Advanced]. Review and accept the options on this window and click [OK]. You are returned to the Recognition Profiles window.

TECHNICAL TRAINING LAB INSTRUCTIONS 10. Click [Output]. The Advanced OCR Output Format window opens. For the “Output format”, select “Microsoft Word” from the drop down list. For “Page layout”, accept the “Full-Page Layout. For “Text attributes, check “Bold”, “Italic” and “Underline” to maintain the document structure. There are no pictures, so accept the Resolution of 72. Click [OK]. 11. Returning to the Recognition Profiles window, notice the Image Cleanup profile “Kofax OCR Full Text” is listed at the bottom of the window. That is the standard cleanup for the OCR engine and we will accept this profile. 12. To save the setup, click [Save As] and enter “OCR to Word” and click [OK]. Click [Close]. The Document Class properties window is displayed. Verify that “OCR to Word” is the Recognition profile selected and click [OK]. 13. Now Export will be setup for the “OCR Full Text” batch class / document class. Right mouse click on the “Warranty Docs” document class and select “Export Connectors”. 14. Add the Text Export Connector. Name the connector “OCR Full Text”. Set the following: a. Index Storage tab, Storage folder field: C:\Export\Lab13 b. File name: data.txt c. On the Advanced tab, check the “OCR Output” checkbox and enter this path: C:\Export\Lab13\OCR Full Text Documents. Also, check the “Image output” box and enter this path: C:\Export\Lab13\Documents d. Uncheck this box: “Suppress image output if PDF is detected.” e. Export your images as “Multipage TIFF Group 4” 15. Click on [OK], then [Close] to close the Export Connector setup window. 16. For the “Warranty Docs” document class, create a new form type with the following profile: a. Name: “Warranties” b. Check “Fixed number of pages” and set the number at: “2” No other options for this form type will be used. Click [OK]. 17. Publish your new batch class. When publishing is successful, click [Close]. Close Administration.

Lab 13-2 Lab – Process OCR Full Text Batch 1) From Batch Manager, create a new batch named “Lab 13 Batch” using the “OCR Full Text” batch class. Process the batch and import “Warranty.TIF” from the Sample folder. Close the batch and you are returned to Batch Manager. Process the batch again and send it to the OCR Full Text queue. 2) The OCR Full Text screen opens and after a few seconds, the OCR Full Text batch is automatically processed. Notice that the Status Line in the lower left corner displays that the pages are being read. The Batch Progress Bars display the % processed in the batch. 3) After a few seconds the pages are processed and the batch is closed. Batch Manager is opened and the batch is ready for Export. 4) Process the batch again and send it to the Export queue. The Export queue opens and the batch is exported very quickly. The Export queue closes and Batch Manager is opened. The batch is cleared from the display, unless there was an error at export time, and processing for the batch is complete. 5) Use Windows Explorer and check the results of OCR Full Text by looking in the “C:\Export\Lab13” folder. You’ll see the data.txt file containing the index data. View the OCR file in the “OCR Full Text Documents” directory. Locate and double click on the Word file. When the file is clicked, Microsoft Word launches and displays the file. Review the quality of the output document. Close Word and review the image file in the “Documents” directory. 6) When your review is complete, close Windows Desktop Explorer.

Lab 13-3 Lab – PDF Generation 1. Open the Administration module. 2. From the Batch tab, highlight and expand the “Product Orders” batch class. 3. Highlight the “Product Orders” batch class and select “Properties”. 4. In the Queues tab, select “PDF Generator” and add it to the “Selected Queues” by clicking [Add]. (Notice, Kofax Capture has automatically placed this queue before Export and that [Properties] is grayed out.) Lab KC10 13.doc

TECHNICAL TRAINING LAB INSTRUCTIONS 5. Click [OK] to close the “Batch Class Properties” window. 6. Highlight the “Catalog Orders” Document Class. Right mouse click and select “Properties”. 7. On the “PDF” tab, click on “Enable Kofax PDF Generation”. 8. Select “Kofax PDF Image Only” recognition profile from the “Recognition profiles” dropdown. 9. Click [Edit] to edit this profile. 10. Click on the [Output] button. 11. Set the Resolution to 200 and the JPEG Quality to 85. 12. Click [OK] to close the window. 13. Click on [Save As] and name your new custom profile: Quality PDF. 14. Make sure your new custom profile appears in the “Recognition profiles” window as the selected profile. 15. Click on [OK] to close the window. 16. Highlight the “Catalog Orders” Document Class. Right mouse click and select “Export Connectors”. 17. Select the Text Export Connector you’ve been using in class and click on [Setup]. 18. Set the following: a. On the Index Storage tab, enter this path for the Storage folder: C:\Export\Lab13 b. File name: data.txt c. On the “Advanced“ tab, check the “PDF Output” box and enter this path: C:\Export\Lab13\PDF Documents. d. Uncheck the “Suppress image output if PDF is detected” box. e. Check the “Image output” box and enter this path: C:\Export\Lab13\Documents f. Release your images as “Multipage TIFF Group 4” 19. Make similar changes to the Database Export Connector. 20. TECHNICAL TRAINING LAB INSTRUCTIONS 21. Publish your batch class. You should get no errors and no warnings, meaning your batch class was successfully published. 22. Close the Publish window and the Administration Module.

Lab 13-4 Lab – Process the Batch 1. Open Batch Manager and create a new batch (make sure “Product Orders” batch class is selected). Change the “Name” to: “Lab 13 Batch” and click [Save]. 2. Launch the Scan module from Batch Manager by clicking on the [Process Batch] icon. 3. From inside the Scan module, click on the [Scan All] icon and add “Order 1.tif” through “Order 5.tif” and Trispec 1.tif through Trispec 4.tif to the “Files to import” list. Click [Open]. 4. Close the batch. Close the Scan queue. 5. Process the batch through the Recognition, Validation, and Verification queues. 6. Process the batch through the PDF Generator. As this is an unattended queue, the behavior and interface is much like Recognition Server. 7. Process the batch through the Export module. 8. Close Kofax Capture. 9. Open Windows Desktop Explorer and browse to “C:\ Export \Lab13”. Look in the “Documents” folder to view your images, look in the “PDF Documents” folder to view your PDF files, and open data.txt to view your export data. 10. Notice that Adobe Reader (or another standard application) easily opens the PDF files. The quality is not that good but the file size is very small. Remember, you can achieve higher PDF output quality (which will of course increase the size of your PDF file) by modifying the PDF Recognition Profile in the document class properties. 11. Close all of the applications used for viewing and close Windows Desktop Explorer.
