President’s Welcome Richard Johnson

Hi Everyone! Welcome to season 2013/14 for the Bluebirds Softball Club. Sorry for the delay in getting this year’s orientation pack to you. We have been trying to restructure some aspects of the Club, but it is proving harder than expected. We have a lot of exciting things planned for this season but to get there we have a lot of work to do. This Orientation Pack has been prepared for all members of Bluebirds whether they are players, officials or parents. The point of the Orientation Pack is to give you as much information about the Club and our plans for the rest of the season. We will obviously keep you updated as the season progresses, but we hope that by providing you with as much information as possible at this early stage it will help with your planning for the season and the following year. Inside you will find the following: • • • • • • • •

I would encourage everybody to familiarise themselves with the information contained in this orientation pack and contact the relevant Committee member with any queries you may have. The Committee members are more than happy to discuss any concerns that you may have regarding their relevant portfolio. More general queries can be addressed to me, Kev Sheldrick or Sally Johnson, or to the coach of your team if appropriate. The Committee has lots of new ideas to encourage people to get involved in a volunteer capacity and to ensure that members maintain their connection with the Club. The Committee is continuing to work hard to get these programs underway but we need to raise more revenue in order to continue their progress. On that basis Bluebirds are looking for corporate sponsorships along with financial donation. In addition we are looking for donations of product or vouchers that can be used as prizes at our fundraising events. If you know anyone that may be able to do so can you please put contact me so that we can discuss the possibility of sponsorship or donations with those entities. I am really excited about this season and we are hoping that this will be Bluebirds most successful season to date both off and on the diamond. Hi! Eighteen months ago Bluebirds investigated its fees to find the best possible outcome for all members in regards to the cost of running the Club. This resulted in us being able to provide much better value for money last season in terms of social functions and other activities. While our commitment remains providing our players with as much value as possible for their fees, our bottom line at the end of last season has meant that it has become necessary to increase the fees slightly from last season because of costs passed on from Softball Victoria (“SV”) and also because the costs of running the club have increased. These costs include administrative costs (paper, pens, printing, etc.), statutory costs, the purchase of disposable equipment such as balls, life members’ fees, partial costs associated with updating equipment, power costs and the cost of purchasing trophies and subsidising our presentation night for members. While we also fundraise and obtain grants wherever possible, this only allows us to meet some of the Club’s costs. On the next page is a breakdown of this season’s fees, which need to be paid by the end of October as Bluebirds has an obligation to make payments to SV, Knox and for umpiring in the first week of November each year. From registration day this gives you approximately nine weeks. While it is preferred that you pay your fees in one lump sum, you can speak to me about paying by instalments. I am generally at all training sessions and at Gilbert Park for most of our game days during softball season. Payments can be made by EFT, cheque or cash. Our banking details for EFT payments will be included in the newsletter and on the bottom of your invoice. Bluebirds is an inclusive Club. We don’t want to stop anybody playing where possible. If you believe that you may have difficulties in paying fees by the end of October please come and speak to us or Richard Johnson as we may be able to work out some alternative arrangement. Any discussion regarding fees will remain confidential between you, Richard and us. Finally, we have recently received a grant from the Commonwealth Government that will allow us to buy a new laptop and printer which will make it easier for us to issue electronic receipts to you in a timely manner which should make the job of running the Club’s finances more efficient. Notes 1. The Bluebirds Club Fee will be charged to the first two members of each family in full. Any addition family members will be charged 50% of the Bluebirds Club Fee (a family is parents, and any number of children eligible to play in junior teams – i.e. up to under 17). 2. Uniforms Jylissa Drayton

Hi Everyone! Jylissa Dryton is the Club Uniform Officer for this season. Bluebirds players are obliged to wear the correct uniform when playing as required by the KDSA. Not only does uniformity look good, but wearing the same uniform creates a feeling of commonness and belonging within each player. We hope this will also encourage players to become very passionate about their team and closely identify with other players. In addition for some families who are at the grounds all day (watching their children play and waiting to play themselves), it becomes easier to recognise their kids when they wander because of the uniform they are wearing. This also allows other Club members to watch out for them! The items below make up Bluebirds current uniform. They can be purchased through Bluebirds Softball Club, however please note that the turnaround time to receive some items may be up to 8-9 weeks. Orders can be placed either with me in person or by email ([email protected]) or by contacting the Bluebirds email address. Payments can be made direct to our bank account, by cheque payable to Bluebirds Softball Club or cash. If you are unable to find me to discuss uniforms in person you can also speak to Lisa Arscott, Sally Johnson or Richard Johnson. Club & Committee Structure

On the previous page is a chart showing the Committee Structure for 2013/14. Members of the Committee are elected at the Club’s Annual General Meeting held in late March/early April each year. The Committee is ultimately responsible to the entire Club. The Committee Structure shows you how we want Bluebirds to function. The Committee Structure also includes reference to our new Coaching Committee that comprises all of the coaching staff including the Head Coach, and the President also attends those meetings. The Head Coach reports directly to the President and the Committee on coaching and on-diamond related issues. We will be appointing other Subcommittees on a needs basis as the season proceeds. Any Subcommittees will be appointed by the President and the officer bearer responsible for the area in question to be charged by that office bearer. If anybody has any particular expertise in an area and feels that they may be able to help in that area they may be able to serve on a relevant Subcommittee. Having this structure in place should also allow us to deal with grievances, complaints or issues in a more appropriate manner. If you have any issues relating to your team, playing or training those issues should be addressed to your relevant coach. If the issue cannot be resolved at that level you should bring it to the attention of the Head Coach. If this does not resolve the issue you should bring it to the attention of the President. The same applies for off-diamond issues. You should bring your issue to the relevant office bearer as a first point of contact. If that does not resolve the issue, you should bring it to the attention of the relevant executive member (Vice President, Secretary or Treasure) to which that officer bearer reports. If the issue still remains unresolved it should be brought to the attention of the President. While complaints and grievances are not common, it is better that we have some form of process for dealing with them should they arise. We are also introducing this structure (and changing the names of some of the job titles) to better reflect the roles in question. Volunteering

By now you should be aware that your fees now incorporate a participation levy of $50.00 per family. This levy is intended to encourage members and their families to get involved in volunteer activities within the Club. There are two reasons for doing so: 1. Firstly, the selfish reason from the Club’s point of view: not enough people doing too many things too often. We all need a break occasionally, right? 2. Secondly, becoming involved in a volunteer capacity hopefully provides you with a greater connection with the Club and other members, which of course increases in building friendship and networking groups. The participation levy will be refunded to all families who participate in at least 5 different volunteer activities. Below are some examples. Coaching Coaching is a great way to get involved as it gives you a deeper appreciation of the game and its rules. Many of our coaches became involved because their children were playing and have kept coaching even though their children have moved on to older age groups. There are online courses available for beginners to become accredited and our current coaches are able to provide hands on advice that is of great use. Skills learned in coaching are also transferable into people management roles. If you would like further information on coaching please speak to any of our coaching staff. Scoring Scoring is another way that allows you to actively participate in your child’s team. While it may look complicated to a beginner it is quite simple to pick up. We have a number of qualified scorers that can introduce you to the standard way that softball is scored in Australia and there are a number of courses conducted throughout the year by Softball Victoria. For further information on scoring please speak to Sally Johnson, Kerrie Neilson or Leah Paulette. Umpiring While it appears daunting at first umpiring is something that all players should get involved in as it helps with getting a greater understanding of the rules of softball. As a parent it also gives you a better appreciation of what your children are doing on the diamond. All Clubs at Knox are required to undertake umpiring duties on a regular basis. This minimises the fees payable for umpiring. While the Knox & District Softball Umpires Association (KDSUA) attempts to provide umpires for as many games as possible it cannot be done all the time. We will be conducting at least one training session this season that focuses on umpiring skills to assist our players with understanding the rules and to help out with umpiring duties. If parents are interested in getting involved in umpiring coming along to one of these sessions is a great way to start. Team Management Team Managers undertake the important role of ensuring that players are behaving themselves while sitting on the bench! This is especially important with under 12s (and some of the senior teams!) They also ensure that players are keeping on the ball with respect to their position in the batting order and line up. This is a great way for parents or other family members to take a hands on approach while not necessarily having to learn new skills. However team management also involves people management skills that may be useful in other areas. Please speak to one of our coaches if you are interested. Fundraising Activites Throughout the year we conduct a number of fundraising activities in order to keep costs to players to a minimum. This year we have already been involved in the People’s Choice Community Lottery. Before the end of 2014 we are conducting further barbecues at Bunnings Scoresby and Masters Knoxfield, a Trivia Night and the IPod Shuffle Night. We need help in organising these fundraisers and will need people to man the barbecues and cash boxes. If you can help out please speak to our Fundraising Officers, Lou Thomas or Tegan Holt. . Social Activities We also run a number of social activities throughout the year. We have already had a roller skating night and a socil BBQ at the grounds including a parent V kids match. We will be having our Christmas party on 7 December 2013. If you have any other ideas or are able to help with the organisation of these events speak to our Activities Officer, Lisa Bannan. Canteen Duty During the season Bluebirds will be required to help out the KDSA Canteen Manager Judy Mentiplay in the canteen on at least 3 Saturdays throughout the season. We are required to have people staff the canteen from around 7.30am until 6.00pm. The early morning duties involve making sandwiches and bread rolls. Otherwise duties involve helping with the sale of food and drinks and any other assistance Judy requires. We will circulate rosters once we have been advised of our duty days. Please contact Sally Johnson if you are interested in helping out. Working Bees We are also required to assist with maintaining the grounds at Gilbert Park. There will be working bees arranged so that we can perform our share of the duties. Other Activities There will be plenty of other opportunities that will arise through the year such as assisting with Bluebirds Tweet, photography, taking video footage and helping with the website. If we see you getting involved in some form of volunteer capacity we will make sure that it is recognised.

Code of Conduct

The following code of conduct applies to all members of the Bluebirds Softball Club including players, coaches, officials, committee members and parents. It is also requested that other supporters of the Club support and adhere to the Code of Conduct. 1. Be a positive role model for softball at all times. 2. Participate within the competitions rules and conditions and apply the spirit of fair play. 3. Accept victory and defeat with dignity. 4. Comply with umpires decisions in a professional and respectful manner. 5. Respect the rights, dignity and worth of all people and refrain from any discriminatory practices against any person regardless of age, gender, ethnic origin, religion or ability. 6. We do not tolerate acts of aggression, sexual innuendo, or harassment towards any player, coach or official. 7. We ask that all players and officials refrain from swearing during training, games or club sponsored events. 8. We require all players and officials to wear full uniform to all games. 9. It is an expectation of all players and coaches to attend training sessions and to also be present 1 hour prior to commencement of games. 10. It is a requirement that all players/officials stay within the dugout area during the game when not on the field. We also ask all others to refrain from being in the dugout area or on the bench during the game. 11. The consumption of alcohol or being intoxicated is not permitted during games by players and officials. 12. Smoking is not permitted while officiating in any training or games. Players are not permitted to smoke during the games or within the dugout. 13. It is expected that all equipment is looked after and packed away after training/games.

I acknowledge incidents can and may happen when playing or training for softball, there is the potential for blows to the head or face, collisions, missile injuries, landing awkwardly or falling and to the extent permitted by Law, and not withstanding and ineligibility, I hereby waive all claims for public liability against the Club or the organisers of any softball activity in which I/my child participate. If I borrow or hire equipment from the Club I promise to return it at the applicable time or indemnify the club for its replacement. 12. I agree to indemnify and keep indemnified the Club and KDSA in respect of any claims arising from my/my child's participation in any activity provided that in giving this indemnity I am not precluded from the insurance cover provided with membership. Media & Image Use 13. I understand that during games, training sessions or related activities including social events I or my children may be photographed or filmed. 14. I agree to allow any photograph, video or film likeness to be used by the Club for any legitimate purpose and specifically on the club website, in any newsletter, training aid or promotional material of the Club. 15. I agree that personal information of mine/my child and results may be stored by the Club or KDSA in a database and used appropriately. 16. I agree that members of the Club or KDSA or their family or friends shall not be prevented from taking photographs, video or film of that member. 17. I agree to tell the club when family or friends intend on taking photographs, video or film at any games, training sessions, related activities or any social events. Acknowlegement 18. I understand that I must wear a batting helmet whenever I enter the playing field whilst our team is at bat and wear it continuously whilst preparing to bat, batting or running the bases; that if the helmet accidentally dislodges whilst running, sliding or a play is being made on me I will reattach it at the conclusion of that play after "time" is granted by the umpire; and that I must wear a batting helmet during any training session when undertaking batting or running unless instructed not to wear it.
