About The University of Oxford China Office (Hong Kong) The University of Oxford officially opened its office in Hong Kong in November 2007. The Office is responsible for developing meaningful, long-term relationships with the University’s alumni in Hong Kong and China, and it maintains an important ambassadorial role by facilitating interaction between Oxford and the wider community. Through the development of a sustainable engagement strategy with alumni and the wider community in Hong Kong and China, the Office aims to develop significant philanthropic relationships which support the Collegiate University. The Office also serves as a first point of contact for Hong Kong and Chinese students who are considering applying to the University of Oxford. This role is being advertised by the University of Oxford on behalf of the subsidiary company University of Oxford China Office Limited. The post holder will be employed by University of Oxford China Office Limited. The Development Office The Director will work closely with the University of Oxford’s Development Office, which together with the Public Affairs Directorate and the Alumni Office, forms part of the External Affairs Directorate of the University of Oxford, led by the Pro-Vice-Chancellor (Development and External Affairs), Professor Nick Rawlins. The Development Office exists to secure private gift support for the University’s academic priorities. In 2008, the University of Oxford embarked on the largest philanthropic campaign in European history, aimed at raising a minimum of £1.25bn to transform the 800-year-old University for many generations to come. Gifts totalling more than £880m have now been received for Oxford Thinking: The Campaign for the University of Oxford. The Oxford Development Office currently consists of 75 staff members, both fundraisers and staff providing support in terms of administration, proposal preparation, research, accounting, database and systems. In addition to the Office in Hong Kong, there are two further offices outside the United Kingdom – in New York and Tokyo. The duties of the post are set out as they are envisaged at present, but it will be important for the person appointed to be flexible and adaptable, and able to contribute to the development of the engagement and fundraising function of the University of Oxford. For further information visit: www.ox.ac.uk Director of the University of Oxford China Office (Hong Kong) The Director of the University of Oxford China Office (Hong Kong) will be responsible for representing the University of Oxford and advancing the mission of the Collegiate University in Hong Kong and China. Based in offices in Hong Kong, and capable of representing the University at the highest levels professionally and socially, the post holder will lead and manage the Office, working collaboratively with colleagues across the Collegiate University to support their strategy and operations in Hong Kong and China. The post holder will be responsible for development and alumni relations, and event and visit planning. Main duties and responsibilities The principal responsibilities of the post are as follows:

Engaging alumni, donors and the wider community •

To build relationships with alumni, donors and potential donors, to engage them in the work and mission of the University of Oxford;



To work with other Development office, departmental and College colleagues to create, implement and maintain solicitation strategies to secure private gift support and where appropriate to support academic champions and volunteers in this process;



To work with the Alumni Office to promote the Alumni Relations programme within Hong Kong and China; working with and supporting the Oxford University Society local branches; maintaining the alumni list and organising alumni events;



To understand donors’ wishes and aspirations and to identify potential links with key priority projects with the aim of securing major gifts;



To participate in the formulation of new and ongoing international strategy in relation to Development and Alumni Relations activities;

Event and visit planning •

To be the main point of contact for all University visitors to Hong Kong and China and to plan and oversee the itineraries for these visits;



To plan and oversee the delivery of lectures, exhibitions and other promotional activities;

Communication •

To represent the University of Oxford to the wider community, using press, PR, and other methods as appropriate;

Management and Gift Administration •

To provide leadership and management to all direct line reports. This includes effective allocation of projects and workloads, day to day management and longer term team planning, induction, supervision, personal development and training, objective setting and appraisal.



To ensure that gifts received are appropriately recorded for tax effective purposes, receipts issued and donors thanked in accordance with agreed procedures



To monitor and analyse performance and determine and implement remedial action where necessary.



To manage the office budget. This includes making the case for resources, monitoring expenditure to ensure that resource are being utilised effectively and within budget, and preparing reports as required.

To carry out such other functions as from time to time the Director of Development might require, commensurate with the level of this position. Main skills and experience required (‘selection criteria’) Essential •

A good general level of education, including a Bachelor’s degree or equivalent



Experience in marketing, relationship management or fundraising, either in a major research University or a similarly complex organisation



The capability of representing the University at the highest levels, both professionally and socially



An interest in higher education and in particular an understanding of Oxford University, and its goals in teaching and research



Excellent communication skills in English, both oral and written



An ability to think, plan and act, both strategically and tactically



An ability to assist the development process, which supports the University in maintaining its world-class status



The ability to promote the University of Oxford to the wider community and to generate a level of interest which will support the University and its mission



A combination of the personal sensitivity, creativity and tact that is needed when working with senior academics and prospective major donors to the University



Be flexible in all senses and prepared to work out of regular hours and to travel

Desirable •

It is desirable that the successful applicant is able to communicate in Cantonese and/or Mandarin

Employment with the University is also subject to satisfactory completion of a probationary period. References Please give the details of two people who have agreed to provide a reference for you. Pay and benefits This is a post of three years in the first instance. A competitive salary and benefits package is offered. An additional benefits package will also be provided for applicants who will be expatriated from the United Kingdom to take up this appointment to include a housing allowance, employees’ compensation insurance healthcare insurance and return flights. The appointment is subject to satisfactory completion of a one-year probationary period, during which the notice period will be 1 month on either side. A Mandatory Provident Fund is available for employees. In addition to the statutory holidays specified in the Employment Ordinance, the post holder will be entitled to 26 days of paid leave in each complete Leave Year. The post holder is entitled to maternity leave and maternity leave pay according to the provisions of the Employment Ordinance.
