Uncle Carter We’re glad that you’ve chosen Camp Doublecreek to be a part of your summer. Each week is especially designed to offer opportunities for campers to try new things, learn, grow and make friendships that last a lifetime. Additionally, Doublecreek offers a healthy, safe and fun environment where positive interaction with peers and adults help build strong character.

This handbook has been created as a reference guide for both parents and campers. It contains vital information and policies about our camping program. Please take time with your camper to read and review the entire

handbook.

Camp Doublecreek Parent Handbook 2016 Tuition Policies  Tuition balance is due in our office at least two weeks prior to your camper’s registered dates.  Tuition includes transportation, 3 snacks a day and all activities except horseback riding.  There is a discount for 2nd and 3rd campers from the same family attending at the same time.  Please refer to the confirmation email you received after registration for the exact amount due.  The $35 deposit is non-refundable but is transferrable within the same camp season and does apply to tuition balance.  Cancellation Policy: tuition minus $35 deposit will be refunded for cancellations made at least two weeks prior to dates your camper is registered. Please Note – all cancellations must be in writing (fax or email). Refunds will be processed after camp has ended.

PICKUP POINTS 

All campers arrive at camp on one of our campus vehicles. This is for the safety of your camper. Our policy is that no other vehicles enter the campus during camp hours.



The AM and PM pickup points (PUPs) you chose are in your confirmation email. You may select different pickup points for morning and afternoon as well as on different days.



The departure and arrival times are posted on our website: http://www.campdoublecreek.co m/hours.html. Counselors will be available at your PUP at 7:30 a.m. ready to greet and check in your camper(s). It will not be necessary for you to wait until the camp vehicle leaves.



Please note that we ask that your camper(s) be picked up NO LATER than 5:30 p.m. If you have an unforeseen delay, please call the office at: 512-255-3661 so that we can notify the counselors on-site. We will not leave campers unattended! If you are late we reserve the right to charge your account in the amount of $1 a minute.

Your child will be released only to those whose names and drivers license numbers you have given us. A photo ID (driver’s license or passport) will be checked. If a camper needs to go home with someone other than those listed on the contacts section of your registration form, camp must receive notice in writing (email, note, or fax) giving the name and drivers license number of that person.



Camp vehicles must leave the PUP at the scheduled time (listed on the website at: http://www.campdoublecreek.co m/hours.html). By state law, the vehicles may not stop after departing.



There may be delays on rainy days – We slow down on wet streets.



We appreciate and respect the use of the various PUPs. Campers are expected to be models of decorum; we do not want to abuse this privilege. We are not allowed inside the buildings.



Notes and money may be sent to the office via the PUP counselors.

LUNCHES Lunches: 

Campers may bring their lunch in a small container or insulated bag: o Containers should be no larger than 9” X 7” X 9” o Labeled clearly with the camper’s name o Disposable containers are encouraged.



Campers may order lunches (see lunch menu page) either online ahead of time (no online orders the week of camp) or each day with the pickup point counselor (Minis through Grade 4); Campers grades 5+ and above will place their orders with their group counselors. Lunches ordered the day of need a note and cash or check attached.

Snacks: 

Tuition includes a snack card with 3 snacks per day.



Snacks not used day of may not be carried over to another day.



Food and drink options include: juices, water, ice cream, sports drinks, soft drinks and individually packaged products (e.g., chips, cookies, crackers, nuts)



Campers may also bring snacks and drinks from home.

STAFF

Our staff has been carefully selected and will provide a nurturing environment filled with fun and learning opportunities for your camper(s)! Counselor-in-Training (CIT) Program One of our amazing programs is our Counselor-in-Training program for former campers (ages 15-17) who are interested in becoming Camp Doublecreek counselors. A 2-day training session for prospective CITs (T-Camp) will be held June 20-21 and July 25-26. TCamp is open to campers turning 15 before 6/1/17 or entering 9th Grade in Fall 2017. To sign your camper up for T-Camp or inquire about the CIT Program, please send an email to: [email protected].

HORSEBACK RIDING LESSONS   

Horseback riding lessons are available for $30 per week during summer camp. Limited spaces are available each week, particularly for the younger groups. Doublecreek riding lessons focus on a “balanced seat” which is a combination of western and English riding disciplines, while in western saddle. Campers mount and ride each day. The goal of our horseback program is to teach great horsemanship in an encouraging environment.

OTHER POLICIES AND IMPORTANT ITEMS Delayed Arrivals: 

Campers arriving late must check in at the office. Please bring your camper after 8:40 a.m. For the safety of your camper, we have a closed campus. Please park in the designated area and walk your camper to the office (in the red building) to be checked in. We will gladly get him/her to the correct group. If a camper needs to order a lunch the day of, the office needs to know by 9:00 a.m.

Early Departures: 

If it is necessary for your camper to leave Doublecreek early, you may let us know with a note, email or phone call. Campers should be picked up no later than 3:00 p.m from camp. Please park in the designated area, walk through the pedestrian gate and come to the office in the red building. We will try to have your camper ready to leave if you have notified us. Please bring your ID with you to the office to check out your camper.

Medical Information: 

Camp Doublecreek has a licensed medical professional on site. We abide by regulations set out by the Texas Department of Health. Potentially contagious symptoms will require that we isolate the child who must be picked up as soon as possible.



Campers requiring medication must have it sent in the original container along with a note from the parent. All medications will be administered by our health care professional after obtaining permission from the parent or doctor.



Our staff follows the Centers for Disease Control and Prevention (CDC) guidelines for concussions as outlined in the “Heads Up” Program.

Please note that we are a youth camp licensed by the State of Texas and a member of the American Camping Association. Potential campers with major medical diagnoses, including disabilities covered by the American Disabilities Act, are evaluated on a case-by-case basis in consultation with the director, medical coordinator, the child’s physician, and parents. Insurance: 

Camp Doublecreek does not provide accident insurance or health insurance. Fees from injuries at camp are the responsibility of the parents or legal guardians. Please refer to waiver agreed upon in registration process.

You will receive a receipt via email each time you pay. If you need a receipt for taxes or child care, please email us at: [email protected]

Messages: 

If you need to get a message to your camper, please call the office at: (512) 255-3661. The office staff will be glad to relay it to him/her.

Visitors and Parents’ Day:  

Parents and other visitors must check in at the office and receive a name tag. Parents and other visitors are welcome at any time, but we set aside time each Friday from 10:00 a.m. – 2:00 p.m. for parents to visit and experience the camp with their campers.

What to Bring to Camp:   

Lunch or money for lunch (if not pre-ordered) Swimsuit, towel and sunscreen in a bag that will be left at camp until Friday Any medications

What to Wear:  

Comfortable active wear Sturdy closed toe shoes

What Not to Bring:      

Toys, dolls, stuffed animals Electronics of any kind Any valuables (i.e., jewelry) Chewing gum Glass containers Card – playing, trading, etc.

Please note that Doublecreek is an unplugged campus. No cell phones, MP3 players, etc. Lost Articles: 



A core value of Camp Doublecreek involves instilling responsibility for personal belongings. This is a big part of the camping experience. At the end of each week, belongings are sent home. Unclaimed items are collected and put in our lost and found where we will keep them for three weeks after the summer camp session ends in August. Camp Doublecreek assumes no responsibility for loss or damage to campers’ personal property.

The Leadership reserves the right to dismiss a camper when, in their opinion, this is in the best interest of Camp Doublecreek and/or the camper.
