INTRODUCTION This document highlights the new items found in Cabinet SAFE. Cabinet SAFE version 10.3.X introduces password policies, a new document preview, enhanced Outlook message filing, and an accessed date/time SHARE display.

PASSWORD POLICIES Password Policies allow businesses to establish and enforce a set of minimum requirements for password strength. Password policies are enforced when a password is reset or changed. Password – End user Reset/Change End users can change and reset their own passwords when enabled in Management. When password reset is enabled, the Login screen will display ‘Forgot your password?’

Change Password To change a password, click on the ellipse next to the Password field.

If a Password policy is enabled, the user can see what the minimum requirements are by clicking the Policy Info button.

SAFE Management - Password settings. 1. Enable Password Reset. When checked, “Forgot your password?” is displayed and end users will be able to reset their passwords without assistance. 2. Enable Password Security Challenge. Provides an additional layer of security by randomly presenting any one of three user-defined challenges that must be answered. Note: User must define the challenges/answers prior to using the Password Reset Security Challenge. 3. Enable Password Policy. Establishes a global policy for minimum password requirements.

PREVIEW Documents are previewed based on the client’s preview settings and locally installed applications or plugins. SAFE’s default preview settings are satisfactory in most cases, but can be changed on a per-user basis. Each file type is assigned to one of four preview methods. Paging – Used for TIF, PDF, and other image file types. This setting improves efficiency by downloading one preview page at a time rather than the entire document. Auto - Used for most other file types. The Auto setting uses SAFE’s built in preview software. Windows – Used when enabling the local Windows preview is desired. Also serves as the failover viewer when a document is set for Paging or Auto and, for some reason, the document cannot be previewed with that setting. Browser – Used when enabling browser-based preview is desired. HTML and Zip file types typically work well with this setting. Note: the successful use of Auto, Windows, and Browser settings are dependent on what applications and plugins are installed on the local machine. In some cases, the user will have to experiment to identity the preferred setting. SAFE Preview settings are controlled using the Add, Edit, Delete, and Reset selections. Options> Documents-Display

Auto Preview (Maximum allowed file size): Using preview while scrolling through documents is a great feature. However, when you come upon a very large document, preview may slow you down. The maximum allowed file size setting prevents such slowdowns. This setting determines what size a document must be below to be automatically previewed. The default maximum size is 10 MB. The management setting for this is located at system>settings>Options>File Size>Maximum allowed for auto preview (MB). If a document exceeds this setting, the Document Preview panel displays the following message.

To preview files greater than the maximum file size allowed, right click and select Preview. A separate preview window will pop up showing the document.

COPY FOLDER INDEXES In many cases a user may want to copy a folder with all or most of the indexes containing the same data used in another folder in the same cabinet.  Right click the folder to be copied.  Select Copy Folder (Indexes Only) All indexes will be copied (except the unique folder index). Make any necessary changes and click Create Folder

FILER OPTIONS Filer is designed to support a wide range of filing requirements. Users can tailor Filer to match their particular preferences. There are 4 Filer settings under the Options> Client> Filer selection. Options> Client> Filer

Use Outlook file name for document title in Filer Depending on the Outlook installation, certain settings may be necessary to support drag and drop of an Outlook message using Filer. There are two document title methods available: System Default and User Options. The System Default is configured in Management and can be overridden, on a per-user basis, by selecting the “Use Outlook file name for document title in Filer” box. This setting will use the file name (generally the Outlook message subject) as the file name. This must be used in cases where the Outlook installation prevents SAFE from extracting message data from the file.

Enable Quick Filer Quick filer simplifies drag and drop filing of documents into SAFE. When enabled, users can file documents using the documents file name and drop location e.g. Folder, Tab or document list area. Quick Filer is only used with Drag and Drop or Import operations. When using Quick Filer, documents requiring more filing capabilities (templates, security classes, etc.) can be filed using the “Advanced” button. If an item is dropped onto a Cabinet, the Advanced filer mode will automatically be presented. Supported Sources for using Quick Filer:

Using Quick Filer

Action - Drag and Drop a file onto the Document List area a) If a tab is already selected, Quick Filer will use the selected tab e.g. “Correspondence” when the item is dropped on the document list area. b) If the item is dropped on any tab (other than “ALL”) Quick Filer will use the tab the item is dropped on. c) If “All” tab is selected and the item is dropped on the document list area, Quick Filer will file the Item to the first tab (alphabetically).

Enable Quick Filer: Tab Select Users can enable Tab control by also selecting the Tab Select option.

Operation is the same as Quick Filer, with the exception of being able to confirm and change the tab.

Action – Click “File” button Initiates the filing process. Provide progress update and exits upon completion.

Action – Click “File & Route” button Initiates the filing process by filing the document and then bringing up the Workflow Route Window. If user selects cancel, since the document is already filed, only the Routing action is cancelled.

Enable Auto Attach Drag and Drop When the Enable Auto Attach Drag and Drop is selected, documents will automatically be attached as a child when dropped onto another document in the document in the list area. Documents will be filed as a Parent when dropped over a Tab or into the document list “white” space. If an item is dropped onto a Cabinet, the full filer will be presented. If it’s dropped onto a Folder the first tab (alphabetically) will be selected.

SHARE Sharing to a new Portal user When items are shared for the first time, the Portal user will get a single email that includes a temporary password and a link to the shared item. Document Access Cabinet SHARE Client: Status column has been retitled from “Status” to “Accessed” and will display the actual accessed date and time. Cabinet SHARE Portal: Accessed On column added to display actual accessed date and time.

Moving and copying folders has been accelerated as much a 12x, depending on number and size of items in the folder. Batch Folder pull down selector The width of the folder pull down is retained during the active session and after login. This improves the ability to read data in the columns. Workflow New > In Process Item status/organization inconsistencies were corrected. New items were sometimes moved to In Process when a user logged into Workflow (if groupingwas used. ) Search setting A new client Options setting allows the user to configure Search as a pop up, or an integrated search window. When configured as integrated, the user can go between the Dashboard, Search and Folders by clicking the appropriate tab, vs. minimizing the traditional Search pop up.

RELEASE 10.2 ITEMS The following features were included in SAFE 10.2.x, but were never officially announced. 1. Combine documents of different document types a. Added support for file types doc, docx, xls, and xlsx. Output will be tif or pdf depending on selected output type. 2. MakeFfile Mode selection a pull down in Batch - Click the Mode and all three options appear. 3. Update program no longer launches SAFE automatically after the update completes. This makes sure a Restart is performed for all processes. 4. Email post-processing supports multiple values.

MANAGEMENT Active Users In certain situations, the system will display multiple sessions for an active user. To end all sessions for the user, right click and select “End all sessions for selected user(s)”. Sessions for multiple users can also be ended at the same time by selecting multiple users and then right click to end the sessions. Windows Login (On-Premise installations only) On-Premise Installations can select the “Use Windows Login” option in Management if desired.

When checked, the correct user name format is “domain\username” example:

“COMPANY\duser”,

“cat.company.local\duser”

The ellipse button located next to the username will give the user an option to save password for automatic login.

If no domain is entered, the system will automatically attempt to insert the domain information. In some Version 10.2 Installations, the programmatically obtained domain information may not be complete. The correct full domain name can be verified at: “Control Panel\All Control Panel Items\System” under “Computer name, domain, and workgroup settings”

The username for the above example will look like “cat.company.local\duser”

Browser lockdown Users who only have document preview rights are not allowed to use the Browser preview setting. This can be overridden in Management under System Settings> Options> General. This is a global setting. CAUTION: Checking this option could potentially allow a user with only Preview rights to download a document to their windows directory.
